Overview

What this migration involves

Moving from Clarify CRM to Monday.com CRM is a migration between two fundamentally different architectures. Clarify uses an AI-autonomous model with credit-based billing where its agents self-populate deal fields and conversation context; Monday.com uses a board-based Work OS with GraphQL API where CRM entities live as Items on Boards with custom Columns. We handle the structural translation: Clarify's autonomous field updates and AI summaries land as Monday column values and note attachments, pipeline stages become Board Groups, and all custom fields translate to Monday Column types with type verification before import. Clarify's 15 requests-per-second API rate limit requires batch chunking during export. Monday.com's three-seat minimum and automation quotas per plan tier are factored into the destination pricing estimate. Workflows and automation rules do not migrate; we deliver a written inventory for the customer's admin to rebuild inside Monday's Automation Manager.

Field-level fidelity

Every standard and custom field arrives verified.

Schema-aware mapping

AI proposes the map; you confirm before any record moves.

Relationships preserved

Parent–child, lookups, and ownership stay linked.

Full activity history

Calls, emails, meetings — with original timestamps.

Attachments & notes

Documents, uploads, and inline notes move with the record.

Why teams make this switch

Two sides of the same decision

Leaving

Clarify CRM logo

Clarify CRM

What's pushing teams away

  • AI still requires correction — it frequently populates company details with incorrect information that teams must manually override.
  • Limited native integrations today mean teams using specific tools must rebuild connections or abandon existing stacks entirely.
  • Advanced analytics and complex automation capabilities lag behind established CRMs like Salesforce and HubSpot, frustrating ops teams.
  • Rigid, custom workflows that change frequently are difficult to maintain in Clarify's opinionated autonomous framework.

Choosing

monday CRM logo

monday CRM

What's pulling them in

  • Users praise the board-based visual interface for making pipeline stages immediately legible to non-technical team members without CRM training.
  • The no-code automation builder lets sales ops teams create lead routing, stage updates, and email triggers without developer involvement.
  • Integration ecosystem connects to Slack, Gmail, Outlook, and Zapier with minimal configuration, reducing friction for teams already using these tools.
  • The flexible column system lets teams build custom CRM views — deal value, close date, lead source — without needing a developer or pre-defined schema.
  • Teams already using monday Work Management can layer CRM features onto existing boards rather than starting from scratch.

Object mapping

How Clarify CRM objects map to monday CRM

Each row shows how a Clarify CRM object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Clarify CRM

Contact

maps to

monday CRM

Contact (on CRM Board)

1:1
Fully supported

Clarify Contact records with name, email, phone, and company linkage map directly to Monday.com Contact items on the CRM Contact Board. The contact's primary company link resolves to a Monday Account item, and custom fields on the Clarify Contact map to Monday Column types. We validate field type compatibility before mapping: text fields map to Text Columns, dates to Date Columns, numbers to Numbers Columns, and multi-select values to Dropdown or Tags Columns. Clarify's AI-enriched contact properties (autonomously populated company details) migrate as standard column values, flagged for the customer's review in case AI-generated data requires verification.

Clarify CRM

Company

maps to

monday CRM

Account (on CRM Board)

1:1
Fully supported

Clarify Company records with domain-based enrichment map to Monday.com Account items on the CRM Account Board. The company domain becomes the Account's website column value. We resolve the company-contact linkage by matching Contact items' Account column to the corresponding Account item, using domain as the dedupe key. Clarify AI-populated company fields migrate as Monday Column values; any fields that exist in Clarify but have no Monday Column equivalent are held in a gap list for the customer to define before final import.

Clarify CRM

Deal

maps to

monday CRM

Opportunity Item (on CRM Board)

1:1
Fully supported

Clarify Deal records map to Monday.com Opportunity Items on the CRM Opportunities Board. The deal value, close date, and stage map to Monday Column values: monetary amounts to Numbers Columns with currency formatting, dates to Date Columns, and stage names to Status Column values within Board Groups. Clarify's autonomous agent updates to deal fields migrate as static column values; we do not recreate the autonomous agent logic in Monday because Monday's Automation Manager operates on different trigger-action semantics.

Clarify CRM

Pipeline Stages

maps to

monday CRM

Board Groups + Status Column

lossy
Fully supported

Clarify's named pipeline stages map to Monday Board Groups on the Opportunities Board, with each Group representing a pipeline stage. Within each Group, the Status Column reflects the deal's current sub-state. We preserve the full stage sequence and any custom stage names as Group labels, creating equivalent Groups in Monday's board structure. Stage order and probability metadata (if tracked in Clarify) migrate to Number Columns on each deal item for reporting purposes.

Clarify CRM

Activity: Call

maps to

monday CRM

Activity Item or Note on linked Item

1:1
Fully supported

Clarify call records with duration, disposition, and timestamp map to Monday Activity Items attached to the relevant Contact or Opportunity Item, or as Note attachments on the parent Item. Call metadata (duration in seconds, disposition notes) migrates as Text Column values on the activity item. The original call timestamp is preserved in a Date Column for timeline ordering.

Clarify CRM

Activity: Email

maps to

monday CRM

Email & Activities feature or Note attachment

1:1
Fully supported

Clarify email engagement records migrate to Monday's native Email & Activities feature (available on Standard and above) attached to the relevant Contact or Opportunity Item. For accounts on Basic, emails migrate as Note items or Text Column entries with sender, recipient, subject, and body preserved. Email thread continuity requires the customer to configure email sync integrations post-migration.

Clarify CRM

Activity: Meeting

maps to

monday CRM

Activity Item or Calendar integration entry

1:1
Fully supported

Clarify meeting records with attendee list, location, and duration map to Monday Activity Items linked to the relevant Contact or Opportunity. Meeting metadata (attendees, start time, location) migrates to Text or Date Columns. If the customer uses Monday's native Calendar integration post-migration, meetings can be reconnected as calendar events; historical meeting records are preserved as Items or Notes for reference.

Clarify CRM

Activity: Note

maps to

monday CRM

Note or File attachment on Item

1:1
Fully supported

Clarify standalone notes and AI-generated meeting summaries migrate as Note items or File attachments on the related Contact, Account, or Opportunity Item in Monday. The note content, author, and creation timestamp are preserved. Because Clarify stores AI summaries as linked note content rather than structured records, we convert the summary text to a Note body attached to the parent Item and flag it for completeness review.

Clarify CRM

Custom Fields (standard objects)

maps to

monday CRM

Custom Columns on relevant Board

lossy
Fully supported

Clarify custom fields on Contacts, Companies, and Deals translate to Monday Custom Columns on the corresponding CRM board. We validate column type compatibility during scoping: multi-select values map to Dropdown Columns, currency amounts to Numbers Columns with currency formatting, and dates to Date Columns. Any Clarify field types without a Monday Column equivalent are flagged as gaps and mapped to Text Columns as a fallback, pending customer confirmation of intended behavior.

Clarify CRM

Tag

maps to

monday CRM

Tags Column

1:1
Fully supported

Clarify tag-based labeling on records maps to Monday's Tags Column on the relevant board Items. Tag assignments on Contacts, Accounts, and Deals preserve as Tags Column values, enabling filtering and segmentation in Monday's board views. Tags used across multiple object types migrate independently on each object board.

Pair-specific challenges

  • Clarify AI summaries export as linked notes, not structured records

Clarify's AI-generated meeting summaries are stored as enriched note content attached to activity records, not as first-class structured objects with typed fields. When migrating to Monday.com, these summaries convert to Note attachments or Text Column content on the relevant Item, losing any structured metadata (speaker labels, action items, sentiment flags) that Clarify may have parsed. We flag all AI-summary records during scoping so the customer can review whether the unstructured text is sufficient for their historical record needs before import.

  • Monday.com GraphQL API requires column ID-based field mapping

Monday.com's API operates on board and column IDs rather than named field references. Each column must be resolved by ID from the board schema before records can be inserted or updated. We pre-fetch the Monday board structure during discovery, resolve column IDs for every target mapping, and use those IDs in the import payload. Custom columns added to boards after discovery require re-fetching the schema before they can be targeted, which can introduce delays if boards are modified during migration.

  • Automation rebuild scope is outside migration scope

Clarify's AI autonomous agents that update deal fields automatically have no equivalent in Monday.com's Automation Manager, which operates on trigger-action rules rather than autonomous field population. We do not migrate Clarify's autonomous agents. We deliver a written inventory of every autonomous action observed in the source data (field updates, stale-deal surfacing, AI-generated summaries) with a recommended Monday Automation Manager equivalent. Automations are rebuilt by the customer's admin post-migration.

  • Monday.com three-seat minimum affects destination pricing

Monday.com requires a minimum of three paid seats on all paid plans. For teams migrating from Clarify with fewer than three users on a paid plan, the Monday destination cost will be higher on a per-seat basis than the equivalent Clarify tier. We include the seat-minimum cost projection in the pricing estimate and flag any team-size scenarios where the minimum-seat cost exceeds the estimated per-seat equivalent.

  • Monday Basic plan excludes automations and email sync

Monday.com Basic ($12/seat) does not include automations or email integration. Teams migrating from Clarify that rely on automated workflows or email sync must upgrade to Standard ($17/seat) or Pro ($28/seat) to maintain equivalent functionality. We identify the minimum plan tier required based on the customer's automation and email integration needs during scoping and include the tier recommendation in the migration scope document.

Migration approach

Six steps for a successful Clarify CRM to monday CRM data migration

  1. Discovery and API credential setup

We audit Clarify CRM across credit usage, record counts (Contacts, Companies, Deals, activity history), custom field definitions, pipeline stage names, and any tags in use. We verify API credentials and test the Clarify REST API export endpoint, measuring actual response times against the 15 req/s rate limit to calibrate batch sizing. We also configure the Monday.com GraphQL API credentials, fetch the existing CRM board schema to capture column IDs and board structure, and identify any custom columns that already exist in the destination account.

  2. Data audit and deduplication pass

We export all records from Clarify and run a data-quality pass: duplicate detection on Contact and Company by email and domain, validation of required fields against Monday's column schema, and flagging of any records with AI-enriched fields that may contain incorrect data. We present the customer with a deduplication decision report showing duplicate candidates and recommending keep/merge actions before any records are written to Monday.

  3. Schema translation and board configuration

We design the Monday board structure based on the Clarify data model. This includes creating Board Groups for pipeline stages, defining Status and Dropdown Columns for deal and contact fields, configuring Number Columns for monetary values, and mapping custom Clarify fields to equivalent Monday Column types. Schema is configured in a staging Monday account first for validation before production migration begins.

  4. Account and Contact import with linkage resolution

We import Companies to the Monday Account Board first, using domain as the dedupe key. Contacts import second, with the Account column resolved to the corresponding Monday Account item by domain match. This ordering ensures the Account-Contact lookup is satisfied at insert time. Tag assignments migrate as Tags Column values. Each phase emits a row-count reconciliation report before the next phase begins.

  5. Deal and Pipeline import

We import Deals to the Monday Opportunities Board, mapping pipeline stages to Board Groups and deal properties to Column values. Clarify's autonomous field updates migrate as static column values; any AI-generated field data is flagged for review. Deal-to-Contact and Deal-to-Account linkages resolve via email match and domain lookup respectively. Pipeline stage order and probability metadata migrate to Number Columns for dashboard use.

  6. Activity history and AI-summary migration

We migrate call, email, meeting, and note records as Activity Items or Note attachments linked to the relevant Contact, Account, or Opportunity Item. AI-generated meeting summaries from Clarify convert to Note body text attached to the parent Item and are flagged for completeness review. We batch activity imports in chunks to stay within Monday's API rate limits and use exponential backoff on throttling responses.

  7. Cutover, validation, and automation inventory handoff

We freeze Clarify writes during cutover, run a final delta migration of any records modified during the migration window, then enable Monday.com as the system of record. We deliver the Automation Inventory document listing every Clarify autonomous action observed in the source data with a recommended Monday Automation Manager equivalent. We do not rebuild automations inside the migration scope; that work is handled by the customer's admin post-migration.

Platform deep dives

Context on both ends of the pair

Clarify CRM logo

Clarify CRM

Source

Strengths

  • Autonomous field population reduces CRM decay without requiring manual data entry workflows.
  • Credit-based usage pricing decouples cost from team headcount for predictable budgeting.
  • AI-powered deal context and stale-deal surfacing provide immediate sales intelligence out of the box.
  • Distraction-free interface with no unnecessary clicks appeals to founder-led sales teams.
  • Self-configuring pipeline setup requires no technical expertise or implementation consultant.

Weaknesses

  • Limited native integrations with third-party tools forces teams to rebuild existing stack connections.
  • AI accuracy issues require ongoing manual correction of incorrectly populated company details.
  • Advanced analytics and reporting lag behind established CRM platforms like Salesforce and HubSpot.
  • Complex custom workflows are difficult to maintain within Clarify's opinionated autonomous framework.
  • Still maturing product — fewer third-party resources, community answers, and certified partners than incumbents.

Strengths

  • Board-based UI makes pipeline stages and deal progress visually obvious without training.
  • No-code automation builder requires no developer resources to create lead routing and stage-triggered actions.
  • Flexible column system supports custom CRM fields without schema changes or admin involvement.
  • Integrates natively with Slack, Gmail, Outlook, and Zapier with minimal configuration overhead.
  • Layered product means teams already on monday Work Management can add CRM without migrating existing data.

Weaknesses

  • No native Contacts object separate from Items — contacts are managed inside a CRM module's People feature.
  • Pipeline and deal relationships use a flat item model rather than a relational object model, making complex CRM associations awkward.
  • Automations are plan-gated (250 actions/month on Standard, 25,000 on Pro) and the legacy Recipe system is being deprecated.
  • Customization and advanced views (Chart, Formula, Dependency) are locked behind Pro and Enterprise tiers.
  • Per-seat pricing with non-refundable annual billing creates cost lock-in risk during migration.

Most migrations land between two and three weeks for accounts under 10,000 Contacts, 2,500 Deals, and straightforward custom field schemas. Migrations with large activity histories (over 200,000 engagement records), multiple board structures, or complex custom field-to-column type translations move to five to eight weeks because of Monday GraphQL API pagination handling, column-type validation, and note attachment batch processing.
