    Clarify handles all prospects as Contact records with lifecycle-stage properties. Pipedrive has a separate Lead object for unqualified prospects and a People object for qualified contacts. During scoping, we determine which Clarify lifecycle-stage values should map to Pipedrive Leads versus People. If the customer wants to use Pipedrive Leads for raw prospect intake, we create a mapping rule during schema design. If the customer prefers to treat all prospects as People, we suppress the Lead object entirely.

  • Clarify API rate limit requires batched export

    Clarify enforces a flat 15 requests per second rate limit across all plans. We chunk export jobs into sub-15-rps batches and implement exponential backoff retry logic to avoid throttling. For large datasets, we split export jobs across multiple scheduling windows. This adds modest time to the export phase but prevents data truncation that occurs when the rate limit is hit without retry logic.

  • Pipedrive does not support custom objects

    Clarify supports custom fields on standard objects but has no native custom object capability either. Pipedrive similarly has no custom record type beyond custom fields on People, Organizations, Deals, Products, and Activities. This symmetry simplifies migration scope — if a customer's Clarify setup has no custom objects (which is the typical case), the Pipedrive destination requires no custom object provisioning. If the customer has any Clarify data that is conceptually a custom object rather than a custom field, we flag it during scoping and recommend a workaround using Pipedrive's custom fields or a related table in a connected tool.

  • AI summaries export as linked notes, not structured records

    Clarify's AI-generated meeting summaries are stored as enriched note content attached to activity records, not as structured first-class fields. When migrating to Pipedrive, these summaries attach as notes to the corresponding Person or Deal record. Pipedrive does not have a native meeting summary field, so the summary content appears as a note attachment rather than a structured property. Customers who rely on Clarify's AI summaries for deal context should review the note attachments after migration to verify completeness and accuracy of the transferred content.

Six steps for a successful Clarify CRM to Pipedrive data migration

  1. Discovery and AI-field audit

    We audit the source Clarify account across record counts (Contacts, Companies, Deals, Activity records), pipeline stage definitions, custom field definitions and types, tag usage, and credit consumption by AI feature. The AI-field audit is the critical output of this phase: we identify every contact and company field that was modified by Clarify's autonomous AI agents and present the full list to the customer. They decide which fields to migrate, which to strip, and which to prefix as needing review in Pipedrive. We also confirm the lifecycle-stage property values in Clarify to determine the Lead-versus-People mapping strategy in Pipedrive.

  2. Schema design and Pipedrive custom field provisioning

    We design the destination Pipedrive schema before any data moves. This includes creating Pipedrive custom fields for any Clarify custom fields that have no direct Pipedrive equivalent, configuring pipeline stages with the correct names and probabilities matched from Clarify, setting up Labels to match Clarify's tag taxonomy, and defining the Lead-versus-Person mapping rule based on Clarify's lifecycle-stage property values. Schema is provisioned in a Pipedrive trial or sandbox environment first for validation against a sample dataset before production migration begins.

  3. Sandbox migration and reconciliation

    We run a full migration into the customer's Pipedrive sandbox using a representative data sample. The customer's RevOps lead reconciles record counts (People in, Organizations in, Deals in, Activities in), spot-checks 25-50 random records against the Clarify source, and reviews the AI-flagged fields to confirm the inclusion or exclusion decisions. Any field type mismatches (e.g., a Clarify multi-select that Pipedrive does not support as a native type) are resolved here. Sign-off on the sandbox reconciliation gates the production migration start.

  4. Export from Clarify in rate-limited batches

    We export data from Clarify's API in rate-limited batches capped at 15 requests per second per Clarify's universal rate limit. Large exports are split across multiple scheduling windows to avoid throttling. The export includes all standard fields, custom fields, tag assignments, deal values and stages, and activity records. AI-generated meeting summaries are exported as linked note content and bundled with the corresponding activity record for attachment during import. We maintain a migration manifest listing every exported field, its source object, and its AI-flag status.

  5. Production import in dependency order

    We run production migration into Pipedrive in record-dependency order: Organizations (from Clarify Companies, because People require an Organization lookup), People (with the Lead-versus-Person split applied from Clarify lifecycle stages), Deals (with Organization and Person lookups resolved), and Activities (Tasks, Calls, Meetings with timestamps preserved and AI summaries attached as notes). Each phase emits a row-count reconciliation report before the next phase begins. Custom fields are created in Pipedrive before the phase that requires them.

  6. Cutover, validation, and automation rebuild handoff

    We freeze Clarify writes during cutover, run a final delta migration of any records modified during the migration window, then enable Pipedrive as the system of record. We deliver a written inventory of Clarify's autonomous workflow configurations and AI agent settings that the customer must rebuild in Pipedrive's Automation engine. We do not rebuild Clarify's autonomous workflows as Pipedrive automations inside the migration scope; that is a separate engagement or an internal admin task. We support a one-week hypercare window where we resolve any record-count discrepancies or field-mapping issues raised by the customer's team.
