Insight Legal Case Management structures data around matters, parties, documents, time entries, and legal accounting — a schema designed for law firm compliance and trust accounting. Pipedrive structures data around People, Organizations, Deals, Activities, and Leads — a schema designed for pipeline management and sales velocity. The migration carries your client contacts, matter descriptions, party relationships, time records, and document references into Pipedrive's CRM objects, using custom fields to preserve legal-specific attributes that have no native Pipedrive equivalent. Matter stages map to Pipedrive Deal stages, party roles become custom pick-list fields, and time entries become Activity records or custom fields on Deals. Workflows, email templates, trust accounting rules, and compliance checklists do not migrate — FlitStack exports these as reference documents for your team to rebuild in Pipedrive Automations. We use Insight Legal's API export and Pipedrive's REST API for bulk record creation, with a delta-pickup window capturing any changes made during the cutover window.

We deliver a custom field creation checklist specifying field name, type (text, pick-list, date, currency), and which Pipedrive object (Person, Organization, Deal, Activity) it belongs to. Your Pipedrive admin creates these fields before we begin data migration.
Resolve fee earners and create Pipedrive user accounts
Insight Legal fee earner assignments map to Pipedrive Deal owners, resolved by email match. FlitStack runs an owner resolution scan against your Pipedrive user list — any fee earner without a matching Pipedrive account is flagged in the migration plan. Your team creates Pipedrive user accounts for those fee earners, or assigns their matters to a designated fallback owner, before the migration runs. No matter lands in Pipedrive without an owner.
Migrate Organisations, then Persons, then Deals, then Activities
Pipedrive's foreign-key model requires Organisations before Persons, and Persons before Deals. FlitStack sequences the migration in dependency order: Organizations first, then Persons with their Party_Role__c assignments and Matter_Reference__c cross-links, then Deals with their Pipeline assignments and stage mappings, then Activities (time entries, key dates) linked to their parent Deals. Document metadata migrates last with file URLs or re-upload instructions. Bill data and trust ledger exports are delivered as CSV attachments to their parent Deals.
Run a sample migration with field-level diff
A representative slice of 100–300 records — spanning at least two matter types, multiple party roles, and time entries — migrates first. FlitStack generates a field-level diff comparing source Insight Legal values against the destination Pipedrive fields. You verify that party roles, matter types, court dates, and bill statuses map correctly before the full migration commits. Any mapping errors are corrected in the migration plan before re-running the sample.
Execute full migration with delta-pickup window
The full migration runs against Pipedrive's API. A delta-pickup window of 24–48 hours captures any matters, parties, or time entries created or modified in Insight Legal during the cutover. FlitStack's audit log records every API operation — record created, field updated, file attached — with source system ID for reconciliation. One-click rollback reverts all migrated records if the field-level diff against the sample reveals systemic issues. After rollback confirmation, the workflow export JSON and trust ledger CSV are delivered alongside the migrated data.
