Overview

What this migration involves

Insight Legal Case Management structures data around matters, parties, documents, time entries, and legal accounting — a schema designed for law firm compliance and trust accounting. Pipedrive structures data around People, Organizations, Deals, Activities, and Leads — a schema designed for pipeline management and sales velocity. The migration carries your client contacts, matter descriptions, party relationships, time records, and document references into Pipedrive's CRM objects, using custom fields to preserve legal-specific attributes that have no native Pipedrive equivalent. Matter stages map to Pipedrive Deal stages, party roles become custom pick-list fields, and time entries become Activity records or custom fields on Deals. Workflows, email templates, trust accounting rules, and compliance checklists do not migrate — FlitStack exports these as reference documents for your team to rebuild in Pipedrive Automations. We use Insight Legal's API export and Pipedrive's REST API for bulk record creation, with a delta-pickup window capturing any changes made during the cutover window.

Why teams make this switch

Two sides of the same decision

Leaving

Insight Legal Case Management logo

Insight Legal Case Management

What's pushing teams away

  • Pricing lacks transparency on the vendor site — firms report needing to request a quote rather than self-serve pricing information
  • No publicly documented API means all data exports must go through Insight Legal's own migration service, limiting flexibility
  • Smaller firm users report that the feature depth designed for mid-to-enterprise practices can introduce unnecessary complexity
  • Switching to alternatives like Clio or Smokeball often cited for better mobile experience and lower entry cost for small practices
  • Some users find the UK-specific compliance features add administrative overhead that smaller practices do not require

Choosing

Pipedrive logo

Pipedrive

What's pulling them in

  • Clean drag-and-drop pipeline interface with minimal learning curve, making it approachable for small sales teams without dedicated CRM admins.
  • Visual deal tracking keeps reps focused on next actions — activities, calls, and follow-up tasks surface directly in the pipeline view.
  • Strong integrations via Zapier and native marketplace apps let teams wire Pipedrive into Calendly, ActiveCampaign, and similar sales-stack tools.
  • Mobile apps for iOS and Android keep field reps connected to deals, contacts, and tasks without a desktop session.
  • Reputation and review volume — over 3,000 verified reviews across G2 and Capterra — signal reliability for teams evaluating CRM options.

Object mapping

How Insight Legal Case Management objects map to Pipedrive

Each row shows how a Insight Legal Case Management object lands in Pipedrive, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Insight Legal Case Management

Client / Party

maps to

Pipedrive

Person

1:1
Fully supported

Insight Legal clients and named parties map directly to Pipedrive People. The primary client on a matter becomes the primary Person linked to the corresponding Deal. Opposing parties, witnesses, and referrers also map to Person records with a custom Party_Role__c pick-list field preserving their role on the matter.

Insight Legal Case Management

Organisation / Company

maps to

Pipedrive

Organization

1:1
Fully supported

Insight Legal organisational records (opposing firms, corporate clients, referral sources) map to Pipedrive Organizations. The organization's address, industry, and web domain transfer as standard Pipedrive Organization fields. Multi-office firms collapse to a single Organization record with additional address fields stored as custom fields.

Insight Legal Case Management

Matter / Case

maps to

Pipedrive

Deal

1:1
Fully supported

Insight Legal matters map to Pipedrive Deals. Each matter type (conveyancing, family law, employment, private client) can map to its own Pipedrive pipeline, with matter stage statuses translated to Pipedrive Deal stage names. The Deal's person link represents the primary client; party roles stored as custom fields on the Deal reference other Person records associated with the matter.

Insight Legal Case Management

Matter Stage / Status

maps to

Pipedrive

Deal Stage

1:1
Fully supported

Insight Legal matter statuses (New Instruction, In Progress, Awaiting Information, Settlement, Closed) map value-by-value to Pipedrive Deal stage names. Each matter type may use a different stage sequence, so FlitStack creates separate Pipedrive pipelines per matter type and maps stages within each pipeline context.

Insight Legal Case Management

Time Entry

maps to

Pipedrive

Activity / Custom Field on Deal

1:1
Fully supported

Billable time entries from Insight Legal become Pipedrive Activities (logged calls or tasks with time spent) or are stored as custom fields on the related Deal (Total_Time_Billed__c, Time_Narrative__c). Trust/untrust status maps to a custom pick-list field since Pipedrive has no native billing status concept. The narrative note from the time entry is preserved in the Activity description or a long-text custom field.

Insight Legal Case Management

Document / File

maps to

Pipedrive

File (on Person, Organization, or Deal)

1:1
Fully supported

Insight Legal documents attached to matters re-upload to Pipedrive Files and attach to the corresponding Deal record. File size limits apply (Pipedrive's storage tier caps per plan). Documents without a clear matter association attach to the primary Person record. Compliance tagging from Insight Legal is preserved as a custom field on the Pipedrive File (Document_Type__c, Compliance_Tag__c).

Insight Legal Case Management

Bill / Invoice

maps to

Pipedrive

Custom Fields on Deal + External Reference

1:1
Fully supported

Insight Legal bills and invoices have no native Pipedrive equivalent. We preserve bill number, total amount, status (Draft, Sent, Paid, Written Off), and date as custom fields on the Deal (Bill_Number__c, Bill_Amount__c, Bill_Status__c, Bill_Date__c). Actual invoice generation must be rebuilt in a legal accounting tool or Pipedrive's billing integration.

Insight Legal Case Management

Workflow / Process Template

maps to

Pipedrive

No Equivalent (Export for Rebuild)

1:1
Fully supported

Insight Legal workflows (conveyancing process, family law checklist, employment tribunal steps) do not migrate. FlitStack exports the workflow definition — stage names, task assignments, deadline rules, and dependency logic — as a JSON reference document. Your Pipedrive admin uses this to build Automations and configure Deal field requirements per pipeline.

Insight Legal Case Management

Trust Accounting Entry

maps to

Pipedrive

No Equivalent (Preserved as Reference)

1:1
Fully supported

Insight Legal trust accounting ledger entries (client funds, disbursements, reconciliation records) have no Pipedrive equivalent. FlitStack exports trust ledger data as a structured CSV attached to the relevant Deal or Person record. Rebuild trust accounting in a dedicated legal accounting tool and link it to Pipedrive Deals via a custom External_ID__c field for cross-system reference.

Insight Legal Case Management

Key Date / Deadline

maps to

Pipedrive

Activity / Custom Field on Deal

1:1
Fully supported

Insight Legal key dates (court deadlines, filing dates, limitation dates) attached to matters become Pipedrive Activities with a due date matching the key date and a subject noting the type (e.g., 'Court Filing: [Matter Reference]'). Critical deadlines also stored as date custom fields on the Deal (Court_Date__c, Limitation_Date__c) for dashboard visibility.

Insight Legal Case Management

Matter Owner / Fee Earner

maps to

Pipedrive

Deal Owner (User)

1:1
Fully supported

Insight Legal fee earner assignments map to Pipedrive Deal Owner, resolved by email match against Pipedrive users. Unmatched fee earners are flagged before migration — your team either creates a Pipedrive user account first or assigns their matters to a fallback owner. Original fee earner name preserved in a custom field (Original_Fee_Earner__c).

Insight Legal Case Management

Custom Matter Property

maps to

Pipedrive

Custom Field on Deal

1:1
Fully supported

Insight Legal custom properties on matters (e.g., Property_Address__c for conveyancing, Custody_Arrangement__c for family law) map to Pipedrive custom fields on the Deal object. Each custom property requires a corresponding custom field to be pre-created in Pipedrive before the migration runs. FlitStack delivers a field creation checklist as part of the migration plan.

Pair-specific challenges

  • Matter-to-Deal restructuring creates foreign-key dependencies that must resolve in order

Insight Legal matters are self-contained records with embedded parties, time entries, and documents. Pipedrive Deals require their linked Person records to exist before the Deal can be created, and Person records require their linked Organization to exist first. FlitStack sequences the migration (Organizations first, then Persons, then Deals, then Activities) and flags any circular references — such as a Person who is simultaneously the primary client and the opposing party on the same matter — before data lands. This sequencing step alone typically adds a planning day to the migration timeline.

  • Pipedrive has no native party-role distinction — multi-party matters need custom field mapping

Insight Legal tracks Client, Opposing Party, Witness, Expert Witness, and Referrer roles on each matter. Pipedrive has a single Person object with no native role concept. FlitStack creates a Party_Role__c custom pick-list on Person and maps each party role value-by-value. However, Pipedrive's UI only shows the primary Person on a Deal — secondary parties are accessible via activity links or the Person's activity history, not the Deal card itself. Teams that rely on seeing all parties at a glance on the Deal record will need to build a custom pipeline view or use Pipedrive's relationship linking feature.

  • Insight Legal workflows and matter templates have no Pipedrive equivalent — export for rebuild

Insight Legal ships pre-built matter workflows for conveyancing (searches, exchange, completion), employment (ET1, ACAS, tribunal stages), family law (C100, D81, decree nisi), and private client (will prep, LPA registration). Pipedrive Automations can trigger tasks and update Deal stages based on conditions, but they don't natively model legal process steps or deadline calculations. FlitStack exports the workflow definition — stage sequence, task names, assignee rules, and deadline logic — as a structured JSON reference. Your Pipedrive admin rebuilds the automation using this reference, and FlitStack validates the rebuild covers all matter types before go-live.

  • Trust accounting ledger entries and bill generation cannot be recreated in Pipedrive

Insight Legal trust accounting tracks client funds held in the practice account, individual disbursement entries, and reconciliation records. Pipedrive has no accounting module and no concept of trust versus office funds. FlitStack exports the trust ledger as a CSV attached to the relevant Deal record, but the financial logic — including which entries are billable, how disbursements offset client balances, and which funds are held on account — cannot be migrated as working data. Teams must implement a separate legal accounting tool (such as Quill, Legal Office, or LawPay) and link it to Pipedrive Deals via the Source_System_ID__c field we create on every record.

  • Pipedrive's storage limits and file size caps affect document migration

Insight Legal stores documents of any size within a matter with no per-file cap documented in the public API. Pipedrive's file storage is governed by plan tier — the Professional plan includes 100GB per user, while lower tiers have 5–10GB. Large document sets (scanned correspondence archives, PDF bundles, evidence files) can exceed these limits and require a two-step approach: migrate document metadata to Pipedrive Files and store the actual files in a linked cloud storage bucket (SharePoint, Google Drive, or S3) with the URL stored in Pipedrive. FlitStack flags document sets exceeding Pipedrive's size thresholds before the migration runs.

Migration approach

Six steps for a successful Insight Legal Case Management to Pipedrive data migration

  1. Analyse Insight Legal data model and map to Pipedrive schema

FlitStack reads your Insight Legal export (matters, parties, time entries, documents, key dates, bills) and produces a schema mapping plan: which Pipedrive object each Insight Legal entity maps to, which custom fields need pre-creation, and which data has no Pipedrive equivalent and will be exported as reference CSVs. We deliver a custom field creation checklist specifying field name, type (text, pick-list, date, currency), and which Pipedrive object (Person, Organization, Deal, Activity) it belongs to. Your Pipedrive admin creates these fields before we begin data migration.

  2. Resolve fee earners and create Pipedrive user accounts

Insight Legal fee earner assignments map to Pipedrive Deal owners, resolved by email match. FlitStack runs an owner resolution scan against your Pipedrive user list — any fee earner without a matching Pipedrive account is flagged in the migration plan. Your team creates Pipedrive user accounts for those fee earners, or assigns their matters to a designated fallback owner, before the migration runs. No matter lands in Pipedrive without an owner.

  3. Migrate Organisations, then Persons, then Deals, then Activities

Pipedrive's foreign-key model requires Organisations before Persons, and Persons before Deals. FlitStack sequences the migration in dependency order: Organizations first, then Persons with their Party_Role__c assignments and Matter_Reference__c cross-links, then Deals with their Pipeline assignments and stage mappings, then Activities (time entries, key dates) linked to their parent Deals. Document metadata migrates last with file URLs or re-upload instructions. Bill data and trust ledger exports are delivered as CSV attachments to their parent Deals.

  4. Run a sample migration with field-level diff

A representative slice of 100–300 records — spanning at least two matter types, multiple party roles, and time entries — migrates first. FlitStack generates a field-level diff comparing source Insight Legal values against the destination Pipedrive fields. You verify that party roles, matter types, court dates, and bill statuses map correctly before the full migration commits. Any mapping errors are corrected in the migration plan before re-running the sample.

  5. Execute full migration with delta-pickup window

The full migration runs against Pipedrive's API. A delta-pickup window of 24–48 hours captures any matters, parties, or time entries created or modified in Insight Legal during the cutover. FlitStack's audit log records every API operation — record created, field updated, file attached — with source system ID for reconciliation. One-click rollback reverts all migrated records if the field-level diff against the sample reveals systemic issues. After rollback confirmation, the workflow export JSON and trust ledger CSV are delivered alongside the migrated data.

Platform deep dives

Context on both ends of the pair

Insight Legal Case Management logo

Insight Legal Case Management

Source

Strengths

  • Combines case management, legal accounting, practice management, and compliance in a single integrated platform
  • Offers both cloud-hosted and on-premise deployment options for UK law firms
  • Built-in workflows for common practice areas reduce initial configuration overhead
  • SRA-compliant trust accounting with dedicated client money handling
  • Mobile apps for iOS and Android support fee-earners working outside the office

Weaknesses

  • No publicly documented API — all data extraction requires vendor-provided migration tooling or manual export
  • Pricing is opaque; firms cannot self-serve tier information and must request a quote
  • Feature depth optimized for mid-to-enterprise practices can create complexity for smaller firms
  • Alternatives like Clio and Smokeball are rated higher on G2 for ease of use in small practice contexts
  • Limited published documentation on custom field limits and schema details
Pipedrive logo

Pipedrive

Destination

Strengths

  • Intuitive drag-and-drop pipeline that sales reps actually use without resistance or training overhead.
  • Per-seat unlimited-deals model on all tiers — reps cannot be blocked from logging activity.
  • Active marketplace with 400+ integrations and a documented REST API with OpenAPI 3 specs.
  • Mobile apps with offline access, call logging, and calendar sync keep field teams operational.
  • Strong focus on sales activity tracking — next-action reminders and follow-up scheduling are first-class features.

Weaknesses

  • No custom objects — teams needing non-standard data structures must work around the four standard entity types.
  • Workflow automation limits by tier (30, 60, 90 active workflows) force upgrades as processes grow.
  • No free permanent plan — teams evaluating fit must commit to a trial without a freemium option.
  • Limited advanced reporting and custom dashboard capabilities compared to HubSpot or Salesforce.
  • Export permissions are gated by visibility groups, meaning data scoping must account for who can see what before migration.
