Overview

What this migration involves

Insight Legal Case Management organizes firm data around matters, clients, contacts, billing ledgers, and trust accounting—storing rich client profiles with practice area assignments, assigned attorney data, and case metadata. Mailchimp's audience model centers on subscriber profiles with email addresses, first and last names, phone numbers, and a flexible tag system for segmentation. The migration overlap is contacts and firm-defined tags: we extract client names, email addresses, phone numbers, and practice-area or client-type labels from Insight Legal, then map them to Mailchimp contacts and tags. Custom fields like client_status, case_type, and matter_reference become Mailchimp merge fields. Insight Legal objects with no Mailchimp equivalent—matters, bills, trust ledgers, document links, and time entries—do not migrate. Automations, workflows, and email templates in Insight Legal also do not migrate; those require manual rebuild in Mailchimp. We use Insight Legal's read API to extract contact records, validate field types, resolve email deliverability flags, and bulk-insert into Mailchimp via their contacts API. A sample migration with field-level diff runs first so you can verify tag assignments and merge field values before the full cutover.

Why teams make this switch

Two sides of the same decision

Leaving

Insight Legal Case Management logo

Insight Legal Case Management

What's pushing teams away

  • Pricing lacks transparency on the vendor site — firms report needing to request a quote rather than self-serve pricing information
  • No publicly documented API means all data exports must go through Insight Legal's own migration service, limiting flexibility
  • Smaller firm users report that the feature depth designed for mid-to-enterprise practices can introduce unnecessary complexity
  • Switching to alternatives like Clio or Smokeball often cited for better mobile experience and lower entry cost for small practices
  • Some users find the UK-specific compliance features add administrative overhead that smaller practices do not require

Choosing

Mailchimp logo

Mailchimp

What's pulling them in

  • Generous free tier with up to 500 contacts allows small teams to validate email marketing before committing to a paid plan.
  • Intuitive drag-and-drop email builder and 130+ templates let non-technical users produce professional campaigns without HTML or CSS knowledge.
  • 300+ native integrations, especially Canva and Shopify, make it easy to connect existing tools without custom development work.
  • Detailed open-rate, click-through, and campaign analytics give small businesses actionable insights without a dedicated marketing team.
  • One-platform consolidation of email campaigns, automations, landing pages, and ads reduces tool sprawl for lean marketing teams.

Object mapping

How Insight Legal Case Management objects map to Mailchimp

Each row shows how a Insight Legal Case Management object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Insight Legal Case Management

Client/Contact

maps to

Mailchimp

Mailchimp Contact (Audience Member)

1:1
Fully supported

Insight Legal stores clients as named records with contact details. Mailchimp subscribers are the equivalent contact entity. We map every client record with a valid email address into a Mailchimp contact. Clients without email are flagged for manual review before the migration runs.

Insight Legal Case Management

Client Type

maps to

Mailchimp

Mailchimp Merge Field (CLIENT_TYPE)

1:1
Fully supported

Insight Legal custom field identifying client classification (e.g., corporate, individual, government) becomes a Mailchimp merge field. We create the merge field in your Mailchimp audience and populate it from the source value. Mailchimp merge fields are string-based; long text values are truncated to Mailchimp's 255-character limit.

Insight Legal Case Management

Practice Area / Matter Type

maps to

Mailchimp

Mailchimp Tag

1:1
Fully supported

Insight Legal practice area labels (family law, employment, conveyancing, etc.) map to Mailchimp tags. Tags in Mailchimp are flat strings with no hierarchy. We extract distinct practice area values from Insight Legal and create a corresponding tag in Mailchimp for each unique value. Multiple practice areas per client create multiple tags on one contact.

Insight Legal Case Management

Matter / Case Record

maps to

Mailchimp

No equivalent in Mailchimp

1:1
Fully supported

Insight Legal matters contain case details, opposing parties, court information, and case-specific notes. Mailchimp has no concept of legal matters. We do not migrate matter records. If you need to retain matter identifiers for reference, we can store the most recent matter ID as a custom merge field on the client contact.

Insight Legal Case Management

Assigned Attorney

maps to

Mailchimp

Mailchimp Merge Field (ASSIGNED_ATTORNEY)

1:1
Fully supported

The attorney assigned to a client or matter becomes a custom merge field in Mailchimp. We extract the attorney name from Insight Legal and write it as ASSIGNED_ATTORNEY on the contact. This enables filtering and segmentation by responsible attorney in Mailchimp campaigns.

Insight Legal Case Management

Billing Records / Invoices

maps to

Mailchimp

No equivalent in Mailchimp

1:1
Fully supported

Insight Legal stores billing ledgers, invoices, and payment history tied to clients and matters. Mailchimp has no billing or financial objects. These records do not migrate. Export billing data separately from Insight Legal for your accounting records before the migration.

Insight Legal Case Management

Trust Accounting Ledger

maps to

Mailchimp

No equivalent in Mailchimp

1:1
Fully supported

Trust accounting entries and client ledger balances in Insight Legal have no Mailchimp equivalent. Mailchimp is a contact and campaign platform, not a financial system. Trust records remain in Insight Legal or must be exported separately to your accounting software.

Insight Legal Case Management

Time Entries

maps to

Mailchimp

No equivalent in Mailchimp

1:1
Fully supported

Billable time entries linked to matters in Insight Legal do not map to Mailchimp. Mailchimp tracks email opens, clicks, and campaign engagement—not legal billable hours. Time entry data is excluded from the migration scope entirely. If you need to retain time tracking data, export it separately from Insight Legal's reporting module before the migration cutover date.

Insight Legal Case Management

Document Links / Attachments

maps to

Mailchimp

No equivalent in Mailchimp

1:1
Fully supported

Insight Legal stores correspondence history and document attachments linked to matters and clients. Mailchimp has no document management system. Document files and correspondence history do not migrate. Retain document access through Insight Legal until your matter closure workflow is finalized and all active matters have been transferred to your new practice management system.

Insight Legal Case Management

Client Status

maps to

Mailchimp

Mailchimp Merge Field (CLIENT_STATUS) + Tag

1:1
Fully supported

Active, inactive, and closed client statuses from Insight Legal map to both a CLIENT_STATUS merge field and a status-based tag in Mailchimp. The merge field preserves the original status value for reference, while the tag enables quick segment filtering for campaigns targeting active clients only. This dual approach supports both detailed reporting and simplified audience segmentation.

Insight Legal Case Management

Matter Reference / Case Number

maps to

Mailchimp

Mailchimp Merge Field (MATTER_REFERENCE)

1:1
Fully supported

The primary matter reference number or case identifier from Insight Legal migrates as a custom merge field on the client contact. This preserves traceability between Mailchimp contacts and your firm's case records. Only the most recent matter reference is stored per contact, and we flag contacts with multiple matter associations for your review.

Insight Legal Case Management

Referral Source

maps to

Mailchimp

Mailchimp Merge Field (REFERRAL_SOURCE)

1:1
Fully supported

Referral source data captured in Insight Legal (e.g., walk-in, partner referral, website) migrates to a REFERRAL_SOURCE merge field. This allows you to segment Mailchimp campaigns by how the client originally entered the firm's pipeline, enabling targeted follow-up based on referral channel effectiveness.

Pair-specific challenges

  • Matter records, billing, and trust accounting have no Mailchimp equivalent and will not migrate

Insight Legal stores matters with case details, court information, billing ledgers, trust accounting balances, and document links. Mailchimp is a subscriber and campaign platform—it has no concept of legal matters, financial ledgers, or document storage. We migrate only contact-level data: names, emails, phone numbers, practice-area tags, and firm-defined custom fields. Matter references can be stored as merge fields for traceability, but the full matter record and all financial data stay behind. Export your billing and trust data from Insight Legal separately before the migration cutover.

  • Mailchimp merge fields are string-based and require upfront field-type planning

Insight Legal custom fields use database types—dates, numbers, pick-lists, and free text. Mailchimp merge fields treat all values as strings, and date-type merge fields are not universally available across all Mailchimp plan tiers. If your Insight Legal setup uses date fields (date opened, next hearing date) or numeric fields (fee estimates, invoice totals) that you want to preserve in Mailchimp, we map them to text merge fields and flag which ones may benefit from Mailchimp's native date field if your plan supports it. Value-mapping for pick-list fields requires a configuration step to translate each Insight Legal option to the corresponding Mailchimp tag or merge-field value.

  • Clients without email addresses cannot migrate to Mailchimp and require manual handling

Insight Legal client records sometimes lack an email address—especially for clients who prefer phone or postal communication. Mailchimp's audience model requires a valid email address for every contact. We flag clients without email during the pre-migration audit and surface them in a separate report. You decide whether to exclude these contacts entirely, attempt to collect an email address before the migration, or retain them in Insight Legal while moving email-capable contacts to Mailchimp. There is no workaround within Mailchimp's standard contact model.

  • Insight Legal automations and workflows do not transfer to Mailchimp Customer Journeys

If your firm uses Insight Legal's built-in practice workflows—matter progression triggers, deadline reminders, or client communication sequences—these have no equivalent in Mailchimp's automation model. Mailchimp Customer Journeys operate on subscriber behavior and campaign events, not legal case milestones. We document your Insight Legal workflow definitions as part of the migration package so your team has a reference for manual rebuild. Expect to spend 4–10 hours rebuilding automations in Mailchimp depending on workflow complexity.

  • Mailchimp's per-contact pricing applies to all subscribers regardless of subscription status

Insight Legal may bill per active user or per matter. Mailchimp bills per contact in your audience—subscribed, unsubscribed, and archived contacts all count toward your plan limit. Clients who have unsubscribed in Insight Legal's communication preferences still exist as contacts and may count in Mailchimp depending on your import configuration. We import contacts with their current subscription status preserved, and we recommend auditing your Insight Legal communication preferences before migration to decide whether unsubscribed clients should be imported as suppressed records or excluded from the initial load.

Migration approach

Six steps for a successful Insight Legal Case Management to Mailchimp data migration

  1. Audit Insight Legal contact fields and practice-area tags

Before extraction, we run a pre-migration audit of your Insight Legal data: identify all active client records, flag contacts without email addresses, list distinct practice-area and matter-type values that will become Mailchimp tags, and catalog custom field definitions. We deliver a field inventory report showing which Insight Legal fields map directly, which need merge-field creation in Mailchimp, and which have no Mailchimp equivalent. Your team reviews this before we proceed to extraction.

  2. Create Mailchimp merge fields and tag taxonomy

Based on the field inventory, we create the required merge fields in your Mailchimp audience—CLIENT_TYPE, ASSIGNED_ATTORNEY, CLIENT_STATUS, REFERRAL_SOURCE, MATTER_REFERENCE, and any other custom fields from Insight Legal. We also configure the practice-area and matter-type tag taxonomy so distinct values from Insight Legal become Mailchimp tags. This step requires Mailchimp admin access; we provide the exact field names, types, and tag names in a setup checklist before touching any data.

  3. Extract client contacts from Insight Legal and validate

We connect to Insight Legal's read API, extract all client records with their associated matter metadata and custom field values, and run a validation pass: confirming email format, checking for duplicates, flagging records with missing required fields, and applying your preferred rules for unsubscribed contacts. The validation report is shared before any Mailchimp writes occur so your team can correct data in Insight Legal or approve the flagged records for exclusion.

  4. Run a sample migration and generate field-level diff

A representative slice of 200–500 contacts migrates first—covering the main client types, practice areas, and a mix of records with and without custom field values. We generate a field-level diff comparing source Insight Legal values against the Mailchimp contact record so you can verify tag assignments, merge field population, and name/email accuracy. You approve the sample output before we schedule the full migration run.

  5. Execute full migration with delta-pickup and audit log

The full contact set migrates to Mailchimp in batches. A 24–48 hour delta-pickup window captures any clients added or modified in Insight Legal during the cutover window. Every operation is logged to an audit trail showing which records moved, which were skipped, and why. One-click rollback is available if reconciliation fails. We deliver a final migration report with record counts, skip reasons, and a reconciliation checklist for your team to verify Mailchimp audience integrity before you send your first campaign.
