Overview

What this migration involves

Clarify CRM and Mailchimp occupy fundamentally different positions in the go-to-market stack. Clarify is an AI-autonomous CRM built for early-stage sales teams managing contacts, companies, and pipeline deals with credit-based AI features. Mailchimp is an ESP-first platform whose CRM capabilities center on subscriber properties, audience segmentation, and email automation. There is no Deals, Pipeline, Activities, or Owner object in Mailchimp. We migrate what has a direct landing: subscriber records from Clarify Contacts, company context as custom merge fields or tags, and tag assignments as Mailchimp tags. AI-generated meeting summaries attach as member notes with a format warning. We do not migrate Clarify's autonomous pipeline stages, deal records, activity timelines (calls, emails, meetings, tasks), or Owner-to-User assignments because Mailchimp's schema does not represent these concepts. We deliver a written inventory of any automation logic the customer should rebuild in Mailchimp automations post-migration.

Why teams make this switch

Two sides of the same decision

Leaving

Clarify CRM

What's pushing teams away

  • AI still requires correction — it frequently populates company details with incorrect information that teams must manually override.
  • Limited native integrations today mean teams using specific tools must rebuild connections or abandon existing stacks entirely.
  • Advanced analytics and complex automation capabilities lag behind established CRMs like Salesforce and HubSpot, frustrating ops teams.
  • Rigid, custom workflows that change frequently are difficult to maintain in Clarify's opinionated autonomous framework.

Choosing

Mailchimp logo

Mailchimp

What's pulling them in

  • Generous free tier with up to 500 contacts allows small teams to validate email marketing before committing to a paid plan.
  • Intuitive drag-and-drop email builder and 130+ templates let non-technical users produce professional campaigns without HTML or CSS knowledge.
  • 300+ native integrations, especially Canva and Shopify, make it easy to connect existing tools without custom development work.
  • Detailed open-rate, click-through, and campaign analytics give small businesses actionable insights without a dedicated marketing team.
  • One-platform consolidation of email campaigns, automations, landing pages, and ads reduces tool sprawl for lean marketing teams.

Object mapping

How Clarify CRM objects map to Mailchimp

Each row shows how a Clarify CRM object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Clarify CRM

Contact

maps to

Mailchimp

Subscriber (Audience Member)

1:1
Fully supported

Clarify Contact records map 1:1 to Mailchimp audience members. The primary key is email address. We validate email format before import and flag any malformed addresses in a reconciliation report. Name fields (first_name, last_name), phone, and address fields map to Mailchimp merge fields. The contact's associated company name from Clarify maps to the COMPANY merge field in Mailchimp. Any tags on the Clarify contact attach as Mailchimp tags on the subscriber record. Status (active/inactive in Clarify) maps to Mailchimp subscription status; unsubscribed contacts in Clarify are imported as unsubscribed in Mailchimp to preserve deliverability compliance.

Clarify CRM

Company

maps to

Mailchimp

Merge Field (COMPANY) + Tag Prefix

1:many
Fully supported

Clarify Company records do not have a direct Mailchimp equivalent because Mailchimp has no Companies or Accounts object. Company data (domain, industry, employee count, location) merges into the subscriber record via Mailchimp merge fields. The primary contact's COMPANY merge field receives the company name. Industry and employee count become custom merge fields (text or number type) on the Mailchimp audience. If a Clarify contact has multiple associated companies, we attach a tag prefix (e.g., 'company:AcmeCorp') to the subscriber record and deliver a company reconciliation table for the customer to configure in Mailchimp segments post-migration.

Clarify CRM

Deal

maps to

Mailchimp

N/A

1:1
Fully supported

Clarify Deal records have no equivalent object in Mailchimp. Mailchimp does not store opportunity value, stage, probability, or close date as structured records. We flag all active deals during scoping and ask the customer to decide: export them as a CSV report (delivered in the handoff package) for manual entry, or convert deal value and stage into subscriber tags (e.g., 'deal:hot', 'deal_value:5000') attached to the associated contact record. We do not create deal equivalents in Mailchimp because they do not exist in the platform's object model.

Clarify CRM

Pipeline Stage

maps to

Mailchimp

N/A

1:1
Fully supported

Clarify Pipeline Stages (e.g., Prospecting, Qualification, Demo Scheduled, Proposal Sent, Closed Won, Closed Lost) have no Mailchimp equivalent. We capture the full stage sequence during discovery and either deliver it as a CSV appendix or convert stage names into Mailchimp tags (e.g., 'pipeline:proposal_sent'). The customer uses these tags to build Mailchimp segments if needed, but Mailchimp does not support pipeline visualization or stage-based workflow routing for contacts.

Clarify CRM

Activities (Calls, Emails, Meetings, Tasks)

maps to

Mailchimp

N/A

1:1
Fully supported

Clarify activity records (calls, emails, meetings, tasks) cannot migrate to Mailchimp because Mailchimp has no activity timeline, Task, Event, or EmailMessage object. Call disposition, duration, meeting attendees, and task completion status have no landing spot in Mailchimp's audience-member model. We extract a structured activity log as a CSV export delivered in the handoff package. AI-generated meeting summaries from Clarify (stored as linked note content on activity records) can attach to the corresponding subscriber record as a member note, though Mailchimp displays notes as plain text without rich formatting and customers should review for completeness.

Clarify CRM

Custom Fields (on Contacts and Companies)

maps to

Mailchimp

Merge Fields

lossy
Fully supported

Clarify custom fields on Contact and Company objects map to Mailchimp merge fields on the destination audience. We map field types as follows: text fields to text merge fields, number fields to number merge fields, date fields to date merge fields, and dropdown fields to dropdown merge fields. Multi-select fields from Clarify map to text merge fields with comma-separated values. Currency and percentage fields require field type validation because Mailchimp supports a limited merge field type set. We pre-create merge fields in the Mailchimp audience before subscriber import and flag any Clarify field types with no Mailchimp equivalent.

Clarify CRM

Tag

maps to

Mailchimp

Tag

1:1
Fully supported

Clarify Tags attached to Contacts and Companies map directly to Mailchimp Tags on the corresponding subscriber records. Tags from both Contact-level and Company-level tagging in Clarify accumulate on the subscriber. We preserve the full tag string including any taxonomy prefix (e.g., 'segment:enterprise', 'source:linkedin'). Tag deduplication happens post-import: if the same tag appears on multiple contacts, Mailchimp's tag index handles it natively. We deliver a tag inventory report listing all unique Clarify tags and their subscriber counts.

Clarify CRM

AI-Generated Meeting Summary

maps to

Mailchimp

Member Note

1:1
Fully supported

Clarify stores AI-generated meeting summaries as enriched note content attached to activity records. Because activities cannot migrate, the summaries themselves are extracted as structured text linked to the primary contact. In Mailchimp, we attach the summary as a member note on the corresponding subscriber with a 'Migrated from Clarify CRM' header and a timestamp of the original meeting date. Mailchimp displays notes as plain text without rich formatting; the customer should review migrated notes for completeness and reformat if needed. We flag any summaries exceeding Mailchimp's note character limit for manual truncation.

Pair-specific challenges

  • Mailchimp has no Deals, Pipeline, or Activity objects

Clarify CRM stores deals, pipeline stages, and activity records (calls, emails, meetings, tasks) as structured data. Mailchimp's data model is audience-member-centric and does not include these object types. We cannot migrate deal value, stage probability, close dates, or activity timelines into Mailchimp because they have no landing object. During scoping we identify all affected records, extract them as a structured CSV export in the handoff package, and ask the customer whether to convert deal data into subscriber tags or retain it in the export for manual entry. Activity history migrates as an unstructured CSV only.

  • Mailchimp has no Owner or User assignment model

Clarify tracks Owner assignments on contacts, companies, and deals, enabling multi-user sales team management. Mailchimp has no Owner or User object tied to individual subscribers. All Mailchimp users on an account have equal access to all audiences; there is no per-contact owner assignment. If the customer relies on Clarify's Owner model to route follow-ups or track rep accountability, that logic does not transfer. We extract owner assignments as a CSV column on the contact export and recommend the customer assign Mailchimp user roles and team permissions if access control is needed.

  • Clarify credit-based billing requires usage audit before migration

Clarify charges per AI action via a credit model rather than per-seat licensing. We audit which records consumed premium AI credits (meeting summaries, autonomous field updates, enrichment calls) during scoping. Records with AI-generated fields are flagged for the customer to decide whether to preserve the AI output as migrated data or strip it before import. We do not re-run AI generation in Mailchimp; any AI content from Clarify migrates as static text. Mailchimp has no AI field population feature equivalent to Clarify's autonomous updates.

  • Mailchimp merge fields have limited type support

Clarify supports a broad range of custom field types including multi-select, currency, percentage, URL, and phone with formatting. Mailchimp merge fields support a narrower set: text, number, date, phone, address, image, and URL. Multi-select fields from Clarify must flatten to comma-separated text values. Currency and percentage fields need manual type selection in Mailchimp because the platform does not enforce formatting on number-type merge fields. We validate field type compatibility during the scoping phase and flag any Clarify field types requiring customer decision before merge field creation.

  • AI summaries format shift when landing in Mailchimp notes

Clarify's AI-generated meeting summaries are stored as rich note content with formatting, timestamps, and linked context. Mailchimp member notes render as plain text without rich formatting or hierarchy. When we attach Clarify meeting summaries to Mailchimp subscriber notes, we preserve the text content but strip formatting, which may affect readability. We attach a plain-text header noting the original meeting date and source. The customer reviews the note in Mailchimp post-migration to confirm content completeness and reformat if needed.

Migration approach

Six steps for a successful Clarify CRM to Mailchimp data migration

  1. Discovery and data audit

We audit Clarify CRM across contacts, companies, deals, pipeline stages, activity records, custom fields, and tag assignments. We identify record volumes, data completeness, and any fields with AI-generated content. We assess which records have no Mailchimp equivalent (deals, activities, owners) and present the customer with clear options: CSV export, tag conversion, or manual re-entry. We also validate email deliverability by checking Clarify contact status (active, bounced, unsubscribed) to ensure suppression lists are properly honored during Mailchimp import.

  2. Mailchimp audience configuration

We create the destination Mailchimp audience and pre-configure merge fields to match Clarify's custom field definitions. Merge field names are normalized to Mailchimp's alphanumeric format (underscores and letters only). We configure address and phone merge fields for the correct Mailchimp field types. Dropdown merge fields are set up as Mailchimp dropdown type with values pre-populated from Clarify picklist options. We create any required tags (based on Clarify tag inventory) in the Mailchimp audience before subscriber import begins.

  3. Contact-to-subscriber migration

We migrate Clarify Contacts to Mailchimp subscribers in dependency order: active contacts first, bounced and unsubscribed contacts imported into Mailchimp's suppression list. Email address serves as the dedupe key. Company name populates the COMPANY merge field. Custom field values map to the pre-configured merge fields. Tags from both the contact record and the associated company record attach to the subscriber. Status flags (marketing hold, email opt-out) from Clarify translate to Mailchimp's subscribed/unsubscribed/global unsubscribe states.

  4. Company data reconciliation

Clarify Company records with multiple associated contacts require reconciliation: the company name and select company-level fields become merge fields on each contact's subscriber record. For companies that do not have a primary contact in Clarify (orphan companies), we deliver a company export CSV in the handoff package. We also create Mailchimp segments based on company tags if the customer requests segmentation by industry, size, or other company attributes.

  5. Deal and activity handoff export

We generate a structured CSV export of all Clarify Deal records (deal name, value, stage, close date, associated contact) and all activity records (calls, emails, meetings, tasks with timestamps). AI-generated meeting summaries attach as a separate structured export linked by contact email. These exports are delivered in the handoff package with a data dictionary. We document which Mailchimp features (segments, tags, automations) could partially replace deal or activity tracking logic, but we do not implement them inside the migration scope.

  6. Cutover, validation, and automation rebuild handoff

We freeze writes to Clarify during cutover, run a final delta migration of any records modified during the migration window, then confirm Mailchimp as the active contact system. We validate subscriber counts, tag coverage, and merge field population against the Clarify source record counts. We deliver the automation rebuild handoff document listing any Clarify workflow logic that needs rebuilding in Mailchimp automations. We do not rebuild Clarify workflows in Mailchimp as part of the migration; that work is handled by the customer's admin using Mailchimp's automation builder or a separate implementation engagement.

Weaknesses

  • Contact-based pricing model charges for unsubscribed and non-subscribed records, inflating costs relative to competitors.
  • Five-step automation limit on Standard tier forces upgrades for basic customer journeys, a frequently cited frustration.
  • Template HTML is Mailchimp-specific and does not export cleanly for use in other email platforms.
  • Post-Intuit roadmap uncertainty means customers cannot confidently plan long-term platform investments.
  • Account suspension risk without clear pre-warning disrupts campaign scheduling for affected businesses.

Most Clarify CRM to Mailchimp migrations land between two and three weeks for accounts with under 10,000 contacts, clean data, and no insistence on preserving deal or activity history. Migrations with large contact volumes (10,000-50,000), complex tag taxonomies, multiple custom field types, or customer requests to convert deal and activity records into CSV exports or Mailchimp tags move to four to six weeks. The critical path is usually merge field configuration and email validation rather than the import itself.
