Clarify CRM and Mailchimp occupy fundamentally different positions in the go-to-market stack. Clarify is an AI-autonomous CRM built for early-stage sales teams managing contacts, companies, and pipeline deals with credit-based AI features. Mailchimp is an ESP-first platform whose CRM capabilities center on subscriber properties, audience segmentation, and email automation. There is no Deals, Pipeline, Activities, or Owner object in Mailchimp. We migrate what has a direct landing: subscriber records from Clarify Contacts, company context as custom merge fields or tags, and tag assignments as Mailchimp tags. AI-generated meeting summaries attach as member notes with a format warning. We do not migrate Clarify's autonomous pipeline stages, deal records, activity timelines (calls, emails, meetings, tasks), or Owner-to-User assignments because Mailchimp's schema does not represent these concepts. We deliver a written inventory of any automation logic the customer should rebuild in Mailchimp automations post-migration.

Any tags on the Clarify contact attach as Mailchimp tags on the subscriber record. Status (active/inactive in Clarify) maps to Mailchimp subscription status; unsubscribed contacts in Clarify are imported as unsubscribed in Mailchimp to preserve deliverability compliance.

If a Clarify contact has multiple associated companies, we attach a tag prefix (e.g., 'company:AcmeCorp') to the subscriber record and deliver a company reconciliation table for the customer to configure in Mailchimp segments post-migration.

We flag all active deals during scoping and ask the customer to decide: export them as a CSV report (delivered in the handoff package) for manual entry, or convert deal value and stage into subscriber tags (e.g., 'deal:hot', 'deal_value:5000') attached to the associated contact record. We do not create deal equivalents in Mailchimp because they do not exist in the platform's object model.

We also validate email deliverability by checking Clarify contact status (active, bounced, unsubscribed) to ensure suppression lists are properly honored during Mailchimp import.
Mailchimp audience configuration
We create the destination Mailchimp audience and pre-configure merge fields to match Clarify's custom field definitions. Merge field names are normalized to Mailchimp's alphanumeric format (underscores and letters only). We configure address and phone merge fields for the correct Mailchimp field types. Dropdown merge fields are set up as Mailchimp dropdown type with values pre-populated from Clarify picklist options. We create any required tags (based on Clarify tag inventory) in the Mailchimp audience before subscriber import begins.
Contact-to-subscriber migration
We migrate Clarify Contacts to Mailchimp subscribers in dependency order: active contacts first, bounced and unsubscribed contacts imported into Mailchimp's suppression list. Email address serves as the dedupe key. Company name populates the COMPANY merge field. Custom field values map to the pre-configured merge fields. Tags from both the contact record and the associated company record attach to the subscriber. Status flags (marketing hold, email opt-out) from Clarify translate to Mailchimp's subscribed/unsubscribed/global unsubscribe states.
Company data reconciliation
Clarify Company records with multiple associated contacts require reconciliation: the company name and select company-level fields become merge fields on each contact's subscriber record. For companies that do not have a primary contact in Clarify (orphan companies), we deliver a company export CSV in the handoff package. We also create Mailchimp segments based on company tags if the customer requests segmentation by industry, size, or other company attributes.
Deal and activity handoff export
We generate a structured CSV export of all Clarify Deal records (deal name, value, stage, close date, associated contact) and all activity records (calls, emails, meetings, tasks with timestamps). AI-generated meeting summaries attach as a separate structured export linked by contact email. These exports are delivered in the handoff package with a data dictionary. We document which Mailchimp features (segments, tags, automations) could partially replace deal or activity tracking logic, but we do not implement them inside the migration scope.
Cutover, validation, and automation rebuild handoff
We freeze writes to Clarify during cutover, run a final delta migration of any records modified during the migration window, then confirm Mailchimp as the active contact system. We validate subscriber counts, tag coverage, and merge field population against the Clarify source record counts. We deliver the automation rebuild handoff document listing any Clarify workflow logic that needs rebuilding in Mailchimp automations. We do not rebuild Clarify workflows in Mailchimp as part of the migration; that work is handled by the customer's admin using Mailchimp's automation builder or a separate implementation engagement.
