Overview
Migrating from Manitou ATS to Recruit CRM moves from a vendor-locked, no-API platform to one with a documented REST API and free migration assistance. Discovery and export negotiation
We audit the Manitou tenant to identify all object types, record volumes, and export capabilities available under the vendor grant. We initiate direct coordination with Manitou's vendor team to negotiate a structured export window covering Candidates, Jobs, Applications, Companies, Contacts, Skills, and any available engagement history. The discovery output is a written migration scope, an export format confirmation (CSV or database dump), and a record count baseline against which we reconcile the production write.
Schema design in Recruit CRM
We configure the Recruit CRM destination schema to match the source data. This includes creating custom fields for any Manitou properties that have no Recruit CRM standard equivalent, configuring pipeline stages using the documented Manitou stage taxonomy, setting up tag taxonomies, and configuring ownership assignments. Schema configuration happens in Recruit CRM's admin panel and is validated before any data is written.
Applicant Bank deduplication
We run candidate deduplication across the full Manitou Applicant Bank using name, email, and phone matching. The deduplication report lists every candidate pair flagged as a probable duplicate, the match confidence score, and the records at risk of overwriting. The customer reviews the report and marks each pair with a keep/discard decision. We apply those decisions as pre-write filters before the candidate import phase begins.
Sandbox migration and reconciliation
We run a full migration into a Recruit CRM sandbox or trial environment using production-like data volume. The customer's team reconciles record counts (candidates in, jobs in, applications in, companies in, contacts in) and spot-checks ten to twenty records per object against the Manitou source for field-level accuracy. We correct any mapping errors before the production migration begins. This step validates the schema design, deduplication filters, and field-level mappings under real conditions.
Production migration in dependency order
We run production migration in record-dependency order: Team Members (validated against Recruit CRM user provisioning), Companies, Contacts, Candidates (with deduplication filters applied), Jobs, Applications, Skills and Tags, Evaluations and Notes, Documents and Attachments, and finally Engagement History (where the export supports it). Each phase emits a row-count reconciliation report before the next phase begins. Any records rejected during write are logged to a reconciliation queue for review.
Cutover, delta migration, and automation inventory delivery
We keep Manitou read-only during a brief cutover window to capture any last-minute changes, migrate the delta, and then set Recruit CRM as the system of record. We deliver a written automation and pipeline inventory listing every stage configuration and workflow trigger observed in the Manitou export, mapped to its recommended Recruit CRM pipeline builder equivalent. We provide a one-week hypercare window to resolve any reconciliation issues raised by the recruitment team. We do not rebuild automations, sequences, or pipeline configurations as part of the standard migration scope.
