Overview

What this migration involves

Migrating from Manitou ATS to Recruit CRM moves from a vendor-locked, no-API platform to one with a documented REST API and free migration assistance. Manitou does not publish a public REST API, which means every migration from Manitou depends on whatever CSV export or database access the vendor grants on a per-customer basis. We negotiate structured export windows directly with Manitou, extract the Applicant Bank, Jobs, Applications, and CRM records, deduplicate candidates across the full talent repository, and map every record to Recruit CRM's object schema before writing. Pipeline stages, workflow automations, and custom pipeline configurations do not migrate as code; we deliver a written stage taxonomy and an automation inventory for the customer's admin to rebuild in Recruit CRM post-migration. Engagements, evaluations, and documents migrate where the export format supports them, and we flag any gaps before production write begins.

Why teams make this switch

Two sides of the same decision

Leaving

Manitou ATS

What's pushing teams away

  • Limited brand recognition outside Europe makes it difficult to justify to globally-minded hiring stakeholders or investors.
  • Absence of a public API restricts automation possibilities and makes data portability a manual, fragile process.
  • Lacks the AI-driven sourcing and candidate matching features found in newer competitors like Ashby or Lever.
  • Small vendor footprint means fewer third-party integrations compared to established ATS platforms with large marketplace ecosystems.
  • Interface and feature set feel less polished than modern SaaS ATS products marketed primarily to US-based growth-stage companies.

Choosing

Recruit CRM & ATS logo

Recruit CRM & ATS

What's pulling them in

  • Agencies choose Recruit CRM for its full customizability — pipelines, stages, and fields can be tailored to any recruitment workflow without developer involvement.
  • Small teams value the built-in CRM and ATS combined in one subscription, eliminating the need to purchase and sync separate systems.
  • The Chrome extension for one-click LinkedIn profile collection streamlines candidate sourcing and reduces manual data entry for recruiters.
  • Responsive customer support with fast issue resolution is consistently cited as a reason teams stick with the platform long-term.
  • Automation options including email sequences and workflow triggers allow recruitment agencies to reduce repetitive manual outreach tasks.

Object mapping

Typical mapping — final map is confirmed during the sample migration step.

Manitou ATS

Candidate / Applicant Bank

maps to

Recruit CRM & ATS

Candidate

1:1
Fully supported

Manitou's Applicant Bank maps to Recruit CRM's Candidate object. We preserve first name, last name, email, phone, address, skills, and application history. Custom candidate fields require field-level alignment in Recruit CRM's custom field settings before migration. Manitou's skill tags migrate as text tags; structured competency taxonomies from Manitou are normalized against Recruit CRM's tag taxonomy and documented in the scoping report for post-migration cleanup.

Manitou ATS

Job Requisition

maps to

Recruit CRM & ATS

Job

1:1
Fully supported

Manitou Job Requisitions map to Recruit CRM Job records with direct field mapping on title, description, department, status, and hiring manager. Internal pipeline configurations and stage-specific automation rules do not export as structured data from Manitou; we extract stage names per job and document them in the scoping report for manual reconfiguration in Recruit CRM's pipeline builder.

Manitou ATS

Application

maps to

Recruit CRM & ATS

Application

1:1
Fully supported

Manitou Applications (the join between Candidates and Jobs) map to Recruit CRM Applications with the candidate-to-job relationship preserved. Application status maps to Recruit CRM stage names, and timestamp history migrates as activity entries on the Application record. Stage transition timestamps transfer where the export supports them.

Manitou ATS

Company

maps to

Recruit CRM & ATS

Company

1:1
Fully supported

Manitou CRM Company records map to Recruit CRM Company. We preserve company name, address, industry, website, and associated contact links. Ownership assignments map to Recruit CRM team member records. Custom CRM fields on companies require field-level alignment during Recruit CRM configuration and are flagged in the scoping report.

Manitou ATS

Contact

maps to

Recruit CRM & ATS

Contact

1:1
Fully supported

Manitou Contact records map to Recruit CRM Contacts with name, email, phone, and role preserved. Linked company relationships migrate as Company lookups. Manitou's default person-type taxonomy (e.g., Keyholder) is mapped to Recruit CRM contact roles during migration. Custom contact fields are flagged for manual field-level alignment in Recruit CRM.

Manitou ATS

User / Team Member

maps to

Recruit CRM & ATS

Team Member

1:1
Fully supported

Manitou internal users map to Recruit CRM Team Members with role and permission set preserved. Owner references on Candidate, Job, Company, and Contact records resolve against Team Members by email match. Any Manitou user without a matching Recruit CRM Team Member is held in a reconciliation queue for the customer's admin to provision before migration resumes.

Manitou ATS

Skill / Competency Tag

maps to

Recruit CRM & ATS

Tag

1:1
Fully supported

Skill tags from Manitou's candidate and job records migrate as Recruit CRM Tags. Manitou's structured competency taxonomies with hierarchy or rating levels are flattened to text tags during migration and documented in the scoping report for the customer's admin to re-establish as structured competencies in Recruit CRM if needed.

Manitou ATS

Evaluation / Note

maps to

Recruit CRM & ATS

Candidate Note

1:1
Fully supported

Manitou evaluations and recruiter notes attached to candidates or applications migrate as Candidate Notes in Recruit CRM. Evaluation scores and structured ratings migrate as custom fields where supported, otherwise as formatted text within the note body. We note any formatting differences that may require post-migration review.

Manitou ATS

Document / Attachment

maps to

Recruit CRM & ATS

Candidate Attachment

1:1
Fully supported

Resume files, cover letters, portfolio documents, and other attachments linked to Manitou candidates migrate as attachments on the corresponding Recruit CRM Candidate record. We extract binary files from the export and re-attach them during the write phase. Document storage format constraints from Manitou's export are documented in the scoping report.

Manitou ATS

Pipeline Stage

maps to

Recruit CRM & ATS

Pipeline Stage

lossy
Fully supported

Manitou pipeline stage names and order are documented from per-job exports but do not migrate as structured data. We deliver a written stage inventory listing each stage name, its position in the pipeline, and any automation triggers observed, so the customer's Recruit CRM administrator can rebuild the pipeline configuration using Recruit CRM's visual pipeline builder post-migration.

Manitou ATS

Engagement History (Calls, Emails, Meetings)

maps to

Recruit CRM & ATS

Candidate Activity

1:1
Fully supported

Call, email, and meeting engagement records attached to Manitou candidates migrate to Recruit CRM candidate activity records where the export format supports them. Migration of engagement history is conditional on the vendor grant; if activities are absent from the export, we flag this in the scoping report and advise the customer before the production write phase begins.

Pair-specific challenges

  • Export depends entirely on vendor cooperation

Manitou ATS does not publish a public REST API. Every migration from Manitou ATS requires negotiating a structured export window directly with the vendor before contract termination. We initiate export scoping early in the engagement to identify which objects the vendor can provide, in what format (CSV or direct database), and within what timeline. If the vendor grant is delayed or partial, we flag record gaps in the scoping report and advise the customer on what data may be unrecoverable without extended vendor coordination. This risk is specific to the Manitou-to-Recruit CRM pair because both platforms lack a shared integration path.

  • Applicant Bank deduplication requires customer sign-off before write

Manitou's centralized applicant bank accumulates duplicate candidate records when the same person applies through multiple job postings or external board integrations. We identify duplicates during extraction using name, email, and phone matching logic and present a deduplication report to the customer before writing to Recruit CRM. The customer decides which canonical record to preserve per duplicate pair, and we apply those decisions as filter rules during the production write. This step is mandatory before the candidate import phase begins and adds one to three days to the timeline.

  • Pipeline stages and automation rules do not export as structured data

Manitou's pipeline stage names, order, and automation triggers are configured per-job and stored in a format that does not export cleanly. We extract stage names from individual job records and include them in the scoping report, but the visual pipeline layout, stage-to-stage automation rules, and conditional triggers must be manually re-established in Recruit CRM's pipeline builder post-migration. We do not rebuild these as automation code. We deliver a written stage taxonomy with recommended Recruit CRM stage equivalents so the customer's admin can configure parity before go-live.

  • Custom CRM fields require manual field-level alignment

Manitou CRM modules support custom fields on company and contact records, but there is no published schema export. We identify custom field names from the export and map them to Recruit CRM's standard fields or new custom fields during the configuration phase. Any custom field that cannot be matched to a Recruit CRM field type is flagged in the scoping report, and the customer's admin creates the equivalent custom field in Recruit CRM before the production migration runs.

Migration approach

Six steps for a successful Manitou ATS to Recruit CRM & ATS data migration

  1. Discovery and export negotiation

We audit the Manitou tenant to identify all object types, record volumes, and export capabilities available under the vendor grant. We initiate direct coordination with Manitou's vendor team to negotiate a structured export window covering Candidates, Jobs, Applications, Companies, Contacts, Skills, and any available engagement history. The discovery output is a written migration scope, an export format confirmation (CSV or database dump), and a record count baseline against which we reconcile the production write.

  2. Schema design in Recruit CRM

We configure the Recruit CRM destination schema to match the source data. This includes creating custom fields for any Manitou properties that have no Recruit CRM standard equivalent, configuring pipeline stages using the documented Manitou stage taxonomy, setting up tag taxonomies, and configuring ownership assignments. Schema configuration happens in Recruit CRM's admin panel and is validated before any data is written.

  3. Applicant Bank deduplication

We run candidate deduplication across the full Manitou Applicant Bank using name, email, and phone matching. The deduplication report lists every candidate pair flagged as a probable duplicate, the match confidence score, and the records at risk of overwriting. The customer reviews the report and marks each pair with a keep/discard decision. We apply those decisions as pre-write filters before the candidate import phase begins.

  4. Sandbox migration and reconciliation

We run a full migration into a Recruit CRM sandbox or trial environment using production-like data volume. The customer's team reconciles record counts (candidates in, jobs in, applications in, companies in, contacts in) and spot-checks ten to twenty records per object against the Manitou source for field-level accuracy. We correct any mapping errors before the production migration begins. This step validates the schema design, deduplication filters, and field-level mappings under real conditions.

  5. Production migration in dependency order

We run production migration in record-dependency order: Team Members (validated against Recruit CRM user provisioning), Companies, Contacts, Candidates (with deduplication filters applied), Jobs, Applications, Skills and Tags, Evaluations and Notes, Documents and Attachments, and finally Engagement History (where the export supports it). Each phase emits a row-count reconciliation report before the next phase begins. Any records rejected during write are logged to a reconciliation queue for review.

  6. Cutover, delta migration, and automation inventory delivery

We keep Manitou read-only during a brief cutover window to capture any last-minute changes, migrate the delta, and then set Recruit CRM as the system of record. We deliver a written automation and pipeline inventory listing every stage configuration and workflow trigger observed in the Manitou export, mapped to its recommended Recruit CRM pipeline builder equivalent. We provide a one-week hypercare window to resolve any reconciliation issues raised by the recruitment team. We do not rebuild automations, sequences, or pipeline configurations as part of the standard migration scope.

  • Supports end-to-end staffing workflows from requisition through onboarding and client invoicing.
  • No-code pipeline configuration lets non-technical recruiters adjust hiring stages without developer involvement.

Weaknesses

  • No publicly documented REST API, making automated data extraction and migration dependent on vendor cooperation.
  • No published pricing on the website; prospective customers must contact sales for a custom quote.
  • Very limited third-party review presence on G2 and Capterra makes independent evaluation difficult.
  • Sparse documentation of data export capabilities, raising concerns about data portability when switching vendors.
  • Smaller market share compared to category leaders like Greenhouse, Lever, or iCIMS, reducing confidence in long-term vendor stability.

Most migrations land between three and five weeks for accounts under 5,000 candidates and 500 jobs with a clean vendor export grant. Migrations with larger applicant banks (over 20,000 candidates), complex CRM custom fields, multiple job pipelines, or limited vendor cooperation on the export scope move to six to ten weeks because of extended export negotiation, deduplication review cycles, and additional reconciliation passes.
