    Manitou does not publish a public REST API, so all data extraction for migration is contingent on whatever CSV export or direct database access the vendor grants on a per-customer basis. We recommend requesting a full data export as the first action in any migration engagement, before contract termination negotiations compress the timeline. We negotiate structured export windows with Manitou on behalf of customers. If the vendor delays or limits export access, the migration timeline extends and data completeness may be affected. We document every export limitation in the scoping report and flag any records that could not be extracted before writing begins in Zoho Recruit.

  • Zoho Recruit cannot import custom modules from other ATS

    Zoho Recruit's migration tool explicitly states that custom modules from other ATS platforms cannot be imported. If Manitou's ATS includes custom object types beyond the standard Candidate, Job, Company, Contact, and Application schema, those records cannot be migrated through Zoho's native tool. We identify any custom module data during the export review, recommend creating equivalent custom modules in Zoho Recruit before migration, and migrate the underlying data as records within those newly created modules. If the custom module has complex relationships or lookups, the migration may require a custom API-based import rather than the standard CSV tool.

  • Candidate deduplication is a customer decision, not an automated one

    Manitou's central Applicant Bank accumulates duplicate candidate records when the same person applies through multiple job postings or external board integrations. We identify duplicates during extraction using name, email, and phone matching and present a deduplication report to the customer before writing to Zoho Recruit. The customer decides which canonical record to preserve and which duplicates to archive. Zoho Recruit does not have a built-in duplicate detection tool for inbound imports, so any duplicate resolution must happen before the CSV upload runs or must be managed manually post-import.

  • Zoho Recruit enforces a strict import sequence that Manitou does not support

    Zoho Recruit requires records to be imported in a specific dependency order: Users first, then Campaigns, then Candidates, then Clients, then Contacts, then Job Openings, then association records, then Interviews, Notes, Tasks, Calls, Events, and finally Attachments. Manitou exports records in whatever format its database produces, which rarely respects this order. We restructure the exported CSVs to match Zoho's required import sequence before any data is loaded. Failing to respect this order results in failed lookups (candidates with no User owner, job associations with no valid Candidate reference) that Zoho rejects during import.

  • Pipeline automation rules and visual stage layouts do not migrate as structured data

    Manitou stores pipeline stage configurations, automation triggers tied to stages, and visual pipeline layout data in a format that does not expose cleanly via standard exports. We extract stage names from individual job records and document the complete stage taxonomy in the scoping report so the customer's Zoho Recruit administrator can configure equivalent Hiring Pipeline stages before go-live. Any automation rules that fire on stage transitions (e.g., send email when candidate moves to Offer stage) must be rebuilt as Zoho Recruit Workflow Rules or Blueprint steps post-migration. We do not migrate these as code.

Migration approach

Six steps for a successful Manitou ATS to Zoho Recruit data migration

  1. Export request and vendor coordination

    We file an export request with Manitou ATS on the customer's behalf as the first action in the engagement. We specify the full data scope: Applicant Bank (Candidates), Job Requisitions with stage names, Applications (join table), Company and Contact records from the CRM module, User accounts, Skill tags, Evaluation content, and any attachment file paths. We negotiate the export format (CSV preferred) and delivery timeline, noting that any vendor delay directly affects the migration start date. We also request any available documentation on custom field names and stage taxonomy to accelerate the mapping phase.

  2. Data audit, dedup analysis, and field mapping

    Once the export files arrive, we audit the record counts across all modules, identify the presence and format of custom fields, assess attachment file integrity and storage paths, and run duplicate candidate detection using name, email, and phone matching logic. We produce a deduplication report for the customer's review and a preliminary field mapping document showing each Manitou field against its intended Zoho Recruit equivalent. We also document the Manitou pipeline stage taxonomy at this stage so that Zoho Recruit pipeline stages can be configured in parallel while the mapping is finalized.

  3. Zoho Recruit account provisioning and schema setup

    We guide the customer through Zoho Recruit account provisioning (at least two Users must exist before the migration tool can run), edition selection based on the customer's job volume and feature requirements, and pre-creation of any custom modules or custom fields needed to receive Manitou's custom data. We coordinate with the customer's Zoho admin to assign the Data Migration permission to the migration user and to pre-create Hiring Pipeline stages matching the documented Manitou stage taxonomy. This phase runs in parallel with export finalization.

  4. Sandbox migration and mapping validation

    We run a full migration into the customer's Zoho Recruit sandbox using production-equivalent record volumes. The customer reconciles record counts (Candidates in, Job Openings in, Clients in, Contacts in, Associations in), spot-checks 25-50 candidate records against the Manitou source data, and validates that stage assignments and ownership links are correct. Any field mapping corrections, missing mandatory field values (e.g., Last Name = 'not provided' for unnamed candidates), or schema adjustments happen in sandbox before production migration begins.

  5. Production migration in Zoho-enforced dependency order

    We run production migration following Zoho Recruit's required import sequence: Users first, then Campaigns, then Candidates (applying dedup decisions), then Clients, then Contacts, then Job Openings, then association records linking Candidates to Job Openings, then Interviews, Notes, Tasks, Calls, Events, and finally Attachments in their structured zip format. Each phase emits a row-count reconciliation report showing records imported, records rejected, and the reason for any rejections. We resolve rejections before proceeding to the next phase.

  6. Cutover, validation, and pipeline rebuild handoff

    We freeze Manitou writes during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho Recruit as the system of record. We deliver the pipeline stage mapping document, the Workflow and automation inventory (for Blueprint and Workflow Rule rebuild), and the custom module schema notes to the customer's Zoho Recruit administrator. We support a one-week hypercare window where we resolve reconciliation issues raised by the recruiting team. We do not rebuild Manitou pipeline automations as Zoho Workflow Rules or Blueprint steps inside the migration scope; that is a separate engagement.
