    Paymo's Custom Workflows (March 2026) allow each project to have a unique set of Kanban status columns. When migrating to monday.com, each project maps to a board with its own Status column. If a customer has 20 projects with different workflow sets, we create 20 separate Status column configurations rather than a single shared column. Any statuses without a direct monday.com equivalent (custom labels or project-specific names) are added as custom status labels and flagged in the migration report. We do not collapse or harmonize workflow sets automatically; that decision belongs to the customer's admin.

  • monday.com has no native Invoice object

    Paymo's core differentiator is native Invoice generation from logged time entries. monday.com does not have an Invoice object, and its accounting integrations (QuickBooks, Xero, FreshBooks) are not part of the Work OS core. We export Paymo Invoices as a structured supplementary file (CSV and JSON) but cannot create invoice records in monday.com. The customer must recreate invoices manually or use a monday.com accounting integration post-migration. We flag any Paymo invoices with disconnected client names that will require manual matching during recreation.

  • Time entries require structural transformation

    Paymo's Time Entry object is a first-class record linked Many-to-One to Tasks with billable flag, hourly rate, and description fields. monday.com represents time as a Time Tracking column on Items or as Subitems. We must batch time entries as Subitems (when the destination plan supports them) or flatten them into item-level metadata columns when Subitems are unavailable. Both approaches preserve duration and billable status, but the Many-to-One relationship between multiple time entries and a single task may produce many Subitems per Item, which affects board performance on large projects.

  • Milestone placement in monday.com requires manual adjustment

    Paymo displays milestones after the Task List they belong to, not at individual task endpoints. monday.com's Milestone app anchors milestones to specific dates. We preserve milestone names and their Task List parent association, but the display position in a monday.com Timeline or Gantt view may differ from the source. We flag milestones that appear shifted relative to individual task dates and include a reconciliation note for the customer's project manager to review and correct post-migration.

  • Leave Planner has no monday.com equivalent

    Paymo's Leave Planner (Business plan) manages employee time off and drives the workload scheduling view. monday.com has no native leave management module. We export Leave Planner records as a supplementary CSV, but the data cannot be rendered as absence data in monday.com without a third-party HR integration (BambooHR, Personio, Workday) or manual Calendar blocks. We flag the Leave Planner export as a separate deliverable and note the absence of a direct replacement.

Migration approach

Six steps for a successful Paymo to monday Work Management data migration

  1. Discovery and Paymo account audit

    We audit the source Paymo account across plan tier (Free / Solo / Small Office / Business), active project count, Task List structure per project, Custom Workflow configuration per project, time entry volume, client list, active invoices and estimates, Discussion thread count, and any Project Templates or Leave Planner records. We extract the full object inventory via Paymo's REST API and produce a written scoping document that defines the migration scope, board structure plan, and any records that will require supplementary export rather than direct import.

  2. monday.com workspace and board architecture design

    We design the monday.com destination structure: one board per Paymo Project or one board per Paymo Workspace depending on the customer's preference. We configure Groups per Paymo Task List, Status columns per Paymo Custom Workflow set, and any custom columns (Date, Person, Numbers, Labels) matching the source Task fields. We resolve team member email addresses against monday.com workspace members and identify any unmapped users for the customer to provision before import.

  3. Sandbox migration and reconciliation

    We run a full migration into a monday.com test workspace using representative data volume. The customer's project manager reconciles board structure, Item counts, Group ordering, Status column values, Person column assignments, and time-entry representation. We run a row-count reconciliation across all Paymo objects and monday.com items and subitems. Any mapping corrections happen in the test workspace before production migration begins.

  4. Production migration in dependency order

    We run production migration in record-dependency order: Workspace members (provisioned, validated), Boards (created with status columns configured per project), Groups (created within boards in source ordering), Items (imported with standard and custom column values), Subitems (time entries batched and linked to parent Items), Contacts or Location columns (Clients mapped), and supplementary exports (Invoices, Estimates, Leave Planner records as CSV/JSON). Each phase emits a row-count reconciliation report before the next phase begins.

  5. Cutover, delta sync, and automation handoff

    We freeze Paymo writes during cutover, run a final delta migration of any records modified during the migration window, then enable monday.com as the system of record. We deliver the Custom Workflow mapping inventory and the Automation rebuild guide to the customer's admin. We do not rebuild Paymo Workflows or automations as monday.com workflows inside the migration scope; that is a separate engagement. We support a one-week hypercare window where we resolve any reconciliation issues raised by the customer's team.
