Overview

What this migration involves

Moving from WiseTeam to monday.com is a structural migration across two fundamentally different data models. WiseTeam combines CRM and project management in a single structured database with a client hierarchy, nested tasks, time records, and invoices. monday.com uses a Board-and-Item architecture where Work Management boards contain Items and Groups, with column types replacing typed fields. We translate WiseTeam's Client records to monday Contacts or Board items, Projects to top-level Boards, Tasks to Items and Sub-items, Time entries to time-tracking columns on Pro and Enterprise plans, and Sales Opportunities to a dedicated Deals board with pipeline columns. WiseTeam's undocumented API requires us to establish an export method during scoping — CSV export, direct database export, or any existing API credentials — before we can confirm field-level extraction. Automations, workflow templates, and industry-specific stage configurations do not migrate as code; we deliver a written inventory for manual rebuild in monday's Automation Builder.

Why teams make this switch

Two sides of the same decision

Leaving

WiseTeam

What's pushing teams away

  • Users report that initial setup and configuration can be time-consuming, particularly when tailoring the platform to industry-specific workflows without dedicated onboarding support.
  • Advanced reporting and analytics capabilities are described as limited compared to specialised BI tools, making it difficult for some teams to extract deep operational insights.
  • The platform's broad feature set can create a perception of complexity, with users in single-function roles feeling that many features are irrelevant to their daily work.

Choosing

monday Work Management logo

monday Work Management

What's pulling them in

  • Lowest onboarding friction of any mid-market PM tool — drag-and-drop boards and colorful UI mean non-technical team members contribute from day one without training.
  • Highly customizable board structure lets teams model their actual workflow rather than forcing a predefined template onto their process.
  • Generous free forever plan with two seats lets small teams or solo users validate the platform before committing budget or migrating data from elsewhere.
  • Integrations with Slack, Zoom, Google Drive, and CRM tools keep monday.com as a coordination hub rather than requiring teams to switch context constantly.
  • Multiple view modes — Kanban, Calendar, Gantt, Map, Chart — give different team members the visualization they prefer without switching tools.

Object mapping

How WiseTeam objects map to monday Work Management

Each row shows how a WiseTeam object lands in monday Work Management, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

WiseTeam

Client

maps to

monday Work Management

Contact or Board Item

1:1
Fully supported

WiseTeam Client records (company name, contact details, lifecycle stage) map to monday.com Contacts if the customer licenses the monday CRM add-on, or to Items on a dedicated Clients Board if using Work Management only. The Client lifecycle stage property maps to a Status or Label column in monday. We resolve any duplicate client names as dedupe keys during import.

WiseTeam

Project

maps to

monday Work Management

Board

1:1
Fully supported

Each WiseTeam Project maps to a monday.com Board. The Project name becomes the Board name, and the linked Client becomes a Board Group or a connected Board via a Connect Board column. We pre-create the Board structure — Groups, column types, and Views (Kanban, Timeline, Table) — before any Item import so that the schema is ready for incoming data. Custom fields on WiseTeam Projects map to monday column types (Text, Number, Date, Status, Label, etc.).

WiseTeam

Task

maps to

monday Work Management

Item or Sub-item

1:1
Fully supported

WiseTeam Tasks map to monday.com Items within their parent Project Board. Sub-tasks in WiseTeam map to Sub-items in monday, preserving the parent-child hierarchy. Each Task's assignee, due date, status, and description map to the corresponding monday column (People, Date, Status, Text). Task-level custom fields map to additional monday columns created during board setup.

WiseTeam

Time Entry

maps to

monday Work Management

Time Column (Pro/Enterprise) or Number Column

1:1
Fully supported

WiseTeam Time Entries (hours, date, linked Task or Project) map to monday.com Time Tracking columns on Pro and Enterprise plans if the customer enables the feature per board. If the destination plan is Standard, Time Entries map to a Number column representing hours as a numeric value. We flag this decision during scoping based on the target monday plan. Time Entry descriptions migrate as a Text column for audit.

WiseTeam

Sales Opportunity

maps to

monday Work Management

Deals Board Item

1:1
Fully supported

WiseTeam Opportunities (stage, value, close date, linked Client) map to Items on a dedicated monday Deals board if the customer uses monday CRM, or to Items on a Pipeline Board with a Status column representing the sales stage if using Work Management only. Opportunity value maps to a Number column, close date to a Date column, and stage to a Status or Pipeline column.

WiseTeam

Invoice

maps to

monday Work Management

Not supported natively

lossy
Fully supported

WiseTeam Invoices (line items, amounts, status) have no direct monday.com native equivalent. Work Management plans do not include billing or invoicing. If the customer requires invoice data post-migration, we export invoice headers and line items as a structured CSV and recommend a monday-integrated billing tool (e.g., Wave, Zoho Invoice, or the monday.com Billing integration on Enterprise). We document the invoice data schema for the customer's admin to connect to their chosen tool.

WiseTeam

Calendar Events

maps to

monday Work Management

Item with Date Column

1:1
Mapping required

WiseTeam Calendar Events (title, date, attendee) sync via iCal, Outlook, and Gmail integrations. We export calendar event data as Items on a dedicated Calendar Board with Start Date and End Date columns. monday's native Calendar View displays these Items by date. Full two-way calendar sync with Outlook or Gmail requires the respective monday.com integration to be configured post-migration.

WiseTeam

Custom Fields (Projects and Tasks)

maps to

monday Work Management

Custom Columns

lossy
Mapping required

WiseTeam allows custom fields on Projects and Tasks. During scoping we discover custom field names, data types, and values. We map text custom fields to monday Text columns, numeric fields to Number columns, date fields to Date columns, and option-set fields to Status or Label columns. Any WiseTeam custom field with no clear monday equivalent is flagged as a manual-rebuild item for the customer's admin.

WiseTeam

Users and Assignees

maps to

monday Work Management

User

1:1
Mapping required

WiseTeam users are assigned as Task owners and Project participants. We extract user email addresses and names from the source, then resolve them against monday.com User accounts by email match. Any WiseTeam user without a matching monday User is held in a reconciliation queue for the customer's admin to provision before record import begins. Assignee references on Tasks and Projects resolve to monday People column values after user mapping is confirmed.

WiseTeam

Attachments

maps to

monday Work Management

File Column or Item Attachments

1:1
Mapping required

File attachments on WiseTeam Tasks and Projects are extracted from the export (CSV or direct database export) and uploaded to monday.com Item attachments. monday's File column type also supports attachments. We flag any file size or format limits in monday (max 250 MB per file on Enterprise) during scoping to identify any attachments that may require compression or a separate document management recommendation.

WiseTeam

Workflow and Stage Configurations

maps to

monday Work Management

Not migratable

lossy
Fully supported

WiseTeam ships industry-specific workflow templates and stage configurations for legal, architecture, real estate, and engineering firms. These workflow definitions are not confirmed to be exportable via API or standard data export. We document the existing stage names, transition rules, and automation triggers during scoping and deliver a written inventory mapping each to a monday.com Automation Builder equivalent. The customer's admin rebuilds these in monday's Automation Builder post-migration.

WiseTeam

Integrations (iCal, Outlook, Gmail)

maps to

monday Work Management

monday.com Integrations

Fully supported

WiseTeam integrates with iCal, Microsoft Outlook, and Gmail for calendar data. These integrations are source-side and do not migrate. We document the existing integration endpoints and recommend the monday.com native integrations for Outlook, Gmail, and calendar sync to be configured post-migration. monday.com supports 200+ native integrations including the Microsoft Teams integration which some WiseTeam customers use alongside their calendar sync.

Pair-specific challenges

  • WiseTeam has no publicly documented API

WiseTeam does not publish a public API reference or developer documentation. We cannot confirm bulk export endpoints, authentication method, or field-level access. During scoping, we ask customers to share any API credentials, export templates, or direct database access they have used previously. If no API access exists, we fall back to CSV export or direct database export and flag the risk of schema drift in the imported data. This must be resolved before we can confirm the field-level extraction approach and migration timeline.

  • WiseTeam invoicing has no native monday.com equivalent

WiseTeam's native invoicing module (line items, amounts, status, linked to Project or Client) has no equivalent in monday.com Work Management. The monday CRM product does not include a native billing module, and the monday Billing and Invoicing integration is Enterprise-tier only. We export invoice data as a structured CSV during migration and recommend the customer's admin evaluate a third-party billing integration post-migration. Invoice records are not loaded into monday.com as native records.

  • Automations and workflow templates do not migrate

WiseTeam ships industry-specific workflow templates and stage configurations that are not confirmed to be exportable. monday.com Automation Builder uses a different trigger-action model than WiseTeam's workflow engine. We do not migrate automations as code. We deliver a written inventory of every active WiseTeam workflow and stage configuration with its trigger, conditions, and actions, mapped to a recommended monday Automation Builder equivalent. The customer's admin rebuilds these post-migration.

  • Time tracking availability depends on monday.com plan tier

WiseTeam's built-in time tracking links hours to Tasks and Projects. monday.com's native Time Tracking column is available on Pro and Enterprise plans only. Standard plan accounts receive Time Entries as a Number column. We confirm the target monday plan during scoping and configure the appropriate column type per board. Teams relying heavily on billable time tracking need to confirm their monday plan supports the time column before migration begins.

  • monday board structure must be designed before data import

WiseTeam's relational model (Client -> Project -> Task -> Time Entry) does not map directly to monday's flat board-and-item structure. We design the monday Board architecture — workspace, board names, Groups, column types, and Views — before any data import. If boards are not pre-configured with the correct column types, imported Items lack the correct attributes and require manual correction. This design phase is scoped at the start of the engagement and requires customer sign-off before we proceed to data extraction.

Migration approach

Six steps for a successful WiseTeam to monday Work Management data migration

  1. Scoping and export method confirmation

We audit the WiseTeam account to understand data volumes (Clients, Projects, Tasks, Time Entries, Opportunities, Invoices), identify custom field names and types, and determine the export method. If WiseTeam API credentials or export templates exist, we document the endpoints and schema. If no API access exists, we request CSV exports from WiseTeam or discuss direct database export with the customer's technical team. We also confirm the target monday.com plan (Standard, Pro, or Enterprise) and whether the customer licenses monday CRM. The scoping output is a written migration scope with record counts per object, export method decision, and board architecture outline.

  2. monday.com workspace and board architecture design

We design the monday.com workspace structure before any data moves. This includes creating Workspaces, naming Boards to match WiseTeam Project names, configuring Groups (mirroring WiseTeam Project sections), defining column types for every mapped field (Status, Date, People, Number, Text, Label, Time Tracking), and setting up Views (Kanban for task status, Timeline for project schedules, Table for data-heavy boards). If the customer uses monday CRM, we design the Deals board with pipeline columns. If the customer uses Work Management only, we design a Clients board to hold CRM-equivalent data. The customer reviews and approves the board architecture before we proceed to data extraction.

  3. WiseTeam data extraction

We extract data from WiseTeam using the confirmed method — API, CSV export, or database export. For each object, we produce a structured data file with all standard and custom fields, parent-child relationships preserved via foreign keys, and timestamps (created date, modified date) for historical ordering. We flag any records with missing required fields (e.g., Client-less Projects) and return them to the customer for resolution before proceeding. File attachments are extracted separately and stored by their linked Task or Project identifier for bulk upload into monday.com.

  4. Data transformation and board population

We transform the extracted WiseTeam data into monday.com-compatible format. Client records become either monday Contacts or Board items on the Clients board. Projects become Boards with the linked Client added as a Group. Tasks become Items within their parent Board (or Sub-items if WiseTeam sub-tasks exist), with People column values resolved against the monday User list by email match, Date columns populated from task due dates, and Status columns set from WiseTeam task status. Time Entries map to Time Tracking or Number columns depending on monday plan tier. We validate the transformation logic in a test run against a subset of data before full load.

  5. Sandbox or pilot migration and reconciliation

We run a full migration into a monday.com test workspace or the production workspace in a non-disruptive pilot phase. The customer reconciles record counts against the WiseTeam source (Clients in vs board items in, Projects in vs boards in, Tasks in vs items in, Time entries mapped, Attachments uploaded), spot-checks 25-50 records for data accuracy, and reviews the board structure and column values. Any mapping corrections — wrong column type, missing custom field, incorrect parent-child relationship — are fixed before the production migration begins.

  6. Production migration and cutover

We run the production migration in dependency order: Users (provisioned in monday and validated), Clients/Contacts, Projects (Boards created), Tasks (Items loaded with parent references resolved), Time Entries, Opportunities, Invoices (CSV export delivered as separate file), Attachments, and Calendar Events. Each phase emits a row-count reconciliation report. We then deliver the automation and workflow inventory document, provide the invoice CSV for third-party billing tool integration, and hand off the monday integration setup for calendar sync, Outlook, and Gmail. We support a one-week post-migration hypercare window for reconciliation issues.

Platform deep dives

Context on both ends of the pair

WiseTeam logo

WiseTeam

Source

Strengths

  • Unified CRM and PM in a single subscription reduces tool sprawl for small professional services teams.
  • Time tracking built into the project context is directly connected to client billing workflows.
  • Calendar sync with Outlook, iCal, and Gmail keeps team calendars aligned without third-party middleware.
  • Per-user pricing with annual discount makes it accessible to teams under 50 users in project-heavy industries.
  • Rated 4.8/5 on GetApp and Capterra based on verified user reviews.

Weaknesses

  • Limited documented API with no publicly available developer documentation or rate-limit specifications.
  • Reporting and analytics features are described as basic, requiring export to external tools for deeper business intelligence.
  • Broad feature set can create UI complexity for users who only need a subset of CRM or PM functionality.
  • No clear information on custom object creation or extensibility for niche industry workflows.
monday Work Management logo

monday Work Management

Destination

Strengths

  • Drag-and-drop board UI with near-zero learning curve for non-technical users entering project data for the first time.
  • 20+ column types and unlimited custom columns let teams model arbitrarily complex data structures without developer help.
  • Multi-view support — Kanban, Gantt, Calendar, Timeline, Chart, Map — satisfies different team members without forcing a single layout.
  • Automations cover common trigger-action patterns for teams without dedicated developers to write custom scripts.
  • Free plan for 2 seats and a 14-day trial on all paid tiers make evaluation risk-free before committing to migration scope.

Weaknesses

  • Per-seat pricing with no enterprise flat-rate option means costs scale linearly with headcount, making it expensive at 50+ seats.
  • Subitems lack bulk API access, making them problematic for CRM-style use cases where contact records live as subitems under a company board.
  • Automations and advanced views are gated behind Pro and Enterprise tiers, creating feature deserts on entry-level plans.
  • Dependency column is visually limited — no critical path, no auto-rescheduling, and cross-board dependencies require manual link management.
  • No native document management; docs, wikis, and knowledge bases require a separate integration or third-party workaround.

Most migrations land between three and five weeks for accounts under 15,000 records with clean CSV exports and no complex custom field schemas. Migrations requiring direct database access, complex task hierarchies (over 50,000 tasks), time-entry volumes requiring Pro-plan column configuration across multiple boards, or multiple board workspaces with interconnected structures move to eight to fourteen weeks because of extraction complexity, board design, and reconciliation. WiseTeam's undocumented API means the export method must be confirmed during scoping before a reliable timeline can be committed.
