Overview
Migrating from Talos ATS to Recruit CRM is a structured extraction-and-load project where the primary constraint is Talos ATS's absence of a self-service public API. All data export requires Talos360 facilitation, which adds lead time and coordination overhead before any migration work begins. We manage that facilitation directly, validate the completeness of the Talos export package against the customer's Talos instance, and handle the mapping of Talos custom pipeline stages to Recruit CRM's stage model. Candidates and Applications migrate 1:1; Notes and Assessments migrate as free-text with any scoring rubrics mapped to equivalent Recruit CRM custom fields. We flag add-on records — e-Sign documents via Docusign, DBS Check results, Reference Checking data — because these sit in integrated third-party services that may not be included in the core Talos export. Workflow Automations tied to pipeline stage transitions and the Tali AI hiring agent's tagging logic do not migrate; we deliver a written stage and automation inventory for the customer's team to rebuild in Recruit CRM after cutover.

Talos360 export coordination and data audit
We contact Talos360 to initiate the facilitated data export and validate the export package format (typically CSV or Excel from Talos's backend). Simultaneously, we run a data audit against the customer's live Talos instance to inventory active Candidates, Jobs, Applications, stage counts, Notes, Assessments, custom fields, and user accounts. We also identify add-on module usage (Docusign, DBS, Reference Checking, SMS) and flag which records require a separate pull from the integrated service. The audit output is a written scope document with record counts and a preliminary stage mapping table.
Stage consolidation mapping and schema preparation
We map the customer's actual Talos ATS pipeline stage labels to Recruit CRM pipeline stages, flagging any Talos pipeline that has more stages than the Recruit CRM target pipeline. We document the stage rules and automation triggers from Talos for the customer's Recruit CRM admin to rebuild. We prepare the Recruit CRM target schema including custom fields, pipeline configuration, and user provisioning, deploying to a Recruit CRM test environment for validation before production migration.
Data extraction, cleaning, and transformation
We extract the Talos export package and transform it into Recruit CRM import-ready format. This includes splitting multi-value fields, standardising date formats to Recruit CRM's expected timestamp format, resolving owner email addresses against the Recruit CRM user directory, and cleaning duplicate or malformed records identified in the audit phase. Notes and Assessment text migrate as-is; scoring rubrics transform to equivalent custom number fields. Any records that fail transformation are held in an exception report for the customer to resolve.
Test import and reconciliation
We run a full test import into a Recruit CRM staging environment using the transformed dataset at production-like volume. The customer reconciles record counts (Candidates in, Jobs in, Applications in, Notes in), spot-checks 25-50 random records against the Talos source, and validates that stage progression appears correctly in the Recruit CRM pipeline view. We correct any mapping errors before production migration and document the approved mapping for the production run.
Delta migration and production cutover
We freeze new writes in Talos ATS (or schedule a final delta export if the team continues working during cutover). We run the production import of all validated records in dependency order: Users, Candidates, Jobs, Applications, Interviews, Notes, Assessments, Offers. Each phase emits a reconciliation report. We run the delta migration to capture any records modified during the window. We then enable Recruit CRM as the system of record and disable access to Talos ATS for the migration team.
Validation, handoff, and workflow rebuild inventory
We deliver a post-migration validation report showing record counts, a sample record spot-check, and any outstanding exceptions. We deliver the written stage and automation inventory documenting the Talos pipeline stage rules and triggers that the customer's team needs to rebuild in Recruit CRM. We do not rebuild Talos Workflows, Tali AI agent tagging logic, or Docusign e-Sign workflows as Recruit CRM automations; those are separate engagements. We support a one-week hypercare window for reconciliation issues raised by the recruiting team.
