Overview

What this migration involves

Migrating from Talos ATS to Recruit CRM is a structured extraction-and-load project where the primary constraint is Talos ATS's absence of a self-service public API. All data export requires Talos360 facilitation, which adds lead time and coordination overhead before any migration work begins. We manage that facilitation directly, validate the completeness of the Talos export package against the customer's Talos instance, and handle the mapping of Talos custom pipeline stages to Recruit CRM's stage model. Candidates and Applications migrate 1:1; Notes and Assessments migrate as free-text with any scoring rubrics mapped to equivalent Recruit CRM custom fields. We flag add-on records — e-Sign documents via Docusign, DBS Check results, Reference Checking data — because these sit in integrated third-party services that may not be included in the core Talos export. Workflow Automations tied to pipeline stage transitions and the Tali AI hiring agent's tagging logic do not migrate; we deliver a written stage and automation inventory for the customer's team to rebuild in Recruit CRM after cutover.

Why teams make this switch

Two sides of the same decision

Leaving

Talos ATS logo

Talos ATS

What's pushing teams away

  • The system was described as clunky at launch, with invoice management and initial setup requiring more effort than expected during the first months.
  • A verified reviewer noted the team were slow to enhance the product and reluctant to collaborate on customisations after contract signing.
  • As a UK-centric platform, international organisations report that localisation support outside Europe is less mature than competitors targeting a global market.

Choosing

Recruit CRM & ATS logo

Recruit CRM & ATS

What's pulling them in

  • Agencies choose Recruit CRM for its full customizability — pipelines, stages, and fields can be tailored to any recruitment workflow without developer involvement.
  • Small teams value the built-in CRM and ATS combined in one subscription, eliminating the need to purchase and sync separate systems.
  • The Chrome extension for one-click LinkedIn profile collection streamlines candidate sourcing and reduces manual data entry for recruiters.
  • Responsive customer support with fast issue resolution is consistently cited as a reason teams stick with the platform long-term.
  • Automation options including email sequences and workflow triggers allow recruitment agencies to reduce repetitive manual outreach tasks.

Object mapping

How Talos ATS objects map to Recruit CRM & ATS

Each row shows how a Talos ATS object lands in Recruit CRM & ATS, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Talos ATS

Candidate

maps to

Recruit CRM & ATS

Candidate

1:1
Fully supported

Talos ATS Candidate records migrate 1:1 to Recruit CRM Candidates. Each Candidate carries contact details, CV file, application history, and stage progression. We map the Talos candidate_id to a custom field talos_candidate_id__c for audit traceability and preserve all source timestamps (created_date, last_modified) on the migrated record.

Talos ATS

Job (Vacancy)

maps to

Recruit CRM & ATS

Job

1:1
Fully supported

Talos ATS Job records map to Recruit CRM Jobs. Each Job carries title, description, location, department, and status. Active and closed Jobs migrate with their posting URL preserved. Jobs with custom fields map to Recruit CRM custom fields; any unsupported field types are flagged for manual entry post-migration.

Talos ATS

Application

maps to

Recruit CRM & ATS

Application

1:1
Fully supported

Talos ATS Application records link a Candidate to a Job and track stage progression as a linear timeline. We preserve the application-to-job association and full stage history including dates and owner attribution at each stage transition. Application status (active, withdrawn, rejected, placed) maps directly to Recruit CRM application status.

Talos ATS

Pipeline Stage

maps to

Recruit CRM & ATS

Pipeline Stage

lossy
Fully supported

Talos ATS allows fully custom stage names and counts per job or pipeline. We extract the customer's actual stage labels and map them to Recruit CRM pipeline stages, flagging cases where Talos has more stages than the Recruit CRM target pipeline. Stage rules and automation triggers tied to Talos stage transitions do not transfer; we document the source stage rules for the customer to rebuild in Recruit CRM.

Talos ATS

Interview

maps to

Recruit CRM & ATS

Interview

1:1
Fully supported

Talos ATS Interview records migrate as structured Interview records in Recruit CRM. Date, interviewer, interview type, and outcome notes transfer directly. Talos interview transcription data (from the AI Interview Insights module) may not carry; we flag this during the audit phase and recommend that the customer captures any critical transcription content manually if it is legally or operationally required.

Talos ATS

Note

maps to

Recruit CRM & ATS

Note

1:1
Fully supported

Free-text Notes attached to Candidates and Applications migrate as-is to Recruit CRM Notes. Notes preserve owner attribution and timestamp. Notes attached to specific stage transitions in Talos map to Recruit CRM notes with a reference to the corresponding stage in the Application timeline.

Talos ATS

Assessment

maps to

Recruit CRM & ATS

Custom Field / Assessment Record

1:1
Fully supported

Talos structured Assessments and scoring rubrics require field-level mapping to Recruit CRM custom fields. If the Talos Assessment uses a scoring matrix, we map the numeric score to a Recruit CRM custom number field and the assessment label to a custom text field. Free-form assessment results migrate as text notes.

Talos ATS

Custom Field

maps to

Recruit CRM & ATS

Custom Field

1:1
Fully supported

Talos ATS custom fields on Jobs and Candidates are discovered during the data audit phase and mapped to equivalent custom fields in Recruit CRM. Unsupported field types (e.g., Talos-specific structured data that Recruit CRM cannot represent) are flagged in the mapping document with a recommendation for manual entry or a note field alternative.

Talos ATS

User / Owner

maps to

Recruit CRM & ATS

User

1:1
Fully supported

Talos ATS recruiters and hiring managers assigned as owners on records map to Recruit CRM Users. We match by email address. Inactive or departed Talos users are placed in a reconciliation queue for the customer to reassign records before the migration resumes. The customer's Recruit CRM admin provisions the user accounts before record import begins.

Talos ATS

Offer

maps to

Recruit CRM & ATS

Offer

1:1
Fully supported

Talos ATS Offer records including compensation details, start date, and offer status migrate as Offer records in Recruit CRM. E-Sign status (Docusign integration) and offer acceptance workflow state from Talos are flagged because these sit in the Docusign integration rather than the Talos core export. We recommend the customer pulls Docusign status separately during the audit phase.

Talos ATS

Reports and Dashboards

maps to

Recruit CRM & ATS

Reports and Dashboards

1:1
Not supported

Talos ATS reporting configurations and saved dashboard views are platform-specific and do not export cleanly. We do not migrate these. We deliver a written inventory of the customer's key Talos reports and dashboards with their key metrics and filters, so the Recruit CRM admin can rebuild them post-migration.

Pair-specific challenges

  • Talos ATS export requires Talos360 facilitation

Talos ATS does not offer a self-service export API. All data extraction requires coordination with Talos360 professional services, which adds lead time (typically 2-4 weeks for export package delivery) and may incur an additional facilitation fee from Talos360. We manage this coordination directly on the customer's behalf, validate the completeness of the export package against the customer's Talos instance, and flag any missing fields before mapping begins. If Talos360 is slow to respond or the export package is incomplete, the migration timeline extends accordingly.

  • Custom pipeline stages require consolidation mapping

Talos ATS allows organisations to define an arbitrary number of custom pipeline stages per job or per pipeline. Recruit CRM uses a standard stage model with configurable but finite stages per pipeline. We map Talos stage labels to Recruit CRM stages and flag any stage count mismatch during scoping. Stage automation triggers (e.g., auto-email on stage entry, SLA clock resets) do not migrate; we document the automation logic from Talos for the customer to rebuild in Recruit CRM workflows after cutover.

  • Add-on module data may not be in the core export

Talos ATS premium add-ons — e-Sign via Docusign, DBS Checks via Credence, Reference Checking, and SMS — store data in the integrated third-party service rather than the Talos core database. The core Talos export may not include signed document status, DBS clearance records, or reference check results. We scope add-on usage during the audit phase and recommend the customer pulls a separate data export from Docusign, Credence, or the relevant service before cutover. We can import those records into Recruit CRM if structured export files are available.

  • Parallel-running window creates delta reconciliation risk

If recruiters continue working in Talos ATS during the migration window (typically 4-8 weeks), new Candidates, Applications, stage updates, Notes, and Interviews created in Talos after the initial export need to be re-imported as a delta before cutover. We schedule a final delta migration at cutover and compare record counts and modification timestamps against the initial export. Without a delta run, records created during the migration window are lost in Recruit CRM on go-live.

  • Data quality gaps from Talos initial setup period

Multiple Talos ATS reviews describe the first weeks of use as requiring significant configuration effort, particularly around invoicing and pipeline setup. Organisations often ran parallel spreadsheets during onboarding, meaning historical recruitment data from the Talos go-live period may be incomplete, inconsistently formatted, or stored outside the ATS. We recommend a pre-migration data audit to identify gaps and flag records that require manual completion or cleanup before import.

Migration approach

Six steps for a successful Talos ATS to Recruit CRM & ATS data migration

  1. Talos360 export coordination and data audit

We contact Talos360 to initiate the facilitated data export and validate the export package format (typically CSV or Excel from Talos's backend). Simultaneously, we run a data audit against the customer's live Talos instance to inventory active Candidates, Jobs, Applications, stage counts, Notes, Assessments, custom fields, and user accounts. We also identify add-on module usage (Docusign, DBS, Reference Checking, SMS) and flag which records require a separate pull from the integrated service. The audit output is a written scope document with record counts and a preliminary stage mapping table.

  2. Stage consolidation mapping and schema preparation

We map the customer's actual Talos ATS pipeline stage labels to Recruit CRM pipeline stages, flagging any Talos pipeline that has more stages than the Recruit CRM target pipeline. We document the stage rules and automation triggers from Talos for the customer's Recruit CRM admin to rebuild. We prepare the Recruit CRM target schema including custom fields, pipeline configuration, and user provisioning, deploying to a Recruit CRM test environment for validation before production migration.

  3. Data extraction, cleaning, and transformation

We extract the Talos export package and transform it into Recruit CRM import-ready format. This includes splitting multi-value fields, standardising date formats to Recruit CRM's expected timestamp format, resolving owner email addresses against the Recruit CRM user directory, and cleaning duplicate or malformed records identified in the audit phase. Notes and Assessment text migrate as-is; scoring rubrics transform to equivalent custom number fields. Any records that fail transformation are held in an exception report for the customer to resolve.

  4. Test import and reconciliation

We run a full test import into a Recruit CRM staging environment using the transformed dataset at production-like volume. The customer reconciles record counts (Candidates in, Jobs in, Applications in, Notes in), spot-checks 25-50 random records against the Talos source, and validates that stage progression appears correctly in the Recruit CRM pipeline view. We correct any mapping errors before production migration and document the approved mapping for the production run.

  5. Delta migration and production cutover

We freeze new writes in Talos ATS (or schedule a final delta export if the team continues working during cutover). We run the production import of all validated records in dependency order: Users, Candidates, Jobs, Applications, Interviews, Notes, Assessments, Offers. Each phase emits a reconciliation report. We run the delta migration to capture any records modified during the window. We then enable Recruit CRM as the system of record and disable access to Talos ATS for the migration team.

  6. Validation, handoff, and workflow rebuild inventory

We deliver a post-migration validation report showing record counts, a sample record spot-check, and any outstanding exceptions. We deliver the written stage and automation inventory documenting the Talos pipeline stage rules and triggers that the customer's team needs to rebuild in Recruit CRM. We do not rebuild Talos Workflows, Tali AI agent tagging logic, or Docusign e-Sign workflows as Recruit CRM automations; those are separate engagements. We support a one-week hypercare window for reconciliation issues raised by the recruiting team.

Platform deep dives

Context on both ends of the pair

Strengths

  • AI hiring agent (Tali) and autonomous job ad writing reduce manual effort for recurring role types.
  • Multi-brand franchise reporting consolidates local and enterprise-level hiring metrics in one view.
  • Built-in careers site builder with easy-apply supports a branded candidate experience without additional tooling.
  • Structured SLA with 30-minute critical response and 8-hour standard response on UK business hours.
  • Integrations with Docusign, Twilio SMS, Credence DBS, and payroll platforms reduce tool sprawl.

Weaknesses

  • Pricing is opaque — no public per-user tiers, with add-ons (e-Sign, DBS, SMS) charged separately, making total cost difficult to forecast.
  • UK-centric positioning means limited documentation and support availability for non-UK time zones and legal regimes.
  • No public API documentation in the research evidence — integrations require Talos360 custom development, limiting automation options for migrations.
  • Initial setup and configuration complexity creates friction for organisations without dedicated HR system administrators.

Most migrations land between four and six weeks for databases under 10,000 active Candidates and 500 Jobs with no add-on module data. Migrations with large historical Application records, many custom pipeline stages requiring consolidation, multi-brand Talos configurations, or parallel-running windows extending beyond initial export land at eight to twelve weeks. The primary variable is Talos360's export facilitation timeline, which typically adds two to four weeks before migration work begins.
