  • Multi-client 3PL data isolation requires explicit partitioning in Dynamics 365

    Kentro's 3PL module hosts multiple client accounts within a single tenant, with separate inventory pools, billing records, and seller portals per client. Dynamics 365 does not have an equivalent multi-tenant partition model by default. We must map each Kentro client to a separate Dynamics 365 Company (Business Central) or Legal Entity (Finance & Operations) before any data moves. Mismatched scoping can blend client inventories, causing fulfillment errors and billing discrepancies. We extract the tenant-level client list first, build a client-to-company lookup table during discovery, and create each destination partition before extracting client-specific inventory batches.

  • Dynamics 365 has no native EDI engine; EDI documents require an ISV connector

    Kentro's built-in EDI compliance processing for B2B wholesale accounts (EDI 850, 856, 810 transaction sets with retailer-specific mapping) has no direct Dynamics 365 equivalent. Business Central and Finance & Operations require a third-party EDI ISV (Cleo EDI Cloud, True Commerce, Bosch EDI) to parse and generate EDI documents. We preserve the original EDI document snapshots as attachments on the migrated Sales Orders so that the ISV connector can regenerate compliant feeds post-migration. Without an EDI ISV in place before go-live, B2B wholesale orders cannot flow automatically.

  • Historical inventory snapshots lack full movement audit trails

    Kentro tracks real-time stock at bin level but the public export may expose current positions rather than a complete transaction history of receiving, transfers, adjustments, and picks. For accounts requiring inventory audit trails in Dynamics 365, we supplement the live inventory snapshot with any available receiving logs, transfer records, and adjustment logs from Kentro to reconstruct the chain of custody. Without supplemental logs, Dynamics 365 Item Ledger Entries show opening balances and current quantities but not the movement sequence that auditors or insurers may require.

  • Kentro Shopify integration does not map to a native Dynamics 365 channel

    Kentro's built-in Shopify integration with real-time inventory sync is a native feature that requires replacement in Dynamics 365. Business Central offers a Shopify connector via AppExchange; Finance & Operations requires middleware or a custom integration. We preserve the Shopify channel attribution on historical orders as a custom field and document the recommended connector for post-migration configuration. Inventory sync logic (real-time, batch, FIFO-triggered) requires rebuild in the destination's integration layer.

  • Dynamics 365 warehouse structure uses Locations and Bins; Kentro uses simplified warehouse naming

    Kentro warehouse locations in a multi-3PL setup may use simplified names or codes that do not map directly to Dynamics 365's Location and Bin structure. We extract Kentro warehouse definitions and map them to Dynamics 365 Locations, with Bins created where Kentro bin-level detail exists. Location-specific inventory posting groups must be assigned during mapping. Skipping this step results in inventory posting to a default location with no warehouse traceability.

Migration approach

Six steps for a successful Kentro ERP & 3PL to Microsoft Dynamics 365 Business Central data migration

  1. Discovery and destination edition selection

    We audit the Kentro environment across multi-client tenant structure, product catalog size, open order volume, EDI document archive size, and inventory movement log availability. We pair this with a Dynamics 365 edition decision: Business Central (Essentials $80/user or Premium $110/user) covers most e-commerce and mid-market 3PL migrations; Finance & Operations (Essentials $180/user or Premium $300/user) is required for multi-entity legal structures, advanced warehousing, and manufacturing. The discovery output is a written migration scope, a client-to-company partition map for 3PL clients, and an EDI document preservation plan.

  2. Schema design and partition architecture

    We design the destination Dynamics 365 schema. For 3PL migrations this includes provisioning separate Companies (Business Central) or Legal Entities (Finance & Operations) per Kentro client. For all migrations this includes mapping Kentro warehouse locations to Dynamics 365 Locations, mapping Kentro product variants to Dynamics 365 Item variants, and configuring inventory posting groups. If EDI is in scope, we coordinate with the customer's chosen EDI ISV partner to document the EDI document format and mapping requirements before data extraction begins.

  3. Sandbox migration and reconciliation

    We run a full migration into a Dynamics 365 Sandbox environment using production-like data volume. The customer's operations lead reconciles record counts (Products in, Inventory positions per location, Orders in per status, Customers in, 3PL Client partitions in), spot-checks 25-50 random records against Kentro source data, and signs off the schema and mapping before production migration begins. EDI document preservation is validated by opening migrated EDI PDFs and confirming they attach to the correct Sales Orders.

  4. Owner and contact reconciliation

    We extract every distinct Kentro user or contact referenced on orders, customers, and shipments and match against the Dynamics 365 destination's User or Contact tables. For 3PL client-specific contacts, we map them to the correct Company or Legal Entity partition. Any unmapped contacts go to a reconciliation queue for the customer's admin to provision before record import resumes.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Locations and Warehouse setup (per 3PL client partition), Items and Product variants, Inventory opening balances, Customers and Contacts (per partition), Vendors, Purchase Orders, Sales Orders (open first, then historical), Stock Transfers, Shipping records, EDI document attachments, and Analytics report snapshots. Each phase emits a row-count reconciliation report before the next phase begins. EDI documents are attached to the corresponding Sales Order during the order phase.

  6. Cutover, validation, and workflow rebuild handoff

    We freeze Kentro writes during cutover, run a final delta migration of any orders or inventory changes during the migration window, then enable Dynamics 365 as the system of record. We deliver the workflow and automation inventory document (Kentro routing rules, Shopify sync logic, EDI mapping profiles requiring ISV configuration) to the customer's admin team. We support a one-week hypercare window where we resolve any reconciliation issues. We do not rebuild Kentro workflows as Power Automate flows or EDI configurations inside the migration scope; that is a separate engagement or an internal admin task.
