Overview

What this migration involves

Moving from VidCruiter to Zoho Recruit is a shift from a video-first, process-modeling recruiting platform to a tiered ATS with transparent per-user pricing. VidCruiter organizes hiring around custom Requisitions and per-requisition pipeline stages; Zoho Recruit uses a standard Jobs module with configurable stage picklists. We extract the full stage map per job, collapse or rename stages against Zoho's model, and flag any semantic differences for admin review. Video interview files are not embedded in VidCruiter's database export — we retrieve them via API or signed URLs, package them as referenced media, and attach them to the migrated candidate record. Skills assessments, scorecards, and automated reference check data migrate as structured evaluation records. Workflows, interview templates, and career page CMS content do not migrate; we deliver a written inventory of these for the customer's admin to rebuild in Zoho Recruit.

Why teams make this switch

Two sides of the same decision

Leaving

VidCruiter logo

VidCruiter

What's pushing teams away

  • Lengthy implementation and setup times due to the custom Recruitment Process Modeling approach — teams expecting plug-and-play are surprised by the configuration investment required.
  • Template rigidity once a requisition goes live — making changes to active job requisitions is significantly more involved than teams expect and causes workflow disruptions.
  • Reporting is admin-only by default — hiring managers cannot pull their own pipeline data without going through an administrator, creating bottlenecks in distributed teams.
  • Integration gaps outside the enterprise ecosystem — teams using HubSpot, Bullhorn, or non-mainstream ATS platforms need custom workarounds or manual export processes.
  • Smaller teams and startups find the platform over-engineered for their hiring volume — the complexity is justified for high-volume enterprise but burdensome for lean recruiting operations.

Choosing

Zoho Recruit logo

Zoho Recruit

What's pulling them in

  • Lowest cost entry point of any major ATS — a free tier with Candidates, Clients, Contacts, Interviews, and a career site lets small teams validate before committing to a paid plan.
  • Deep Zoho ecosystem integration — if the team already uses Zoho CRM, Sheets, or Analytics, candidate data flows between modules without re-keying or third-party middleware.
  • Customizable pipelines and stages — both agency and corporate editions let users define custom pipeline stages and assign candidates through drag-and-drop visual boards.
  • AI-assisted features via Zia — resume parsing, candidate summarization, and job-candidate matching are built in on paid tiers, reducing manual screening time.
  • Job board aggregation at no extra cost — paid tiers include postings to major job boards, extending reach without purchasing separate job ad bundles.

Object mapping

How VidCruiter objects map to Zoho Recruit

Each row shows how a VidCruiter object lands in Zoho Recruit, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

VidCruiter

Candidate

maps to

Zoho Recruit

Candidate

1:1
Fully supported

VidCruiter Candidates map directly to Zoho Recruit Candidates. Full contact details, application history, pipeline status, and profile fields transfer. Last Name is mandatory in Zoho Recruit — any candidate record missing a last name in VidCruiter receives 'Not Provided' as a placeholder per Zoho's import requirement. Candidate source, current stage, and tags migrate as standard and custom fields respectively.

VidCruiter

Job/Requisition

maps to

Zoho Recruit

Job Opening

1:1
Fully supported

VidCruiter Jobs (called Requisitions in their workflow model) map to Zoho Recruit Job Openings. All posting content, job description fields, department assignment, and hiring team members transfer. The job status (Draft, Active, On Hold, Closed) maps to Zoho Recruit's status picklist. Any custom interview templates attached to the VidCruiter job migrate as Attachments on the corresponding Zoho Job Opening record for admin reference.

VidCruiter

Pipeline Stage (per-requisition)

maps to

Zoho Recruit

Interview Stage (per-job)

lossy
Fully supported

VidCruiter's per-requisition pipeline stages require normalization. Unlike standard ATS platforms where all jobs share a stage taxonomy, VidCruiter allows each requisition to define its own stages. We extract the full stage map per job, then configure Zoho Recruit's Interview stage picklist to match the most common stage pattern. For jobs with non-standard stage sets, we collapse or rename stages to the nearest Zoho equivalent and flag semantic differences (for example, a VidCruiter 'Reference Check' stage may map to Zoho's 'Offer' stage or become a custom stage) for customer review before production migration.

VidCruiter

Video Interview (pre-recorded)

maps to

Zoho Recruit

Candidate Attachment (media)

1:1
Fully supported

VidCruiter stores pre-recorded video interviews as hosted media assets accessible via API or signed URLs. The video files are not embedded in the standard database export. We retrieve all video assets per candidate, package them with original metadata (question text, duration, candidate name, date) as a referenced media file, and attach them to the migrated candidate record in Zoho Recruit. The media files are delivered as linked attachments; re-hosting or transcoding is not included in standard scope. Storage and hosting costs should be factored in for large video libraries.

VidCruiter

Video Interview (live)

maps to

Zoho Recruit

Interview Record

1:1
Fully supported

Live synchronous interviews in VidCruiter have scheduling metadata and outcome records but no hosted video file post-session. We extract interview scheduling details (interviewer, date, time, candidate, job), map to Zoho Recruit Interview records, and preserve any scoring or outcome data attached to the live session. Video conferencing links (Zoom, Google Meet, Teams) are not preserved; Zoho Recruit's Enterprise plan offers native Google Meet and Microsoft Teams integration for rebuilding scheduling.

VidCruiter

Interview Question/Guide

maps to

Zoho Recruit

Attachment or Custom Field

1:1
Fully supported

Custom interview question sets and AI-generated interview guides in VidCruiter are templates stored per job. We export them as structured text documents and attach them to the corresponding Zoho Job Opening record. Zoho Recruit does not have a native structured interview guide object; the question list is preserved as a reference document. Scoring rubrics attached to question sets migrate as Attachment files linked to the job.

VidCruiter

Skills Assessment

maps to

Zoho Recruit

Assessment Record (custom fields)

1:1
Fully supported

Skills test results and automated scoring in VidCruiter are stored per candidate per job with numeric scores and pass/fail thresholds. We extract these as structured data and map them to Zoho Recruit custom assessment fields on the Candidate record (for Professional and Enterprise plans with the Assessments module enabled) or as custom text fields for lower tiers. Raw assessment question banks do not migrate; score outcomes and status flags do.

VidCruiter

Scorecard/Rating

maps to

Zoho Recruit

Interview Feedback Form

1:1
Fully supported

Scorecard evaluations submitted by interviewers in VidCruiter contain structured ratings and free-text feedback per question and overall. We map these to Zoho Recruit Interview Feedback Forms where available (Professional and Enterprise tiers), or to Notes attached to the candidate record for lower tiers. Reviewer name, interview date, and rating values transfer; inline question-by-question scores transfer as structured text if the Zoho form schema supports custom fields.

VidCruiter

Automated Reference Check

maps to

Zoho Recruit

Custom Module or Note

1:1
Fully supported

Reference check data in VidCruiter lives in a separate sub-module with reference provider details, responses, and verification status. We extract these as structured records and attach them to the candidate in Zoho Recruit. Zoho Recruit does not have a native automated reference checking module; the data migrates as either a custom module (Enterprise tier with Blueprint and custom fields configured) or as structured Notes with a reference-type tag, depending on the customer's plan tier.

VidCruiter

Document/Attachment (resume, cover letter)

maps to

Zoho Recruit

Candidate Attachment

1:1
Fully supported

Candidate-attached documents including resumes, cover letters, portfolio files, and certifications migrate as binary attachments linked to the Zoho Recruit Candidate record. Original filenames and file types are preserved. The Zoho Recruit resume parser (available on Standard and above with daily limits) can be re-run on migrated resumes in Zoho to populate structured fields from the document.

VidCruiter

Career Page/Job Posting Content

maps to

Zoho Recruit

Job Opening Description (static)

1:1
Fully supported

Branded career site content, culture descriptions, and job posting rich text from VidCruiter migrate as static HTML or plain text content into Zoho Recruit's Job Opening description fields. Styling, images, and CMS-specific layout features do not transfer; text content and job requirements are preserved. The Zoho Recruit Careers Page builder is used by the customer's admin to rebuild the visual careers site post-migration.

VidCruiter

Tag/Label

maps to

Zoho Recruit

Tag or Custom Picklist

lossy
Fully supported

Tags applied to candidates or jobs in VidCruiter for segmentation and workflow routing migrate as flat tag fields. In Zoho Recruit, tags can map to the native Tag feature (available across all modules) or to a custom single-select or multi-select picklist depending on whether the customer uses tags for reporting segmentation. The customer's admin confirms the preferred taxonomy during scoping.

VidCruiter

User/Recruiter

maps to

Zoho Recruit

User

1:1
Fully supported

VidCruiter user accounts with role assignments (Admin, Recruiter, Hiring Manager) map to Zoho Recruit User records. Role names differ by platform — VidCruiter's Admin and Recruiter roles map to Zoho Recruit's Administrator and Recruiter roles respectively. Hiring Manager roles in VidCruiter map to Zoho Recruit's Hiring Manager role. Users are provisioned during scoping; if any VidCruiter user has no corresponding Zoho Recruit account, they go to a reconciliation queue for admin provisioning before production migration.

VidCruiter

Client (Staffing Agency)

maps to

Zoho Recruit

Client

1:1
Fully supported

For staffing agency customers using VidCruiter's client-facing features, Client records migrate to Zoho Recruit's Clients module. Client name, contact information, and assignment history transfer. Zoho Recruit's Staffing Agency edition includes a full Client module with portals; the Corporate HR edition does not include this module, so agency customers should be on the Staffing Agency plan for this object to be available.

Pair-specific challenges

  • VidCruiter per-requisition stages need manual normalization

VidCruiter allows each requisition to have a unique set of pipeline stages, unlike standard ATS platforms where all jobs share a stage taxonomy. Zoho Recruit's Interview stage picklist is defined per job type or globally per module, which means non-standard VidCruiter stage sets must be collapsed or renamed during migration. We extract the full stage map per job during discovery, present the normalization plan for customer review, and configure Zoho's stage picklist before production migration. Skipping this step results in candidates landing in mismatched stages post-migration.

  • Video interview files require separate retrieval and re-attachment

VidCruiter stores pre-recorded video interviews as hosted media assets accessible via API or signed URLs. These files are not included in a standard database export and must be retrieved separately. We download all video assets per candidate, package them with metadata (question text, duration, date), and re-attach them to the migrated Zoho Recruit candidate record as referenced media files. Organizations with large video libraries should account for retrieval time, storage costs, and whether re-hosting is needed when the VidCruiter instance is decommissioned.

  • Lookup field mapping in Zoho Recruit requires Enterprise tier

Zoho Recruit's advanced lookup field mapping feature — which allows additional fields from related modules to display within a primary module view — is available only on the Enterprise plan for both Corporate HR and Staffing Agency editions. If the migration scope includes VidCruiter's structured relationship data between Candidates, Jobs, and Reference Checks that the customer wants surfaced as related lists or lookup fields in Zoho, the customer must be on the Enterprise plan. Standard and Professional tiers support basic lookup fields but not the extended mapping configuration. We flag this during scoping if the destination plan tier affects the data structure.

  • Skills assessment raw question banks do not transfer

VidCruiter's skills assessment module stores the question bank (individual test questions, answer options, weighted scoring) as platform-native configuration. Zoho Recruit's Assessments module accepts score results and pass/fail status as structured fields but does not import the underlying question bank format. We migrate assessment outcomes per candidate (scores, status, date) as structured data. Any rebuilding of assessment question banks is outside migration scope and falls to the customer's admin in Zoho Recruit's Assessments module configuration.

  • Workflows, templates, and career page designs do not migrate as code

VidCruiter's custom Recruitment Process Modeling, interview templates, and branded career page designs are platform-specific configurations that do not export in a transferable format. We do not migrate them as code. We deliver a written inventory of every active VidCruiter workflow, interview template, and career page structure with recommendations for rebuilding in Zoho Recruit's Blueprint, Workflow Rules, and Zoho Sites respectively. The customer's admin or a Zoho implementation partner handles the rebuild as a separate configuration phase after data migration is complete.

Migration approach

Six steps for a successful VidCruiter to Zoho Recruit data migration

  1. Discovery and VidCruiter inventory

We audit the source VidCruiter account across all active and historical modules: Candidates, Jobs/Requisitions, Pipeline Stages per job, Video Interviews (pre-recorded and live), Skills Assessments, Scorecards, Reference Checks, Documents, Tags, Users, and Career Page content. We extract per-requisition stage maps to understand the full scope of stage normalization required. We also assess the video library size (number of recordings and total storage) to plan the media retrieval phase. The discovery output is a written migration scope document with object counts, stage mapping plan, and video asset inventory.

  2. Zoho Recruit edition and sandbox setup

We identify the appropriate Zoho Recruit plan (Forever Free, Standard, Professional, or Enterprise) based on the migration scope. Enterprise is required if advanced lookup field mapping or automated reference check custom modules are needed. We set up a Zoho Recruit sandbox or trial account, configure the standard modules (Job Openings, Candidates, Interviews, Assessments if available), and design the custom field schema to receive VidCruiter data. Stage picklists are configured based on the normalization plan from discovery.

  3. Video file retrieval and packaging

We retrieve all pre-recorded video interview files from VidCruiter via API or signed URL, organized per candidate and per job. Each video file is packaged with a metadata manifest (candidate name, job title, interview date, question text) and stored as a transferable media package. This phase runs in parallel with schema setup and field mapping design. Customers should confirm storage plans for video files post-migration before the VidCruiter instance is decommissioned.

  4. Sandbox migration and reconciliation

We run a full test migration into the Zoho Recruit sandbox using production-like data volumes. Candidate records, job records, stage assignments, assessment outcomes, scorecards, and user accounts migrate with the field mapping applied. Video files are attached to the corresponding sandbox candidate records to validate the attachment mechanism. The customer's recruiting lead reconciles record counts and spot-checks 25-50 records against the VidCruiter source before production migration begins. Any mapping corrections are made in this phase.

  5. Production migration in dependency order

We run the production migration in record-dependency order: Users (provisioned first by the customer's admin), Job Openings (with stage configuration applied), Candidates (with Job Opening references resolved), Interviews, Skills Assessment records, Scorecard and Reference Check data (as custom fields or notes per plan tier), Document attachments, and Tags. Video files are attached to candidate records during the Candidate phase. Each phase emits a row-count reconciliation report before the next phase begins. A final delta migration captures any records modified during the migration window.

  6. Cutover, validation, and workflow inventory handoff

We freeze writes in VidCruiter during cutover, run the final delta, and confirm all records are live in Zoho Recruit. We deliver the written inventory of VidCruiter workflows, interview templates, and career page structures with rebuild recommendations for Zoho Recruit's Blueprint, Workflow Rules, and Zoho Sites. We support a one-week hypercare window to resolve any post-migration reconciliation issues. We do not rebuild VidCruiter workflows as Zoho Recruit Blueprint or Workflow Rules inside the migration scope; that is a separate configuration engagement.

Platform deep dives

Context on both ends of the pair

VidCruiter logo

VidCruiter

Source

Strengths

  • Pre-recorded and live synchronous interviewing in a single platform reduces tool fragmentation for recruiting teams.
  • Custom workflow builder aligns with complex, compliance-driven hiring processes common in government and regulated industries.
  • Branded careers page builder with ATS integration allows end-to-end candidate experience from application to offer.
  • AI-generated interview guides and structured scorecards are grounded in HR science and designed for predictive hiring.
  • Strong customer success model with named representatives reduces ongoing admin burden after initial implementation.

Weaknesses

  • Non-transparent custom pricing starting at $5,000/year creates friction for procurement and makes competitive evaluation difficult.
  • Implementation complexity and longer setup timelines are mismatched for fast-scaling teams needing quick deployment.
  • Admin-only reporting model restricts hiring managers from self-service pipeline visibility.
  • Template rigidity for live requisitions means changes mid-process require workaround configurations.
  • Integration ecosystem is narrower than enterprise ATS platforms, requiring custom development for non-mainstream tools.

Destination

Strengths

  • Free tier includes full candidate management with a hosted career site, making it viable for very small staffing operations.
  • Multi-edition architecture splits agency and corporate HR workflows, with tier-gated features that scale predictably with headcount.
  • Per-user API rate limits (500–1000/day) are generous for mid-size migrations compared to competitors that gate by total org quota.
  • Zoho's own data migration tool supports CSV import from Bullhorn, CATS, Jobdiva, and Workable, validating interoperability with common ATS formats.
  • 45-day money-back guarantee and 15-day full-feature trial reduce financial risk for teams evaluating the platform.

Weaknesses

  • Free edition excludes custom fields, lookup relationships, and formula fields, making data model extensibility unavailable until a paid tier is purchased.
  • Resume parsing quotas are capped: 250/day on Standard, 500/day on Professional, unlimited only on Enterprise — bulk imports of large candidate pools will hit these limits.
  • No bulk/batch API endpoint for inserts or updates — large migrations rely on looping single-record API calls within daily rate limit windows.
  • Custom modules cannot be imported from external ATS; only standard modules (Users, Candidates, Clients, etc.) are in the supported migration list.
  • Attachments require a rigid folder hierarchy to re-associate with records, and any deviation in folder structure during extraction causes silent disassociation.

Most migrations land between three and five weeks for accounts under 5,000 candidates and 200 jobs with straightforward stage normalization and no large video library. Migrations with per-requisition stage maps requiring extensive normalization, large video interview libraries (hundreds of recordings), automated reference check data, and custom assessment fields requiring Zoho custom field configuration move to eight to twelve weeks because of video retrieval time, stage reconciliation work, and sandbox testing cycles.
