Overview
Moving from VidCruiter to Zoho Recruit is a shift from a video-first, process-modeling recruiting platform to a tiered ATS with transparent per-user pricing. VidCruiter organizes hiring around custom Requisitions and per-requisition pipeline stages; Zoho Recruit uses a standard Jobs module with configurable stage picklists. We extract the full stage map per job, collapse or rename stages against Zoho's model, and flag any semantic differences for admin review. Video interview files are not embedded in VidCruiter's database export — we retrieve them via API or signed URLs, package them as referenced media, and attach them to the migrated candidate record. Skills assessments, scorecards, and automated reference check data migrate as structured evaluation records. Workflows, interview templates, and career page CMS content do not migrate; we deliver a written inventory of these for the customer's admin to rebuild in Zoho Recruit.

Discovery and VidCruiter inventory
We audit the source VidCruiter account across all active and historical modules: Candidates, Jobs/Requisitions, Pipeline Stages per job, Video Interviews (pre-recorded and live), Skills Assessments, Scorecards, Reference Checks, Documents, Tags, Users, and Career Page content. We extract per-requisition stage maps to understand the full scope of stage normalization required. We also assess the video library size (number of recordings and total storage) to plan the media retrieval phase. The discovery output is a written migration scope document with object counts, stage mapping plan, and video asset inventory.
Zoho Recruit edition and sandbox setup
We identify the appropriate Zoho Recruit plan (Forever Free, Standard, Professional, or Enterprise) based on the migration scope. Enterprise is required if advanced lookup field mapping or automated reference check custom modules are needed. We set up a Zoho Recruit sandbox or trial account, configure the standard modules (Job Openings, Candidates, Interviews, Assessments if available), and design the custom field schema to receive VidCruiter data. Stage picklists are configured based on the normalization plan from discovery.
Video file retrieval and packaging
We retrieve all pre-recorded video interview files from VidCruiter via API or signed URL, organized per candidate and per job. Each video file is packaged with a metadata manifest (candidate name, job title, interview date, question text) and stored as a transferable media package. This phase runs in parallel with schema setup and field mapping design. Customers should confirm storage plans for video files post-migration before the VidCruiter instance is decommissioned.
Sandbox migration and reconciliation
We run a full test migration into the Zoho Recruit sandbox using production-like data volumes. Candidate records, job records, stage assignments, assessment outcomes, scorecards, and user accounts migrate with the field mapping applied. Video files are attached to the corresponding sandbox candidate records to validate the attachment mechanism. The customer's recruiting lead reconciles record counts and spot-checks 25-50 records against the VidCruiter source before production migration begins. Any mapping corrections are made in this phase.
Production migration in dependency order
We run the production migration in record-dependency order: Users (provisioned first by the customer's admin), Job Openings (with stage configuration applied), Candidates (with Job Opening references resolved), Interviews, Skills Assessment records, Scorecard and Reference Check data (as custom fields or notes per plan tier), Document attachments, and Tags. Video files are attached to candidate records during the Candidate phase. Each phase emits a row-count reconciliation report before the next phase begins. A final delta migration captures any records modified during the migration window.
Cutover, validation, and workflow inventory handoff
We freeze writes in VidCruiter during cutover, run the final delta, and confirm all records are live in Zoho Recruit. We deliver the written inventory of VidCruiter workflows, interview templates, and career page structures with rebuild recommendations for Zoho Recruit's Blueprint, Workflow Rules, and Zoho Sites. We support a one-week hypercare window to resolve any post-migration reconciliation issues. We do not rebuild VidCruiter workflows as Zoho Recruit Blueprint or Workflow Rules inside the migration scope; that is a separate configuration engagement.
