We contact Alpha Hire's support team to request a full data export covering candidates, job orders, talent partners, hiring processes, and any accessible documents. If a structured export is unavailable, we map the accessible Alpha Hire dashboard fields and coordinate with the customer to produce a CSV-based migration-ready file. During this phase, we also collect documentation of active custom rule configurations from the customer, audit the integration landscape (Outlook, ADP, QuickBooks), and identify any VMS feed configurations that carry attribution dependencies. The scoping output is a written migration scope document with object inventory, field-level mapping draft, and a Zoho Recruit edition recommendation based on the customer's recruiter count, required Assignment Rules, and VMS module needs.
Schema design and Zoho Recruit edition setup
We design the destination schema in Zoho Recruit. This includes creating custom fields to capture Alpha Hire-specific data (screening scores, VMS source attribution, original rule trigger conditions), configuring the Hiring Pipeline with stages mapped from Alpha Hire's process definitions, and setting up Client and Contact structures for the talent partner migration. If the customer requires Assignment Rules and is on Standard tier, we flag the tier upgrade requirement before migration begins. Schema setup happens in the customer's Zoho Recruit account under Setup with admin credentials; we coordinate the setup session with the customer's Zoho administrator.
Data validation and reconciliation against Zoho field requirements
We validate the Alpha Hire export against Zoho Recruit's mandatory field requirements before any import. This includes flagging candidate records with missing Last Name values for the 'Not Provided' substitution, verifying that every job order has a Job Title, and checking that all VMS-sourced records are annotated for source attribution. We produce a pre-import validation report showing record counts per object, identified gaps, and required substitutions. The customer reviews and approves the validation report before we proceed to data load. Any records that cannot be loaded due to unsatisfiable mandatory fields are logged separately for the customer's manual review.
User provisioning and owner reconciliation
We extract every distinct Alpha Hire owner and recruiter referenced on candidate, job order, and talent partner records and match by email against the Zoho Recruit destination account's User table. We confirm that at least two Users exist in the Zoho Recruit account (per Zoho's migration tool requirement). Owners without a matching Zoho User go to a reconciliation queue for the customer's admin to provision before record import resumes. This step cannot be skipped because OwnerId references are required on most Zoho Recruit standard objects.
Staged data migration in dependency order
We run production migration in record-dependency order: Users (manually provisioned, validated), Job Openings (with VMS source attribution in custom fields), Clients and Contacts (from talent partners), Candidates (with Last Name substitution applied and resume attachments linked), Interviews (linked to Candidate and Job Opening), Notes, and Documents last (as they reference parent records that must exist first). Each phase emits a row-count reconciliation report before the next phase begins. We use Zoho's documented import limits per the customer's edition tier and batch oversized datasets accordingly.
Cutover, validation, and rule rebuild handoff
We freeze Alpha Hire writes during cutover, run a final delta migration of any records created or modified during the migration window, then enable Zoho Recruit as the system of record. We validate a random sample of migrated records against the Alpha Hire source data and deliver the custom rule inventory document to the customer's admin team for rebuild as Zoho Assignment Rules. We support a one-week hypercare window where we resolve any reconciliation issues raised by the recruiting team. Workflows, automations, and integration connections do not migrate as code; the integration rebuild scope is documented separately for the customer's IT team.
