Overview
Moving from CareerBuilder Applicant Tracking to Zoho Recruit is a file-based migration, not an API-to-API transfer. CareerBuilder does not publish a documented REST API or GraphQL endpoint with rate limits, so all migration work requires a structured data extract requested from CareerBuilder's customer success team before mapping begins. We extract Jobs, Candidates, Applications, Talent Pools, and communications in CSV or XML format, validate the schema on receipt, and load into Zoho Recruit via its Bulk Import or API. A key data-quality step is flagging candidate records where the resume has not been updated in 18 months, since multiple reviews note CareerBuilder's database contains stale profiles with no self-service refresh mechanism. We do not migrate Job Board Distribution History (not exportable), Workflows, Sequences, or Reports. We deliver a written inventory of active CareerBuilder workflows and automation rules for your team to rebuild in Zoho Recruit's Blueprint and Workflow builder post-migration.

Initiate CareerBuilder data export request
We submit a structured data export request to CareerBuilder's customer success team on the customer's behalf, specifying the required objects (Jobs, Candidates, Applications, Talent Pools, Ratings, Notes, Attachments) and file format (CSV or XML). We document the export schema as delivered so we can cross-reference against our scoping checklist. This step runs in parallel with Zoho Recruit account provisioning and schema design. The customer's account executive may need to escalate the export request if CareerBuilder customer success is slow to respond. We recommend the customer also captures any job board distribution reports manually during this window.
Zoho Recruit schema design and custom field provisioning
We design the destination schema in Zoho Recruit before any data arrives. This includes creating Custom Fields matching CareerBuilder's custom candidate properties (including any Luceo-era legacy fields), configuring Candidate Pipelines to reflect the CareerBuilder pipeline stages, setting up the hiring team roles and permissions, and enabling the Zoho Recruit edition features appropriate to the customer's requirements (Standard, Professional, or Enterprise). We configure Zoho Recruit in a sandbox or staging environment first for validation before any production data loads.
Data validation, deduplication, and candidate staleness flagging
Upon receiving the CareerBuilder export, we validate record counts against the scoping checklist, identify orphaned records (candidates with no associated job, applications with no candidate), flag duplicates, and run the 18-month resume timestamp check on candidate records. We produce a data quality report for the customer's review. The customer decides which flagged records to include or suppress. We do not clean CareerBuilder data beyond flagging; the customer or a separate data hygiene engagement handles deduplication, data correction, or suppression decisions.
Sandbox migration and staging reconciliation
We run a full migration into the customer's Zoho Recruit staging environment using the production-like data volume from the CareerBuilder export. The customer's recruiting lead reconciles record counts (Jobs in, Candidates in, Applications in, Talent Pool members in), spot-checks 25-50 random candidate records against the CareerBuilder source, and validates that pipeline stage assignments, owner assignments, and resume attachments are correct. Any mapping corrections are made here before production migration begins.
Production migration in dependency order
We run production migration in record-dependency order: Job Openings (master records), then Candidates (with resume files attached), then Applications (linking candidates to jobs), then Talent Pool associations, then Ratings and Scorecards, then Notes and Communications. Each phase emits a row-count reconciliation report before the next phase begins. We use Zoho Recruit's bulk import for standard fields and the API for custom fields and attachment references. Active CareerBuilder jobs are migrated with Open status so the recruiting team can resume operations immediately on cutover.
Cutover, validation, and automation rebuild handoff
We freeze CareerBuilder writes during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho Recruit as the system of record. We deliver a written inventory of active CareerBuilder workflow rules and automation configurations for the customer's admin to rebuild in Zoho Recruit's Blueprint and Workflow builder. We support a one-week hypercare window where we resolve reconciliation issues. We do not rebuild CareerBuilder automations as Zoho Recruit Blueprints or Workflows inside the migration scope; that is a separate configuration engagement.
