  • Mailchimp is an email marketing platform, not a CRM

    This migration will not preserve your CRM data model. Pipelines, Deals, Quotes, Orders, Products, Subscriptions, Activities, and Tasks have no Mailchimp equivalent. Reviewers on Reddit and G2 who consider Mailchimp as a CRM replacement find that deal tracking, pipeline visibility, and inventory management disappear after migration. We are explicit about what does not migrate and deliver a written inventory of every non-transferable object for your admin to evaluate against your business needs before committing to the switch.

  • Mailchimp automations must be rebuilt manually

    Tall Emu automated workflows (lead routing, email triggers, stage-change automations) do not migrate. Mailchimp's customer journey builder uses a different automation model. We document every active Tall Emu workflow during discovery — its trigger, conditions, and actions — and deliver a rebuild guide that maps each Tall Emu automation to an equivalent Mailchimp customer journey step. The customer's admin rebuilds the automations in Mailchimp post-migration. We do not rebuild them as part of the migration scope.

  • Tall Emu has no documented public REST API for bulk export

    Tall Emu's primary export mechanism is Excel export from grid views. While the platform integrates with Mailchimp natively for two-way sync, there is no publicly documented bulk export endpoint or REST API for programmatic data extraction. We use Tall Emu's Excel export as our extraction method, exporting each module's grid view in dependency order (Contacts with Company name resolved first) and transforming the data for Mailchimp import. This approach is reliable but requires column configuration in Tall Emu's grid before export.

  • Mailchimp merge field limits constrain custom field mapping

    Mailchimp limits the number of merge fields per Audience (up to 40 merge fields per plan tier) and restricts the types available (TEXT, NUMBER, DATE, PHONE, ADDRESS, IMAGE, EMAIL, dropdown, radio, birthday). Tall Emu custom fields that exceed these constraints or use unsupported types (e.g., complex multi-level picklists, formula fields) are documented as unresolvable and flagged for manual entry or a different migration approach. We audit merge field availability during discovery before any data export begins.

  • Tall Emu Mailchimp integration data may be inconsistent

    Tall Emu already has a native Mailchimp integration that syncs Subscriber Lists, Campaigns, and Subscribers. If the customer has been using this integration, some records may exist in both systems with potentially different values. We audit which records were synced versus manually entered in each system during discovery and flag any reconciliation work needed before import. We do not assume integration data is clean and recommend a dedupe step in Mailchimp before activating the migrated audience.

Migration approach

Six steps for a successful Tall Emu CRM to Mailchimp data migration

  1. Discovery and migration scope definition

    We audit Tall Emu's active modules: Contacts, Companies, Products, Pipelines, Deals, Quotes, Orders, Subscriptions, Activities, and Custom Fields. We identify which modules have valid email addresses for Mailchimp import (Contacts only) and which are outside Mailchimp's scope entirely. We also audit the existing Tall Emu Mailchimp integration if active, to understand which records were previously synced. The discovery output is a written scope document that lists every migratable object, every non-migratable object, and a merge field creation checklist for the customer's Mailchimp admin to complete before the data import phase begins.

  2. Merge field pre-creation in Mailchimp

    Before any data export, we create the required Mailchimp merge fields in the target Audience. Standard fields (FNAME, LNAME, EMAIL, PHONE, ADDRESS) are available by default. We create custom merge fields for Tall Emu custom fields that map cleanly: company name as a Tag, industry as a dropdown merge field, plan name and renewal date as TEXT and DATE fields, and activity summary counts as NUMBER fields. If the target Mailchimp plan limits merge fields to fewer than the count required, we flag this during scoping and prioritize the highest-value fields for import.

  3. Excel export and data extraction from Tall Emu

    We export Contacts from Tall Emu's grid view using the column chooser to include all required standard fields and any migratable custom fields. We export the Company grid separately to capture company name and industry for the tag mapping. Tall Emu exports everything visible in the current grid view, so we work with the customer's admin to configure the grid layout before export to ensure all needed columns are present. Export includes all records in the current view; filters can be applied to export a specific subset if needed.

  4. Data transformation and deduplication

    We transform the exported Contacts into Mailchimp import format: First Name, Last Name, Email, and any additional fields mapped to merge field tags. Company name is extracted and written as a Tag applied to each Contact. Subscriptions are mapped to status Tags (Active, Expired) with plan and renewal date in merge fields. Duplicate records are identified by email address and consolidated using a customer-defined rule (keep most recent, keep oldest, or merge all values). Records without a valid email address are flagged and held in a separate queue for manual review.

  5. Test import and reconciliation

    We run a test import of a sample of 50-100 records into a Mailchimp test Audience to verify merge field mapping, tag application, and address formatting. The customer's admin reviews the test results and confirms mapping accuracy before the full import begins. Any corrections to merge field names, tag names, or data formatting are applied to the transform before the production import. This step prevents a full import with incorrect field mappings, which would require a second import to correct.

  6. Production import and final handoff

    We run the full Contact import into the production Mailchimp Audience using the verified mapping. The import emits a row-count reconciliation report: total imported, total skipped (no email), total deduped. We deliver the non-migratable object inventories (Pipelines, Deals, Products, Quotes, Orders, Subscriptions, Activities) as separate CSV files with a readme explaining each object and its Mailchimp gap. We deliver the automation rebuild guide documenting each Tall Emu workflow with a recommended Mailchimp customer journey equivalent. We do not rebuild automations inside the migration scope.
