    Tall Emu's primary export mechanism is Excel export from grid views. There is no publicly documented bulk REST API or bulk export endpoint for migration purposes. We export each module (Companies, Contacts, Deals, Subscriptions, Activities) in dependency order from the Tall Emu grid view using the column chooser to ensure all fields are included. The export respects the current view's filters, so we apply Layouts or Filters to capture the full dataset before each export. This approach is reliable but adds extraction time compared to API-based migrations, particularly for large activity history datasets.

  • Inventory, BOM, serial number, and freight data have no native Pipedrive equivalent

    Tall Emu's inventory layer — BOM structures, serial number tracking, landed costs, reorder points, and freight records — is a core Tall Emu feature that has no structural equivalent in Pipedrive's data model. We migrate these attributes as custom fields on Pipedrive Products or Deals, or as Notes attached to the relevant records. Customers relying on Tall Emu's manufacturing, warehouse, or freight management features should evaluate whether Pipedrive's product-only inventory model meets their operational needs before committing to migration. This gotcha is specific to this pair: Tall Emu's ERP-layer inventory is what differentiates it from standard CRMs, and Pipedrive does not carry an equivalent.

  • Subscription records require manual Plan and Status mapping before import

    Tall Emu Subscriptions have mandatory fields (Plan, Status, Billable Quantity, Price, Period, Renewal Due Date) that require mapping to Pipedrive's Deal or Product model. The Plan field must be mapped to a Pipedrive Product; the Status field (Active, Expired, Cancelled) must be mapped to a custom field or deal stage. We define this mapping during scoping and document it in the migration spec. Subscriptions with a Status of Cancelled or Expired require a decision on whether to import as closed Deals or suppress them from migration.

  • Automations and workflows do not migrate and require manual rebuild in Pipedrive

    Tall Emu's automated workflows (lead routing triggers, email automations, stage-change automations, and webform submissions) are system-defined and cannot be exported. We document every active Tall Emu automation during discovery with its trigger, conditions, and actions, and deliver a rebuild guide for Pipedrive's Workflow Automation builder. Pipedrive's Workflow Automation (Professional+ tier, $49/user/month) supports trigger-action rules with delays and CRM actions. Tall Emu's more advanced automation steps (custom schedule triggers, conditional branching, SMS actions) may require Pipedrive's ProcessLu or a Marketplace automation app as an equivalent.   1. Discovery and data audit

    We audit the Tall Emu CRM instance across all modules (Companies, Contacts, Deals, Products, Subscriptions, Orders, Quotes, Activities) via screen share with the customer's admin, counting record volumes and identifying any custom fields.   2. Pipedrive schema preparation

Pipeline stages are named and ordered to match the Tall Emu pipeline structure. Custom fields are created via the Pipedrive Fields API to match Tall Emu field names and types. If the customer subscribes to Pipedrive Professional+ ($99/user), we review the Workflow Automation builder's available triggers and document which Tall Emu automations map directly versus which require a third-party automation app from the Pipedrive Marketplace.

  3. Excel extraction and transformation

    We export each Tall Emu module via Excel grid export in dependency order: Companies first, then Contacts with parent company reference resolved, then Deals, then Products, then Subscriptions and Orders, then Activity history. Tall Emu exports all columns visible in the current view regardless of whether individual columns are scrolled into view, so we apply a Layout or use the column chooser before each export to ensure complete field coverage. Each export is transformed into Pipedrive API-compatible JSON with field name mapping applied. Subscriptions are transformed against the subscription-to-Deal mapping defined in scoping.

  4. Sandbox import and reconciliation

    If the customer has a Pipedrive sandbox account, we run a full import into the sandbox environment using production-like data volume and reconcile record counts, field values, and relationship integrity before production import. Spot-checks on 25-50 random records verify that parent-company lookups on Contacts are correctly resolved and that Deal stages and activity types are correctly mapped. Any mapping corrections are documented in the migration spec before the production import begins. If no sandbox is available, we run a phased production import with a validation step between each module.

  5. Production import in dependency order

    We import into the production Pipedrive account in record-dependency order: Organizations (from Companies), then Persons (from Contacts with org_id resolved), then Products, then Deals (with org_id, person_id, and pipeline/stage resolved), then Subscription records mapped to Recurring Deals, then Activities (calls, meetings, tasks, emails via the Activities API), then custom fields. Each phase emits a row-count reconciliation report before the next phase begins. Tall Emu write access is suspended during the production import window to prevent new records from being created in the source system during cutover.

  6. Cutover, delta migration, and automation handoff

    We run a final delta migration to capture any records created or modified during the production import window, then set Pipedrive as the system of record. We deliver the Tall Emu automation inventory document to the customer's admin team with a recommended Pipedrive Workflow Automation rebuild plan prioritised by business impact. We support a one-week hypercare window to resolve any reconciliation issues. We do not rebuild Tall Emu automations as Pipedrive Workflow Automation rules inside the standard migration scope; that is a separate engagement or an internal admin task.
