    Edison 365 attaches documents by storing SharePoint URLs that point to the source Microsoft 365 tenant rather than embedding file content. When we export document-linked records, we receive URL references that become orphaned post-migration because the SharePoint site remains in the source tenant. We export the full document inventory (file name, SharePoint URL, parent record, created date), run a parallel SharePoint-to-monday.com file migration to attach the actual files to the correct Items, and flag every record that had a SharePoint attachment so no document is silently dropped during cutover.

  • Custom fields require per-entity enumeration without a consolidated export

    Edison 365 stores custom field definitions separately per entity type (Ideas, Projects, Business Cases) without a single consolidated schema endpoint. We must query each entity type individually to enumerate the full custom field set. If a customer has added dozens of custom fields across multiple entities, this multi-pass enumeration adds time to the discovery phase. We complete the enumeration before presenting the field map for customer approval, so no custom field is discovered mid-migration.

  • monday.com column type limits affect how Edison 365 data maps

    monday.com supports a fixed set of column types (Text, Numbers, Date, Dropdown, Tags, People, Files, Link to Item, Formula, etc.) that may not cover every Edison 365 custom field type. Long-text fields with rich formatting map to Text columns (plain text only), and Edison 365 fields with complex data types (such as Power BI dataset references) have no monday.com equivalent and must be recreated manually. We flag every Edison 365 custom field that requires approximation during the scoping field-map review.

  • Benefits tracking does not have a native monday.com object

    Edison 365 tracks Benefits as entity-specific records attached to Projects or Business Cases, with the ability to use the same benefit metric across multiple entities. monday.com has no native benefit-tracking object, so benefit metrics migrate as numeric columns on Project Boards and are stored in isolation per Board. Portfolio-level benefit rollup requires recalculation in monday.com using formula columns or a manual aggregation step. We document the recalculation logic in the handoff so the customer's admin can configure it post-migration.

  • Edison 365 Power BI reports do not migrate and require rebuilding

    Edison 365 uses Power BI as its native reporting layer, and many organizations have built customized .pbix reports on top of Edison 365 data connections. monday.com has no Power BI integration natively, and Power BI reports cannot be exported as reusable templates for a non-Microsoft platform. We deliver a written inventory of every Edison 365 Power BI report with its data sources, visuals, and filters so the customer's BI team can rebuild them in monday.com native dashboards or in Power BI connected to the monday.com API.

Migration approach

Six steps for a successful Edison 365 to monday Work Management data migration

  1. Discovery and Edison 365 audit

    We audit Edison 365 across all modules: Ideas, Projects, Business Cases, Resources, Portfolios, Pipeline configurations, custom field definitions per entity, document inventory (with SharePoint URL extraction), and user roster. We identify any Power BI report dependencies, deprecated benefit records, and SharePoint-linked documents that will require a parallel file migration track. The discovery output is a written migration scope, a custom field enumeration list per entity, a SharePoint document inventory, and a recommendation on monday.com plan tier (Standard for basic work management, Pro for automation and formula columns, Enterprise for advanced security and API rate limits).

  2. monday.com board structure design

    We design the monday.com Workspace and Board architecture to match the Edison 365 data model. Each Edison 365 Project becomes a monday.com Board; each Edison 365 Portfolio becomes a Workspace with a portfolio dashboard Board. We configure column types for every standard and custom field based on the field map approved by the customer, set Status column stage names and order from the Edison 365 Pipeline configuration, and design Link to Item columns for parent-child relationships (Business Cases to Projects, Projects to Portfolio). Board sharing settings and team access levels are defined at this stage based on the Edison 365 permission model.

  3. SharePoint file inventory and parallel file migration setup

    We extract the full document inventory from Edison 365, mapping each SharePoint URL to its parent record (Project, Idea, Business Case). We then run a parallel SharePoint-to-monday.com file migration track, downloading files from the source SharePoint and uploading them as monday.com file attachments on the corresponding Items. This track runs concurrently with the record migration so that file attachments are available at cutover rather than added as a post-migration cleanup step. We flag any SharePoint URLs that reference sites the migration user cannot access.

  4. Sandbox migration and reconciliation

    We run a full migration into a monday.com test Workspace using production-like data volume. The customer's project management lead reconciles record counts (Projects in vs Boards created, Ideas in vs Items created, Business Cases in vs Items created), spot-checks 25-50 records for field-level accuracy against the Edison 365 source, validates that column types match the field map, and confirms that parent-child links resolve correctly. Any mapping corrections happen in the sandbox before production migration begins. The sandbox migration also surfaces any monday.com column type limitations that require approximation.

  5. User provisioning and owner reconciliation

    We extract every distinct Edison 365 user referenced as an owner, assignee, or submitter across all record types and match by email against the monday.com destination account's member list. Any Edison 365 user without a matching monday.com account is held in a reconciliation queue for the customer's admin to provision before the production migration. Once all owners are mapped, we proceed to the production migration with the owner field resolved on every record.

  6. Production migration in dependency order

    We run production migration in record-dependency order: monday.com Workspace and Board creation (schema deploy), then Users and assignable people (for People column resolution), then Portfolio Boards and Project Boards with all columns configured, then Items (Ideas, Business Cases, Resources) with parent-record Link to Item columns resolved, then Benefits as numeric columns on Project Boards, then SharePoint file attachments via the parallel file track, then any Portfolio-level aggregation calculations for manual entry. Each phase emits a row-count reconciliation report before the next phase begins. After all records are in monday.com, we deliver the written inventory of Edison 365 workflow configurations, Power BI reports, and stage-gate rules requiring manual rebuild in monday.com automations.
