  • PipeRun has no public API — CSV export only

    PipeRun does not publish a REST API with documented endpoints. All migration work must be performed from CSV exports generated directly from the PipeRun web interface. We coordinate with the customer to export Contacts, Companies, Deals, Activities, and Proposals in separate CSV files before migration begins. This requires the customer to have active access to PipeRun admin and to navigate the export function for each object individually. The export pass adds one to two days to the project timeline and requires customer participation at the start of the engagement.

  • Mailchimp merge tag naming differs from PipeRun custom field names

    Mailchimp merge tags follow a strict naming convention: uppercase letters, numbers, and underscores only, with a maximum of 10 characters for the tag name (not including the MERGE prefix). PipeRun custom field names can contain spaces, accents, and longer strings. We transform PipeRun custom field names into valid Mailchimp merge tag names during the export-to-import pass, maintaining a cross-reference table so the customer can identify which merge tag corresponds to which original PipeRun field. Accented characters in Brazilian Portuguese field names are transliterated to ASCII equivalents.

  • Mailchimp list sync failures block export-to-import pipelines

    Mailchimp requires that the importing list be actively synced and enabled for API access before CSV subscribers can be added. If the Mailchimp audience list has not been refreshed or if API access has been restricted by an admin, subscriber imports via CSV will fail silently or show zero records imported. We validate Mailchimp API connectivity and list status before each import phase, and we request that the customer's Mailchimp admin confirm that the target audience has API and import permissions enabled before the migration begins.

  • PipeRun title-based deduplication creates risk in both directions

    PipeRun's CSV export does not include internal record IDs in the exported columns by default. When we import into Mailchimp, contacts without a unique external ID may be matched by email address only. If the exported CSV contains contacts with identical email addresses from different PipeRun records (e.g., duplicate contacts), Mailchimp will merge them silently. We add an explicit external_id merge tag from PipeRun during export to prevent this. On the PipeRun side, re-importing data from Mailchimp into PipeRun via CSV would use title-based matching and risk creating duplicate records there, which is why we do not support a reverse-import pass.

  • Deals and Proposals do not migrate — no equivalent in Mailchimp

    Mailchimp is an email marketing platform with basic contact management, not a sales CRM. Deals (Negócios), Proposals (Propostas), and Funnels have no Mailchimp equivalent. We cannot migrate deal value, stage history, proposal documents, or electronic signature status. We extract deal value and current stage as merge tags on the Contact subscriber as a partial workaround, but this does not replicate PipeRun's pipeline management. The customer's sales team should retain a copy of the PipeRun deal report for historical reference.

Migration approach

Six steps for a successful PipeRun CRM de Vendas to Mailchimp data migration

  1. Export coordination and customer participation

    We schedule a joint export session with the customer's PipeRun admin to generate CSV exports for all required objects: Contacts (Contatos), Companies (Empresas/Organizações), Deals (Negócios), Activities (Atividades), and Proposals (Propostas). Each object requires a separate export. We provide the customer with a pre-migration checklist specifying which columns to include, which filters to apply (active records only vs. all records), and the export format. We design the audience structure: whether multiple PipeRun Funnels map to separate Mailchimp Audiences or to Audience Tags within a single Audience. We produce a data audit report and a merge tag mapping table for the customer to review and approve before any Mailchimp write operations begin.

  3. Mailchimp audience and merge tag configuration

    We configure the target Mailchimp Audience: creating all required merge tags (FNAME, LNAME, PHONE, COMPANY, and any custom merge fields identified in the audit), setting field types (text, date, number, dropdown), and configuring address fields if the PipeRun export includes physical address data. If multiple Audiences are required for Funnel isolation, we create them with naming that reflects the corresponding PipeRun Funnel. We verify that the Mailchimp API is accessible with the provided API key before proceeding to import.

  4. Subscriber import with deduplication

    We import Contacts from the PipeRun CSV into the configured Mailchimp Audience. Before import, we prepend the PipeRun record ID to the contact name field to eliminate PipeRun's title-based dedup risk. Email address is used as the Mailchimp dedupe key. Company associations are written as both a COMPANY merge tag on each contact and as an Audience Tag on the subscriber record. After import, we reconcile the subscriber count against the exported Contact count and investigate any discrepancies before marking the phase complete.

  5. Deal context and tag pass

    We extract deal values and current funnel stages from the PipeRun Deals CSV and append them as merge tags (DEAL_VALUE, DEAL_STAGE, DEAL_FUNNEL) on the corresponding subscriber records using Mailchimp's batch API. We apply PipeRun Company tags to all associated Contact subscribers in the same pass. We generate a per-subscriber activity map that ties each Mailchimp subscriber to the PipeRun company and deal records they were linked to, for the customer's reference during post-migration reconciliation.

  6. Validation, handoff, and automation inventory

    We run a final reconciliation comparing the Mailchimp subscriber count and field completeness against the source CSV totals. We deliver the automation inventory document listing every PipeRun ação automática with its trigger, condition, and action summary, mapped to a recommended Mailchimp Customer Journey equivalent. We conduct a live walkthrough with the customer's team to validate the audience, confirm tag coverage, and demonstrate how to rebuild the first automation in Mailchimp Customer Journeys.
