Overview
Moving from Adaptix to Pipedrive is a platform-type migration: Adaptix is a lifecycle marketing automation tool centered on Contacts, Companies, Audience segments, and Automations; Pipedrive is a deal-centric sales CRM with Persons, Organizations, Deals, and Activities. There is no native Deals or Opportunity object in Adaptix, so teams moving to Pipedrive gain a full sales pipeline and revenue tracking for the first time. We map Adaptix Contacts 1:1 to Pipedrive Persons and Companies 1:1 to Organizations. Audience segments and tags from Adaptix translate to Pipedrive Labels and custom filter views. Automation workflows, landing pages, forms, and AI send-time data are not portable; we document these as rebuild items rather than migrate them. We use Pipedrive's REST API with batch upsert for bulk record import and resolve all parent-lookups (Organization on Person, Person on Deal) before activity data lands.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Adaptix object lands in Pipedrive, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Adaptix
Contact
Pipedrive
Person
1:1Adaptix Contacts map directly to Pipedrive Persons. Email, name, phone, address, and all standard contact fields transfer 1:1. Custom properties on the Contact record map to Pipedrive custom fields on Person. We preserve the Adaptix contact ID in a custom field adaptix_contact_id__c for reconciliation.
Adaptix
Company
Pipedrive
Organization
1:1Adaptix Companies map directly to Pipedrive Organizations. Company name, domain, industry, employee count, and address fields transfer to matching Pipedrive Organization fields. The Organization is created before any related Person records to satisfy the Organization-lookup requirement on Person.
Adaptix
Lead Status
Pipedrive
Person Label
lossyAdaptix lifecycle stage and lead status are tracked as contact properties rather than a distinct object. We preserve these values in custom fields on Person and optionally apply Pipedrive Labels (e.g., Lead, MQL, SQL, Customer) to replicate lifecycle stage segmentation using Pipedrive's native labeling.
Adaptix
Tag
Pipedrive
Label
1:1Adaptix tags used for audience segmentation map to Pipedrive Labels. Each unique tag becomes a Pipedrive Label, and tag assignments per contact are translated to Person-Label relationships. Pipedrive Labels are a native feature at all paid tiers with no field configuration required.
Adaptix
Audience Segment
Pipedrive
Filter View
lossyAdaptix audience segments are built from contact filter rules. We extract the segment definition (filter conditions and contact membership) and rebuild equivalent static or dynamic filter views in Pipedrive. Segments with complex multi-condition rules may require multiple Pipedrive filters or a custom field strategy.
Adaptix
Automation
Pipedrive
Workflow (rebuild required)
lossyAdaptix automation workflows cannot be exported as executable logic. We deliver a written inventory of every active Adaptix Automation with its trigger, conditions, actions, and delays documented step-by-step. The customer's Pipedrive admin uses this inventory to rebuild equivalent workflows in Pipedrive Workflows or a connected automation tool.
Adaptix
Custom Property
Pipedrive
Custom Field
1:1Adaptix custom properties on Contacts and Companies vary per account. We flag all custom properties during discovery, map each to an equivalent Pipedrive custom field on the matching object (Person or Organization), and configure the field type (text, number, date, picklist, checkbox) to match the Adaptix source data type before migration.
Adaptix
Landing Page
Pipedrive
Not migrated (rebuild required)
lossyAdaptix landing pages export as static HTML without dynamic form connections and automation triggers. We do not migrate landing pages as functional assets. We deliver page HTML and form definitions as reference assets for manual rebuild in a landing page tool or web platform of the customer's choosing.
Adaptix
Form
Pipedrive
Not migrated (rebuild required)
lossyAdaptix forms export as field definitions and consent settings. Pipedrive CRM does not include a native form builder at the sales layer. We deliver form field definitions as JSON and recommend Pipedrive Web-to-Lead, Typeform, or a marketing-automation form tool as the replacement.
Adaptix
SMS Contact
Pipedrive
Custom Field on Person
1:1SMS opt-in status and consent records tied to Adaptix Contacts migrate to Pipedrive as a custom field on Person (e.g., sms_consent__c as a checkbox or date field). We flag SMS consent explicitly because it affects sending eligibility and compliance in the destination platform.
Adaptix
Activity (Opens, Clicks, Sends)
Pipedrive
Not migrated (reference data)
lossyAdaptix tracks email engagement events (opens, clicks, sends) as activity-level data that is not exported as discrete records. We do not migrate engagement event history. We deliver a written reference of engagement summary statistics (total sends, open rate, click rate) for manual entry into Pipedrive reports or a BI tool.
Adaptix
AI Send-Time Data
Pipedrive
Not migrated (reference data)
lossySend Time Optimization scores, subject line performance history, and Spintax configurations are internal to Adaptix and not exportable. We document these values at migration time for manual reference. The new platform's AI tools will establish fresh send-time baselines. We advise teams to screenshot key AI dashboard metrics before cutover.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Adaptix gotchas
Audience-based pricing means migration scoping counts every contact
Automation workflows are not exportable as executable logic
AI optimization data is not portable
Landing pages export as HTML but lose dynamic form connections
Pipedrive gotchas
Custom field hash keys differ per account
Export access gated by visibility groups
Token-based API rate limits since December 2024
Sequences and Automations not exposed via REST API
Cost escalates via workflow caps and add-ons
Pair-specific challenges
Migration approach
Discovery and schema design
We audit the Adaptix account across contact volume, custom properties, tags, audience segments, active automations, and any company records. We pair this with a Pipedrive workspace audit to confirm the active plan tier and identify any pre-existing custom fields or labels that will conflict with the migration schema. The discovery output is a written migration scope document with the full field mapping table, a Pipedrive pipeline design (if deal tracking is new), and a list of non-migratable assets requiring rebuild.
Pipedrive workspace preparation
We create all required custom fields on Person, Organization, and Deal (if applicable) in Pipedrive before any data import. Labels that correspond to Adaptix tags are pre-created. If the customer is adopting deal tracking for the first time, we configure the initial pipeline stage names and probabilities in collaboration with the customer's sales lead. The workspace is set up in the production Pipedrive account so that migration runs against live data.
Organization import with dedupe
We export Adaptix Company records and import them into Pipedrive as Organizations using email domain as the dedupe key. The Organization ID is captured at import time to satisfy the Organization lookup on Person records. Any Adaptix companies without a domain use the company name as an alternative dedupe key.
Person import with Organization lookup resolution
We export Adaptix Contact records with all standard fields and custom properties. Each contact's Organization is resolved via domain-to-Organization match before the Person record is created in Pipedrive. Tags are translated to Pipedrive Labels and assigned during the same import batch. The Adaptix contact ID is preserved in adaptix_contact_id__c for post-migration reconciliation.
SMS consent and custom field validation
We explicitly migrate SMS opt-in status and consent timestamps to custom fields on Person. If Adaptix records contain consent dates, these are preserved as a separate consent_date__c field. We flag any contacts with SMS consent that may require re-opt-in if the destination SMS tool (Pipedrive SMS or an integration) has different compliance requirements.
Cutover, delta sync, and rebuild handoff
We freeze Adaptix writes during the cutover window, run a final delta migration of any records modified during migration, and switch the system of record to Pipedrive. We deliver the Automation rebuild inventory document and the audience segment reconstruction guide to the customer's admin team. We support a one-week hypercare window for reconciliation issues. We do not rebuild Adaptix automations or forms inside the migration scope; those are separate rebuild tasks.

Complexity grading
Moderate CRM migration. 3 of 8 objects need a mapping; the rest are 1:1.
Overall complexity
Moderate migration
Derived from compatibility, mapping clarity, API constraints, and data volume across Adaptix and Pipedrive.
Object compatibility
3 of 8 objects need a mapping; the rest are 1:1.
Field mapping clarity
Field mapping is derived from defaults — final spec confirmed during the sample migration.
Timeline complexity
8-object category — typical timelines run 2–7 days end-to-end.
API constraints
Adaptix: Adaptix references an API rate limiter in its documentation but does not publish specific thresholds. We assume typical SaaS limits (a few hundred requests per minute per tenant) and tune extraction concurrency against the customer's tier during scoping..
Data volume sensitivity
Adaptix doesn't expose a bulk API — REST + parallelization used for high-volume runs.
Estimator
Rule-based pricing — no per-record fees, no manual quotes. Migrations over 2M records are scoped individually.
