  • Adaptix has no Deals or Opportunity object

    Adaptix is a marketing automation platform with no native pipeline, deal, or revenue tracking capability. Teams migrating to Pipedrive gain the Deals object for the first time. We work with the customer during scoping to design a Pipedrive deal pipeline schema (stages, probabilities, custom fields) that reflects their sales process. Existing Adaptix contact data has no deal history to migrate; the Pipedrive Deals object starts fresh unless the customer provides a separate deals dataset to import alongside contacts.

  • Automation workflows are not exportable from Adaptix

    Adaptix does not provide an export path for automation journeys in any machine-readable format. We document each active Automation as a written step-by-step template capturing the trigger, conditions, actions, and delays. The customer rebuilds these manually in Pipedrive Workflows, Zapier, or another automation tool post-migration. This is the most time-intensive rebuild task for teams with complex lifecycle sequences and is scoped separately from the data migration.

  • Audience segments require manual rebuild in Pipedrive

    Adaptix audience segments built from multi-condition contact filter rules do not have a direct Pipedrive equivalent. We extract segment definitions and contact membership lists during migration. Pipedrive Labels provide a flat tagging layer, and custom filter views replicate saved segment logic. Complex segments with nested conditions may require multiple filter views or a custom field encoding strategy agreed upon during scoping.

  • Landing pages and forms do not migrate as functional assets

    Adaptix landing pages export as static HTML with form markup, but dynamic connections to Adaptix's form handler, tag assignments, and automation triggers are severed on export. We deliver page HTML and form field definitions as reference assets. Pipedrive CRM does not include a native landing page builder; teams need a separate web form tool (Typeform, Jotform, or Pipedrive Web-to-Lead) to replace Adaptix form capture functionality.

  • AI send-time and subject line data is not portable

    Adaptix's Send Time Optimization scores, subject line performance history, and Spintax configurations live inside the platform and are not accessible via export. Migration approach

Six steps for a successful Adaptix to Pipedrive data migration

  1. Discovery and schema design

    We audit the Adaptix account across contact volume, custom properties, tags, audience segments, active automations, and any company records. We pair this with a Pipedrive workspace audit to confirm the active plan tier and identify any pre-existing custom fields or labels that will conflict with the migration schema. The discovery output is a written migration scope document with the full field mapping table, a Pipedrive pipeline design (if deal tracking is new), and a list of non-migratable assets requiring rebuild.

  2. Pipedrive workspace preparation

    We create all required custom fields on Person, Organization, and Deal (if applicable) in Pipedrive before any data import. Labels that correspond to Adaptix tags are pre-created. If the customer is adopting deal tracking for the first time, we configure the initial pipeline stage names and probabilities in collaboration with the customer's sales lead. The workspace is set up in the production Pipedrive account so that migration runs against live data.

  3. Organization import with dedupe

    We export Adaptix Company records and import them into Pipedrive as Organizations using email domain as the dedupe key. The Organization ID is captured at import time to satisfy the Organization lookup on Person records. Any Adaptix companies without a domain use the company name as an alternative dedupe key.

  4. Person import with Organization lookup resolution

    We export Adaptix Contact records with all standard fields and custom properties. Each contact's Organization is resolved via domain-to-Organization match before the Person record is created in Pipedrive. Tags are translated to Pipedrive Labels and assigned during the same import batch. The Adaptix contact ID is preserved in adaptix_contact_id__c for post-migration reconciliation.

  5. SMS consent and custom field validation

    We explicitly migrate SMS opt-in status and consent timestamps to custom fields on Person. If Adaptix records contain consent dates, these are preserved as a separate consent_date__c field. We flag any contacts with SMS consent that may require re-opt-in if the destination SMS tool (Pipedrive SMS or an integration) has different compliance requirements.

  6. Cutover, delta sync, and rebuild handoff

    We freeze Adaptix writes during the cutover window, run a final delta migration of any records modified during migration, and switch the system of record to Pipedrive. We deliver the Automation rebuild inventory document and the audience segment reconstruction guide to the customer's admin team. We support a one-week hypercare window for reconciliation issues. We do not rebuild Adaptix automations or forms inside the migration scope; those are separate rebuild tasks.
