  • Adaptix has no Deal object; Deals live as contact properties

    Adaptix does not have a native deal or opportunity object. Any deal records exist as contact properties (for example, a Deal Stage dropdown, Deal Amount number, or Deal Name text field) or in exported CSV lists. We cannot automatically reconstruct these as Monday.com Deal board items without customer input identifying which contact properties hold deal data and what values map to which pipeline stages. Discovery must include a property audit to identify every contact field used for sales tracking before migration begins.

  • Monday.com requires Contacts to link to Companies

    Monday.com People records require a Company link. If an Adaptix Contact has no associated Company, it cannot be imported as a Monday.com Person without first creating or linking a Company. We handle this by creating placeholder Company records for Contacts without company data, or by mapping them to a default Company during migration. This must be decided during scoping because the approach affects record counts and data cleanliness.

  • Automations do not migrate; they must be rebuilt

    Adaptix automation journeys are not exportable in machine-readable format. We document the trigger, conditions, actions, and delays for each automation as a written reference guide. Monday.com Workflows are rebuilt manually from this documentation. This is the most labor-intensive part of the migration for teams with complex lifecycle sequences. We do not provide post-migration workflow rebuild as standard scope.

  • Monday.com API rate limits require batch processing

    Monday.com's GraphQL API enforces rate limits per workspace per minute. For migrations exceeding 5,000 records, we chunk imports into batches and apply exponential backoff on 429 responses. Large migrations may require multiple import sessions. We test rate limit behavior during the sandbox phase to calibrate batch sizes before production migration.

  • Email engagement history and AI send-time data are not portable

    Adaptix tracks email opens, clicks, sends, and AI send-time optimization scores as internal engagement data. Monday.com CRM does not have a native engagement timeline equivalent to HubSpot's activity timeline. We do not migrate engagement history or AI optimization data. We recommend documenting key AI send-time windows before cutover for manual reference in Monday.com's separate email integration tools.

  1. Discovery and property audit

    We audit the Adaptix account for total Contact count, Company count, custom properties on both objects, any exported Deal lists, audience segment definitions, tag usage, automation list, and landing page/form count.   2. Monday.com CRM workspace setup

    We run a test migration into a Monday.com workspace clone or shadow environment using a representative data sample. The customer reconciles record counts, spot-checks mapped field values, and confirms Deal board structure before production migration begins. Any field type mismatches or missing Monday.com field equivalents are resolved here. This step prevents corrections during production cutover.

  4. Production migration in dependency order

    We run production migration in this sequence: Companies (first, because People require a Company link), People (with custom fields resolved), Deal board Items (reconstructed from the identified contact properties or imported CSV), Tags/Labels (applied to People after import), and Custom Objects (last, with schema pre-created). Each phase emits a row-count reconciliation report before the next begins. Monday.com API batching applies throughout.

  5. Cutover and automation rebuild handoff

    We freeze Adaptix writes during cutover, run a final delta migration of any records modified during the migration window, then set Monday.com CRM as the system of record. We deliver the automation inventory document listing every Adaptix automation with its documented logic and recommended Monday.com Workflow equivalent. We support a three-day hypercare window for reconciliation issues. Workflow rebuild is not included in migration scope; it is handled by the customer's admin or a Monday.com partner.
