Overview

What this migration involves

Moving from Adaptix to GoHighLevel is a shift from a lifecycle marketing platform toward a full CRM with native deal pipeline, opportunity tracking, and agency-oriented sub-account management. Adaptix Contacts, Companies, Tags, and Custom Properties move directly, but automation workflows do not export as executable logic. We extract automation definitions as step-by-step documentation so your admin rebuilds them in GoHighLevel's Workflow builder. GoHighLevel's Custom Objects are available on all plans, which removes the tier ceiling that Adaptix imposes on data-model complexity. SMS opt-in records migrate as custom Contact fields; email deliverability expectations reset because GoHighLevel routes outbound email through shared LC Email infrastructure rather than dedicated sending domains by default.

Field-level fidelity

Every standard and custom field arrives verified.

Schema-aware mapping

AI proposes the map; you confirm before any record moves.

Relationships preserved

Parent–child, lookups, and ownership stay linked.

Full activity history

Calls, emails, meetings — with original timestamps.

Attachments & notes

Documents, uploads, and inline notes move with the record.

Why teams make this switch

Two sides of the same decision

Leaving

Adaptix logo

Adaptix

What's pushing teams away

  • Small-team pricing ceiling — As contact volume grows beyond 10,000, costs scale rapidly with audience-based pricing, making the platform expensive relative to standalone email tools.
  • Limited advanced CRM features — No native deal pipeline management, opportunity tracking, or revenue attribution beyond basic campaign reporting, which frustrates sales-marketing alignment needs.
  • Complex automation rebuild on switch — Automation logic is not exportable as executable workflows; teams must manually reconstruct complex journeys in the new platform.
  • Enterprise governance gaps — Multi-team access and compliance controls are only available on higher tiers, limiting adoption in regulated industries without costly upgrades.

Choosing

HighLevel logo

HighLevel

What's pulling them in

  • Agencies choose HighLevel to consolidate CRM, email, SMS, scheduling, and funnels into one subscription, eliminating monthly bills for five to ten separate SaaS tools they previously stitched together.
  • The flat-rate pricing model bills per sub-account rather than per contact, so growing a contact database from 1,000 to 100,000 records does not trigger a billing surprise—a common pain point avoided by migrating customers.
  • White-label and sub-account capabilities let agencies resell HighLevel access to their own clients, turning a software cost center into a recurring revenue stream that justifies the subscription.
  • The platform ships a 14-day free trial with no credit card required, giving teams a low-friction entry point to validate fit before committing to the $97/month Starter tier.
  • Marketing agencies managing multiple client accounts use sub-accounts to maintain data isolation per client while operating under a single agency billing relationship with HighLevel.

Object mapping

How Adaptix objects map to HighLevel

Each row shows how a Adaptix object lands in HighLevel, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Adaptix

Contact

maps to

HighLevel

Contact

1:1
Fully supported

Adaptix Contacts map directly to GoHighLevel Contacts. Every standard field (email, first_name, last_name, phone, address) migrates 1:1. Custom properties on each Contact require field-level review: we create the equivalent custom field in GoHighLevel before import and flag any that lack a native GoHighLevel type equivalent.

Adaptix

Company

maps to

HighLevel

Account

1:1
Fully supported

Adaptix Companies map to GoHighLevel Accounts (called Companies in some GHL configurations but functionally an Account object). The dedupe key is the company domain or name. GoHighLevel Accounts support custom fields matching Adaptix Company custom properties.

Adaptix

Tag

maps to

HighLevel

Tag

1:1
Fully supported

Adaptix Tags migrate as GoHighLevel Tags. We export tag assignments per Contact as a mapping table and bulk-apply Tags during the Contact import phase. Tags used for segmentation in Adaptix may map to GoHighLevel Contacts / Tags or Segments depending on the customer's usage pattern.

Adaptix

Audience Segment

maps to

HighLevel

Contact Group

lossy
Fully supported

Adaptix Audience Segments are filter-rule definitions that we document as written filter logic. The contact membership list migrates separately as tagged contacts. Rebuilding the filter logic in GoHighLevel's Contact Group or Tag-based segmentation is a manual step performed by the admin using our documented segment definitions.

Adaptix

Custom Property (Contact)

maps to

HighLevel

Custom Field (Contact)

lossy
Fully supported

Adaptix Contact custom properties map to GoHighLevel Contact custom fields. We pre-create each custom field in GoHighLevel during schema setup, matching the field type (text, number, date, dropdown) before data import begins. Any Adaptix multi-select or checkbox properties map to GoHighLevel multi-select or checkbox custom field types.

Adaptix

Custom Property (Company)

maps to

HighLevel

Custom Field (Account)

lossy
Fully supported

Adaptix Company custom properties follow the same process as Contact custom properties. GoHighLevel Account-level custom fields are created before migration. Lookup relationships to Contacts require GoHighLevel's custom field relationship configuration.

Adaptix

Automation (reference only)

maps to

HighLevel

Workflow (manual rebuild)

lossy
Fully supported

Adaptix Automation workflows are not exportable in machine-readable form. We extract every automation as a written step-by-step document: trigger type, condition branches, actions, and delays. The customer receives an automation inventory and rebuilds each workflow in GoHighLevel's Workflow builder. This is the most time-intensive manual step on the customer side.

Adaptix

Landing Page

maps to

HighLevel

Funnel (manual rebuild)

lossy
Fully supported

Adaptix Landing Pages export as static HTML. We deliver the HTML assets and separately export form definitions as JSON. GoHighLevel's Funnel builder does not import external HTML directly; pages must be rebuilt using GoHighLevel's drag-and-drop builder or by a designer using GoHighLevel's template library. We flag each page's form-to-automation connections for manual rebuild.

Adaptix

Form

maps to

HighLevel

Form

lossy
Fully supported

Adaptix Form field definitions export as JSON with consent settings. Mapping to GoHighLevel Forms requires field-level review because GoHighLevel Forms use their own field schema. SMS consent fields on forms are flagged explicitly for compliance reconstruction.

Pair-specific challenges

  • Automation workflows are not executable on arrival

Adaptix does not provide a machine-readable export format for automation journeys. GoHighLevel's Workflow builder has a different event model, trigger types, and action library than Adaptix's automation engine. We document every Adaptix automation as a step-by-step reference guide with trigger, conditions, actions, and delays. Your admin rebuilds each workflow in GoHighLevel's Workflow builder post-migration. We deliver the automation inventory at cutover so rebuilding can begin during the migration window.

  • SMS consent records require explicit field reconstruction

Adaptix tracks SMS opt-in status as a contact property. GoHighLevel does not have a native SMS consent field; consent data must be stored as a custom Contact field. We create the custom field and migrate the consent value, but consent date, consent source, and consent method (web form, SMS reply, verbal) are Adaptix-specific and may require a custom field for each data point. TCPA compliance depends on this data being accurate in GoHighLevel before any SMS campaign begins.

  • Landing pages migrate as HTML assets only

Adaptix Landing Pages export as static HTML with embedded form markup, but dynamic form-to-automation connections, tag assignments, and internal tracking are severed on export. GoHighLevel's Funnel builder does not accept external HTML imports. We deliver the HTML assets and separately export form definitions as JSON, but rebuilding each page's design and reconnecting forms to GoHighLevel Workflows is manual configuration that your team or a designer performs after migration.

  • Email deliverability resets at migration

Adaptix uses its own sending infrastructure with AI-optimized send-time scores that are not exported. GoHighLevel routes outbound email through LC Email (Mailgun shared infrastructure), which means deliverability out-of-the-box depends on shared IP reputation shared with other GHL senders. We configure SPF, DKIM, and DMARC on your dedicated sending domain during migration setup, but the AI send-time optimization data is lost. Expect a 2-4 week sending domain warmup period before inbox placement stabilizes.

Migration approach

Six steps for a successful Adaptix to HighLevel data migration

  1. Discovery and schema mapping

We audit the Adaptix account for total contact count, company count, custom property definitions (per contact and per company), tag list, active automation count, landing page count, and SMS consent field presence. We then map every Adaptix custom property to a GoHighLevel custom field, creating the GoHighLevel field with the matching type (text, number, date, multi-select, checkbox) before any data moves. We document each automation as a reference template at this stage so the rebuild scope is visible before migration begins.

  2. SMS consent field configuration

We create custom Contact fields in GoHighLevel to hold SMS opt-in status, consent date, and consent source. If Adaptix tracks consent method, we add a custom field for that too. TCPA compliance in GoHighLevel depends on these fields being populated at import time; we verify the mapping before the contact import batch begins.

  3. Contact and Company import

We import Adaptix Contacts into GoHighLevel Contacts in batches, resolving each Contact's company association to the pre-created GoHighLevel Account. Tags apply per contact during import using GoHighLevel's bulk tag endpoint. Dedupe runs on email address. Custom property data populates the custom fields created in step one. SMS consent fields populate from the mapped Adaptix consent properties. Company records import before Contact records so the Account-Custom Object relationship resolves at insert time.

  4. Automation documentation delivery

We deliver the complete automation inventory to your admin team: for each Adaptix automation, a document listing the trigger event, every condition branch with field and value, each action (send email, add tag, update property, wait, branch), delay values, and a GoHighLevel Workflow rebuild recommendation. We do not rebuild workflows in GoHighLevel as part of the migration scope.

  5. Landing page asset delivery and funnel rebuild handoff

We deliver exported HTML assets and form JSON definitions for every Adaptix landing page. We provide a per-page reference sheet identifying which forms are embedded, which automation each form triggered, and which tags were assigned on submission. Your team or a GoHighLevel designer uses this to rebuild each page in GoHighLevel's Funnel builder.

  6. Cutover, delta sync, and validation

We freeze Adaptix writes during cutover, run a delta migration of any contacts or companies modified during the migration window, then mark GoHighLevel as the system of record. We validate record counts against the Adaptix export, spot-check 20-30 records for field accuracy, and confirm SMS consent field coverage. We deliver the final migration report with the automation inventory and funnel rebuild reference sheet. We support a three-day post-cutover window for data discrepancy resolution.

Platform deep dives

Context on both ends of the pair

Adaptix logo

Adaptix

Source

Strengths

  • Audience-based pricing that starts low and scales predictably by contact tier rather than feature gating.
  • Free guided migration for lists, templates, and domains reduces initial switching friction.
  • AI send-time and subject-line tools integrated without requiring a separate AI subscription.
  • Template marketplace covering welcome, onboarding, promo, and re-engagement sequences with brand kit controls.
  • Single platform for email, SMS, landing pages, forms, and lifecycle automation reduces tool sprawl.

Weaknesses

  • No native deal pipeline or opportunity object; sales teams must rely on external CRM integration.
  • Automation workflows are not portable; teams cannot export live journeys to another platform.
  • AI optimization data (send-time scores, subject line history) is not exported, forcing a reset on performance baselines.
  • Enterprise multi-team governance and compliance guardrails are gated behind higher pricing tiers.
  • Limited public API documentation; automation and deep integration require Adaptix-specific knowledge not widely available.

Strengths

  • Consolidates CRM, marketing automation, email, SMS, scheduling, and funnels into one platform at a predictable flat monthly rate.
  • Supports unlimited contacts and unlimited users on all paid tiers, removing per-record billing anxiety as databases grow.
  • Offers white-label and sub-account capabilities that let agencies resell access and manage multiple client environments under one billing relationship.
  • Includes built-in review management, reputation monitoring, and AI agents as native features rather than third-party add-ons.
  • Exports Contacts and Companies via a scalable async bulk CSV system that handles multi-million-row datasets without blocking the UI.

Weaknesses

  • The breadth of features creates a steep learning curve; advanced automations and Workflow configuration require significant time investment that smaller teams may not recover.
  • The platform charges usage-based fees for telecommunications and AI features that are not included in the base subscription, leading to bill surprises.
  • Recurring user reports on Reddit and G2 describe bugs, errors, and slow support response times that disrupt live marketing and sales operations.
  • Sub-account architecture, while powerful for agencies, adds migration complexity when identifying which client data lives in which isolated environment.
  • The platform is designed for agencies and SMBs; larger enterprises requiring deep reporting, custom objects at scale, or complex role-based access may outgrow its capabilities.

Most Adaptix to GoHighLevel migrations land between two and three weeks for straightforward accounts under 5,000 contacts with fewer than 100 custom properties and under 20 active automations. Accounts with complex automation rebuild scope (more than 20 workflows), multiple landing pages requiring manual rebuild, or SMS consent field reconstruction for compliance extend to five to eight weeks. The timeline is driven primarily by automation documentation scope and landing page asset preparation rather than data import speed.
