Moving from Talent Pathway to Zoho Recruit is a migration from a purpose-built healthcare staffing ATS with no documented API to a general-recruitment ATS with a published REST API and CSV bulk import tooling. Talent Pathway's credential tracking, placement billing, and Hire/Employee Module do not have direct Zoho Recruit equivalents, so we build custom fields, custom modules, and expiry-alert workflows to preserve the compliance model. The most significant constraint is extraction: Talent Pathway does not publish API documentation, which means bulk data pull depends on UI-based CSV exports coordinated with their support team, not an automated pipeline.   • No documented bulk export API on Talent Pathway

    Talent Pathway does not publish API documentation or a developer portal, and bulk data extraction relies on manual CSV exports through the UI or coordination with Talent Pathway support. We work with the customer's team to obtain structured CSV exports for all modules, but cannot guarantee automated or repeatable extraction. This affects timeline estimates for candidate databases over 5,000 records and requires a manual-export template that we provide during the discovery phase. If Talent Pathway support cannot produce a clean export within the agreed window, migration timeline extends accordingly.

  • Credential expiry alerting does not migrate as logic

    Talent Pathway tracks credential expiry dates (RN licenses, BLS/ACLS) with platform-embedded alert logic. When migrating credentials to Zoho Recruit, expiry dates transfer as static custom date fields but the alert workflow does not. We flag every credential with an expiry date within 90 days of cutover as a high-priority reconciliation item. For each flagged credential, we create a Zoho Recruit Workflow rule that triggers an email to the assigned recruiter 30 days before expiry. However, this workflow must be configured by the customer or scoped as a separate configuration task; it is not an automatic carryover from Talent Pathway.

  • Zoho Recruit has no native billing or timesheet module

    Talent Pathway Performance tier bundles Timesheets, Invoicing, Commissions, and Scheduling as native features. Zoho Recruit has no equivalent native modules for timesheets or billing. We build custom modules to store the historical data, but the active workflow (submit timesheet, manager approves, invoice generated) must be rebuilt in Zoho Recruit using Workflow Rules and Custom Functions, or the customer must adopt Zoho Invoice and Zoho People as connected applications. This gap is scoped explicitly in the pre-migration audit and documented as a post-migration rebuild item.

  • Tier-gapped features have no destination equivalent

    Talent Pathway's tier structure gates Credentialing, Timesheets, Invoicing, Commissions, Scheduling, Custom Workflows, and AI (Theo) across Starter, Performance, and Enterprise tiers. If a customer is migrating off Talent Pathway after using a Performance or Enterprise feature that has no Zoho Recruit equivalent, we scope the migration to include what is accessible and document the gap. Custom Workflows and AI (Theo) are explicitly scoped as configuration-rebuild items, not data migrations. VMS integration configurations are not exportable from Talent Pathway and require re-setup in Zoho Recruit Enterprise.

  • Zoho Recruit mandatory field requirement may reject candidate records

    Zoho Recruit requires Last Name on all Candidate records during import. Talent Pathway Candidates may have incomplete name data, particularly for PRN or per-diem healthcare staff entered with first name only. We flag records with missing last names during the pre-migration audit and substitute 'Not Provided' per Zoho's import documentation. Additionally, Zoho Recruit requires at least two users in the account before migration can run; if the customer has only one recruiter, we instruct them to add a second user before the import phase begins.

Migration approach

Six steps for a successful Talent Pathway to Zoho Recruit data migration

  1. Discovery and export planning

    We audit the source Talent Pathway account to identify the tier in use (Starter/Performance/Enterprise), active modules (which of Credentialing, Timesheets, Invoicing, Commissions, Scheduling, Custom Workflows, VMS integrations are in use), record volumes per module, and any known data quality issues. We then produce a manual-export template for the customer's Talent Pathway team to execute via the UI, with column headers mapped to Zoho Recruit field names. Because Talent Pathway has no API documentation, this export step is manual and requires the customer's team to work with Talent Pathway support if large-volume exports are needed. The discovery output is a written migration scope and an export checklist with due dates.

  2. Schema design and custom module build in Zoho Recruit

    We design the destination schema in Zoho Recruit before any data is imported. This includes creating custom modules for Credentials (with expiry date fields and picklist status), Timesheets, Commissions, Employees, and Schedules. Custom fields on the standard Candidate module capture healthcare-specific attributes (specialty, shift type, travel status, skills checklist completion). We configure Workflow Rules for credential expiry alerting and timesheet approval routing. All schema is built in a Zoho Recruit sandbox or staging account for validation before production migration.

  3. Sandbox migration and reconciliation

    We run a full migration into the Zoho Recruit staging environment using the exported Talent Pathway CSV files. The customer's staffing operations lead reconciles record counts (Candidates in, Jobs in, Placements in, Credentials in), spot-checks 25-50 records against the Talent Pathway source, and verifies that credential expiry dates, placement associations, and employee assignments are correctly populated. Mapping corrections and any custom field additions happen here, not in production. The customer signs off on the sandbox migration before production begins.

  4. User provisioning and owner reconciliation

    We extract every distinct recruiter and manager assignment from Talent Pathway and match by email against Zoho Recruit User accounts. Any user without an active Zoho Recruit account is added to a provisioning queue for the customer's admin. Zoho Recruit's migration documentation requires at least two users to exist before CSV import runs; if only one recruiter account exists, we flag this before production migration begins. Owner resolution is a prerequisite step: candidate records cannot be imported with unresolved owner IDs.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Users (validated), Job Openings (from Talent Pathway Jobs), Candidates (with Last Name validated and custom healthcare fields populated), Credentials custom module (with expiry dates and status), Placements (linked to Candidates and Job Openings), Timesheets custom module, Commission custom module, Employee custom module, and Scheduling custom module. Documents and attachments are imported last, re-associated by record ID to the corresponding Candidate or Job Opening. Each phase emits a row-count reconciliation report before the next phase begins.

  6. Cutover, delta migration, and Workflow rebuild handoff

    We freeze Talent Pathway writes during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho Recruit as the system of record. We deliver the Custom Workflow and Automation inventory document to the customer's admin team for rebuild in Zoho Recruit Blueprints and Workflow Rules. We deliver the VMS integration documentation for re-setup in Zoho Recruit Enterprise. We deliver the commission logic document for re-implementation in Zoho Recruit Custom Functions or a connected payroll system. We do not rebuild Talent Pathway workflows as Zoho Recruit automations inside the migration scope; that is a separate engagement. We support a one-week hypercare window for reconciliation issues.
