When migrating credentials to Crelate, the expiry dates travel as structured date fields but Crelate does not have native expiry alerting for credential objects. We flag every credential with an expiry date within 90 days of migration date in a custom field flagged for admin review. The customer must configure Crelate's notification or workflow system to generate expiry reminders post-migration; this is a configuration step, not a data migration step.

  • Commission calculation logic does not migrate

    Talent Pathway's Commissions Module (Performance-tier) stores payout amounts tied to Placements but not the rules that produced them. Rate tables, multipliers, tiered commission structures, and override conditions do not export as data. We preserve the resulting payout amounts, payment dates, and payment status as custom fields on Crelate Placement or Activity records. We advise customers to document their commission calculation logic separately during the discovery phase so it can be re-implemented in Crelate's payroll configuration or an integrated billing tool post-migration.

  • Talent Pathway tier-gated features may lack Crelate equivalents

    Timesheets, Invoicing, Commissions, and Scheduling are Performance-tier features in Talent Pathway; Custom Workflows and AI (Theo) are Enterprise-exclusive. Crelate does not have a native AI candidate-matching module equivalent to Talent Pathway's Theo. Skills Checklists map to Crelate Activity Forms but may require custom configuration. The customer's admin must rebuild VMS connections in Crelate post-migration using the same credentials and endpoint information we document during discovery.

Migration approach

Six steps for a successful Talent Pathway to Crelate data migration

  1. Discovery and export coordination

    We audit the source Talent Pathway instance across tier (Starter, Performance, Enterprise), active credential types, Skills Checklist library size, Placement and Timesheet volume, active Commission records, and any documented VMS integrations. Because Talent Pathway has no public API, we coordinate with the customer's Talent Pathway account to request structured CSV exports. We provide a data request checklist specifying the exact fields and objects needed for each export batch. The discovery output is a written migration scope, an export schedule coordinated with Talent Pathway support, and a pre-migration data quality report identifying duplicates, incomplete records, and expired credentials.

  2. Crelate environment preparation and custom field design

    We design the destination Crelate environment to accommodate Talent Pathway's healthcare-specific data model. This includes creating custom fields on People for credential metadata (license number, issuing state, expiry date, verification status), custom Activity Form definitions for Skills Checklists, and custom fields on Placement for commission amounts and scheduling data. If the customer uses Performance-tier features (Timesheets, Invoicing), we configure a custom Invoice object or designate Activity-based tracking for billing records. All custom field names, types, and picklist values are documented in a Crelate configuration plan before any data import begins.

  3. Sandbox migration and credential reconciliation

    We run a full migration into Crelate's sandbox or a test environment using production-like data volume from Talent Pathway. The customer's implementation lead reconciles record counts (People in, Credentials in, Jobs in, Placements in), spot-checks 25-50 random records against the Talent Pathway source, and verifies that credential expiry dates and Skills Checklist responses are correctly linked. Any mapping corrections and custom field adjustments happen here. The customer signs off the sandbox results before production migration begins.

  4. Credential and placement data migration

    We migrate Talent Pathway data in dependency order: People records first (with source system IDs preserved), then Credential Activity Forms attached to each People record, then Job records, then Placement records with Credential-to-Placement associations resolved by matching source IDs. Each credential record is evaluated at migration time; records with expiry dates within 90 days are flagged with a custom alert field for immediate admin follow-up. Commission payout amounts migrate as custom fields on Placement records; commission calculation rules are not migrated and are noted in the handoff document for the customer's admin.

  5. Performance-tier data migration (Timesheets, Invoicing, Scheduling)

    If the customer is migrating Performance-tier data, we run a separate migration phase for Timesheet entries, Invoice records, and Scheduling records. Timesheet rows map to Crelate Activity records with hours and date fields linked to the parent Placement. Invoice records map to the configured Invoice object or Activity-based tracking. Scheduling records map to Crelate Event-type Activities linked to Placement. Each phase emits a row-count reconciliation report. VMS integration configurations are documented for rebuild; they do not migrate as live settings.

  6. Cutover, delta migration, and rebuild handoff

    We freeze Talent Pathway writes during the cutover window, run a final delta migration of any records modified during the migration period, then designate Crelate as the system of record. We deliver a Skills Checklist rebuild guide mapping Talent Pathway checklist definitions to Crelate Activity Forms, a Commission rules documentation template, and a VMS integration rebuild checklist. We do not rebuild Custom Workflows or configure Crelate's Recruiting Workflows as part of the migration scope; these are documented for the customer's admin to configure post-migration. We support a one-week hypercare window for reconciliation issues.
