Overview
Moving from Spotler Mail+ to Pipedrive is a cross-category migration from email marketing automation into sales CRM. Spotler Mail+ stores contacts with tags, lead scores, custom field profiles, and mailing interaction records; Pipedrive uses People, Organizations, Deals, Activities, and custom fields. We extract the contact record and its associated metadata as the primary migration payload, then map Spotler tags to Pipedrive labels, scores to number fields, and custom fields to Pipedrive field types matching the source schema. Mailing interaction history is scoped to the most recent 24-month window because Spotler Mail+ anonymizes opens, clicks, and delivery data after 24 months. Workflow automations, email templates, landing pages, and form logic do not migrate as executable records; we deliver written inventories for the customer's admin to rebuild in Pipedrive or a dedicated automation tool. The migration uses Spotler Mail+'s REST API with paginated contact export and Pipedrive's REST API for People and Organization import.

Discovery and scoping
We audit the Spotler Mail+ account for contact volume, custom field definitions (field names, types, and options), tag vocabulary size, lead score fields, form submissions, audience segments, and mailing interaction history date range. We confirm the Pipedrive account edition and validate custom field creation limits (Essential allows 45 custom fields per entity; higher tiers allow more). We confirm the customer's Pipedrive tier before scoping custom object migration. The discovery output is a written migration scope covering what migrates, what requires configuration, and what is documented for manual rebuild.
Schema pre-creation in Pipedrive
We create Pipedrive custom fields to match the Spotler Mail+ custom field registry before any data import. Text fields, number fields, date fields, dropdown fields, and multi-select fields are provisioned in Pipedrive's field settings. Pipedrive Labels are created to match the Spotler tag vocabulary. Pipedrive does not require a sandbox step for standard migrations, but we recommend running the first import pass against a test Pipedrive account if the customer has complex custom fields or high record volume.
Contact extraction with pagination
We extract Spotler Mail+ contacts via the REST API with paginated iteration, extracting standard fields, custom fields, tags, scores, and associated metadata in each pass. We implement retry logic with exponential backoff and checkpointing to handle rate-limit responses. Each contact is assigned a temporary UUID for tracking through the pipeline. Form submissions are extracted separately and linked by contact email.
Mailing history extraction and window enforcement
We query Spotler Mail+ for mailing interaction records scoped to the most recent 24-month window. Records beyond this window are excluded and documented as data loss due to Spotler's anonymisation policy. Each mailing event (sent, open, click, bounce, unsubscribe) is denormalized into a structured record with the Person's email address as the linking key. Engagement volume is reported to the customer before migration proceeds so that they can decide whether to include or exclude the engagement layer.
Pipedrive import in dependency order
We import Pipedrive People first using the REST API, resolving the Person ID for each record before importing related data. Labels are attached to People via Pipedrive's label endpoints after Person creation. Custom field values are populated during Person creation or via a separate update pass. Activity history (denormalized mailing interactions) is imported as Note records or Activity records attached to the Person. Form submissions are imported as Notes on the Person record. Owner mapping is resolved by email match against the Pipedrive User table.
Validation and automation rebuild handoff
We reconcile record counts between Spotler Mail+ export and Pipedrive import (People count, label count, custom field population rate). We spot-check 20-30 records for data accuracy. We deliver the automation inventory document listing every Spotler Mail+ workflow, its trigger conditions, and the recommended Pipedrive Automation equivalent or replacement tool. We do not rebuild workflows or email templates inside the migration scope. Template HTML/CSS assets are delivered as export files for manual reassembly in Pipedrive's template editor.
