    Spotler Mail+ is an email marketing automation platform; Pipedrive is a sales CRM. There is no 1:1 mapping for Spotler's campaign-sending infrastructure, A/B testing engine, or mailing analytics dashboard. Pipedrive does not send marketing campaigns. We migrate contact records and associated metadata, but the email marketing feature set (campaign sends, A/B tests, automated drip series triggered by email behaviour) has no Pipedrive equivalent and must be replaced with a dedicated marketing automation tool or Pipedrive's own Automation engine scoped to CRM events only.

    Spotler Mail+ form and survey results export as flat records linked to contacts rather than as structured question-response objects. Survey questions, answer options, and conditional logic do not export. We denormalize submission data into Note content on the Person record, but the original survey structure is lost. Survey closure rules (date-triggered or quota-triggered) and conditional display logic do not export at all and must be recreated in the customer's chosen survey or form tool.

  • No bulk export endpoint forces scripted pagination

    The Spotler Mail+ REST API lacks a documented bulk export endpoint. We paginate through contacts using cursor-based or page-number pagination with retry logic, exponential backoff, and checkpointing. Large databases (20,000+ contacts) require scripted looping with state persistence to resume after rate-limit pauses. We implement this extraction pipeline as part of the migration tooling and validate record counts against Spotler's UI before import begins.

  1. Discovery and scoping

  3. Contact extraction with pagination

    We extract Spotler Mail+ contacts via the REST API with paginated iteration, extracting standard fields, custom fields, tags, scores, and associated metadata in each pass. We implement retry logic with exponential backoff and checkpointing to handle rate-limit responses. Each contact is assigned a temporary UUID for tracking through the pipeline. Form submissions are extracted separately and linked by contact email.

  4. Mailing history extraction and window enforcement

    We query Spotler Mail+ for mailing interaction records scoped to the most recent 24-month window. Records beyond this window are excluded and documented as data loss due to Spotler's anonymisation policy. Each mailing event (sent, open, click, bounce, unsubscribe) is denormalized into a structured record with the Person's email address as the linking key. Engagement volume is reported to the customer before migration proceeds so that they can decide whether to include or exclude the engagement layer.

  5. Pipedrive import in dependency order

    We import Pipedrive People first using the REST API, resolving the Person ID for each record before importing related data. Labels are attached to People via Pipedrive's label endpoints after Person creation. Custom field values are populated during Person creation or via a separate update pass. Activity history (denormalized mailing interactions) is imported as Note records or Activity records attached to the Person. Form submissions are imported as Notes on the Person record. Owner mapping is resolved by email match against the Pipedrive User table.

  6. Validation and automation rebuild handoff

    We reconcile record counts between Spotler Mail+ export and Pipedrive import (People count, label count, custom field population rate). We spot-check 20-30 records for data accuracy. We deliver the automation inventory document listing every Spotler Mail+ workflow, its trigger conditions, and the recommended Pipedrive Automation equivalent or replacement tool.
