  • WayMore has no public API for automated extraction

    WayMore does not expose a REST API, GraphQL endpoint, or bulk export endpoint in its developer documentation. All data extraction relies on CSV exports available from the dashboard and supplemental individual record pulls from the browser interface. This limits the speed and completeness of source extraction, particularly for objects like Automation Workflows, Chatbot Flows, and Segments that are not available in bulk export formats. We handle this by extracting all available CSV exports, documenting the manual steps required to supplement missing data from the UI, and flagging any data that cannot be extracted at all during the scoping phase.

  • Marketing asset files are not portable between platforms

    Email templates, images, media files, chatbot assets, and other files stored in WayMore cannot be exported via any documented API or bulk download mechanism. These must be downloaded individually through the browser interface, which is time-consuming for accounts with large asset libraries. We compile a complete asset inventory during scoping, provide a checklist-based download guide organized by asset type, and note that the customer must manually download and re-upload assets to Pipedrive's file storage or connected content management tools.

  • Pipedrive custom fields must exist before CSV import

    Pipedrive does not auto-create custom fields during CSV import. If the WayMore CSV contains custom properties that do not have a matching Pipedrive field, those columns are ignored during import. We pre-create all required custom fields in Pipedrive before running any import, including fields for segment membership snapshots, behavioral data, and any campaign metrics that need to transfer as structured data rather than free text.

  • Automation execution state and pending workflows do not transfer

    WayMore automation workflows govern customer journey behavior with triggers, conditions, delays, and queued messages. When migrating to Pipedrive, all active workflow execution state, pending delays, and queued messages are lost. Contacts will need to re-enter workflows at the destination, and any contacts mid-journey at cutover will resume from the beginning. We capture workflow definitions as structured documentation, note which workflows had high-volume active executions at cutover time, and recommend a re-engagement sequence to the customer's marketing team.

  • Dynamic segment rules become static snapshots

    WayMore segments are defined by dynamic behavioral rules that update automatically based on contact activity. When migrating, these dynamic rules cannot be replicated in Pipedrive because Pipedrive does not support dynamic audience lists equivalent to WayMore's segment engine. We export the current contact membership of each segment as a static tag list, but the list will not auto-update in Pipedrive without manual reconfiguration of Pipedrive's filtering and smart dynamic lists.

Migration approach

Six steps for a successful WayMore to Pipedrive data migration

  1. Source environment audit and export preparation

    We audit the WayMore dashboard across all available object types (Contacts, Companies, Tags, Segments, Campaigns, SMS, Push Notifications, Automation Workflows, Chatbot Flows, Forms, Trackers). We identify which objects are available for CSV export, which require manual UI-based extraction, and which cannot be extracted at all. We also capture custom field definitions, active integrations, and the full segment membership snapshot before any data is modified. This audit output becomes the migration scope document that defines what moves, what moves as a static snapshot, and what becomes a rebuild specification.

  2. Pipedrive account provisioning and schema pre-creation

    We provision the Pipedrive account at the appropriate plan tier (Essential for basic CRM migrations, Advanced for workflow automation, Professional for eSignature and custom reporting). Before any data import, we create all custom fields required to receive WayMore's behavioral data, segment membership tags, and campaign metrics. We configure Pipedrive's pipeline stages to align with the customer's WayMore deal or campaign workflow stages, using Pipedrive's default stage set as a starting point or creating a custom stage set based on the existing pipeline structure.

  3. CSV export extraction and data transformation

    We extract all available CSV exports from the WayMore dashboard for Contacts, Companies, Tags, Campaigns, SMS, and Push Notifications. We transform each CSV into a Pipedrive-compatible format, including column mapping to Pipedrive field API names, custom field value casting, and tag formatting. For records with unsubscribed or suppressed status, we flag the email opt-out in a way that Pipedrive's compliance fields will honor. Any supplemental data not available in CSV is manually extracted following the asset download checklist.

  4. Sandbox or staging import and reconciliation

    We run an initial import into a Pipedrive staging environment (or the production account with a small record subset) to validate field mappings, confirm custom field creation, identify any missing required fields, and verify deduplication logic. We reconcile record counts against the source CSV (Contacts in, Organizations in, Tags applied, Activities created) and spot-check 20-30 records against the WayMore source for data accuracy. Any mapping corrections are documented in the field mapping workbook before full production import.

  5. Production import in dependency order

    We run production import in record-dependency order: Pipedrive Users are validated first (matched by email to any Owner records in WayMore), then Organizations (from WayMore Companies), then Persons (from WayMore Contacts with OrganizationId resolved), then Activities (campaign and engagement records linked to Persons), then Tags (applied to Persons and Organizations). Each phase emits a reconciliation report before the next begins. We run imports outside of business hours where possible to minimize conflicts with active Pipedrive users.

  6. Cutover, validation, and automation rebuild handoff

    We freeze WayMore writes during cutover, run a final delta migration of any records modified during the migration window, then mark Pipedrive as the system of record. We deliver the automation inventory document covering all WayMore Automation Workflows, Chatbot Flows, and Segment rule definitions that require rebuild in Pipedrive's workflow builder or LeadBooster Playbooks. We support a three-day hypercare window for reconciliation issues.
