Discovery and scoping
We audit the Spotler Mail+ account across record types in scope (contacts, tags, scores, custom fields, audience segmentations, form submissions, mailing history), total record counts, and active automation inventory. We confirm the customer's Spotler tier (Mail+ or MailPro) and whether multi-brand architecture affects the migration scope. We also assess the Monday.com CRM plan (Basic, Standard, or Pro) to determine whether custom object creation is available or whether segmentations will require a plan upgrade.
Data extraction and validation
We extract Spotler contact records via paginated API with checkpointing, validate column headers against the Spotler field registry, and pre-merge multi-tab files if the customer has used the multi-sheet import convention. We extract tags, scores, custom field values, and audience membership lists separately. Mailing campaign metadata is extracted within the 24-month window and scoped explicitly. Form submissions are extracted as flat records for denormalisation into Monday custom objects. We produce a pre-migration record count report for reconciliation against the Monday import results.
Monday CRM schema setup
We configure the Monday CRM Contacts board with typed columns matching the Spotler field registry (text, number, date, status, dropdown, multi-select). We create Monday custom objects for audience segmentations using the Monday developer API. Sandbox migration and reconciliation

Production migration
We run the production migration in dependency order: contact records first (with typed custom columns resolved), followed by audience segmentation custom objects, form submission custom objects, and mailing history custom objects. Each phase produces a row-count reconciliation report. We resolve Spotler users matched by email to Monday team members; unresolved owners are held in a reconciliation queue for the customer's admin to provision before migration resumes.
Cutover, validation, and automation handoff
We freeze Spotler writes during cutover and run a final delta migration of any records modified during the migration window. We enable the Monday CRM board as the system of record and deliver the Spotler automation inventory document to the customer's admin team for rebuild in Monday's automation builder. We do not rebuild Spotler automations as Monday automations inside the migration scope. We support a one-week post-migration window for reconciliation issues.
