Acquaint CRM is a property-specialist CRM built for UK estate and letting agents, storing contacts, companies, property listings, and deals in a flat schema with custom fields scoped per record. Zoho CRM uses a more normalised module structure with Leads, Contacts, Accounts, Deals, and a separate Attachments module — requiring Acquaint property listings to translate into Zoho Deals with custom fields, and Acquaint's company-contact model to resolve through Zoho's Account-Contact lookup chain. We map contacts to Zoho Contacts, Acquaint companies to Zoho Accounts, and Acquaint property listings to Zoho Deals using a Property_Link__c custom lookup. Client accounting and portal data (Acquaint-specific) have no native Zoho equivalent and are preserved as custom fields or exported as reference documents. Acquaint's workflow rules do not migrate — Zoho Blueprint workflows must be rebuilt from a FlitStack-delivered automation map. The migration uses Acquaint's REST API for data extraction and Zoho's Bulk API v8 for high-volume ingestion, with a 24–48 hour delta window at cutover.

Resolve Acquaint users and Zoho users by email match
Acquaint staff records are matched against Zoho users by email address. Any Acquaint owner without a corresponding Zoho user account is flagged in the pre-migration report. Your team either creates the Zoho user first or designates a fallback owner before migration runs. No Deal or Contact lands in Zoho without a valid Owner field — this prevents orphaned records that would break Zoho's sharing model.
Migrate Accounts before Contacts, then Properties into Deals, then Activities
Zoho requires Accounts to exist before Contacts can link via Account_Name, and Deals must exist before Tasks can link via WhatId. FlitStack sequences the migration in dependency order: Accounts → Contacts → Deals (with property data as custom fields) → Tasks → Events → Notes → Attachments. Each stage waits for the previous stage's foreign key IDs to be confirmed before committing, ensuring relationship integrity throughout.
Run a test migration on 100–300 records and generate field-level diff
A representative sample of contacts, accounts, deals, and activities migrates first. FlitStack generates a field-level diff comparing source and destination values for every mapped field. You verify property custom field values, Deal Stage assignments, and owner resolution before the full run commits. The full Acquaint dataset migrates via Zoho Bulk API with API credit monitoring to prevent rate-limit throttling.
