All data extraction requires manual CSV or Excel exports from the Talent Clue dashboard, or database-level access if the customer has granted technical access. We confirm the export method with the customer during discovery. If only dashboard export is available, we handle large datasets by chunking exports per job or date range and merging them into a complete dataset before loading into Zoho Recruit.

  • GDPR erasure in Talent Clue is permanent and cannot be recovered

    Talent Clue's GDPR erasure process permanently deletes candidate records with no recovery path. If a candidate record was deleted in Talent Clue before migration begins, it cannot be extracted. We run a candidate audit during discovery, pause any auto-deletion workflows in Talent Clue, and export the full candidate list before beginning migration so that any records deleted after discovery are captured in the final delta export. The customer should confirm no active GDPR deletion workflows are running before extraction starts.

  • Zoho Recruit silently skips candidates without a Last Name value

    Zoho Recruit's import wizard treats Last Name as a mandatory field on Candidate records. Records with a missing Last Name are ignored during import without a warning email. Talent Clue candidates sourced from LinkedIn or with no surname field present will have a blank Last Name value in the export. We resolve this at the transform stage by setting Last Name to 'not provided' for any record missing that field, preserving the original name data in a custom field for reference.

  • Existing Zoho Recruit users cannot be imported in the same migration batch

    Zoho Recruit's migration documentation states that users who already have a separate Zoho Recruit account cannot be imported in the same batch. The existing separate account must be closed before the user can be imported into the company's Recruit account. We identify any Talent Clue recruiters who may have existing Zoho Recruit accounts during discovery and coordinate with the customer's team to close or consolidate those accounts before the migration run.

  • Factorial HR integration creates pre-existing employee records in the destination

    When Talent Clue and Factorial HR are used together, hired candidates are pushed from Talent Clue to Factorial as new employee records. This means some candidate-to-employee transitions may have already occurred outside of the migration scope. We identify any pre-existing employee records in Factorial during discovery and reconcile them against the Talent Clue hired-candidate list to avoid duplicate employee profiles or conflicting start dates when hired candidates are processed in Zoho Recruit.

Six steps for a successful Talent Clue to Zoho Recruit data migration

  1. Discovery and export method confirmation

    We audit the Talent Clue account to confirm the available export method: dashboard CSV/Excel download per module, or database-level access if the customer has granted it. We enumerate all active jobs, candidates, applications, talent pool records, evaluations, interviews, and attachments. We identify any active GDPR deletion workflows, any Factorial HR integration records, and the complete list of custom fields and pipeline stage labels. We request the customer to provide screenshots or a manual list of custom field definitions and stage labels since these are not exposed in the standard dashboard export.

  2. Zoho Recruit target schema setup

    We create the target schema in Zoho Recruit before any data loads begin. This includes configuring the candidate pipeline stages to match Talent Clue's stage labels and sequence, creating any custom fields required by the custom field mapping, configuring tags or picklist values for the talent pool migration, and setting up the job opening structure to match the source vacancy hierarchy. We also confirm the Zoho Recruit edition (Free, Standard, Professional, or Enterprise) based on the customer's record limits and feature requirements.

  3. CSV export sequencing and data extraction

    We extract data from Talent Clue in dependency order using chunked dashboard exports: Jobs first, then Users, then Candidates, then Applications (with candidate-job associations), then talent pool records, then Interviews, Notes, and Attachments. Large datasets are chunked by job or date range and merged into a complete dataset. We apply the Last Name normalization transform during extraction to replace blank surname values with 'not provided' and flag any records with missing mandatory fields in a pre-migration validation report.

  4. Sandbox import validation and reconciliation

    We run a full import into a Zoho Recruit test environment using production-equivalent data volume before the production migration. We validate record counts per module, spot-check candidate records for data completeness (name, email, stage, associated job), verify that attachments are present and linked correctly, and confirm that pipeline stage assignments match the source. Any mapping corrections identified in the test import are applied before production migration begins.

  5. Production migration in dependency order

    We run the production migration in Zoho Recruit's recommended dependency sequence: Users first, then Candidates (with Last Name normalization applied), then Job Openings, then candidate-job associations and pipeline stages, then Interviews, Notes, Tasks, and Attachments. Each module emits a row-count reconciliation report showing records attempted, records loaded, and records skipped (with reasons). We resolve any skipped records before advancing to the next module.

  6. Cutover, validation, and deliverables handoff

    We freeze Talent Clue writes during cutover and run a final delta export of any records modified during the migration window. We enable Zoho Recruit as the system of record and deliver the complete migration inventory document, which includes the full object and field mapping, a list of any custom fields that could not be mapped (with Zoho Recruit custom field creation instructions), the employer branding asset file package, and a written evaluation scorecard mapping for the customer's admin to configure in Zoho Recruit's assessment forms.
