  • SendCloud parcel and shipment data has no CRM equivalent

    SendCloud's core objects (Parcel, Shipment, Return, Label, Carrier routing rules) are shipping-specific and have no native Pipedrive equivalent. We handle this by mapping shipment context to Notes and Tasks attached to Person records, preserving the data as historical reference. However, live tracking, active return portals, and carrier routing automations do not migrate. Teams must configure a new shipping platform post-migration and update any shop platform integrations with new webhook endpoints.

  • Carrier negotiated rates are SendCloud-stored values that do not transfer

    SendCloud stores each merchant's negotiated carrier rates within its own platform. These rates are not exported as a portable data set. We flag this during scoping so customers understand they will need to re-negotiate carrier contracts or port existing agreements directly with carriers. We preserve all Parcel, Shipment, Return, and address data that does not depend on SendCloud's internal rate tables.

  • Webhook subscriptions and integration credentials must be re-established

    SendCloud webhook subscriptions, shop platform integrations, and carrier API credentials are tied to the SendCloud account. After migration, the destination Pipedrive account does not inherit these live connections. We export webhook endpoint configurations and integration settings so they can be recreated, but the actual credential rotation and endpoint updates must be completed in both the source and destination systems to avoid duplicate events or missed tracking updates.

  • Return workflow configurations are not fully exposed via SendCloud API

    SendCloud return portal settings include return reason codes, return label templates, and return-to-address configurations set at the account level. These are not fully exposed via the public API. We inventory available return configuration during scoping, but customers should plan for manual reconfiguration of return portal settings at the destination shipping platform.

  • Free tier parcel cap can be exceeded during migration export

    SendCloud's free plan allows up to 20 parcels per month. Migration export operations that pull historical shipment data can trigger API calls that consume against this limit, causing the account to hit its cap before the migration is complete. We scope the account's current plan before beginning export and recommend customers temporarily upgrade to a paid tier if historical volume exceeds 20 parcels during the export window.

Migration approach

Six steps for a successful SendCloud to Pipedrive data migration

  1. Discovery and SendCloud plan scoping

    We audit the SendCloud account across plan tier (Free, Lite, Growth, Premium, Enterprise), exportable object volume (Parcels, Shipments, Returns), custom field schema, user count, active webhook subscriptions, and shop platform integration inventory. We pair this with a Pipedrive edition assessment: Essential ($14/user) covers basic Person and Organization migration; Advanced ($29/user) adds custom fields and additional pipelines; Professional ($49/user) enables full automation and reporting. The discovery output is a written migration scope defining what migrates, what maps to Notes and Tasks, and what requires a rebuild inventory.

  2. Address deduplication and Person-Organization split

    We extract all ship-to and ship-from addresses from SendCloud Shipment records. Ship-to addresses map to Pipedrive Person records using email as the dedupe key where available. Addresses without email are deduplicated by full name plus address string. Ship-from addresses (merchant locations) map to Pipedrive Organization records. We run deduplication against existing Pipedrive data if present and flag duplicates for resolution before migration begins.

  3. Custom field schema creation in Pipedrive

    We pre-create all Pipedrive custom fields to match the SendCloud Parcel and Return custom field schema. Field types are matched (text, number, date, picklist) to Pipedrive equivalents. Fields with no Pipedrive equivalent are documented for customer review. Custom fields are created in Pipedrive before any data import to ensure field IDs are stable for mapping during the migration run.

  4. User reconciliation and Owner provisioning

    We extract every distinct SendCloud user referenced on Parcel, Shipment, and Return records and match by email against the Pipedrive destination account's User table. Users without a matching Pipedrive account go to a reconciliation queue. The customer provisions any missing Pipedrive users before record migration resumes. OwnerId references are required on Person and Organization imports, so this step gates the data migration.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Pipedrive Users (manual provisioning validated), Organizations (from ship-from addresses), Persons (from ship-to addresses with email dedupe), Notes (Parcel context attached to Person), Tasks (Shipment activities attached to Person), Tasks (Return processing attached to Person), and custom field values on Person and Organization records. Each phase emits a row-count reconciliation report before the next phase begins. Webhook and integration inventories are delivered as documents alongside the data migration.

  6. Cutover, validation, and shipping rebuild handoff

    We freeze SendCloud writes during cutover, run a final delta migration of any records modified during the migration window, then enable Pipedrive as the CRM of record for sales and customer data. We deliver the webhook, integration, return workflow, and label format rebuild inventories to the customer's developer and ops team. We support a one-week hypercare window where we resolve any data reconciliation issues. We do not rebuild shipping automations, carrier integrations, or return portal configurations in Pipedrive; these require a dedicated shipping platform post-migration.
