    WhatsApp conversations are stored in Meta's infrastructure and surfaced inside the Planports CRM Contact card for display. Mailchimp does not support WhatsApp message history. The export feature captures metadata (contact, timestamp, direction) but may not return full message body text in machine-readable format. We test this during the data audit and document the limitation explicitly, advising the customer that WhatsApp conversation continuity requires re-authorizing the WhatsApp Business API channel in whatever CRM they adopt for ongoing customer messaging.

  • Mailchimp merge tags differ from Planports custom field naming

    Mailchimp merge tags use uppercase tokens (e.g., *|REFERRAL_SOURCE|*, *|TREATMENT_PACKAGE|*) rather than named custom fields. Planports custom fields in health tourism and real estate verticals have no standardized naming convention and vary per account. We perform field-level mapping during the data audit, pre-create merge tags in Mailchimp before import, and flag any fields with incompatible types (e.g., multi-select picklist in Planports mapping to a text merge tag in Mailchimp) for customer decision.

  • DKIM and DMARC required before bulk sending

    Google and Yahoo's 2024 bulk sender requirements mandate DKIM and DMARC for any sender dispatching more than 5,000 emails per day. Mailchimp enforces these standards on all accounts. If the Planports CRM has been used as an email sender (rather than just a CRM), the domain used in Planports email campaigns must have DKIM and DMARC configured before Mailchimp can send from that domain. We include DKIM and DMARC setup verification as part of the migration scope, but DNS configuration is the customer's responsibility with their domain registrar.

  • Planports workflow automations do not migrate

    Planports workflow rules (if X then Y triggers that auto-assign leads, send WhatsApp messages, or schedule follow-up reminders) are configuration data and are not included in any export. Mailchimp Customer Journeys use a different trigger-based model with entry conditions, time delays, and email actions that are not compatible with Planports workflow logic. We flag every active workflow during the data audit and deliver a written inventory of each workflow's trigger, conditions, and actions for the customer to rebuild in Mailchimp Customer Journeys post-migration.

  • Planports API add-on required for bulk programmatic extraction

    Planports CRM does not expose a public REST API on all plans. API access requires a paid API key add-on at $62/month. Bulk programmatic data extraction for contacts, leads, and custom fields requires this add-on to be active. If the customer does not hold an active API key, we confirm API key status during scoping and include the cost in the migration proposal as an additional line item. Without the API add-on, migration relies on manual per-record Excel exports which limits data volume and may not capture all fields cleanly.

Tags and segments map to Mailchimp Tags and Saved Segments. Fields with no Mailchimp equivalent are flagged with a recommendation (store as text merge tag, drop, or escalate for customer decision). The matrix is reviewed and signed off before any data extraction begins.

  3. Audience configuration and DKIM/DMARC verification

    We configure the Mailchimp audience settings: default from-name and from-email, GDPR compliance fields (if applicable under EU regulations), and the unsubscribe behavior. If the customer sends from multiple domains, we set up multiple audiences or use Mailchimp's sub-hub model per domain. We verify that DKIM and DMARC records are present and correctly configured for the sending domain. If records are missing or misconfigured, we document the required DNS entries and hold the bulk import until verification passes.

  4. Data extraction, transformation, and validation

    We extract Contact and Lead records from Planports via API (if the $62/month add-on is active) or via bulk Excel export. We transform records per the field mapping matrix: rename fields to merge tag tokens, split multi-value fields where required, and encode tags and segments. We run a validation pass to catch missing email addresses (which block Mailchimp import), malformed records, and duplicate email addresses. Duplicates are resolved using the most recent Planports record as the master.

  5. Audience import and reconciliation

    We import the transformed contact and lead records into the Mailchimp audience using Mailchimp's API with batch processing and rate-limit handling. We target a validation sample of 50-100 records before running the full import to confirm merge tag values appear correctly in Mailchimp and that tag assignments are preserved. Post-import, we reconcile record counts between the Planports export and the Mailchimp audience member count, investigating any gap above 1 percent.

  6. Delivery and workflow inventory handoff

    We deliver the final reconciliation report showing imported record counts, skipped records (with reason), and merge tag coverage. We deliver the written inventory of Planports workflow automations with trigger, conditions, and actions documented per workflow, with a recommended Mailchimp Customer Journey equivalent for each. We do not rebuild workflows in Mailchimp as part of the migration scope. We support a one-week post-delivery window to address import discrepancies raised by the customer's team.
