Overview
Moving from Planports CRM to Mailchimp is a CRM-to-email-service-provider migration, not a CRM-to-CRM move, and the schema gap is significant. Planports holds Deals, Quotes, Orders, Kanban Process boards, and WhatsApp conversation threads that Mailchimp cannot represent. We migrate what Mailchimp can consume: Contact and Lead records map to audience members, Planports custom fields on Contacts (industry tags, source attribution, lead scores) map to Mailchimp merge tags, and tags and segments map to Mailchimp groups and tags. We set up DKIM and DMARC authentication during migration to satisfy Google and Yahoo 2024 sender requirements, which Mailchimp enforces on all bulk senders. We do not migrate Planports workflow automations, WhatsApp conversation history, or the Deals and Quotes pipeline because these are either configuration data or data types that have no structural equivalent in Mailchimp's audience model.

We confirm whether the customer holds an active Planports API key ($62/month add-on) or will need to purchase one for bulk extraction. We also audit the current email sender domain for existing DKIM and DMARC records. The audit output is a written data inventory and API access status report.
Field mapping matrix and merge tag schema design
We produce a field mapping matrix that pairs each Planports Contact and Lead field to a Mailchimp field or merge tag. Standard fields (name, email, phone, address) map to Mailchimp's built-in merge fields. Industry-specific custom fields (e.g., referral source, property ID, campaign tag) map to customer-defined merge tags that we pre-create in the Mailchimp account before import. Tags and segments map to Mailchimp Tags and Saved Segments. Fields with no Mailchimp equivalent are flagged with a recommendation (store as text merge tag, drop, or escalate for customer decision). The matrix is reviewed and signed off before any data extraction begins.
Audience configuration and DKIM/DMARC verification
We configure the Mailchimp audience settings: default from-name and from-email, GDPR compliance fields (if applicable under EU regulations), and the unsubscribe behavior. If the customer sends from multiple domains, we set up multiple audiences or use Mailchimp's sub-hub model per domain. We verify that DKIM and DMARC records are present and correctly configured for the sending domain. If records are missing or misconfigured, we document the required DNS entries and hold the bulk import until verification passes.
Data extraction, transformation, and validation
We extract Contact and Lead records from Planports via API (if the $62/month add-on is active) or via bulk Excel export. We transform records per the field mapping matrix: rename fields to merge tag tokens, split multi-value fields where required, and encode tags and segments. We run a validation pass to catch missing email addresses (which block Mailchimp import), malformed records, and duplicate email addresses. Duplicates are resolved using the most recent Planports record as the master.
Audience import and reconciliation
We import the transformed contact and lead records into the Mailchimp audience using Mailchimp's API with batch processing and rate-limit handling. We target a validation sample of 50-100 records before running the full import to confirm merge tag values appear correctly in Mailchimp and that tag assignments are preserved. Post-import, we reconcile record counts between the Planports export and the Mailchimp audience member count, investigating any gap above 1 percent.
Delivery and workflow inventory handoff
We deliver the final reconciliation report showing imported record counts, skipped records (with reason), and merge tag coverage. We deliver the written inventory of Planports workflow automations with trigger, conditions, and actions documented per workflow, with a recommended Mailchimp Customer Journey equivalent for each. We do not rebuild workflows in Mailchimp as part of the migration scope. We support a one-week post-delivery window to address import discrepancies raised by the customer's team.
