Discovery and export availability verification
We audit the Manta BMS account to identify all record types in use: Contacts, Companies, Leads, Deals, Activities, and any User or Owner records. We verify whether Manta BMS exposes a built-in CSV export for each object and assess export completeness, including whether the export includes column headers, relationship keys, and historical timestamps. If no export is available or the export is limited, we escalate immediately and pause migration planning until the customer obtains a usable export directly from Manta BMS. We also document any custom fields discovered in the Manta interface for the customer to recreate in Monday.com.
Monday.com workspace and board configuration
We set up the Monday.com workspace and create the CRM board structure before any data import begins. This includes creating the Person and Organization column schemas to match the Manta export field names as closely as possible, creating the Deal pipeline board with Status, Value, Close Date, and Owner columns, and configuring any custom Status options to match the Manta lead and deal stage names. We provision Team Members in Monday.com for every Manta Owner identified in the export and assign board permissions before records are imported.
Data extraction and field mapping specification
We extract all available records from the Manta BMS export and produce a field mapping specification that maps each Manta export column to its Monday.com column equivalent. Standard fields (name, email, phone, address, company, deal value, stage, owner) map directly. Any Manta field that has no Monday.com equivalent is flagged as unmapped and documented for the customer's admin to create as a custom Monday.com column post-migration. We run a validation pass on the export to check for duplicate records, missing required fields, and orphaned relationship records before building the import file.
Test import and reconciliation
We run a test migration into a staging Monday.com workspace using a representative sample of the Manta export (typically the 100 most recent or highest-value records). We reconcile record counts, verify Person-to-Organization linkage, check Deal stage assignment, and confirm Activity records are linked to the correct parent records. The customer reviews the staging workspace and approves the mapping before production migration begins. Any mapping corrections are applied at this stage.
Production migration in dependency order
We run production migration in record-dependency order: Organization records first (from Manta Companies), then Person records (from Manta Contacts and Leads with Organization lookup resolved), then Deal records (with Person and Organization lookups resolved), then Activity records (linked to the parent Person or Deal by match key). Each phase emits a row-count reconciliation report before the next phase begins. We use Monday.com's native CSV import for bulk record creation and the Monday.com API for any updates to existing records. We flag any records that fail import and provide a remediation list for the customer.
Cutover, validation, and automation inventory handoff
We freeze Manta BMS writes during cutover and run a final delta migration of any records modified during the migration window. We validate the Monday.com workspace against the scoping baseline: total Contacts, Companies, Leads, Deals, and Activities imported. We deliver the automation inventory document describing any Manta workflow rules and their recommended Monday.com automation equivalents. We support a three-day hypercare window to resolve any immediate reconciliation issues. We do not rebuild Manta automations as Monday.com automations inside the migration scope; that work is a separate Monday.com configuration engagement.
