    BoldTrail's commission plan management, ACH payout tracking, agent onboarding checklists, and accounting ledger are integral to the platform but have no native equivalent in Pipedrive. Pipedrive is a sales CRM — it does not have a commission module, an agent management module, or a chart of accounts. We export commission plan definitions and agent roster data as structured reference files so your team can rebuild these in a dedicated commission or accounting tool. If commission tracking is your primary operational workflow, a Pipedrive-only migration will require a third-party add-on or process redesign.

  • Transaction-to-Deal transformation risks deal-name collisions

    BoldTrail transactions are keyed by internal ID; Pipedrive Deals are keyed by a human-readable title that must be unique within a pipeline. If multiple BoldTrail transactions share the same property address (for example, a buy and a sell on the same property), the deal titles will collide in Pipedrive. FlitStack handles this by appending the BoldTrail transaction ID to duplicate deal titles — but your team should review the resulting Pipedrive deal names before finalizing. A naming convention review step is included in the sample migration phase.

  • Document attachments re-upload to Pipedrive Files without e-signature context

    BoldTrail transaction documents include e-signature logs, audit trails, and compliance certificates that are tied to specific transaction stages. When these documents migrate to Pipedrive Files attached to Deals, the e-signature metadata (who signed, when, IP address) is not preserved — Pipedrive Files store the file blob and name only. We recommend retaining the original BoldTrail document archive for compliance purposes alongside the migrated Pipedrive instance. BoldTrail's document export includes the full document with its audit trail intact.

  • Pipedrive API token-based rate limits affect bulk migration throughput

    Pipedrive enforces token-based API rate limits introduced in December 2024 — limits vary by Pipedrive plan tier. High-volume BoldTrail accounts (100,000+ records) may experience slower migration throughput due to these limits. FlitStack throttles API calls per Pipedrive's 429 responses and retries with exponential backoff. The migration timeline accounts for rate-limit pacing; if your Pipedrive plan is on the Essential or Advanced tier, the delta-pickup window may be extended to compensate.

  • Activity history often has orphaned relationships after BoldTrail API export

    BoldTrail's API returns activity records (calls, emails, meetings) that reference a contact or transaction by ID rather than embedding the full object. When the API export runs, some activity records reference BoldTrail objects that have been deleted or archived — these cannot be reliably linked to a Pipedrive Person or Deal during migration. FlitStack surfaces orphaned activities before migration and imports them as standalone Activities with a note in the subject line referencing the BoldTrail source record. Your team can manually link them post-migration if the related contact or deal is identified.

  3. Migrate Organizations and Persons before Deals

    Pipedrive requires Organizations to exist before Persons can link to them (via org_id), and Persons or Organizations to exist before Deals can reference them. FlitStack sequences the migration so Organizations are loaded first, then Persons with BoldTrail company_id resolved to Pipedrive org_id, then Transactions as Deals with Person and Organization links. This foreign-key ordering prevents orphaned deal records and ensures activity history attaches to the correct Person or Deal in Pipedrive.

  4. Run sample migration with field-level diff

    A representative slice — typically 200–500 records spanning Persons, Organizations, Deals, and Activities — migrates first. FlitStack generates a field-level diff showing source BoldTrail values alongside the migrated Pipedrive values for every mapped field. Your team reviews commission split mapping, transaction-to-deal naming, and activity owner resolution before the full run commits. Discrepancies are corrected in the mapping configuration before proceeding.

  5. Full migration with delta-pickup cutover

    The full data migration runs against your Pipedrive account. A delta-pickup window (typically 24–48 hours after the main run completes) captures any BoldTrail records modified or created during the cutover — your team continues working in BoldTrail throughout. FlitStack's audit log records every operation. If reconciliation fails, one-click rollback reverts the Pipedrive account to its pre-migration state.
