Overview
BoldTrail BackOffice is a real estate transaction and commission management platform built around a brokerage's operational workflow — transactions, agents, commission splits, accounting, and e-signature all live inside one back-office system. Pipedrive is a general-purpose sales CRM organized around People, Organizations, Deals, and Activities with a visual drag-and-drop pipeline. The two platforms share no native object equivalence for BoldTrail's commission tracking, transaction document management, or agent onboarding modules. FlitStack AI reads BoldTrail BackOffice via its API — extracting contacts, companies, transaction records, agent assignments, activity history, and notes — then maps each to Pipedrive's standard objects. Transactions become Deals with a custom 'Property Address' field, 'Commission Split' field, and 'Transaction Status' custom field. Agent IDs and commission plan references migrate as custom Person fields for broker reconciliation. Activity history (calls, emails, meetings) maps to Pipedrive Activities with original timestamps and owners preserved. What does not migrate: BoldTrail commission automation rules, e-signature templates, accounting ledgers, agent onboarding checklists, and document storage. These must be rebuilt in Pipedrive using its automation and document tools. FlitStack exports a reference export of these definitions so your Pipedrive admin has a rebuild blueprint.

Owner and user resolution by email match
BoldTrail agents and transaction owners are matched to Pipedrive users by email address. Unmatched owners are flagged with the BoldTrail user name and role so your team can either invite them to Pipedrive before migration or assign a fallback owner. No record lands in Pipedrive without a valid owner reference. Agent-specific data (license numbers, commission plans) is mapped to custom Person fields regardless of user match status.
Migrate Organizations and Persons before Deals
Pipedrive requires Organizations to exist before Persons can link to them (via org_id), and Persons or Organizations to exist before Deals can reference them. FlitStack sequences the migration so Organizations are loaded first, then Persons with BoldTrail company_id resolved to Pipedrive org_id, then Transactions as Deals with Person and Organization links. This foreign-key ordering prevents orphaned deal records and ensures activity history attaches to the correct Person or Deal in Pipedrive.
Run sample migration with field-level diff
A representative slice — typically 200–500 records spanning Persons, Organizations, Deals, and Activities — migrates first. FlitStack generates a field-level diff showing source BoldTrail values alongside the migrated Pipedrive values for every mapped field. Your team reviews commission split mapping, transaction-to-deal naming, and activity owner resolution before the full run commits. Discrepancies are corrected in the mapping configuration before proceeding.
Full migration with delta-pickup cutover
The full data migration runs against your Pipedrive account. A delta-pickup window (typically 24–48 hours after the main run completes) captures any BoldTrail records modified or created during the cutover — your team continues working in BoldTrail throughout. FlitStack's audit log records every operation. If reconciliation fails, one-click rollback reverts the Pipedrive account to its pre-migration state. Post-cutover, your team receives a workflow export file and commission plan reference file for rebuilding BoldTrail logic in Pipedrive Automations.
