Overview

What this migration involves

Sentian Solutions structures CRM data as contacts linked to companies, deals, and tasks with custom properties and activity history. Mailchimp stores every record as a flat audience member with standard fields, merge fields, and tags for segmentation. These models differ fundamentally: Sentian uses relational associations while Mailchimp uses flat contacts with tags. FlitStack AI sequences the migration so Sentian contacts and companies become Mailchimp audience members. Email addresses, first names, and last names map to Mailchimp's standard fields. Company associations from Sentian map to a dedicated Mailchimp merge field with additional companies preserved as tags. Deal names and amounts migrate as custom merge fields. Unsubscribe and bounce statuses are preserved and imported into Mailchimp's suppression list to protect deliverability. What does not migrate: Sentian's built-in task and activity logging has no Mailchimp equivalent — recent activity subjects and dates store as merge fields with activity body text stored as a searchable tag. File attachments and documents stored in Sentian have no Mailchimp equivalent and are flagged for manual transfer. Sentian's automations and workflows (matter reminders, escalation rules, deadline triggers) must be rebuilt in Mailchimp Customer Journey from exported definitions. FlitStack delivers a data audit, field-level mapping plan, and a sample-first migration pass before committing to the full run, with audit log and rollback available if reconciliation fails.

Why teams make this switch

Two sides of the same decision

Leaving

Sentian Solutions

What's pushing teams away

  • Customers report that the UI feels outdated compared to newer legal CRMs, with workflows that require too many clicks for routine tasks.
  • Integration options are limited — some firms cannot connect Sentian Solutions to the productivity tools their attorneys already use.
  • Support responsiveness is cited as a frustration, with some firms waiting days for responses to critical issues during billing periods.
  • Scaling limitations become apparent for firms that grow beyond the mid-market tier, leading them to evaluate enterprise legal CRMs.
  • Data export processes are described as cumbersome, with no self-service option requiring firm staff to manually pull reports before migration.

Choosing

Mailchimp logo

Mailchimp

What's pulling them in

  • Generous free tier with up to 500 contacts allows small teams to validate email marketing before committing to a paid plan.
  • Intuitive drag-and-drop email builder and 130+ templates let non-technical users produce professional campaigns without HTML or CSS knowledge.
  • 300+ native integrations, especially Canva and Shopify, make it easy to connect existing tools without custom development work.
  • Detailed open-rate, click-through, and campaign analytics give small businesses actionable insights without a dedicated marketing team.
  • One-platform consolidation of email campaigns, automations, landing pages, and ads reduces tool sprawl for lean marketing teams.

Object mapping

How Sentian Solutions objects map to Mailchimp

Each row shows how a Sentian Solutions object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Sentian Solutions

Contact

maps to

Mailchimp

Audience Member

1:1
Fully supported

Sentian contact records map 1:1 to Mailchimp audience members. Email address, first name, last name, phone, and address fields migrate to Mailchimp's standard contact fields. Each contact lands as a single audience member with all available data preserved in standard and merge fields.

Sentian Solutions

Company

maps to

Mailchimp

Merge field + Tag

1:1
Fully supported

Mailchimp has no company object. Sentian's primary company per contact maps to a dedicated 'Company' merge field. Any additional company associations (Sentian supports N:1 contact-to-company) migrate as tags with the company name so segmentation by firm is available in Mailchimp.

Sentian Solutions

Deal

maps to

Mailchimp

Merge fields + Tag

1:1
Fully supported

Mailchimp has no opportunity or deal object. Sentian deal names and amounts store as Mailchimp custom merge fields (Deal_Name__c, Deal_Amount__c). Contacts associated with active deals receive a tag matching the deal name for segmentation. Deal stage values migrate as tags or a pick-list merge field.

Sentian Solutions

Task / Activity

maps to

Mailchimp

Merge fields + Tag

1:1
Fully supported

Sentian task subjects and last activity dates migrate as merge fields. Task body content (notes, descriptions) stores as a searchable tag since Mailchimp has no native activity log. This preserves the most recent activity context for segmentation without losing the data entirely.

Sentian Solutions

Custom Properties

maps to

Mailchimp

Merge fields

1:1
Fully supported

Sentian custom fields that are not standard Mailchimp fields map to Mailchimp merge fields. Field types are converted: text to text merge field, numeric to number merge field, date to date merge field. Mailchimp merge field names are uppercase with underscores (MAX 30 characters). We deliver a merge field creation plan before import.

Sentian Solutions

Lifecycle / Status fields

maps to

Mailchimp

Merge field + Tag

1:1
Fully supported

Sentian lifecycle or status stages (active, pending, closed) have no direct Mailchimp equivalent. These migrate as a custom pick-list merge field with exact values preserved. Status-based segmentation is rebuilt in Mailchimp using merge field conditions and tags. Each lifecycle stage becomes a filterable attribute, enabling targeted campaigns based on where contacts stand in your pipeline and allowing you to monitor progression through stages via Mailchimp's segment builder.

Sentian Solutions

Document / File attachments

maps to

Mailchimp

Not migrated

1:1
Fully supported

Mailchimp has no document or file attachment storage tied to contacts. Sentian file attachments are flagged in the migration plan for manual transfer via Google Drive, Dropbox, or SharePoint links. We provide a file manifest exported from Sentian to guide this process.

Sentian Solutions

Unsubscribed / Bounce status

maps to

Mailchimp

Suppression list

1:1
Fully supported

Sentian contacts with an unsubscribe flag are exported and imported into Mailchimp's suppression list before the main audience import. This prevents accidentally re-engaging contacts who opted out in Sentian. Bounce records receive the same treatment. By pre-loading suppressions before the main import, you protect your sender reputation and maintain inbox placement rates. Contacts with ambiguous status in Sentian are flagged for manual review before the suppression list is finalized, ensuring no opted-out contacts slip through during the audience import.

Sentian Solutions

Owner / Assigned user

maps to

Mailchimp

Merge field + Admin reference

1:1
Fully supported

Sentian owner assignments map to a custom merge field (Owner_Name__c) storing the owner name. Mailchimp does not have a user assignment model for contacts. Owner-based routing of contacts to Mailchimp account admins is handled by tagging or a dedicated merge field.

Sentian Solutions

Email address

maps to

Mailchimp

EMAIL field

1:1
Fully supported

Email addresses migrate directly to Mailchimp's EMAIL field. All contacts are validated for format before import, checking for proper syntax, domain existence, and common typos. Hard bounces identified during import are added to Mailchimp's suppression list automatically. Soft bounces are logged and monitored post-import — if they convert to hard bounces within the settling period, they move to suppression automatically. This validation workflow maintains list hygiene from the moment the audience is created.

Pair-specific challenges

  • Sentian unsubscribe and bounce tracking has no dedicated field — suppression lists must be built from exported status data

Sentian does not expose a dedicated unsubscribe or bounce flag as a top-level contact field in its export model. FlitStack extracts this status by checking Sentian's internal activity log and contact metadata for unsubscribe events, hard bounces, and complaint records. If any of these statuses are not visible in the export, those contacts could be imported as active in Mailchimp and re-engaged inadvertently. We flag any contacts with ambiguous status for manual review before the suppression list is finalized and before the audience import runs.

  • Sentian file attachments and documents have no Mailchimp equivalent — this data does not migrate automatically

Mailchimp stores no document attachments on contact records. Sentian stores documents, uploaded files, and case-related attachments linked to contacts and matters. These records have no migration path to Mailchimp's data model — no file field, no attachment object, no linked document storage. FlitStack exports a file manifest from Sentian listing every attachment with its original filename, record association, and download URL. This manifest is delivered alongside the migration so your team can manually share files via Google Drive, Dropbox, or SharePoint and link to them from the contact record.

  • Sentian multi-address contacts require address priority decisions — Mailchimp supports only one address per contact

Law firms using Sentian commonly store multiple addresses per contact: a billing address, a matter-specific address, a correspondence address, and a shipping address. Mailchimp supports exactly one address field per audience member. FlitStack maps the primary address directly to Mailchimp's ADDRESS field. Secondary addresses are exported as tags (for example: 'AltAddress: 123 Main St, Suite 100') so the information is preserved and searchable. This requires a pre-migration decision on which address is considered primary for each contact or a stated rule (most recently used, billing default, etc.).

  • Sentian workflow automations and matter management rules do not migrate — Mailchimp Customer Journey is email-centric

Sentian's built-in automation engine handles matter reminders, deadline triggers, escalation rules, and task assignment — core to how law practices operate. Mailchimp Customer Journey is designed exclusively for email marketing sequences: welcome emails, abandoned cart flows, re-engagement campaigns. These two automation models are structurally incompatible. FlitStack does not migrate automation logic. We export your Sentian workflow definitions as a written specification so your Mailchimp admin can rebuild the email portions in Customer Journey. Matter-specific automation (deadline alerts, attorney notifications) has no Mailchimp equivalent and must be handled by a separate practice management tool.

Migration approach

Six steps for a successful Sentian Solutions to Mailchimp data migration

  1. Extract Sentian data via CSV export or API

FlitStack connects to Sentian Solutions using your provided API credentials or initiates a CSV export of contacts, companies, deals, tasks, and custom properties. We validate the export completeness against a pre-migration data audit: record counts per object, custom property inventory, and attachment manifest. If the export reveals missing fields or ambiguous unsubscribe data, we surface those gaps before proceeding. This step establishes the baseline data inventory and flags any contacts with incomplete email addresses that may require manual resolution before import.

  2. Map fields and build Mailchimp merge field plan

FlitStack maps every Sentian contact field to its Mailchimp equivalent — standard fields, merge fields, or tags. Custom properties from Sentian are catalogued and assigned a Mailchimp merge field type (text, number, date, or pick-list). Deal associations become custom merge fields plus segmentation tags on the contact. We deliver a merge field creation plan listing every field to be created in Mailchimp before the import runs. You create these fields in your Mailchimp audience settings; we provide the exact names and types.

  3. Run a sample migration with field-level validation

A representative slice — typically 100–500 contacts spanning different Sentian record types, deal stages, and owner assignments — migrates into your Mailchimp audience first. We generate a field-level diff between the Sentian source record and the Mailchimp audience member so you can verify that names, company associations, deal amounts, tags, and unsubscribe handling all landed correctly before the full run commits. Any merge field mapping errors or tag assignment issues are corrected in the plan before the bulk import runs.

  4. Build suppression list and run the full audience import

Before the main audience import, contacts flagged as unsubscribed or bounced in Sentian are compiled into a Mailchimp-compatible suppression list and uploaded to your account. The full contact set then imports via Mailchimp's bulk import process, preserving all standard fields, merge fields, and tags. File attachment manifest is delivered as a separate document for manual handling. Audit log records every import operation with source record ID, destination audience member ID, and timestamp.

  5. Post-import reconciliation and segmentation verification

FlitStack runs a post-import reconciliation report comparing Sentian record counts, email addresses, and deal association tags against the Mailchimp audience. Contact counts, suppression list size, and merge field population rates are verified. You can then build Mailchimp segments based on Sentian deal tags, lifecycle stage merge fields, and owner merge fields to replicate any Sentian filtering logic you relied on. Segmentation and Customer Journey automation setup in Mailchimp is a separate configuration step we support as advisory.

Most Sentian-to-Mailchimp migrations complete in 24–72 hours for under 10,000 contacts. Larger datasets with 50,000+ contacts or extensive custom properties extend to 3–7 days. The slowest step is Mailchimp's bulk import process for large audiences and the pre-migration merge field setup. Sentian's lack of a native API connection means data is extracted via CSV, which adds preparation time compared to platforms with direct API access.
