Overview
Jiva platforms (particularly the ZeOmega healthcare and Jeeva clinical variants) store data in a custom relational schema with forms-based record types, enrollment or case objects, and proprietary property definitions that do not map 1:1 to Monday CRM's board-and-column model. Monday CRM represents contacts as People items, companies as Organizations, and deals as CRM items with status, value, and close-date columns — each living inside a workspace as a board. FlitStack AI sequences the migration so source entities land in the correct Monday CRM entity type: People items receive the contact name, email, phone, and custom person properties; Organizations capture company name, domain, industry, and size fields; Deals migrate as CRM items with pipeline stage, monetary value, and expected close date. Activity records (notes, calls, meetings) surface as Updates or sub-items under the parent CRM item. Custom Jiva properties that have no Monday CRM column equivalent become custom columns created at migration time. Monday CRM's automations and board views do not transfer from Jiva — those must be rebuilt using Monday CRM's automation builder and column configuration. The migration runs via Monday CRM's API with pagination and rate-limit handling; bulk exports from Jiva are cleaned and normalized before API insertion.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Jiva object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Jiva
Contact / Person
monday CRM
People item (CRM module)
1:1Jiva person records (name, email, phone, address, custom person properties) migrate to Monday CRM People items. The person's primary Jiva identifier is preserved as a custom text column for traceability and delta-run matching. All standard fields are mapped directly, and any missing contacts are flagged for manual review before the final migration run.
Jiva
Company / Organization
monday CRM
Organization item (CRM module)
1:1Jiva company records map to Monday CRM Organizations. Organization name, domain/website, industry, and employee count migrate as standard columns. Multi-contact associations collapse to the primary person record with secondary contacts linked via the Organization's person list. Any missing company data is noted for manual entry after cutover.
Jiva
Deal / Case / Enrollment
monday CRM
CRM Deal item (CRM module)
1:1Jiva deal or case records become Monday CRM Deal items on the CRM board. The Jiva deal value, expected close date, and custom deal properties map to Deal Monetary Value, Expected Close Date, and custom columns respectively. Pipeline stage is reconstructed as a Status column with Jiva stage values as status labels.
Jiva
Pipeline Stage / Form Status
monday CRM
Status column (CRM Deal board)
1:1Jiva stage or form-status pick-list values map one-to-one to Monday CRM Status labels on the CRM Deal board. Each Jiva stage value is created as a distinct status label; if Jiva uses numeric or coded stage names, a transformation column is added alongside the Status column for reference.
Jiva
Custom Record Type / Form
monday CRM
Custom Board with CRM columns
1:1Jiva record types or custom forms that do not map to People, Organizations, or Deals are migrated as standalone Monday CRM boards. The board inherits the Jiva form's custom fields as columns with equivalent types. These boards can be linked to the main CRM workspace via board connections.
Jiva
Activity / Note / Communication
monday CRM
Updates / Sub-items on CRM item
1:1Jiva notes, call logs, and email references attached to a primary record migrate as Updates on the corresponding Monday CRM item. Timestamps and the creating Jiva user are preserved as update metadata. Longer activity narratives become sub-items with a Date column and description column.
Jiva
Attachment / File
monday CRM
File column / Sub-item file attachment
1:1Jiva file attachments are downloaded, re-uploaded to Monday CRM's file storage, and attached to the relevant item via the File column or as a sub-item with a file attachment. File size limits (up to 250 MB per file on Monday CRM) are respected; oversized files are flagged before migration.
Jiva
User / Assigned Person
monday CRM
Member (workspace) + Owner column on item
1:1Jiva users are matched to Monday CRM workspace members by email. If a Jiva user has no Monday CRM account, their name is stored in a text column and flagged; your admin creates the Monday CRM account and we re-assign ownership before cutover.
Jiva
Custom Property (multi-select, date, numeric)
monday CRM
Custom Column (Dropdown, Date, Number)
1:1Jiva custom properties with non-text types (multi-select, date, number, checkbox) are created as Monday CRM custom columns of the equivalent type. Multi-select Jiva fields become Dropdown columns with the Jiva pick-list values pre-loaded as options. If a Jiva property uses a type not directly supported, we map it to a Text column and log the original type for future reference.
Jiva
Historical Date / Create Timestamp
monday CRM
Custom Date column
1:1Jiva's original create date and last-modified date are preserved in custom Date columns on the Monday CRM item since Monday CRM's system Created Date reflects the migration import time. This preserves reporting continuity for historical analysis. The custom columns are labeled clearly to avoid confusion with system timestamps during reporting.
Jiva
Tag / Category Label
monday CRM
Tag column / Status label
1:1Jiva tags or category labels migrate to Monday CRM Tags or a dedicated Status/Dropdown column. Tags with no structural meaning in Monday CRM's model are migrated as Tags for filtering and grouping convenience. During migration, duplicate tags are merged automatically to prevent redundant entries in the target board.
Jiva
Workflow / Automation
monday CRM
Not migrated — rebuild reference export
1:1Jiva workflow rules and enrollment triggers have no Monday CRM equivalent and must be rebuilt. We export the Jiva automation definitions as a structured document that your Monday CRM admin can use as a rebuild guide. Monday CRM's automation builder uses different trigger-action logic, so a direct translation is not possible.
Jiva
Report / Dashboard
monday CRM
Not migrated — underlying data migrates
1:1Jiva reports and dashboards do not transfer to Monday CRM's widget-based dashboards. The underlying data (contacts, deals, activities) migrates in full, so you can rebuild equivalent charts and tables in Monday CRM's dashboard builder using the migrated data. All metrics remain accessible after the rebuild.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Jiva gotchas
No publicly documented REST API for bulk data export
Client-configurable rules are not portable across platforms
Clinical note attachments lack a migration path
Program and enrollment status values are customer-defined
monday CRM gotchas
Subitems are not included in bulk exports
Daily API call limits vary sharply by plan
Legacy automations (Sentence Builder) are being deprecated
Excel and account exports only include table views
Enterprise admins can disable non-admin exports

Migration approach
Audit Jiva data export and define Monday CRM board structure
We export or API-pull all Jiva record types, custom properties, and activity logs. The export is profiled for record counts, custom field types, and attachment volumes. We then define the Monday CRM workspace: CRM module setup (People, Organizations, Deals boards), additional boards for non-CRM Jiva record types, and custom columns for every Jiva property that lacks a native Monday CRM equivalent. The schema setup plan is delivered for your admin to review before any data moves.
Resolve Jiva users to Monday CRM workspace members
We match Jiva user email addresses against Monday CRM workspace members. For Jiva users who have no Monday CRM account, we flag the record and store the Jiva owner name in a text column. Your admin creates the missing Monday CRM accounts before the full migration run, and we then re-assign ownership. No Jiva item migrates without an owner resolved or flagged.
Run a sample migration with field-level diff
A representative slice (typically 100–300 records spanning contacts, organizations, deals, and a custom record type) migrates first. We generate a field-level diff report comparing source Jiva values against the Monday CRM item, verifying that pick-list mappings, date formats, custom column types, and owner resolution all render correctly. You review the diff and approve before the full run commits. This is the checkpoint before any destructive delta-pickup runs.
Execute full migration with delta-pickup window
The full Jiva dataset is migrated in API batches with rate-limit throttling and retry logic. A delta-pickup window (24–48 hours) runs after the bulk load, capturing any Jiva records modified during the cutover window. All operations are logged in an audit trail. One-click rollback reverts Monday CRM to the pre-migration state if reconciliation uncovers a data integrity issue — no manual data rollback required.
Deliver workflow-rebuild reference and post-migration support
We export Jiva automation and workflow definitions as a structured document keyed by the workflow name, trigger condition, and action steps. This document serves as the blueprint for rebuilding each workflow in Monday CRM's automation builder. We also provide a custom column index so your admin knows exactly which Monday CRM column corresponds to each Jiva field. Post-migration support is available for 5 business days after go-live for reconciliation questions.
