Field mapping design and Mailchimp schema setup
We map each Chakra custom field to a Mailchimp merge field, selecting the appropriate Mailchimp field type (text, number, date, phone, address, birthday). If Mailchimp merge field slots are insufficient for the number of custom fields, we prioritize the highest-value fields and tag the remainder. We guide the customer through creating the merge fields in Mailchimp before migration begins so that the schema is ready when the import starts.
Data export, cleansing, and deduplication
We export all Contacts and Leads from Chakra Sales CRM via the Cloud API. We apply email deduplication (keeping the most recently updated record per email address), flag records without email addresses for the exclusion report, and transform any data types that do not match Mailchimp merge field types. We also extract Account (company) names for Tag-based segmentation if that is the chosen strategy.
Mailchimp audience import via API
We load the cleaned contact records into the target Mailchimp Audience using the Mailchimp Marketing API with batch processing. We apply Tags or merge fields based on the mapping design decided in scoping. For Mailchimp Standard+ accounts, we pre-create Custom Object definitions and load related object records with email-based lookups resolved. Each batch is reconciled against the source row count before proceeding.
Cutover, validation, and automation handoff
We validate the Mailchimp audience by spot-checking 25-50 records against the Chakra source, confirming email addresses, names, and key merge fields. We deliver the Deal and pipeline export, the automation inventory with Mailchimp rebuild recommendations, and the task export CSV. We do not rebuild Chakra automations in Mailchimp as part of the migration scope. Post-cutover, the customer configures Mailchimp automations using the handoff guide.
