Overview

What this migration involves

Migrating from Chakra Sales CRM to Mailchimp is a directional shift from a full sales CRM to an email marketing and audience management platform. Chakra Sales CRM stores structured CRM data (Contacts, Leads, Accounts, Deals) with pipeline stages and no-code workflow automation, while Mailchimp organizes data around Audiences and Tags with marketing-focused automation tools. We migrate the contact records and their associated custom field values into Mailchimp Audience members, preserving email addresses, names, and any behavioral or demographic tags sourced from Chakra custom properties. Deal records, pipeline stages, and opportunity values do not have a Mailchimp equivalent and are documented in the handoff report rather than migrated. Chakra workflow automations do not export; we inventory each automation's trigger and actions and deliver a rebuild guide for Mailchimp's Automation platform. The migration runs through Mailchimp's API with batch chunking and duplicate resolution by email address, and completes in two to four weeks for typical SMB contact volumes.

Why teams make this switch

Two sides of the same decision

Leaving

Chakra Sales CRM logo

Chakra Sales CRM

What's pushing teams away

  • Limited market presence and a very small review base (4 reviews on G2) makes it hard to validate long-term reliability against better-known alternatives like HubSpot or ActiveCampaign.
  • Sparse public API documentation and a smaller third-party integration ecosystem creates friction for teams that rely on custom integrations or need deep migration tooling.
  • The platform targets small businesses and appears to lack the depth and scalability that growing teams eventually require, prompting migrations to Salesforce or Pipedrive as headcount increases.
  • Users migrating away report rebuilding custom fields and workflow automations from scratch, since neither exports cleanly through the Cloud API.

Choosing

Mailchimp logo

Mailchimp

What's pulling them in

  • Generous free tier with up to 500 contacts allows small teams to validate email marketing before committing to a paid plan.
  • Intuitive drag-and-drop email builder and 130+ templates let non-technical users produce professional campaigns without HTML or CSS knowledge.
  • 300+ native integrations, especially Canva and Shopify, make it easy to connect existing tools without custom development work.
  • Detailed open-rate, click-through, and campaign analytics give small businesses actionable insights without a dedicated marketing team.
  • One-platform consolidation of email campaigns, automations, landing pages, and ads reduces tool sprawl for lean marketing teams.

Object mapping

How Chakra Sales CRM objects map to Mailchimp

Each row shows how a Chakra Sales CRM object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Chakra Sales CRM

Contact

maps to

Mailchimp

Audience Member

1:1
Fully supported

Chakra Sales CRM Contact records map directly to Mailchimp Audience members. The email address serves as the primary merge field and deduplication key during import. First name, last name, phone, and any mapped custom properties transfer to Mailchimp merge fields. We resolve duplicates by email address and flag any Chakra Contacts with duplicate email addresses for customer review before final insert.

Chakra Sales CRM

Lead

maps to

Mailchimp

Audience Member

1:1
Fully supported

Chakra Sales CRM Lead records map to Mailchimp Audience members using the same email-based deduplication logic as Contacts. Lead status (New, Contacted, Qualified) transfers as a custom merge field or tag depending on the customer's Mailchimp tier. Leads without email addresses are flagged and excluded from the Mailchimp load since Mailchimp requires an email address for audience membership.

Chakra Sales CRM

Account (Company)

maps to

Mailchimp

Tag or Merge Field

lossy
Fully supported

Chakra Accounts store company-level data that may not map cleanly to Mailchimp's flat contact model. We handle this in one of two ways depending on customer preference: company names are added as Tags on each related Contact (allowing segmentation by company), or company name maps to a custom merge field if the customer wants it displayed on the contact record. The customer selects the strategy during scoping.

Chakra Sales CRM

Deal

maps to

Mailchimp

Not Migrated

1:1
Fully supported

Chakra Sales CRM Deal records with stage names, amounts, expected close dates, and owners have no direct Mailchimp equivalent. Mailchimp does not support a native deal or opportunity object; revenue tracking is limited to e-commerce data from integrated storefronts. We document all Deals in the migration handoff report including stage, amount, owner, and close date, and the customer decides whether to export Deals to a spreadsheet or a separate tool for ongoing pipeline tracking.

Chakra Sales CRM

Pipeline Stage

maps to

Mailchimp

Not Migrated

1:1
Fully supported

Pipeline stages are a Chakra Sales CRM configuration layer that does not export. Mailchimp's segmentation model is fundamentally different, using Tags, Segments, and Customer Journey filters rather than sales-stage pipelines. We document the Chakra pipeline stage names and the associated Deal counts in the handoff report so the customer can decide how to represent pipeline status in their new system.

Chakra Sales CRM

Custom Fields (Contacts/Leads)

maps to

Mailchimp

Merge Fields

1:1
Fully supported

Chakra Sales CRM custom fields on Contacts and Leads require field-level mapping to Mailchimp merge fields. Mailchimp supports text, number, date, phone, address, and birthday merge field types. We inventory all Chakra custom field definitions during discovery, compare them against Mailchimp's available merge field slots (which vary by plan), and either map to an existing Mailchimp merge field or recommend creating a new custom merge field before migration. Merge field character limits may require truncation of longer text values.

Chakra Sales CRM

Custom Objects

maps to

Mailchimp

Custom Object (Mailchimp Standard+)

1:1
Fully supported

Mailchimp's Custom Objects feature (available on Standard tier and above) supports related data such as Properties, Contracts, or Vehicles linked to contacts via a foreign key. If the customer uses Chakra custom objects, we assess whether Mailchimp Custom Objects can replicate the schema. We pre-create the Custom Object definition in Mailchimp before data import, establish the relationship to the Audience Member, and load the object records with the email-based lookup resolved at migration time.

Chakra Sales CRM

Task

maps to

Mailchimp

Not Migrated

1:1
Fully supported

Chakra Sales CRM task records (with due dates, assignees, and statuses) represent sales follow-up activities that have no Mailchimp equivalent. Mailchimp's Customer Journeys can trigger emails based on date conditions, but task assignment and completion tracking are not part of Mailchimp's feature set. We export task records to a CSV in the handoff package and recommend the customer's admin recreate critical follow-up reminders in Mailchimp Automation or a separate task management tool.

Chakra Sales CRM

Workflow Automations

maps to

Mailchimp

Not Migrated

1:1
Mapping required

Chakra Sales CRM workflow automation rules do not export via the Cloud API. We document each active automation during the discovery phase: its trigger (event, date, or action-based), conditions, and the sequence of actions it performs. We deliver a written automation inventory with recommended Mailchimp Automation equivalents (Customer Journey builder triggers, conditions, and actions) so the customer's team can rebuild them post-migration. This handoff is a deliverable, not an implementation scope.

Pair-specific challenges

  • Chakra workflow automations do not migrate

Chakra Sales CRM's workflow automation logic is stored in the platform's configuration layer and does not export via the Cloud API. Lead nurturing sequences, automated assignment rules, and event-triggered actions are not transferable to Mailchimp's Automation builder, which uses a different event model (email opens, clicks, purchases, date-based triggers) and journey structure. We inventory every active Chakra automation during discovery and deliver a written rebuild guide mapping each automation to Mailchimp Customer Journey triggers and actions. The customer's team rebuilds automations in Mailchimp post-migration.

  • Deals and pipeline stages have no Mailchimp destination

Chakra Sales CRM stores deal records with amounts, stage names, expected close dates, and owner assignments. Mailchimp has no deal or opportunity object; the platform is designed for audience and campaign management, not sales pipeline tracking. We do not migrate Deal records or pipeline stages to Mailchimp. We include a Deal export in the migration handoff report so the customer's team can import deal data to a spreadsheet or a separate pipeline tracking tool. Teams expecting Deal history in Mailchimp will find it absent.

  • Mailchimp requires an email address for every audience member

Mailchimp Audience members must have a valid email address to be created in the platform. Chakra Sales CRM may contain Contact or Lead records with missing email addresses. We audit the email field completeness rate during discovery and flag any records without email before migration. These records are excluded from the Mailchimp load and listed in the exclusion report. The customer decides whether to append email addresses from another source or exclude them permanently.

  • Merge field type mismatches require transformation

Chakra Sales CRM custom fields may use data types that do not map directly to Mailchimp merge field types. For example, Chakra may store a multi-select text value that would need to become comma-separated text in Mailchimp, or a numeric value that Mailchimp requires as a number-typed merge field. We perform a data-type audit during discovery, identify mismatches, and apply transformation rules before the Mailchimp load. Any merge fields that exceed Mailchimp's character limits are truncated with an indicator in the migration log.

Migration approach

Six steps for a successful Chakra Sales CRM to Mailchimp data migration

  1. Discovery and contact audit

We audit the source Chakra Sales CRM account across all tiers, counting Contacts, Leads, Accounts, Deals, custom fields, and active workflow automations. We assess email address completeness, duplicate rates by email, and the volume of custom objects. We review the customer's target Mailchimp plan to confirm merge field limits and Custom Objects availability. The discovery output is a written migration scope with record counts, field inventory, and the automation handoff list.

  2. Field mapping design and Mailchimp schema setup

We map each Chakra custom field to a Mailchimp merge field, selecting the appropriate Mailchimp field type (text, number, date, phone, address, birthday). If Mailchimp merge field slots are insufficient for the number of custom fields, we prioritize the highest-value fields and tag the remainder. We guide the customer through creating the merge fields in Mailchimp before migration begins so that the schema is ready when the import starts.

  3. Data export, cleansing, and deduplication

We export all Contacts and Leads from Chakra Sales CRM via the Cloud API. We apply email deduplication (keeping the most recently updated record per email address), flag records without email addresses for the exclusion report, and transform any data types that do not match Mailchimp merge field types. We also extract Account (company) names for Tag-based segmentation if that is the chosen strategy.

  4. Mailchimp audience import via API

We load the cleaned contact records into the target Mailchimp Audience using the Mailchimp Marketing API with batch processing. We apply Tags or merge fields based on the mapping design decided in scoping. For Mailchimp Standard+ accounts, we pre-create Custom Object definitions and load related object records with email-based lookups resolved. Each batch is reconciled against the source row count before proceeding.

  5. Cutover, validation, and automation handoff

We validate the Mailchimp audience by spot-checking 25-50 records against the Chakra source, confirming email addresses, names, and key merge fields. We deliver the Deal and pipeline export, the automation inventory with Mailchimp rebuild recommendations, and the task export CSV. We do not rebuild Chakra automations in Mailchimp as part of the migration scope. Post-cutover, the customer configures Mailchimp automations using the handoff guide.

Strengths

  • Free plan up to 500 contacts makes it the lowest-friction entry point for new email marketers.
  • Drag-and-drop builder and template library produce polished emails without design or coding skills.
  • Strong deliverability reputation backed by years of email infrastructure expertise.
  • 300+ native integrations cover the most common marketing stack combinations out of the box.
  • Consolidated platform for email, automation, landing pages, and ads reduces the number of tools small teams must manage.

Weaknesses

  • Contact-based pricing model charges for unsubscribed and non-subscribed records, inflating costs relative to competitors.
  • Five-step automation limit on Standard tier forces upgrades for basic customer journeys, a frequently cited frustration.
  • Template HTML is Mailchimp-specific and does not export cleanly for use in other email platforms.
  • Post-Intuit roadmap uncertainty means customers cannot confidently plan long-term platform investments.
  • Account suspension risk without clear pre-warning disrupts campaign scheduling for affected businesses.

Most migrations land between two and four weeks. Straightforward migrations under 10,000 contacts with fewer than 15 custom fields and no Mailchimp Custom Objects typically complete in two to three weeks. Migrations with Custom Objects, complex multi-tag segment structures, or large contact volumes exceeding 50,000 records move to four to six weeks because of merge field design time and Mailchimp API batch handling.
