Overview

What this migration involves

Moving from Chakra Sales CRM to Pipedrive is a migration from a flat-priced, all-in-one SMB platform to a deal-centric CRM with a mature integration ecosystem and per-user pricing. Chakra Sales CRM does not export automation logic, pipeline stage definitions, or custom field schemas via its Cloud API, which means the migration scope centers on record data (Contacts, Accounts, Leads, Deals, Tasks) with custom fields remapped by hand and pipeline stages documented during a discovery call. We sequence the migration in dependency order — Accounts first to satisfy Contact lookups, then Contacts and Leads with owner resolution, then Deals with stage name mapping — and use Pipedrive's API with batch chunking for large record volumes. Workflows, email nurture sequences, automated assignment rules, and web forms do not migrate; we deliver a written automation map for your Pipedrive admin to rebuild using Pipedrive's automation tools post-migration.

Field-level fidelity

Every standard and custom field arrives verified.

Schema-aware mapping

AI proposes the map; you confirm before any record moves.

Relationships preserved

Parent–child, lookups, and ownership stay linked.

Full activity history

Calls, emails, meetings — with original timestamps.

Attachments & notes

Documents, uploads, and inline notes move with the record.

Why teams make this switch

Two sides of the same decision

Leaving

Chakra Sales CRM logo

Chakra Sales CRM

What's pushing teams away

  • Limited market presence and a very small review base (4 reviews on G2) makes it hard to validate long-term reliability against better-known alternatives like HubSpot or ActiveCampaign.
  • Sparse public API documentation and a smaller third-party integration ecosystem creates friction for teams that rely on custom integrations or need deep migration tooling.
  • The platform targets small businesses and appears to lack the depth and scalability that growing teams eventually require, prompting migrations to Salesforce or Pipedrive as headcount increases.
  • Users migrating away report rebuilding custom fields and workflow automations from scratch, since neither exports cleanly through the Cloud API.

Choosing

Pipedrive logo

Pipedrive

What's pulling them in

  • Clean drag-and-drop pipeline interface with minimal learning curve, making it approachable for small sales teams without dedicated CRM admins.
  • Visual deal tracking keeps reps focused on next actions — activities, calls, and follow-up tasks surface directly in the pipeline view.
  • Strong integrations via Zapier and native marketplace apps let teams wire Pipedrive into Calendly, ActiveCampaign, and similar sales-stack tools.
  • Mobile apps for iOS and Android keep field reps connected to deals, contacts, and tasks without a desktop session.
  • Reputation and review volume — over 3,000 verified reviews across G2 and Capterra — signal reliability for teams evaluating CRM options.

Object mapping

How Chakra Sales CRM objects map to Pipedrive

Each row shows how a Chakra Sales CRM object lands in Pipedrive, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Chakra Sales CRM

Account (Company)

maps to

Pipedrive

Company

1:1
Fully supported

Chakra Sales CRM Accounts map to Pipedrive Company records. Company name, domain, address fields, and phone map directly. We use the Company name as the dedupe key during import. Any company-specific custom fields from Chakra are mapped to Pipedrive custom fields on the Company object, which the customer creates in Pipedrive before the load phase begins. Company records must be imported before Contact records to satisfy the primary Company lookup on Person records.

Chakra Sales CRM

Contact

maps to

Pipedrive

Person

1:1
Fully supported

Chakra Sales CRM Contacts map to Pipedrive Person records. Name, email, phone, title, and any custom Contact properties migrate directly. We preserve the link to the parent Company by resolving the Chakra account reference to the Pipedrive Company ID created in the preceding phase. Contact owner assignment migrates by email match against the Pipedrive User table.

Chakra Sales CRM

Lead

maps to

Pipedrive

Lead (via Lead Inbox)

1:1
Fully supported

Chakra Sales CRM Leads map to Pipedrive Leads, which feed into Pipedrive's Lead Inbox for manual qualification and conversion. Lead source, status, qualification fields, and custom properties migrate. We map Chakra Lead status values to Pipedrive Lead status and flag any Leads that should be converted directly to Person+Deal in Pipedrive during scoping so the customer can decide on the qualification workflow.

Chakra Sales CRM

Deal (Opportunity)

maps to

Pipedrive

Deal

1:1
Fully supported

Chakra Sales CRM Deals map to Pipedrive Deals with title, value (amount), expected close date, owner, and custom properties. Deal stage names from Chakra are captured as-is during discovery and mapped to Pipedrive pipeline stages that we configure in the destination before migration. Lost deal reasons from Chakra custom fields migrate to Pipedrive Deal fields for reporting continuity.

Chakra Sales CRM

Pipeline Stage

maps to

Pipedrive

Pipeline Stage

lossy
Fully supported

Chakra Sales CRM pipeline stages are configured via no-code setup and do not export via the Cloud API. We document the stage sequence (name, order, probability) during the discovery call, then configure matching Pipedrive pipeline stages before the Deal load phase. Each Chakra pipeline maps to a separate Pipedrive pipeline, and stage probabilities are set per stage in Pipedrive's pipeline settings.

Chakra Sales CRM

Task

maps to

Pipedrive

Activity (Task)

1:1
Fully supported

Chakra Sales CRM Tasks map to Pipedrive Activities with type Task. Subject, due date, assignee, status, and association to the related Contact, Lead, or Deal migrate directly. We resolve the owner assignment by email match against Pipedrive Users. Activity timestamps are preserved to maintain the historical record in Pipedrive's timeline view.

Chakra Sales CRM

Call (Engagement)

maps to

Pipedrive

Activity (Call)

1:1
Fully supported

Chakra Sales CRM call logs migrate to Pipedrive Activities with type Call. Call duration, disposition, notes, and recording URL reference migrate to custom Activity fields in Pipedrive. The association to the related Person, Lead, or Deal is resolved via the same parent-record lookup used for Tasks.

Chakra Sales CRM

Email (Engagement)

maps to

Pipedrive

Activity (Email)

1:1
Fully supported

Chakra Sales CRM email threads associated with records migrate as Pipedrive Email activities linked to the parent Person, Lead, or Deal. Email content, timestamp, direction (sent/received), and recipient information migrate. We flag any email threads that reference attachments and handle those through a supplementary file transfer step (see gotchas).

Chakra Sales CRM

Custom Field

maps to

Pipedrive

Custom Field

lossy
Fully supported

Chakra Sales CRM custom fields on Contacts, Leads, Deals, and Accounts do not export with a schema file. We perform a field-level inventory during discovery, compare source field names and data types against Pipedrive's supported custom field types (text, number, date, single-select, multi-select, phone, address, organization), and either map to a matching Pipedrive field or flag the field as requiring a new custom field to be created in Pipedrive before the load phase. This is the most manual step in the migration and drives timeline and cost.

Chakra Sales CRM

Workflow Automation

maps to

Pipedrive

Workflow (manual rebuild)

lossy
Fully supported

Chakra Sales CRM workflow automation rules — including lead nurturing sequences, automated assignment, and event-triggered actions — do not export via the Cloud API. We document each active automation during discovery: trigger type, conditions, sequence of actions, and affected record types. We deliver this as a written automation inventory with recommended Pipedrive Workflow equivalents. The customer's Pipedrive admin rebuilds automations using Pipedrive's native automation builder post-migration.

Chakra Sales CRM

File Attachment

maps to

Pipedrive

File (via Google Drive or Dropbox)

1:1
Fully supported

File attachments linked to Chakra Sales CRM Contacts, Leads, or Deals may not be retrievable via the standard Cloud API export. We audit attachment coverage during the pre-migration data audit. For records with critical attachments, we either request a manual export from the source account or perform a supplementary file transfer step, then relink the files in Pipedrive using the Google Drive or Dropbox integration if the customer has those configured.

Chakra Sales CRM

Owner (User)

maps to

Pipedrive

User

1:1
Fully supported

Chakra Sales CRM Owners referenced on Contacts, Leads, Deals, and Tasks are matched by email against the Pipedrive destination User table. Any Owner without a matching Pipedrive User is held in a reconciliation queue for the customer's admin to provision the User account before record import resumes. Owner assignment must be resolved before any record phase begins.

Pair-specific challenges

  • Automation rules do not export from Chakra Sales CRM

Chakra Sales CRM stores workflow automation logic in the platform configuration layer. Lead nurturing sequences, automated round-robin assignment, and event-triggered actions do not export via the Cloud API. We document every active automation during discovery (trigger, conditions, action sequence) and deliver a written inventory mapped to Pipedrive Workflow equivalents. Your Pipedrive admin rebuilds these using Pipedrive's automation builder post-migration. This step requires business-user input to confirm logic, so we schedule a rebuild workshop before the go-live date.

  • Custom field schema does not export and requires manual remapping

Chakra Sales CRM's no-code configuration means custom fields are defined per-account without a schema export. We perform a field-level inventory during the discovery call, compare each Chakra custom field against Pipedrive's supported field types, and map values record-by-record. Fields without a direct Pipedrive type are flagged and the customer creates the new custom field in Pipedrive before the load phase. Missing custom fields at load time cause silent data loss in the unmapped columns, which is why we require signed-off field mapping before any data moves.

  • Attachment files may require a separate transfer step

File attachments stored in Chakra Sales CRM's file layer — including proposals, signed documents, and call recordings — may not be retrievable via the standard Cloud API export. We audit attachment coverage during the pre-migration data audit. For records with critical attachments, we request a manual export from the source account or perform a supplementary file transfer step. Pipedrive's file API requires Google Drive or Dropbox integration to be configured for the attachments to land in the same record view in Pipedrive.

  • Tier-based record limits may cap what Chakra exports

Chakra Sales CRM's Starter and Growth tiers cap active Leads and Deals at 12,000; the Advanced tier raises this to 30,000. If the source dataset exceeds the destination tier's record count limit, we flag the overage during scoping and work with the customer to either archive stale records before migration or upgrade the destination Pipedrive plan. Pipedrive's paid tiers do not impose record count caps, so the migration itself is unlimited once the destination plan is confirmed.

Migration approach

Six steps for a successful Chakra Sales CRM to Pipedrive data migration

  1. Discovery and data audit

We run a record count audit against the source Chakra Sales CRM account, including Contacts, Leads, Deals, Tasks, and any engagement history. We document pipeline stage names and order, custom field definitions (field name, data type, which objects they appear on), active automation rules, and attachment coverage. We also extract Owner email addresses for user reconciliation. The discovery output is a written migration scope with a field mapping matrix and a list of custom fields requiring creation in Pipedrive before the load phase.

  2. Pipedrive schema configuration

We configure the destination Pipedrive account based on the discovery findings: creating custom fields on Person, Company, Lead, and Deal objects to match the Chakra source; configuring pipeline stages with probability percentages aligned to the Chakra stage sequence; and setting up multiple Pipedrive pipelines if the source uses multiple Chakra pipelines. This phase runs in parallel with the customer's Pipedrive admin creating the custom fields we cannot pre-provision via API. We do not configure automations in this step — Pipedrive's automation builder is used post-migration.

  3. Sandbox migration and reconciliation

We run a full migration into the customer's Pipedrive sandbox environment using production-like data volume. The customer's team spot-checks 25-50 records across each object type against the Chakra source (field values, owner assignments, deal stage labels, activity timestamps) and signs off before production migration begins. Mapping corrections, missing custom fields, and stage name mismatches surface here rather than in production.

  4. Owner reconciliation and user provisioning

We extract every distinct Chakra Sales CRM Owner referenced across Contacts, Leads, Deals, and Tasks and match by email against the Pipedrive User table. Owners without a matching Pipedrive User go to a reconciliation queue. The customer's Pipedrive admin provisions any missing Users before production migration resumes. This step is required before any record phase because OwnerId references are validated on import.

  5. Production migration in dependency order

We run production migration in record-dependency order: Companies first (to satisfy Person lookups), then Persons and Leads with owner resolution and Company link, then Deals with pipeline stage mapping and owner assignment, then Activities (Tasks, Calls, Emails) via batched API calls with rate-limit handling. Custom fields are mapped at the field level during each phase. Each phase emits a row-count reconciliation report before the next phase begins.

  6. Cutover, validation, and automation rebuild handoff

We freeze Chakra Sales CRM writes during the cutover window, run a final delta migration of any records modified during the migration, then confirm Pipedrive as the system of record. We deliver the automation inventory document listing every Chakra workflow with its trigger, conditions, and recommended Pipedrive Workflow equivalent. We support a one-week hypercare window to resolve reconciliation issues. We do not rebuild automations as Pipedrive Workflows inside the migration scope; that is a separate engagement for the customer's Pipedrive admin or a Pipedrive-certified partner.

Chakra Sales CRM

Source

Strengths

  • All-inclusive flat pricing model with no per-seat charges or feature gates
  • Unlimited users on every tier so headcount growth does not trigger billing changes
  • Workflow automation with lead nurturing and event-triggered actions
  • Multiple pipeline visualization options including Kanban views
  • Responsive customer support consistently praised in G2 reviews

Weaknesses

  • Very limited public API documentation and third-party integration ecosystem
  • Small review base (4 reviews on G2) makes independent quality validation difficult
  • Sparse community resources and fewer migration tooling options compared to major CRMs
  • Limited depth for teams scaling beyond small-business into mid-market or enterprise workloads

Destination

Strengths

  • Intuitive drag-and-drop pipeline that sales reps actually use without resistance or training overhead.
  • Per-seat unlimited-deals model on all tiers — reps cannot be blocked from logging activity.
  • Active marketplace with 400+ integrations and a documented REST API with OpenAPI 3 specs.
  • Mobile apps with offline access, call logging, and calendar sync keep field teams operational.
  • Strong focus on sales activity tracking — next-action reminders and follow-up scheduling are first-class features.

Weaknesses

  • No custom objects — teams needing non-standard data structures must work around the four standard entity types.
  • Workflow automation limits by tier (30, 60, 90 active workflows) force upgrades as processes grow.
  • No free permanent plan — teams evaluating fit must commit to a trial without a freemium option.
  • Limited advanced reporting and custom dashboard capabilities compared to HubSpot or Salesforce.
  • Export permissions are gated by visibility groups, meaning data scoping must account for who can see what before migration.

Small businesses with under 10,000 total records (Contacts, Leads, Deals) typically complete in three to five weeks. Mid-market volumes with multiple custom fields, several pipelines, and engagement history move to six to ten weeks because of manual field mapping, stage sequencing, and parent-record lookup resolution. Discovery and schema configuration add two to three weeks regardless of record volume. Pipedrive's own Knowledge Base notes that migration time depends on data volume, which aligns with the range we see across Chakra-to-Pipedrive migrations.
