Chakra Sales CRM does not export automation logic, pipeline stage definitions, or custom field schemas via its Cloud API, which means the migration scope centers on record data (Contacts, Accounts, Leads, Deals, Tasks) with custom fields remapped by hand and pipeline stages documented during a discovery call. We sequence the migration in dependency order — Accounts first to satisfy Contact lookups, then Contacts and Leads with owner resolution, then Deals with stage name mapping — and use Pipedrive's API with batch chunking for large record volumes. Workflows, email nurture sequences, automated assignment rules, and web forms do not migrate; we deliver a written automation map for your Pipedrive admin to rebuild using Pipedrive's automation tools post-migration.

Discovery and data audit
We run a record count audit against the source Chakra Sales CRM account, including Contacts, Leads, Deals, Tasks, and any engagement history. We document pipeline stage names and order, custom field definitions (field name, data type, which objects they appear on), active automation rules, and attachment coverage. We also extract Owner email addresses for user reconciliation. The discovery output is a written migration scope with a field mapping matrix and a list of custom fields requiring creation in Pipedrive before the load phase.
Pipedrive schema configuration
We configure the destination Pipedrive account based on the discovery findings: creating custom fields on Person, Company, Lead, and Deal objects to match the Chakra source; configuring pipeline stages with probability percentages aligned to the Chakra stage sequence; and setting up multiple Pipedrive pipelines if the source uses multiple Chakra pipelines. This phase runs in parallel with the customer's Pipedrive admin creating the custom fields we cannot pre-provision via API. We do not configure automations in this step — Pipedrive's automation builder is used post-migration.
Sandbox migration and reconciliation
We run a full migration into the customer's Pipedrive sandbox environment using production-like data volume. The customer's team spot-checks 25-50 records across each object type against the Chakra source (field values, owner assignments, deal stage labels, activity timestamps) and signs off before production migration begins. Mapping corrections, missing custom fields, and stage name mismatches surface here rather than in production.
Owner reconciliation and user provisioning
We extract every distinct Chakra Sales CRM Owner referenced across Contacts, Leads, Deals, and Tasks and match by email against the Pipedrive User table. Owners without a matching Pipedrive User go to a reconciliation queue. The customer's Pipedrive admin provisions any missing Users before production migration resumes. This step is required before any record phase because OwnerId references are validated on import.
Production migration in dependency order
We run production migration in record-dependency order: Companies first (to satisfy Person lookups), then Persons and Leads with owner resolution and Company link, then Deals with pipeline stage mapping and owner assignment, then Activities (Tasks, Calls, Emails) via batched API calls with rate-limit handling. Custom fields are mapped at the field level during each phase. Each phase emits a row-count reconciliation report before the next phase begins.
Cutover, validation, and automation rebuild handoff
We freeze Chakra Sales CRM writes during the cutover window, run a final delta migration of any records modified during the migration, then confirm Pipedrive as the system of record. We deliver the automation inventory document listing every Chakra workflow with its trigger, conditions, and recommended Pipedrive Workflow equivalent. We support a one-week hypercare window to resolve reconciliation issues. We do not rebuild automations as Pipedrive Workflows inside the migration scope; that is a separate engagement for the customer's Pipedrive admin or a Pipedrive-certified partner.
