We create custom fields in Zoho with the correct data types before any data import begins so that field mapping is resolved at load time rather than during import. We coordinate with the customer's Zoho admin to confirm roles, profiles, and data access settings.

  3. Record export from Chakra Sales CRM via Cloud API

    We export all record data from Chakra Sales CRM using the Cloud API. Records are exported in dependency order: Accounts first (to satisfy parent lookups), then Contacts, Leads, Deals, and Activities. Custom field values are included in the export payload and are mapped using the discovery-phase mapping document. Owner assignments are extracted for email-matching resolution against Zoho Users. We produce a structured CSV for each module as the migration input file.

  4. Sandbox test migration and reconciliation

    We run a full test migration into the Zoho sandbox using production-like data volume. The customer's account admin reconciles record counts (Accounts in, Contacts in, Leads in, Deals in, Activities in), spot-checks 20-40 random records against the Chakra source, and validates that pipeline stages, owner assignments, and custom field values appear correctly in Zoho. Mapping corrections happen in the sandbox, not in production. The admin signs off the sandbox before production migration begins.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Accounts first (from Chakra Companies), then Contacts with AccountId resolved, Leads, Deals with stage names mapped to Zoho pipeline stages, and Activities last. Each phase emits a row-count reconciliation report before the next phase begins. We use Zoho's bulk API endpoints with rate-limit handling and batch chunking for large record sets. Owner assignments resolve by email match; any Chakra owner without a matching Zoho User is held in a reconciliation queue for the admin to provision before that phase resumes.

  6. Cutover, final validation, and automation rebuild handoff

    We freeze Chakra Sales CRM writes during cutover and run a final delta migration of any records modified during the migration window. We enable Zoho CRM as the system of record. We deliver the automation inventory document with Zoho Workflow and Blueprint equivalents to the customer's Zoho admin. We support a one-week hypercare window to resolve reconciliation issues raised by the sales team.
