Overview
Moving from YouTrack to monday.com is a cross-category migration from an issue-tracking-first tool to a visual work-management platform. YouTrack organizes work around Issues, Projects, and Agile Boards with a developer-centric data model; monday.com organizes around Boards, Groups, and Items with color-coded status columns and 30-plus column types. We resolve the fundamental structural difference (YouTrack Issues vs monday.com Items) during scoping, transform YouTrack's per-project CustomField bindings into monday.com column configurations, and preserve attachments, comments, tags, and issue history. We flag Helpdesk projects separately because YouTrack's 4-agent minimum on paid Helpdesk has no monday.com equivalent. Workflows, Saved Queries, and Agile Board configurations do not migrate as code; we deliver a written inventory for the customer's admin to rebuild. monday.com does not import dashboards, Gantt views, or workload views from any source, so these are documented separately for manual reconstruction.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a YouTrack object lands in monday Work Management, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
YouTrack
Issue
monday Work Management
Item
1:1YouTrack Issues map directly to monday.com Items. We export the full issue body (summary as Item name, description as Item text column), status, priority, type, created/updated timestamps, reporter, and assignee. Issue links (subtask, duplicate, relates, blocks) map to monday.com Dependencies (column type) or Sub-items depending on link type. Issue key (e.g., PROJ-123) is preserved in a text column for traceability.
YouTrack
Project
monday Work Management
Board
1:1Each YouTrack Project maps to a monday.com Board. Project type (Scrum, Kanban, Bug-tracking) is preserved as a board property. We preserve project team memberships as monday.com team member column defaults, though monday.com permissions are workspace-level rather than project-level. Multiple YouTrack projects can map to separate monday.com Boards within a single workspace or across workspaces depending on the customer's organizational structure.
YouTrack
Agile Board
monday Work Management
Board (Kanban view)
lossyYouTrack Agile Boards store swimlane configuration, column states, and sprint assignments. We extract board definitions and reapply them as monday.com Board configurations. YouTrack sprints map to monday.com Groups (column groups on the board) with sprint name as the group header. Note: monday.com does not support timeboxed sprints with burndown charts natively; if the customer relies on burndown reporting, we document this gap for manual reconstruction in monday.com Dashboards.
YouTrack
Custom Field (global)
monday Work Management
Column (board-level)
lossyYouTrack CustomFields are defined globally but have per-project bindings that can vary default values and visibility per project. We export the full CustomField definition and all ProjectCustomField bindings. On monday.com, columns are board-level only. We recreate each custom field as a monday.com column of the closest matching type (dropdown, text, number, date, person, status, tag). Custom field options migrate as column option labels. Default values from ProjectCustomField become board-level column defaults.
YouTrack
Custom Field (enumerated)
monday Work Management
Status or Dropdown column
lossyYouTrack enumerated custom fields (Priority, Type, custom enums) map to monday.com Status columns (for workflow-like progression) or Dropdown columns (for flat selections). Status columns in monday.com are color-coded and show progress on the board; Dropdown columns are static selections. We default to Status column for fields that represent workflow state (resolution, stage, severity) and Dropdown for categorical selectors (component, team, product area). The customer chooses during scoping.
YouTrack
Attachment
monday Work Management
File column / Item file
1:1YouTrack attachments (PersistentFile entities linked to Issues) are downloaded from the YouTrack REST API and re-uploaded to monday.com Items. We preserve original filenames and MIME types. monday.com file column stores files per Item. Large file migrations (exceeding monday.com storage limits) are flagged during scoping and alternative storage strategies are discussed.
YouTrack
Comment
monday Work Management
Item updates / Activity
1:1YouTrack Issue comments map to monday.com Item updates. Author, timestamp, and comment body preserve. YouTrack's rich-text comment format (Markdown) is converted to monday.com's update format. Issue change history (status changes, field changes) does not have a native monday.com equivalent; we document the history log as a separate CSV export for audit purposes.
YouTrack
Tag
monday Work Management
Tag column
1:1YouTrack Tags are label entities attached to Issues. We preserve the full tag set per Issue and recreate them as monday.com Tag column values. Tags are board-scoped in monday.com, so if tags are shared across projects, the customer decides whether to create separate tag sets per board or consolidate into workspace-level tagging conventions.
YouTrack
Saved Query
monday Work Management
Board filter (documented)
1:1YouTrack Saved Queries store filter definitions referencing field names and values. We export them as filter configurations and document the equivalent monday.com Board filter setup. monday.com Board filters use column names rather than custom field IDs, so Saved Query references to internal field IDs require manual translation. We provide a written mapping of every Saved Query with the equivalent monday.com filter steps.
YouTrack
Knowledge Base Article
monday Work Management
Doc or Board item (customer choice)
1:1YouTrack Knowledge Base articles are project-scoped Markdown documents with tags and attachments. We export full article content, structure, and attachments. monday.com Docs is the closest equivalent for knowledge articles. We create monday.com Doc pages with article content, preserving tags as document labels. Alternatively, the customer may choose to migrate KB articles as Items on a dedicated Board for easier update tracking. The choice is made during scoping.
YouTrack
Project Team
monday Work Management
Workspace member
1:1YouTrack ProjectTeam entities define group membership per project. We preserve team memberships and role assignments. monday.com's permission model is workspace-level (Owner, Member, Guest) rather than per-board or per-project. We document the original YouTrack project-team mapping and recommend workspace structuring that preserves team isolation if the customer requires it.
YouTrack
Time Tracking / Workitem
monday Work Management
Time Tracking column (Pro+)
1:1YouTrack Workitem entries store time spent linked to Issues and Users with duration and description. monday.com Time Tracking column is available on Pro plan and above. We export work entries and load them into monday.com Time Tracking columns if the destination plan supports it. If the customer is on Basic or Standard, we document the time entries as a number column (hours) for manual time-tracking setup.

Migration approach
Discovery and scoping audit
We audit the source YouTrack instance across projects, issue counts, custom field definitions and per-project bindings, Agile Board configurations, Knowledge Base articles, time-tracking volume, Helpdesk project scope, and active Workflows. We extract the complete schema including CustomField global definitions, ProjectCustomField bindings, and ProjectTeam memberships. The discovery output is a written migration scope document with record counts per object, custom field inventory, and an initial board consolidation recommendation if project count exceeds 50.
Custom field and column type mapping design
We design the column schema for each monday.com destination board based on the YouTrack custom field inventory. We assign monday.com column types to each YouTrack field, flagging fields without native equivalents for text fallback. We decide with the customer which enumerated fields become Status columns versus Dropdown columns. We document per-project CustomField binding defaults that will become board-level column defaults in monday.com. Schema design is validated in a monday.com test workspace before production migration begins.
Batched issue export and API cap management
We export YouTrack Issues in paginated batches of 1,800 issues (below the 2,000 cap) using the YouTrack REST API with Bearer token auth. For projects approaching the 2,000-issue threshold, we split exports by time range or subsystem. We export change history separately for issues approaching the 1,000-change cap, flagging any truncated history for customer review. Each batch is validated for row count and field completeness before transformation begins.
Data transformation and board preparation
We transform exported data into monday.com Item format, applying the column type mapping from Step 2. Issue links are resolved as either monday.com Dependencies or Sub-items depending on link type. Attachments are downloaded from YouTrack and staged for upload. Tags are mapped to monday.com Tag column values. Knowledge Base articles are transformed to monday.com Doc format or Board Items per the customer's choice in Step 1. We create monday.com Boards with the column schema, group structure (mapped from YouTrack Agile Board swimlanes), and any sprint-named Groups before data import.
Sandbox migration and reconciliation
We run a full migration into a monday.com test workspace using production-like data volume. The customer's team lead reconciles record counts (Issues in, Items in, Attachments in), spot-checks 25-50 random Items against the YouTrack source for field accuracy, and validates that column values match original custom field selections. Any mapping corrections happen in the test workspace before production migration begins. This step also validates that the board structure and group organization meet team expectations.
Production migration and cutover
We run the production migration into the live monday.com workspace in dependency order: Boards (created with column schema), Items (Issues migrated as Items with all column values), Sub-items and Dependencies (linked after parent Items exist), Attachments (uploaded per Item), and Docs (Knowledge Base articles). We freeze YouTrack writes during cutover and run a final delta migration of any Issues modified during the migration window. We deliver the Workflow and Saved Query inventory document to the customer's admin team. We support a one-week post-cutover window for reconciliation issues.
