    YouTrack's own documentation confirms that importing from monday.com to YouTrack is capped at 500 boards and 1,000 events per board. When migrating in the reverse direction (YouTrack to monday.com), there is no documented import cap in monday.com's native tooling. However, large YouTrack instances with hundreds of projects require manual board creation in monday.com since there is no bulk-board creation feature. We flag projects that will exceed reasonable board counts (over 50 boards) and recommend consolidation strategies before migration begins.

  • YouTrack REST API hard caps on bulk export

    YouTrack's REST API enforces two undocumented pagination limits: a maximum of 2,000 issues per query and a maximum of 1,000 changes per individual issue. If either threshold is reached, the API stops returning data silently, not with an error. During migration scoping, we identify projects and time ranges that approach these limits and split exports into multiple paginated passes. We log a record of total issues and changes exported versus skipped so the customer can verify completeness before cutover.

  • Not all YouTrack custom field types have monday.com equivalents

    YouTrack supports around 15 custom field types including enum, integer, float, string, text, date, datetime, period, version, state, owned field, group, and user. monday.com's column types are narrower: text, number, date, timeline, person, status, dropdown, multi-select, link, file, formula, and voting. We transform each YouTrack field to the closest monday.com column type. Fields without equivalents (such as version fields, owned fields, or period fields) are documented and migrated as text columns with a note in the migration log.

  • monday.com V1 API deprecation and changed_at field rename

    monday.com is deprecating its V1 API in favor of V2, with changes to field names that affect migrations. Specifically, the `changed_at` timestamp field is renamed to `updated_at` across Item, Column, and Board endpoints. If the customer uses third-party integrations with monday.com (Zapier, Make, custom API connectors), those integrations may reference `changed_at` and need remapping to `updated_at`. We audit active integrations during scoping and flag any that need updates before or after cutover.

  • Workflows and Saved Queries do not migrate as code

    YouTrack Workflows are JavaScript-based rule sets that reference custom fields by internal ID. monday.com's Automation Builder uses a visual block model that is structurally incompatible with YouTrack Workflow source. We do not migrate Workflows as code. We export workflow source and deliver a written inventory with each workflow's trigger, conditions, and actions mapped to recommended monday.com Automation equivalents. Saved Queries are documented as filter configurations. The customer's admin rebuilds automations and Saved Queries post-migration.

Migration approach

Six steps for a successful YouTrack to monday Work Management data migration

  1. Discovery and scoping audit

    We audit the source YouTrack instance across projects, issue counts, custom field definitions and per-project bindings, Agile Board configurations, Knowledge Base articles, time-tracking volume, Helpdesk project scope, and active Workflows. We extract the complete schema including CustomField global definitions, ProjectCustomField bindings, and ProjectTeam memberships. The discovery output is a written migration scope document with record counts per object, custom field inventory, and an initial board consolidation recommendation if project count exceeds 50.

  2. Custom field and column type mapping design

    We design the column schema for each monday.com destination board based on the YouTrack custom field inventory. We assign monday.com column types to each YouTrack field, flagging fields without native equivalents for text fallback. We decide with the customer which enumerated fields become Status columns versus Dropdown columns. We document per-project CustomField binding defaults that will become board-level column defaults in monday.com. Schema design is validated in a monday.com test workspace before production migration begins.

  3. Batched issue export and API cap management

    We export YouTrack Issues in paginated batches of 1,800 issues (below the 2,000 cap) using the YouTrack REST API with Bearer token auth. For projects approaching the 2,000-issue threshold, we split exports by time range or subsystem. We export change history separately for issues approaching the 1,000-change cap, flagging any truncated history for customer review. Each batch is validated for row count and field completeness before transformation begins.

  4. Data transformation and board preparation

    We transform exported data into monday.com Item format, applying the column type mapping from Step 2. Issue links are resolved as either monday.com Dependencies or Sub-items depending on link type. Attachments are downloaded from YouTrack and staged for upload. Tags are mapped to monday.com Tag column values. Knowledge Base articles are transformed to monday.com Doc format or Board Items per the customer's choice in Step 1. We create monday.com Boards with the column schema, group structure (mapped from YouTrack Agile Board swimlanes), and any sprint-named Groups before data import.

  5. Sandbox migration and reconciliation

    We run a full migration into a monday.com test workspace using production-like data volume. The customer's team lead reconciles record counts (Issues in, Items in, Attachments in), spot-checks 25-50 random Items against the YouTrack source for field accuracy, and validates that column values match original custom field selections. Any mapping corrections happen in the test workspace before production migration begins. This step also validates that the board structure and group organization meet team expectations.

  6. Production migration and cutover

    We run the production migration into the live monday.com workspace in dependency order: Boards (created with column schema), Items (Issues migrated as Items with all column values), Sub-items and Dependencies (linked after parent Items exist), Attachments (uploaded per Item), and Docs (Knowledge Base articles). We freeze YouTrack writes during cutover and run a final delta migration of any Issues modified during the migration window. We deliver the Workflow and Saved Query inventory document to the customer's admin team. We support a one-week post-cutover window for reconciliation issues.
