Overview
Migrating from Apptivo to Monday.com CRM is a structural re-platforming. Apptivo organizes CRM data across multiple independent apps (Contacts, Leads, Customers, Cases, Opportunities) each with their own custom attribute layer, while Monday.com CRM uses a board-based architecture where People (contacts and leads) and Deals live as Items on boards with custom columns. We enumerate every custom attribute per Apptivo app during discovery, design the Monday.com board and column schema before import, and map each record type to its corresponding board. Monday.com automations and Apptivo workflows are configuration artifacts that do not migrate; we deliver a written inventory of every active workflow for the customer's admin to rebuild using Monday.com's automation rules. Engagement history (calls, emails, meetings) from Apptivo migrates as comments or sub-items attached to the appropriate People or Deal Item, with ownership mapped by email resolution.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Apptivo object lands in monday CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Apptivo
Contact
monday CRM
People Item
1:1Apptivo Contact records map directly to People Items in Monday.com CRM. Standard fields (name, email, phone, address) map to the corresponding People column types. The 100-500 custom fields per Apptivo CRM app map to Monday.com custom columns added during board setup. We enumerate every custom field from Apptivo's Master Layout before migration and create matching columns in Monday.com's People board before any contact import begins.
Apptivo
Lead
monday CRM
People Item
1:1Apptivo Lead records map to People Items with a custom Lead Status column added to distinguish them from standard Contacts. Lead score, source tracking, and lifecycle stage from Apptivo migrate as custom columns on the People Item. We preserve the original Apptivo lead identifier in a notes field for audit trail purposes during the migration window.
Apptivo
Customer
monday CRM
Organization
1:1Apptivo Customer records (B2B account objects) map to Monday.com Organizations. The company name becomes the Organization name, and billing address maps to the Organization address columns. We use company name as the dedupe key during import. Existing Apptivo Contacts linked to a Customer are associated via a lookup relationship to the Organization after the Organization is created, ensuring the parent-child relationship is satisfied at insert time.
Apptivo
Opportunity
monday CRM
Deal Item
1:1Apptivo Opportunity records map to Deals on Monday.com CRM's Deals board. Deal amount, expected close date, pipeline stage, and owner migrate to the corresponding Deal columns. Stage names from Apptivo map to Monday.com status column values on the Deals board, and we configure the status column during board setup to match the customer's pipeline stages.
Apptivo
Case
monday CRM
Item on Cases Board
1:1Apptivo Cases migrate to Items on a dedicated Cases board in Monday.com CRM. Ticket status, priority, owner, and associated customer map to the relevant columns. Case conversation threads from Apptivo's customer portal migrate as comments on the Monday.com Item, preserving the original thread ordering by timestamp. We create a Cases board per the customer's process before migration begins.
Apptivo
Project
monday CRM
Board with sub-items
1:manyApptivo Projects require a board reconstruction in Monday.com. The project metadata (name, start date, end date, owner) becomes a top-level Item or Group on a Monday.com board, and project tasks migrate as sub-items under the parent. Milestone markers from Apptivo map to Groups within the board when the structure is compatible. Custom project-level fields migrate as columns on the board. This is a configuration-heavy mapping; we confirm the desired board structure with the customer before building.
Apptivo
Custom Attributes (per app)
monday CRM
Custom columns (per board)
lossyApptivo's per-app Master Layout custom attributes have no direct Monday.com equivalent. Each Monday.com board requires its own column set built manually or via the API. We enumerate all custom attributes across all active Apptivo apps during discovery, present a board-column mapping plan, and add columns to the target Monday.com boards before importing records that use those fields. Any custom attributes that cannot map to a Monday.com column type (e.g., Apptivo radio button to Monday.com status vs dropdown) are flagged in the discovery report for the customer to decide.
Apptivo
Workflow
monday CRM
Automation (rebuild required)
1:1Apptivo workflow rules are configuration artifacts that reference object IDs and stage transitions. Monday.com automations use a different trigger and action model. We do not migrate workflows. We scan every active workflow across all Apptivo apps during discovery, document the trigger, conditions, and actions in a written inventory, and provide a recommendation for each workflow's Monday.com automation equivalent. The customer's admin rebuilds the automations post-migration.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Apptivo gotchas
Workflow automations are not exportable data
Per-app custom attributes create a hidden field-mapping burden
65K+ record export limit can split large datasets
IP whitelisting can block migration server IPs
Professional Implementation timelines rarely match actual deployment
monday CRM gotchas
Subitems are not included in bulk exports
Daily API call limits vary sharply by plan
Legacy automations (Sentence Builder) are being deprecated
Excel and account exports only include table views
Enterprise admins can disable non-admin exports

Migration approach
Discovery across all active Apptivo apps
We audit every Apptivo app in active use, enumerating Contacts, Leads, Customers, Cases, Opportunities, and any custom attributes in each app's Master Layout. We extract record counts per object, identify duplicate records by email and company name, scan active workflows across all apps, and assess the Projects and Invoices scope if present. The discovery output includes a deduplication report listing records that must be resolved before export and a workflow inventory documenting every active Apptivo automation.
Monday.com board design and column schema creation
We design the Monday.com CRM board structure based on the Apptivo app inventory. The People board is created with standard and custom columns matching the Apptivo Contact and Lead field sets. The Deals board is created with pipeline stages mapped from Apptivo Opportunity stages. A Cases board is created if Cases are in scope. We add custom columns via the Monday.com API for each Apptivo custom attribute that has a matching column type. Board design is validated by the customer before any data export begins.
Owner reconciliation and User provisioning in Monday.com
We extract every distinct Apptivo owner referenced on Contacts, Leads, Customers, Deals, and Cases and map them by email to Monday.com team members. Monday.com workspaces must have the relevant team members added before Items can be assigned. Owners without a matching Monday.com account go to a reconciliation queue for the customer's admin to provision before record import resumes.
Deduplication pass and Apptivo record cleanup
We run a deduplication pass on Apptivo records, identifying duplicate Contacts (by email), duplicate Leads (by email), and duplicate Customers (by company name). The customer resolves identified duplicates in Apptivo before we proceed to export. We re-export after cleanup to ensure the migration set is clean.
Record export and import in dependency order
We export Apptivo records in dependency order: Customers (first, to create Organizations), Contacts and Leads (to People Items with Organization lookups), Cases (to Cases board Items), Opportunities (to Deals with Organization and owner references resolved). Projects are exported last due to their hierarchical complexity, with task hierarchies mapped to sub-item structures. Each phase emits a row-count reconciliation report. We use batch chunking for large exports to stay within Apptivo API limits.
Engagement migration and post-migration handoff
We migrate engagement history (call logs, email threads, meeting records, notes) as comments on the corresponding People or Deal Item, preserving timestamp and author. File attachments migrate as links in the appropriate item column. We deliver the workflow inventory document to the customer's admin team with Monday.com automation equivalents for each Apptivo workflow. We support a three-day hypercare window for reconciliation issues and flag any records that require manual intervention.
