  • Monday.com duplicate merging is manual and must happen before import

    Monday.com does not offer bulk deduplication or merge tools. Duplicate contacts and organizations must be identified and resolved before export from Apptivo or the migration will land duplicate Items in Monday.com that can only be merged one at a time through the UI. We run a deduplication pass on Apptivo records during scoping, flagging records with matching email (Contacts/Leads) or company name (Customers), and the customer resolves duplicates in Apptivo before we export. Call duration, email subject, and meeting attendees are stored as comment text or as custom column values if the customer requests column-based representation. We preserve the timestamp and author of each engagement in the comment body, but the rich structure of Apptivo's engagement records flattens into Monday.com's comment model.

  • Apptivo IP whitelisting must include FlitStack AI egress IPs before migration

    Apptivo added IP whitelisting in 2023, restricting API access to configured network IPs. Migration tools running from external servers will be blocked unless the customer's Apptivo admin whitelists FlitStack AI's egress IP addresses before migration begins. We provide our egress IP list during the pre-flight checklist, and the admin must complete the IP whitelist configuration in Apptivo's security settings before we can authenticate to the source API.

  3. Owner reconciliation and User provisioning in Monday.com

    We extract every distinct Apptivo owner referenced on Contacts, Leads, Customers, Deals, and Cases and map them by email to Monday.com team members. Monday.com workspaces must have the relevant team members added before Items can be assigned. Owners without a matching Monday.com account go to a reconciliation queue for the customer's admin to provision before record import resumes.

  4. Deduplication pass and Apptivo record cleanup

    We run a deduplication pass on Apptivo records, identifying duplicate Contacts (by email), duplicate Leads (by email), and duplicate Customers (by company name). The customer resolves identified duplicates in Apptivo before we proceed to export. We re-export after cleanup to ensure the migration set is clean.

  5. Record export and import in dependency order

    We export Apptivo records in dependency order: Customers (first, to create Organizations), Contacts and Leads (to People Items with Organization lookups), Cases (to Cases board Items), Opportunities (to Deals with Organization and owner references resolved). Projects are exported last due to their hierarchical complexity, with task hierarchies mapped to sub-item structures. Each phase emits a row-count reconciliation report. We use batch chunking for large exports to stay within Apptivo API limits.

  6. Engagement migration and post-migration handoff

    We migrate engagement history (call logs, email threads, meeting records, notes) as comments on the corresponding People or Deal Item, preserving timestamp and author. File attachments migrate as links in the appropriate item column. We deliver the workflow inventory document to the customer's admin team with Monday.com automation equivalents for each Apptivo workflow. We support a three-day hypercare window for reconciliation issues and flag any records that require manual intervention.
