In its favor

Why people choose Apptivo

The signal that keeps Apptivo on the shortlist. Sourced from G2, Capterra, and customer scoping calls.

All-in-one pricing with no per-app charges — customers cite avoiding HubSpot and Salesforce's nickel-and-dime add-on model for the same functionality.

Human customer support that actually responds — multiple reviews mention the same support contact handling issues consistently over months.

Modular app library of 65+ tools lets small teams add CRM, invoicing, project management, and helpdesk without switching platforms.

Flat per-user pricing scales predictably for teams under 20 users, with deeper feature tiers available as the team grows.

Custom attributes and workflows per app let non-technical users tailor fields, processes, and automation without writing code.

The interface design has not meaningfully evolved since 2018, and the platform lacks any AI assistant or modern automation copilot that competitors now ship by default.

Customization depth creates consistency problems — some apps feel polished while others lack wizard usability and clear documentation, frustrating cross-functional teams.

Export limits and API documentation gaps make bulk data extraction difficult for teams planning a migration or needing programmatic backup.

Billing based on user count penalizes growing teams, especially when the per-user price increases significantly between Lite and Ultimate tiers.

Performance and mobile experience lag behind modern CRM competitors, driving teams to platforms with better UX and native AI features.

Platform scorecard

Strengths, weaknesses, and where Apptivo fits

Grades across six dimensions, plus a SWOT-style view of where the platform shines and where it falls short.

SWOT — strengths, weaknesses, and use-case fit

Strengths

65+ integrated apps in a single platform covering CRM, ERP, and operations without switching vendors.Per-user flat pricing with no per-app add-on charges across Lite through Enterprise tiers.Deep custom attribute system per app allows non-technical users to tailor fields without code.Responsive human customer support available on all paid tiers, not gated behind enterprise.Export capability extended to 65K+ records in xlsx format for large data extraction.

Weaknesses

Interface and UX have not materially updated since 2018, lacking modern design patterns. No AI assistant or intelligent automation features built into the platform.API documentation is sparse; bulk export capabilities are not fully exposed in public docs.Mobile apps exist but are consistently rated lower than the web interface for usability.Customization depth across 65 apps creates inconsistency — some modules feel production-ready, others feel half-baked.

Where it works

Small teams under 20 users in non-regulated industries who need CRM, invoicing, and project management consolidated into a single platform without per-app add-on charges.Small businesses transitioning from spreadsheets or standalone tools seeking an integrated suite where leads, quotes, projects, and invoices flow within one system.Teams that prioritize human support availability over self-service and want consistent support contacts across months rather than AI chatbots.Organizations requiring deep custom attribute and workflow configuration per app without developer involvement, operating in low-complexity technical environments.Teams in North America and Europe who do not require AI-powered automation features and can work within the legacy 2018-era interface design.

Where it struggles

Teams scaling beyond 20 users where per-user pricing creates significant cost increases between Lite ($20/user), Premium ($30/user), and Ultimate ($50/user) tiers, especially during rapid hiring phases.Organizations requiring AI-assisted features such as intelligent lead scoring, automated next-best-action recommendations, or AI-powered summarization, which Apptivo does not provide.Cross-functional teams where some members rely heavily on mobile access, given consistent reports that mobile apps score lower than the web interface for usability and feature parity.Large enterprises needing complex third-party integrations, enterprise SSO with fine-grained role permissions, or SOC 2/ISO compliance documentation for regulated industries.Teams planning to migrate off the platform in the future face export limits, sparse API documentation, and 65K+ record batch requirements that complicate data portability.

Pricing tiers

Apptivo pricing overview

Apptivo charges per user across four tiers with annual discounts of roughly 20%. The Lite plan targets small sales teams; Premium adds breadth; Ultimate adds automation depth; Enterprise unlocks full platform access with SLA support and a dedicated account manager. A free starter plan exists but is essentially an extended trial with very limited functionality.

What gets migrated

Apptivo object support

Object-by-object support for Apptivo migrations. Per-pair details surface during scoping.

Contacts

Fully supported

Core CRM object with standard fields (name, email, phone, address) plus per-app custom attributes. Supports 100–500 custom fields depending on tier. We map all standard fields 1:1 and handle custom attribute translation by inspecting the target app's Master Layout.

Leads

Fully supported

Apptivo's Lead object captures prospect data with lead scoring, source tracking, and lifecycle stage. Exported via the Leads API. We preserve lead status and score as mapped properties in the destination CRM.

Customers

Fully supported

Customer object stores B2B account records with associated contacts and addresses. Available via the Customers API. We map company-level data including billing address and associate existing contacts at migration time.

Cases

Fully supported

Helpdesk tickets with status, priority, owner, and conversation threads. Supports Customer Portal access levels and ticket limits per plan. We migrate case history, attachments, and conversation records in chronological order.

Opportunities

Fully supported

Deals tracked through pipeline stages with revenue, expected close date, and stage probabilities. We map stage names and preserve deal amounts, ownership assignment, and associated contacts.

Projects

Mapping required

Project objects include tasks, milestones, assignees, and customer portals. Custom fields per project vary by configuration. We migrate projects with task hierarchies intact but flag custom project-level fields for manual review.

Invoices

Mapping required

Invoice objects include line items linked to Items, tax codes, and payment status. Historical invoices may have partial payment records. We map invoice headers and line items but recommend reviewing open payment records separately.

Items

Fully supported

Product and service catalog items with pricing, description, and custom attributes. Items app supports text, date, number, and dropdown custom attributes. We migrate item records including all custom attribute values.

Employees

Fully supported

Employee records include contact info, job title, department, and employment status. Used in project assignment and approval workflows. We map employee records and preserve ownership mapping during migration.

Custom Attributes

Mapping required

Apptivo exposes a Master Layout editor per app where admins add text, number, date, dropdown, and radio button fields. Each app has its own attribute set. We enumerate all custom attributes per app before migration and build a field-level mapping table.

Workflows

Not in this platform

Workflow automations in Apptivo are configuration-bound and not exportable as data. They reference object IDs and stage transitions that do not exist in the target CRM. We do not migrate workflows; we document them for manual rebuild in the destination platform.

Attachments

Mapping required

File attachments on records are stored in Apptivo's file system. Large attachments may hit export limits. We migrate file attachments as linked blobs, preserving the association to the parent record but flagging files over 25MB for manual transfer.

We translate Apptivo-specific structures (custom fields, objects, value lists) to the destination's model.
