Overview
Moving from Resource Management by Smartsheet to monday.com is a structural migration from a spreadsheet-rooted project container to a board-based visual work management platform. Smartsheet organizes work in Sheets with Rows as tasks and a standalone Resource Management API for People, Assignments, and Portfolios. Monday.com organizes work into Workspaces containing Boards, with Items as tasks, Groups as phase-like groupings, and Columns for custom fields. We map the Resource Management People object to Monday.com Team Members, preserve allocation hours as a Number column with percentage context, and resolve the workspace architecture by mapping Smartsheet Portfolios to Monday.com Workspaces or nested Board Groups. Monday.com's native dependency columns carry predecessor-successor chains without transformation. Automation rules and Bridge workflows cannot migrate programmatically; we deliver a written automation audit for the customer's admin to rebuild using Monday.com's native automation builder.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Resource Management by Smartsheet object lands in monday Work Management, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Resource Management by Smartsheet
Sheet (Project)
monday Work Management
Board
1:1Smartsheet Sheets map to Monday.com Boards. The Sheet name becomes the Board name. Smartsheet's grid columns map to Monday.com column types: Text columns, Number columns, Date columns, Status columns, and Dropdown columns translate directly. We preserve the column type metadata and column order during migration. The Sheet's summary sheet settings (if any) do not have a direct Monday.com equivalent and are documented for manual configuration.
Resource Management by Smartsheet
Row (Task)
monday Work Management
Item
1:1Smartsheet Rows map to Monday.com Items. Row name becomes Item name. Status columns in Smartsheet (with text values like Not Started, In Progress, Complete) map to Monday.com Status columns with label-matched options. Row-level dependencies (predecessor-successor) map to Monday.com's Dependency column type, which supports predecessor links and Lag Time. Row discussion/comments map to Monday.com Updates attached to the item.
Resource Management by Smartsheet
People (Resource)
monday Work Management
Team Member
1:1Resource Management People records (name, email, role, availability percentage) map to Monday.com Team Members. We import People via the Resource Management API and create Monday.com users by email. Role and department information from Resource Management maps to Monday.com user profile fields. Allocation percentages are preserved separately (see Assignments mapping) rather than in the user profile.
Resource Management by Smartsheet
Assignment
monday Work Management
Assignee Column + Allocation Column
lossyResource Management Assignments link a Person to a task with allocation mode (percent, hours_per_day, fixed) and allocation value. We map this as a two-column structure in Monday.com: an Assignee column holding the Monday.com user reference, and a Number column (labeled with the allocation mode) holding the value. Teams using percentage allocation map to a Numbers column showing the percentage; teams using hours map to hours. The customer's admin chooses the column label during scoping.
Resource Management by Smartsheet
Phase
monday Work Management
Group
1:1Smartsheet Phases are hierarchical groupings of rows within a Sheet. Monday.com Groups serve the same function within a Board: they divide Items into named sections. We map Phase names to Group names, preserving the ordering of phases as they appear in the Smartsheet Sheet. If a Phase contains sub-phases, we flatten them into a single Group with a naming convention that preserves the hierarchy (e.g., Phase Name / Sub-phase Name).
Resource Management by Smartsheet
Portfolio
monday Work Management
Workspace
1:manyResource Management Portfolios aggregate multiple projects with aggregated capacity and timeline data. Monday.com organizes work in Workspaces that contain multiple Boards. We map each Smartsheet Portfolio to a Monday.com Workspace, and the projects within the Portfolio become Boards inside that Workspace. Portfolio-level summary metrics (total capacity, total hours allocated) are not native to Monday.com Workspaces; we document these as candidates for a Monday.com Dashboard board that aggregates across the Workspace's Boards.
Resource Management by Smartsheet
Custom Field (Column)
monday Work Management
Column
lossySmartsheet custom columns (Contact List, Dropdown, Symbol, Text, Number, Date, Duration, Formula) map to equivalent Monday.com column types. Contact List columns map to People columns. Symbol columns (Red/Yellow/Green status icons) map to Status columns with emoji labels. Formula columns in Smartsheet (computed values) cannot migrate as formulas to Monday.com; we export the computed value at migration time as a static Number or Text column. The customer can rebuild formulas using Monday.com's existing formula column functionality post-migration.
Resource Management by Smartsheet
Dependency
monday Work Management
Dependency Column
1:1Smartsheet predecessor-successor dependencies at the row level map directly to Monday.com's Dependency column. Both platforms use a predecessor-link model (Task A must complete before Task B starts) with optional lag time. We export the Smartsheet predecessor column and map each predecessor reference to the corresponding Monday.com Item ID in the Dependency column. Lag time values carry over as-is.
Resource Management by Smartsheet
Time Entry
monday Work Management
Time Tracking Column
1:1Resource Management time entries (hours logged against a task with date and user) map to Monday.com Time Tracking columns on Pro plans. We export time entries via the Resource Management Reports CSV during discovery (before the one-week lock window closes) and map each entry as a time-tracked record linked to the assigned user and item. Note: Monday.com Time Tracking does not support separate time entries per user on a single item without WorkOS API usage; for multi-user allocation tracking, the Assignment column + Number column approach (entry 4) is preferred for visibility.
Resource Management by Smartsheet
Report
monday Work Management
Dashboard Board
1:1Smartsheet Reports aggregate data from multiple Sheets and support CSV export. We export report data as-is when the destination uses a flat data model. Where reports contain computed or filtered views, we migrate the source Sheet data and recommend rebuilding the filtered view as a new Board with Grouping and Filter features in Monday.com. Dashboard-level aggregations (rollup metrics across projects) recommend a Monday.com Dashboard board using the Widgets feature.

Comment (Discussion)
monday Work Management
Update
1:1Smartsheet Row Discussions and Comments map to Monday.com Item Updates. We export the comment body, author, and timestamp. Author email resolves to the corresponding Monday.com user if an account exists; otherwise the comment is attributed to the migration service account with author name preserved in the comment body. Thread structure is preserved with updates sequenced by timestamp.
Resource Management by Smartsheet
Attachment
monday Work Management
File (External Reference)
lossySmartsheet Attachments on Rows are excluded from the API export. We flag this in the scoping document and direct customers to use Smartsheet's Backup tool to download attachments before migration. We preserve the sheet structure including attachment cell placeholders (showing the filename) and note in the migration summary that binary files must be manually reattached on the destination. Monday.com file attachments upload to Items via the API; the customer handles re-upload of binary assets post-migration.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Resource Management by Smartsheet gotchas
API access is gated behind Business/Enterprise plans
Automation rules cannot be migrated programmatically
Time entries lock after one week in Resource Management
Rate limit of 300 req/min on main API, 120 req/min on Resource Management API
Attachments and Groupings are excluded from all export paths
monday Work Management gotchas
Subitems have no bulk export endpoint
API complexity budget constrains query depth
Daily call limits vary sharply across plan tiers
Automation and integration rules do not export via API
Saved views are not exposed via API
Pair-specific challenges
Migration approach
Discovery and plan verification
We audit the source Resource Management account for plan tier (Business/Enterprise required for API access), People count, active Assignments across projects, Portfolio count and project membership, Sheet count and Row volume per Sheet, custom column types and formulas, active automations and Bridge workflows, and any existing time-entry exports. We extract time entries via Reports CSV in the discovery session before the one-week lock window closes. The discovery output is a written migration scope document covering object counts, column type inventory, and the automation audit log.
Architecture mapping and Monday.com plan confirmation
We map the Resource Management data model to Monday.com's workspace-board-item hierarchy. Each Portfolio becomes a Workspace; each project Sheet becomes a Board within that Workspace; Rows become Items; Phases become Groups. We confirm the destination monday.com plan (Standard for automation-free migrations, Pro for time tracking and sub-items) based on the source feature usage. If sub-items are in use on Smartsheet and the customer is on Standard plan, we flag the upgrade requirement before proceeding.
Extraction from Smartsheet Resource Management API
For Business and Enterprise source accounts, we authenticate to the Resource Management API at api.rm.smartsheet.com at 120 req/min, paginating through People, Assignments, and Portfolio records. We cross-reference People against the main Smartsheet API to resolve email addresses and user IDs. For Pro-plan source accounts, we extract via CSV Reports export and parse the flattened structure. We validate the extraction against the discovery counts and flag any discrepancies before transformation.
Transformation and Monday.com schema creation
We transform the extracted data into Monday.com GraphQL mutation payloads. Assignment allocation modes (percent, hours_per_day, fixed) become a Number column with the allocation value and a text label for the mode. Dependencies map to the Dependency column using item ID references resolved during the transformation. Custom column types map to typed Monday.com columns: Smartsheet Contact List becomes People, Symbol becomes Status with matching labels, Formula columns become static Number or Text values. We create the Board structure (Workspaces and Boards) before inserting Items to satisfy the parent-object hierarchy.
Sandbox migration and reconciliation
We run a full migration into the Monday.com production environment using a parallel-board validation approach: we create a Validation workspace with cloned boards matching the source structure, run the migration, and hand the customer a row-count reconciliation report (Sheets in vs Boards created, Rows in vs Items created, People in vs Team Members created, Assignments in vs Assignee columns populated, Dependencies in vs Dependency links created). The customer spot-checks 25-50 Items for data accuracy and signs off before the production migration begins.
Production migration in dependency order
We run production migration in object-dependency order: Workspaces (created first), Boards, Team Members (People import), Items with Group placement (Phases to Groups), Column configuration, Dependency columns, Assignment columns, Time Tracking data, Updates from Comments, and Custom Fields last. Monday.com's GraphQL API complexity is monitored per response; we implement per-minute complexity budget tracking and pause between Boards when approaching limits. Each phase emits a reconciliation count before the next phase begins.
Cutover, validation, and automation handoff
We freeze Smartsheet writes during cutover, run a final delta migration of any rows modified during the migration window, then enable Monday.com as the system of record. We deliver the automation audit log and the attachment recovery guide to the customer's admin. We support a one-week hypercare window for reconciliation issues. We do not rebuild Smartsheet automations or Bridge workflows as Monday.com automations inside the migration scope; that is documented separately for the customer's admin to configure using Monday.com's native automation builder (Standard plan and above).
