  • Monday.com GraphQL rate limits require query optimization

    Monday.com's API is GraphQL-based with complexity-based rate limits rather than fixed request counts. The default limit is 10M complexity units per minute, with daily call limits of 1,000 on Basic/Standard, 10,000 on Pro, and 25,000 on Enterprise. For migrations with thousands of Items across many Boards, we optimize queries by requesting only required fields, reducing nested queries, and using pagination with limit arguments. Without query optimization, complexity exceptions cause partial imports and silent failures. We monitor the complexity field returned in each response and implement exponential backoff when limits are approached.

  • Resource Management API requires Business or Enterprise plan

    The Resource Management standalone API at api.rm.smartsheet.com requires Smartsheet Business or Enterprise licensing. If the source account is on Pro, we cannot authenticate to the Resource Management API and must extract People, Assignments, and Portfolio data from CSV exports via the Reports interface. Reports exports omit Attachment references and may truncate computed column values. We verify the source plan tier during scoping and adjust the extraction strategy accordingly.

  • Time entries lock after one week in Resource Management

    The Resource Management built-in timer locks time entries as read-only after seven days. We request a CSV export of all billable hours and assignments via the Reports export during the discovery call before this window closes. If the migration timeline is delayed (common when scoping uncovers complex portfolio structures), entries from the past week become unrecoverable. We schedule the discovery call within the first week of engagement to avoid this gap and include a time-entry export step in our pre-migration checklist.

  • Smartsheet automations cannot be migrated programmatically

    Smartsheet automation rules (alerts, reminders, approval workflows, conditional formatting triggers) and Bridge workflows are not exposed via the public REST API. We log every automation found during discovery and provide a written automation audit log with screenshots or API exports of the rule logic. The customer's admin rebuilds these in Monday.com's native automation builder (available from Standard plan). Automations tied to cross-sheet formulas or complex conditions require particular attention during rebuild scoping.

  • Monday.com sub-items require Pro plan or above

    Monday.com Sub-items (Items nested under Items) are only available on Pro ($19/seat) and Enterprise plans. If the source Smartsheet structure uses hierarchical task breakdowns or sub-tasks mapped as indented rows, we must confirm the destination monday.com plan before migration. On Standard plan, we map sub-tasks as flat Items grouped under a dedicated Group, losing the visual hierarchy. The customer may choose to upgrade to Pro to preserve sub-item structure during migration.

Migration approach

Six steps for a successful Resource Management by Smartsheet to monday Work Management data migration

  1. Discovery and plan verification

    We audit the source Resource Management account for plan tier (Business/Enterprise required for API access), People count, active Assignments across projects, Portfolio count and project membership, Sheet count and Row volume per Sheet, custom column types and formulas, active automations and Bridge workflows, and any existing time-entry exports. We extract time entries via Reports CSV in the discovery session before the one-week lock window closes. The discovery output is a written migration scope document covering object counts, column type inventory, and the automation audit log.

  2. Architecture mapping and Monday.com plan confirmation

    We map the Resource Management data model to Monday.com's workspace-board-item hierarchy. Each Portfolio becomes a Workspace; each project Sheet becomes a Board within that Workspace; Rows become Items; Phases become Groups. We confirm the destination monday.com plan (Standard for automation-free migrations, Pro for time tracking and sub-items) based on the source feature usage. If sub-items are in use on Smartsheet and the customer is on Standard plan, we flag the upgrade requirement before proceeding.

  3. Extraction from Smartsheet Resource Management API

    For Business and Enterprise source accounts, we authenticate to the Resource Management API at api.rm.smartsheet.com at 120 req/min, paginating through People, Assignments, and Portfolio records. We cross-reference People against the main Smartsheet API to resolve email addresses and user IDs. For Pro-plan source accounts, we extract via CSV Reports export and parse the flattened structure. We validate the extraction against the discovery counts and flag any discrepancies before transformation.

  4. Transformation and Monday.com schema creation

    We transform the extracted data into Monday.com GraphQL mutation payloads. Assignment allocation modes (percent, hours_per_day, fixed) become a Number column with the allocation value and a text label for the mode. Dependencies map to the Dependency column using item ID references resolved during the transformation. Custom column types map to typed Monday.com columns: Smartsheet Contact List becomes People, Symbol becomes Status with matching labels, Formula columns become static Number or Text values. We create the Board structure (Workspaces and Boards) before inserting Items to satisfy the parent-object hierarchy.

  5. Sandbox migration and reconciliation

    We run a full migration into the Monday.com production environment using a parallel-board validation approach: we create a Validation workspace with cloned boards matching the source structure, run the migration, and hand the customer a row-count reconciliation report (Sheets in vs Boards created, Rows in vs Items created, People in vs Team Members created, Assignments in vs Assignee columns populated, Dependencies in vs Dependency links created). The customer spot-checks 25-50 Items for data accuracy and signs off before the production migration begins.

  6. Production migration in dependency order

    We run production migration in object-dependency order: Workspaces (created first), Boards, Team Members (People import), Items with Group placement (Phases to Groups), Column configuration, Dependency columns, Assignment columns, Time Tracking data, Updates from Comments, and Custom Fields last. Monday.com's GraphQL API complexity is monitored per response; we implement per-minute complexity budget tracking and pause between Boards when approaching limits. Each phase emits a reconciliation count before the next phase begins.

  7. Cutover, validation, and automation handoff

    We freeze Smartsheet writes during cutover, run a final delta migration of any rows modified during the migration window, then enable Monday.com as the system of record. We deliver the automation audit log and the attachment recovery guide to the customer's admin. We support a one-week hypercare window for reconciliation issues. We do not rebuild Smartsheet automations or Bridge workflows as Monday.com automations inside the migration scope; that is documented separately for the customer's admin to configure using Monday.com's native automation builder (Standard plan and above).
