    Manatal disables bulk data export by default on all accounts. Admins must contact Manatal support to enable exports before any data can be extracted. This gate applies regardless of subscription tier. We flag this during onboarding and coordinate with the customer's Manatal account manager to activate export access before migration begins. If the account is on Professional or Enterprise (not Enterprise Plus), the REST API is unavailable, so CSV/XLS export via the admin panel is the only migration path.   • Organization import silently skips duplicate names

    Manatal's native organization import (CSV or JSON) checks only the organization name for duplicates and silently skips matching names with no error or warning. When migrating to Recruit CRM, we pre-process source data to identify organizations with duplicate or near-duplicate names, resolve naming conflicts before generating the import file, and flag any ambiguous merges for customer review. Skipping this step results in silent data loss where client records do not appear in Recruit CRM without any notification.

    Manatal's open REST API is exclusively available on the Enterprise Plus plan at $55/user/month. Migrations on Professional ($15/user) or Enterprise ($35/user) cannot use programmatic data read or write access. We always verify API availability during scoping. If API access is unavailable, we fall back to CSV/XLS export workflows, which requires the export gate to be lifted first. This dual-gate requirement (tier gate plus support gate) extends the pre-migration preparation phase.

  • Custom field schema requires Admin access

    Manatal custom fields and custom categories on Candidates, Jobs, and Organizations require Admin-level access to create, modify, or read the full schema definition. During discovery, we need Admin credentials to enumerate all custom field structures and their current values. If the migrating user has limited permissions, some custom field definitions may be incomplete in the source export, requiring manual field mapping after the migration.

  • UTC timestamps with no timezone override

    All dates and times in Manatal exports appear in UTC timezone with no option to adjust the output format. Recruit CRM imports dates in ISO 8601 format with timezone awareness. We perform UTC-to-local conversion during the migration mapping phase, preserving original timestamps and flagging any timezone-sensitive date fields (application dates, stage transition dates, activity timestamps) for customer review before final import. Records with ambiguous timestamps (end-of-day or start-of-day ambiguity) are flagged in the reconciliation report.

Migration approach

Six steps for a successful Manatal to Recruit CRM & ATS data migration

  1. Export gate resolution and scoping

    We contact Manatal support to activate bulk export access for the account, verify the subscription tier to confirm API availability, and enumerate the full object inventory (Candidates, Jobs, Organizations, custom fields, tags, activity logs). Pipeline stage definitions, tag lists, and user role structures are documented in parallel. The output is a complete schema map used to configure Recruit CRM's destination schema before any data moves.

  3. Data extraction and deduplication preprocessing

    We extract all Candidates, Jobs, and Organizations from Manatal via CSV export or API (if Enterprise Plus). Organization records undergo deduplication preprocessing to resolve name-only matching conflicts before Recruit CRM import. We flag duplicate organizations, near-duplicate names (case variations, whitespace), and ambiguous merges for customer review. Candidates are extracted with full profile data, custom field values, stage history, tags, and activity logs in separate export passes.

  4. Recruit CRM schema configuration and sandbox import

    We configure Recruit CRM's destination schema: custom fields, pipeline stages, user roles, and organization structures matching the Manatal source. This is deployed into a Recruit CRM sandbox or trial environment first for validation. We run a test import of a sample dataset (typically 500-1,000 records) and reconcile against the source. Customer's admin reviews field mappings, validates pipeline stage definitions, and signs off the schema before full production migration.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Organizations first (master data), then Jobs with stage definitions, then Candidates with all linked fields, tags, and attachments. Activity logs migrate after Candidates so that parent-record references are satisfied. Custom field values transfer last, mapping to the destination field definitions. Each phase emits a row-count reconciliation report showing records imported versus expected from source.

  6. Cutover, validation, and automation rebuild handoff

    We freeze Manatal writes during cutover, run a final delta migration of any records modified during the migration window, then enable Recruit CRM as the system of record. We deliver the workflow automation inventory document to the customer's admin team, documenting every Manatal automation trigger, condition, and action with a recommended Recruit CRM equivalent using the no-code builder. We do not rebuild automations as code inside the migration scope. We support a 5-business-day post-cutover window for reconciliation issues raised by the team.
