Overview

What this migration involves

Plex Smart Manufacturing Platform is a purpose-built MES + ERP that excels at shop-floor execution, real-time OEE tracking, and quality compliance for regulated manufacturers. Acumatica is a cloud-native ERP whose Manufacturing Edition adds production management, MRP, and scheduling on top of a core that also covers financials, distribution, and project accounting. The two platforms share a cloud-first, multi-tenant model, but Plex's manufacturing depth (SFC, MES dashboards, built-in quality) and Acumatica's ERP breadth (GL, multi-entity consolidation, configurable automation) represent different architectural philosophies. FlitStack AI migrates what both systems store as data: production orders and their material allocations, bill-of-materials with multiple revisions, inventory on-hand with lot/serial numbers, quality records and non-conformance logs, customer and supplier master data, and open sales/purchase orders with line-level detail. We preserve original create/update timestamps, work-center assignments, and lot-attribute data so production-history reports are continuous from day one. What does not migrate: Plex MES workflow logic (SFC routing, labor reporting prompts, automated quality holds), Plex Insight/BI report definitions, Plex user-role and permission sets, integrations to Rockwell PLCs or IIoT sensors, and Plex-specific automation sequences. Those must be reconfigured in Acumatica's Generic Inquiries, Automation Schedules, and Manufacturing settings post-migration. We deliver an export of Plex workflow definitions to give your Acumatica admin a rebuild reference.

Why teams make this switch

Two sides of the same decision

Leaving

Plex Smart Manufacturing Platform logo

Plex Smart Manufacturing Platform

What's pushing teams away

  • Pricing structure including $3,500/month floor plus per-user or volume-based fees creates significant total cost of ownership that strains smaller and mid-sized manufacturers.
  • Reporting and business intelligence are widely described as difficult to configure, with many customers resorting to external BI tools or manual spreadsheet work to get the insights they need.
  • Workflow customization is constrained; specialized platform knowledge or professional services engagements are required for even minor customizations, limiting agility.
  • Legacy system integration presents challenges, particularly for manufacturers with older ERP or custom systems that do not have pre-built Plex connectors.
  • Some features remain in Plex Classic and have not fully migrated to the newer UX, creating a split experience that can feel inconsistent and lead to usability issues.

Choosing

Acumatica logo

Acumatica

What's pulling them in

  • Unlimited user licensing lets companies add staff without per-seat billing shocks, making Acumatica cost-predictable at scale.
  • Flexibility and scalability earn consistent praise — users value a platform that adapts to vertical workflows without forcing a redesign.
  • Real-time visibility across financials, inventory, and projects gives mid-market businesses a consolidated operational view previously available only in enterprise-tier ERPs.
  • Cloud-native architecture with automatic updates removes infrastructure management burden from in-house IT teams.
  • Modular licensing lets companies start with one or two suites (Financials, Distribution) and expand into Manufacturing or CRM incrementally.

Object mapping

How Plex Smart Manufacturing Platform objects map to Acumatica

Each row shows how a Plex Smart Manufacturing Platform object lands in Acumatica, including any object-level transformations, lookup resolution, or schema-design dependencies.

Typical mapping — final map is confirmed during the sample migration step.

Plex Smart Manufacturing Platform

Production Order

maps to

Acumatica

Production Order (AMProdMatl)

1:1
Fully supported

Plex production orders map directly to Acumatica production orders. The Plex production order number becomes the Acumatica Production Nbr. We preserve the order status (Released, In Process, Complete), planned start and end dates, and the production quantity. Plex operation-level routing maps to Acumatica's BOM + Routing combination; each Plex operation step gets a corresponding routing step with work-center reference.

Plex Smart Manufacturing Platform

Material Allocation (BOM line)

maps to

Acumatica

Production Material (AMProdMatl)

1:1
Fully supported

Plex BOM line items (material components per production order) map to Acumatica Production Material lines. Each line carries the inventory item ID, quantity required, unit of measure, and warehouse/lot assignment from Plex. If Plex used a lot number on the allocation, we preserve that as the Lot/Serial Number on the Acumatica material line.

Plex Smart Manufacturing Platform

Bill of Materials (BOM)

maps to

Acumatica

BOM + BOMRevision

1:1
Fully supported

Plex BOMs with multiple revisions map to separate BOMRevision records in Acumatica. The active Plex revision becomes the active BOMRevision in Acumatica. Phantom BOMs and modular sub-assemblies in Plex map to BOMs with the Phantom Item flag. If Plex used alternate BOMs, we map the primary and surface alternate mapping in the migration plan for admin selection.

Plex Smart Manufacturing Platform

Work Center

maps to

Acumatica

Work Center (AMWorkCenter)

1:1
Fully supported

Plex work centers map 1:1 to Acumatica Work Centers. The work center code, description, calendar (shift pattern), and cost center reference transfer. Work center capacity values and queue/lead times map to Acumatica's capacity and scheduling fields. If Plex assigned labor-class codes or cost rates to work centers, we preserve those in custom fields for cost-rollup continuity.

Plex Smart Manufacturing Platform

Inventory Item

maps to

Acumatica

Non-Stock / Stock Item (INItem)

1:1
Fully supported

Plex inventory items map to Acumatica stock items. We preserve item number, description, unit of measure, item class, and the primary warehouse assignment. If Plex tracked an item as a manufactured, purchased, or phantom type, that drives the Item Status in Acumatica (Make, Buy, or Phantom). Custom fields on Plex items (e.g., plating specs, surface finish codes) migrate to Acumatica user-defined fields on the inventory item.

Plex Smart Manufacturing Platform

Lot / Serial Number

maps to

Acumatica

Lot/Serial Class + Lot/Serial Number (INLotSerTrack)

1:1
Fully supported

Plex lot numbers on inventory transfers and material allocations preserve as Lot/Serial Numbers in Acumatica's lot tracking. If Plex used lot attributes (date of manufacture, supplier lot, revision tag), those map to Acumatica's Lot Attributes screen. We flag any Plex serial-numbered items for Acumatica's serial-tracking setup, which must be enabled per item class before import.

Plex Smart Manufacturing Platform

Quality Record / Inspection

maps to

Acumatica

Non-Conformance (AMNCEntry) + Quality Detail

1:1
Fully supported

Plex quality records (inspection results, measurement data, pass/fail outcomes) linked to production orders map to Acumatica Non-Conformance entries. Each Plex quality check becomes an AMNCEntry line with the associated production order reference, inspector ID, and result. We preserve the Plex quality specification name and the spec limit values in a custom field so the Acumatica admin can rebuild inspection plans referencing the same spec names.

Plex Smart Manufacturing Platform

Non-Conformance (NCR)

maps to

Acumatica

Non-Conformance (AMNCEntry)

1:1
Fully supported

Plex NCRs map to Acumatica Non-Conformance records directly. The NCR number, description, root-cause category, disposition (scrap, rework, use-as-is), and associated production order transfer. NCR status (Open, Under Investigation, Closed) maps to Acumatica's NCR Status field. If Plex used custom disposition codes, we create a value-mapping table before the migration.

Plex Smart Manufacturing Platform

Customer / Supplier Master

maps to

Acumatica

Customer / Vendor (ARCustomer / APVendor)

1:1
Fully supported

Plex customers and suppliers map to Acumatica AR Customers and AP Vendors respectively. Business name, contact name, email, phone, address (ship-to and bill-to), and payment terms transfer. Plex's customer class and supplier class codes map to Acumatica Customer Classes and Vendor Classes for segmentation. If Plex tracked credit limits or payment methods, those migrate as fields on the Acumatica master record.

Plex Smart Manufacturing Platform

Open Sales Order

maps to

Acumatica

Sales Order (SOOrder)

1:1
Fully supported

Plex open sales orders transfer to Acumatica Sales Orders. Order number, customer reference, order date, promised ship date, and all line items (item number, quantity ordered, quantity shipped, unit price) preserve. Order status in Plex (e.g., Released, Backordered) maps to Acumatica's order status. If Plex held allocation against a specific production order, we surface that link in the migration plan for the admin to reassign in Acumatica.

Plex Smart Manufacturing Platform

Purchase Order

maps to

Acumatica

Purchase Order (POOrder)

1:1
Fully supported

Open Plex purchase orders migrate to Acumatica Purchase Orders. Vendor, PO number, order date, expected receipt date, and line items (item, quantity ordered, quantity received, cost) transfer. Receipt history in Plex becomes Acumatica PO receipt lines. If Plex partially received a line, the open quantity appears as the Acumatica open amount.

Plex Smart Manufacturing Platform

Inventory On-Hand

maps to

Acumatica

Warehouse (INSite) + On-Hand Summary (INRepl)

1:1
Fully supported

Plex on-hand inventory quantities per item, per warehouse, per lot transfer to Acumatica's inventory on-hand screen. We run a snapshot at migration cutoff and populate the INRepl table per site/location. If Plex used multiple warehouses (plants) that Plex treated as separate entities, each becomes a separate Acumatica Warehouse (INSite) record. The on-hand snapshot is loaded as an adjustment after the chart of accounts and item setup is complete.

Plex Smart Manufacturing Platform

Employee / User

maps to

Acumatica

Employee (EPEmployee)

1:1
Fully supported

Plex employee records (name, work center assignment, labor class, email) migrate to Acumatica Employees. Plex user accounts resolve by email match to Acumatica employee accounts for owner assignment on production orders and NCRs. If Plex assigned permission roles, those are exported as a reference document for Acumatica admin to reassign in the Access Rights screen.

Plex Smart Manufacturing Platform

Production History / Labor Posting

maps to

Acumatica

Labor Entry (AM Labor Entry)

1:1
Fully supported

Plex labor clock entries per operation (employee, start/end time, work center, quantity completed, scrap quantity) map to Acumatica labor entry records linked to the production order. We preserve the clock-in and clock-out timestamps, employee ID, and work center as labor entry lines. Acumatica requires that the production order be In Process before labor can be recorded — we flag any Plex closed orders where labor history exists but cannot post in Acumatica.

Pair-specific challenges

  • BOM revision strategy creates a two-step Acumatica setup

Plex BOMs with multiple active revisions require separate BOMRevision records in Acumatica. Plex manufacturers who use engineering revisions on a single part number — a common practice in aerospace and precision metalforming — end up with N BOMRevision rows per BOMID in Acumatica, one of which is marked active. We preserve each Plex revision's effective date and revision note as Acumatica BOMRevision fields, but the Acumatica admin must configure the BOM master and revision screen before the migration validates field-level. This adds a planning step that is not needed in same-platform migrations.

  • Quality inspection plans have no direct Acumatica equivalent

Plex Quality Management System stores inspection plans that define which operations require a quality check, what parameters to measure, and what spec limits apply. Acumatica has no native inspection-plan-per-operation entity. We map Plex inspection results and NCR records to Acumatica's Non-Conformance Management (AMNCEntry), but the inspection-plan template itself — the list of parameters and their spec limits per part revision — must be rebuilt in Acumatica's Quality Specifications screen. We export the Plex quality spec names and limits as a reference CSV so the rebuild is a translation, not a redesign.

  • Lot/serial number setup must precede inventory snapshot

Plex tracks lot numbers on material allocations and inventory transactions. Acumatica requires lot/serial tracking to be enabled at the inventory item class level before any lot-numbered inventory can be loaded. If Plex used lot attributes (supplier lot, revision tag, date-code), those must be modeled in Acumatica's Lot Attribute Classes before the migration inserts records. We flag any Plex inventory items that carry lot or serial numbers so the Acumatica admin can pre-enable tracking groups. Failing to do this before the on-hand snapshot causes import failures that require a replay.

  • Closed production orders cannot post labor in Acumatica

Plex labor clock entries on production orders preserve as labor history, but Acumatica allows labor entry only on production orders with In Process status. Orders that Plex marks as Complete or Closed before migration cannot receive labor lines in Acumatica. We surface all closed Plex orders with labor history as a separate audit export so the production controller can either reopen the Acumatica order temporarily or accept the labor data as a historical reference note.

  • User licensing model change affects head-count cost

Plex bundles unlimited users into its site-based subscription. Acumatica uses per-user named licensing. Manufacturers migrating from Plex who have many shop-floor operators, quality inspectors, and warehouse staff in Plex will face a higher user-count in Acumatica. We provide a Plex user count audit before migration planning so the Acumatica licensing quote reflects the real user base. If Acumatica Manufacturing Edition is not yet licensed, that is a prerequisite before object-schema setup begins.

Migration approach

Six steps for a successful Plex Smart Manufacturing Platform to Acumatica data migration

  1. Audit Plex data model and Acumatica Manufacturing Edition setup

FlitStack AI runs a read-only extraction audit against the Plex API to inventory all active production orders, BOM revisions, inventory items with lot assignments, quality records, and open sales/purchase orders. Simultaneously, we confirm that the target Acumatica tenant has Manufacturing Edition licensed and that work-center calendars, warehouse codes, and item classes are defined. Any gaps — missing Acumatica modules, unconfigured BOM structures, or lot-tracking not enabled per item class — surface in a pre-migration setup checklist before data extraction begins.

  2. Map Plex workflow logic to Acumatica automation reference

We export Plex SFC routing configurations, quality hold triggers, and labor-clock workflow rules as a structured reference document. This is not a migration artifact — Acumatica's Automation Schedules, Generic Inquiries, and Manufacturing routing do not accept Plex workflow XML. The reference document gives the Acumatica admin a Plex-config-to-Acumatica-config map so they can rebuild quality holds and labor prompts in Acumatica's framework rather than reverse-engineering the logic from scratch.

  3. Seed Acumatica schema: BOMs, work centers, item classes, and lot attributes

Before any production or inventory data loads, FlitStack AI creates the BOM structures, work-center records, and inventory item classes in Acumatica. This sequencing ensures that when production orders and inventory lines land, foreign-key validation passes — items exist, work centers exist, and lot/serial classes are already configured. If the Plex setup has more than 20 BOMs with multiple revisions, we stage the BOM load in batches and deliver a diff report between the Plex BOM and the Acumatica BOMRevision tree.

  4. Run sample migration with field-level diff on production orders and BOMs

A representative slice — typically 50–100 production orders spanning different items, BOM revisions, and statuses — migrates first. We generate a field-level diff that compares every mapped field between Plex and Acumatica so the production manager can verify that lot numbers, work-center assignments, planned dates, and BOM revision links are correct before the full run commits. Any value-mapping gaps (e.g., a Plex disposition code that has no Acumatica resolution counterpart) surface here for resolution before scaling.

  5. Execute full migration with delta-pickup and one-click rollback

The full data set runs against Acumatica: production orders, BOMs, inventory on-hand snapshot, quality records, NCRs, customers, vendors, open sales orders, and open purchase orders. A delta-pickup window of 24–48 hours captures any records modified in Plex during cutover so Acumatica reflects Plex's final state. An audit log records every insert and update. If reconciliation in Acumatica shows unexpected gaps, one-click rollback reverts the target environment to the pre-migration state so the team can investigate and re-run without data corruption.

Most Plex-to-Acumatica migrations complete in 3–5 days of clock time for setups under 25,000 records with fewer than 20 active BOMs and no multi-site complexity. Complex migrations with multi-revision BOM hierarchies, extensive quality record history, or multiple Plex plants mapped to separate Acumatica warehouses extend to 3–6 weeks. The longest planning step is BOM and lot-tracking setup in Acumatica before data validation runs — Acumatica Manufacturing Edition must be licensed and configured before any production data can be imported.
