VinSolutions Connect CRM is a Cox Automotive product built exclusively for auto dealerships, pairing CRM functionality with DMS connectivity, desking, predictive scoring, and a managed Performance Manager layer. Zoho CRM is a general-purpose CRM with per-user pricing ($14–$52/user/mo), a free tier for three users, and a full REST API on Professional and higher plans. The migration challenge is automotive: VinSolutions stores vehicle details (make, model, year, VIN, stock number, trade-in value, DMS link) as custom fields on its Deal object — none of which have native equivalents in Zoho. We create Zoho custom fields for every automotive property, map deal stages into Zoho pipeline stages with probability and forecast-category re-application, and preserve original create and update timestamps. Activities (calls, emails, meetings, notes) migrate as Tasks and Events with original owners and timestamps. Automations, process templates, DMS connections, and Performance Manager configurations do not migrate — those require Zoho Blueprint rebuilds and DMS re-integration post-cutover. VinSolutions does not publish a public API reference for full export; we work with the platform's native export tools plus scoped read access to produce a complete dataset before validation.

We run a full data audit against your VinSolutions instance to inventory every object, field, pick-list value, and custom property. Special attention goes to the Deal object — we count automotive fields (vehicle make, model, year, VIN, stock number, trade value, DMS link) and compare the total against your Zoho edition's field ceiling (50/150/300 depending on plan). We deliver a Zoho schema setup plan: custom field API names, field types, pipeline name, and stage names. Your Zoho admin creates the fields and pipeline before validation begins.
Resolve owners and configure custom fields in Zoho
We match VinSolutions owner email addresses against existing Zoho user accounts. Unmatched owners are flagged in a pre-flight report — your team either invites them to Zoho first or assigns a fallback owner. We configure all automotive custom fields on the Deal module (Vehicle_Make__c, Vehicle_Model__c, VIN__c, Stock_Number__c, Trade_In_Value__c, DMS_Link__c) and set up the pipeline stages in Zoho's pipeline editor based on the stage-mapping document. Original create and modified dates are created as custom datetime fields.
Export and migrate Accounts, then Contacts, then Deals
We sequence the migration to respect Zoho's foreign-key dependencies: Accounts must exist before Contacts (via the Account Lookup), and Contacts must exist before Deals (via Deal-Contact association). The automotive custom field data on VinSolutions Deals is mapped field-by-field into the corresponding Zoho custom fields. DMS link reference data is preserved in DMS_Link__c for traceability. Activities (calls, emails, meetings, notes) are exported in the same run and mapped to Zoho Tasks, Events, and Notes with original owners and timestamps. Files attached to records are downloaded and re-uploaded to Zoho Files.
Run sample migration with field-level diff
A representative sample — typically 100–500 records spanning Contacts, Accounts, Deals with vehicle data, and activity records — migrates first. We generate a field-level diff report comparing source values against destination values so you can verify: VIN numbers are preserved exactly, trade-in values are correct, DMS link references are intact, stage names match the target Zoho pipeline stages, and activity owners resolved correctly. Sample validation is the gate before the full migration commits.
Cut over with delta pickup and rollback capability
The full migration runs against Zoho CRM. Your team keeps working in VinSolutions during the migration window. A delta-pickup window (24–48 hours before cutover) captures any records modified or created after the initial export — those delta records are applied to Zoho on go-live day. An audit log records every operation. One-click rollback is available if reconciliation fails. After cutover, DMS re-integration and Zoho Blueprint rebuilds for automations begin as separate workstreams.
