Monday.com workspace and board schema design
We design the Monday.com workspace structure before any data loads. This includes creating the CRM Board with columns matching PlanPlus contact fields, creating the Deals board or group with stage groups, designing the Work Board for tasks and calendar events, and configuring Connect Board links between CRM contacts and their associated companies. Custom column types are defined per field based on the PlanPlus CSV schema. The design is validated in a staging workspace before production migration begins.
Data extraction, normalization, and staging
We normalize the PlanPlus CSV exports into a staging format compatible with Monday.com's column types. This includes splitting multi-value fields (for example, Franklin Covey priority quadrant tags stored as comma-separated values become Monday.com Labels), mapping date formats to ISO 8601, resolving owner email addresses against the Monday.com member list, and flattening PlanPlus subtask hierarchies into parent-child item relationships via Monday.com Subitems. Duplicate detection runs on email addresses for contacts and company names for accounts.
Staging migration and reconciliation
We run a full migration into the staging Monday.com workspace using production-like data volume. The customer reconciles record counts against the PlanPlus exports — checking that all contacts, companies, deals, tasks, and calendar items are present, spot-checking 25-50 random records for field-level accuracy, and verifying that linked records (contact-to-company, deal-to-contact) are correctly associated via Monday.com's relationship columns. Any column mapping corrections, missing fields, or board structure adjustments happen in staging before production migration.
Production migration in dependency order
We run production migration in record-dependency order: workspace members validated, CRM Board items (Companies first, then Contacts with company link resolved), Deals items, Work Board items (Calendar Events, Tasks with subtasks), and Help Desk Tickets. Each phase emits a row-count reconciliation report. Franklin Covey priority quadrant tags and goal hierarchies migrate as custom columns with a mapping legend delivered as a reference document. Sync Connections are documented as a list of external systems (Google, Microsoft 365) for the customer to reconnect in Monday.com's integration center post-migration.
Cutover, validation, and rebuild handoff
We freeze PlanPlus Online writes during the cutover window, run a final delta migration of any records modified during the migration, then hand off Monday.com as the system of record. We deliver the written inventory of PlanPlus workflows, automations, and sync connections that require manual rebuild in Monday.com's Automation Center, the Franklin Covey framework documentation for manual re-implementation, and the board structure reference for ongoing admin.
