  • LeadMaster workflows do not migrate to Mailchimp Customer Journeys

    LeadMaster's automated business rules (lead status updates, automated emails, calendar events, SMS, and record reassignment) are built in a point-and-click interface with no export mechanism. Mailchimp Customer Journeys use a different automation model with entry triggers, time delays, and action blocks that do not accept LeadMaster workflow definitions as input. We document every active LeadMaster workflow during discovery, including its trigger, conditions, and actions, and deliver a written handoff with recommended Mailchimp Customer Journey equivalents. Any lead nurturing sequences, drip campaigns, or automated status-change triggers must be rebuilt manually in Mailchimp.

  • Unsubscribes and bounces must be honored during import

    Mailchimp's terms and deliverability best practices require that suppression list entries (unsubscribed, bounced, cleaned contacts) are imported as suppressed before any campaign sends. We export the suppression list from LeadMaster (any contacts marked as unsubscribed, bounced, or spam-reported) and import them into Mailchimp as suppressed contacts before the primary audience import. Sending to suppressed contacts after migration damages sender reputation and risks inbox placement failures. Mailchimp's migration checklist confirms this as a mandatory pre-import step.

  • Duplicate resolution depends on email as primary key

    Mailchimp uses email address as the sole dedupe key for contacts. LeadMaster Accounts and Leads may contain the same email address across multiple records (for example, a company Account contact and a separate Lead record sharing one email). We detect these duplicates during scoping and resolve them by merging into a single Contact with tags from both records. If the customer already has an existing Mailchimp Audience, we run duplicate detection against that audience before import to avoid creating duplicate contacts.

  • Domain authentication required before first send

    Mailchimp requires SPF, DKIM, and domain authentication records to be configured before sending campaigns from a new or migrated audience. Without authentication, email deliverability suffers across Gmail, Yahoo, and corporate inbox providers. We include domain authentication setup guidance in the migration handoff. For teams migrating from LeadMaster's shared sending infrastructure, this is a mandatory step that affects inbox placement for all future sends and should be completed before cutover.

  • LeadMaster tier-based contact caps may trigger overage during scoping

    LeadMaster's CRM-Xpress tier caps contacts at 2,500-5,000 per logon, and Enterprise at 5,000-10,000. We audit the actual contact count during discovery. If the count approaches or exceeds the tier cap, we flag this before migration so the customer can either upgrade their LeadMaster plan for export access or perform a contact hygiene step to reduce volume before extraction.

Six steps for a successful LeadMaster to Mailchimp data migration

  1. Discovery and data audit

    We audit the LeadMaster account across tier (Free, CRM-Xpress, Enterprise), contact volume, Account and Lead counts, active email campaigns, engagement history volume, Smart Queue definitions, and active workflows. We identify suppressions (unsubscribed, bounced, cleaned contacts) separately and confirm the customer's existing Mailchimp Audience status (new setup vs merge into existing).   2. Mailchimp audience schema preparation

We map LeadMaster custom form fields and Lead/Account properties to Mailchimp merge field types (text, number, date, phone, address, dropdown). We add tags corresponding to LeadMaster lead status and source so that Mailchimp Segments can reproduce Smart Queue filter logic. If the customer has an existing Mailchimp Audience, we validate the merge field compatibility before the primary import.

  3. Suppression list import and domain authentication

    We import the LeadMaster suppression list (unsubscribed, bounced, and cleaned contacts) into Mailchimp as suppressed contacts before the primary audience import. We verify that SPF, DKIM, and domain authentication records are configured for the sending domain. This step aligns with Mailchimp's migration checklist and is required for deliverability before any campaign send. The customer's IT or domain administrator handles DNS record updates.

  4. Audience import with duplicate resolution

    We import LeadMaster Accounts and Leads into the Mailchimp Audience in dependency order: Accounts first (company name and address), then Leads (with Account association via tags). Email address is the dedupe key. We detect and merge duplicate email addresses across LeadMaster records, combining tags from both records onto the merged Contact. Each import batch emits a reconciliation report (contacts imported, duplicates skipped, errors logged) before proceeding.

  5. Engagement history and campaign metadata import

    We import email engagement history (open events, click events) as structured contact activity entries in Mailchimp. Campaign send metadata (send date, subject line, recipient count) migrates as a Campaign record in Mailchimp for historical reference. We import Notes as Mailchimp Notes entries on the relevant contact. Attachment files are exported to a compressed archive delivered alongside the import manifest.

  6. Cutover, validation, and automation rebuild handoff

    We freeze writes in LeadMaster during cutover, run a final delta migration of any contacts modified during the migration window, then enable Mailchimp as the marketing system of record. We deliver the Workflow inventory, Smart Queue-to-Segment mapping table, and Campaign content files (HTML templates, subject lines) to the customer's admin team. We support a three-day hypercare window for reconciliation issues. We do not rebuild LeadMaster workflows as Mailchimp Customer Journeys inside the migration scope.
