Overview
Moving from LeadMaster to Mailchimp is a platform-type shift: LeadMaster is a CRM with bundled marketing automation, while Mailchimp is an email marketing platform optimized for audience segmentation, campaign automation, and deliverability. We extract LeadMaster's Accounts and Leads, resolve them against Mailchimp's contact model, and import email engagement history where it exists. LeadMaster Opportunities, Cases, and pipeline data have no Mailchimp equivalent and are documented for the customer's follow-up. Workflow automations and Smart Queue filters do not migrate; we deliver a written inventory of every LeadMaster workflow and saved filter that requires manual recreation in Mailchimp's automation builder.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a LeadMaster object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
LeadMaster
Account
Mailchimp
Contact (Audience member)
1:1LeadMaster Account records map to Mailchimp Contacts within the primary Audience. The Account company name maps to the FNAME or COMPANY merge field depending on whether the record represents an individual or organization. Address fields from LeadMaster (street, city, state, zip, country) map to Mailchimp ADDRESS merge fields. Account-level custom fields with text, number, or date values migrate as merge fields added to the Audience before import.
LeadMaster
Lead
Mailchimp
Contact (Audience member)
1:1LeadMaster Lead records map to Mailchimp Contacts in the primary Audience. The Lead email address is the primary key for deduplication; LeadMaster's lead status, source, and lifecycle fields migrate as Mailchimp merge fields or Tags. We tag records by lead status (New, Contacted, Qualified, etc.) so that Mailchimp Segments can reproduce Smart Queue filter logic. Owner assignment from LeadMaster has no Mailchimp equivalent and is documented separately.
LeadMaster
Opportunity
Mailchimp
Not migrated
1:1LeadMaster Opportunities represent pipeline deals with stages, amounts, and close dates. Mailchimp has no sales pipeline or opportunity object. We do not migrate Opportunities. We extract the Opportunity owner email and deal stage as tags on the linked Contact so the customer can identify which contacts were associated with open pipeline, but deal amounts and stage history are documented as a separate export for the customer's CRM follow-up.
LeadMaster
Campaign (LeadMaster email marketing)
Mailchimp
Campaign
1:1LeadMaster email campaign records (send date, subject, recipient count, open rate, click rate) migrate as Mailchimp Campaign history entries. The campaign name and send metadata transfer; email content and templates are exported as HTML and re-imported into Mailchimp. Active campaign automation sequences require manual rebuild in Mailchimp Customer Journeys.
LeadMaster
Engagement: Email send history
Mailchimp
Contact activity (Opens, Clicks)
1:1LeadMaster email send history attached to Leads and Accounts migrates as Mailchimp Contact activity. Open events and click events map to Mailchimp's engagement scoring and contact profile timeline. We preserve the original send date and engagement type (opened, clicked) as structured data. If the customer's LeadMaster plan includes email tracking, this history populates the Mailchimp contact profile with the customer's behavioral data.
LeadMaster
Engagement: Notes
Mailchimp
Contact notes (as Tags or Notes field)
1:1LeadMaster Notes migrate as Mailchimp Notes on the Contact record (limited to 500 characters per note). Long notes exceeding this limit are split across multiple Notes entries. We preserve the original note author and timestamp where available. Notes with date-stamped call dispositions or meeting summaries help the customer's team preserve relationship context in Mailchimp.
LeadMaster
Smart Queue / Saved Search
Mailchimp
Segment
lossyLeadMaster Smart Queue definitions are documented during discovery and translated into Mailchimp Segment filter rules. Smart Queue criteria (status equals, source contains, date range, tag exists) map to Mailchimp Segment conditions using AND/OR logic. We deliver a written segment mapping table showing which Mailchimp Segment each Smart Queue should produce. The customer's admin creates the Segments in Mailchimp using the mapping guide.
LeadMaster
User / Owner
Mailchimp
Mailchimp User (workspace member)
1:1LeadMaster Users and Owners are mapped to Mailchimp workspace Members so that contact ownership and assignment context is preserved. Owner email from LeadMaster is the lookup key. Contacts without a matching Mailchimp user are imported under a default admin. This mapping is informational; Mailchimp does not enforce record-level ownership in the same way LeadMaster does.
LeadMaster
Attachment
Mailchimp
Not migrated (stored externally)
1:1LeadMaster file attachments stored against Accounts, Leads, or Cases are exported to a compressed archive delivered alongside the Mailchimp import. Attachments do not map to Mailchimp Contacts directly. We preserve the parent record association (contact email + attachment filename) in a manifest so the customer can manually re-attach files to the relevant contact records or link them from a cloud storage path.
LeadMaster
Custom Form responses
Mailchimp
Merge fields (Contact fields)
1:1LeadMaster custom form field responses stored as Lead or Account properties migrate to Mailchimp merge fields. We pre-create the merge field schema in the Mailchimp Audience before import, mapping form field types (text, number, date, dropdown) to the corresponding Mailchimp merge field type. Forms where a field has no Mailchimp equivalent fall back to a structured tag or are excluded with a documented gap list.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
LeadMaster gotchas
Workflow logic does not survive migration
Tier-based contact limits can cause import overages
Pricing pages show conflicting tier structures
Email marketing module requires a Pro logon on lower tiers
Custom forms and their responses may have schema gaps
Mailchimp gotchas
Contact count includes unsubscribed and non-subscribed records
Automation workflows cannot be exported
Account suspensions trigger silently during migration
Template HTML is Mailchimp-specific and may not render in other platforms
E-commerce data requires active store connection
Pair-specific challenges
Migration approach
Discovery and data audit
We audit the LeadMaster account across tier (Free, CRM-Xpress, Enterprise), contact volume, Account and Lead counts, active email campaigns, engagement history volume, Smart Queue definitions, and active workflows. We identify suppressions (unsubscribed, bounced, cleaned contacts) separately and confirm the customer's existing Mailchimp Audience status (new setup vs merge into existing). The discovery output is a written migration scope and a Mailchimp plan recommendation based on audience size.
Mailchimp audience schema preparation
We pre-create the merge field schema in the destination Mailchimp Audience before any import. We map LeadMaster custom form fields and Lead/Account properties to Mailchimp merge field types (text, number, date, phone, address, dropdown). We add tags corresponding to LeadMaster lead status and source so that Mailchimp Segments can reproduce Smart Queue filter logic. If the customer has an existing Mailchimp Audience, we validate the merge field compatibility before the primary import.
Suppression list import and domain authentication
We import the LeadMaster suppression list (unsubscribed, bounced, and cleaned contacts) into Mailchimp as suppressed contacts before the primary audience import. We verify that SPF, DKIM, and domain authentication records are configured for the sending domain. This step aligns with Mailchimp's migration checklist and is required for deliverability before any campaign send. The customer's IT or domain administrator handles DNS record updates.
Audience import with duplicate resolution
We import LeadMaster Accounts and Leads into the Mailchimp Audience in dependency order: Accounts first (company name and address), then Leads (with Account association via tags). Email address is the dedupe key. We detect and merge duplicate email addresses across LeadMaster records, combining tags from both records onto the merged Contact. Each import batch emits a reconciliation report (contacts imported, duplicates skipped, errors logged) before proceeding.
Engagement history and campaign metadata import
We import email engagement history (open events, click events) as structured contact activity entries in Mailchimp. Campaign send metadata (send date, subject line, recipient count) migrates as a Campaign record in Mailchimp for historical reference. We import Notes as Mailchimp Notes entries on the relevant contact. Attachment files are exported to a compressed archive delivered alongside the import manifest.
Cutover, validation, and automation rebuild handoff
We freeze writes in LeadMaster during cutover, run a final delta migration of any contacts modified during the migration window, then enable Mailchimp as the marketing system of record. We deliver the Workflow inventory, Smart Queue-to-Segment mapping table, and Campaign content files (HTML templates, subject lines) to the customer's admin team. We support a three-day hypercare window for reconciliation issues. We do not rebuild LeadMaster workflows as Mailchimp Customer Journeys inside the migration scope.
