Overview
Gold-Vision to Mailchimp is a CRM-to-email-marketing-platform migration, not a like-for-like CRM swap. Gold-Vision stores relationships as Accounts, Contacts, Leads, Opportunities, and Campaigns with unlimited custom fields; Mailchimp stores subscribers in Audiences with a flat subscriber profile and optional merge fields. We extract the contact and account data that maps to Mailchimp subscribers, carry forward campaign membership (who was emailed, when, and with what result), and preserve Gold-Vision tags as Mailchimp tags. We do not migrate Opportunities, Projects, Quotes, or Tickets because Mailchimp has no equivalent object to receive them. Gold-Vision's automation workflows (the bundled marketing automation inside its Professional and Ultimate tiers) do not migrate to Mailchimp Automations because the trigger models differ; we deliver a written automation inventory for the customer's marketing team to rebuild. We perform a trial API pull against the Gold-Vision endpoint during scoping to establish throughput before committing to a migration window, since Gold-Vision does not publish rate limits publicly.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Gold-Vision object lands in Mailchimp, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Gold-Vision
Contact
Mailchimp
Audience Member
1:1Gold-Vision Contacts map directly to Mailchimp Audience members. Email address is the dedupe key. Standard fields (first name, last name, phone, address) map to Mailchimp merge fields FNAME, LNAME, PHONE, and ADDRESS. Gold-Vision's unlimited custom fields on Contact become Mailchimp merge fields, subject to Mailchimp's limit of 30 merge fields per audience. We flag any overflow fields and recommend tags as an alternative label strategy for low-cardinality overflow fields.
Gold-Vision
Account
Mailchimp
Audience Member (Company affiliation)
1:1Gold-Vision Accounts do not have a direct Mailchimp equivalent because Mailchimp has no Company or Account object. We carry the Account name as a merge field (COMPANY) on the related Contact record, preserving the organisation context for segmentation. If multiple Contacts share the same Account, they all receive the same COMPANY merge field value.
Gold-Vision
Lead
Mailchimp
Audience Member (pending status)
1:1Gold-Vision Leads map to Mailchimp Audience members with a Lead_Source__c merge field carrying the original lead origin. Lead status and qualification data migrate as merge fields. Note that Mailchimp has no lead qualification workflow; if the team uses Gold-Vision's lead scoring, that score transfers as a merge field and the rebuild of lead scoring logic becomes a post-migration task.
Gold-Vision
Campaign
Mailchimp
Campaign (Mailchimp)
1:1Gold-Vision Campaign records with email send history map to Mailchimp Campaigns. We export campaign member associations (which contacts were sent which campaign) and carry open/click engagement data from Gold-Vision into Mailchimp Member Activity records. Gold-Vision's multi-stage campaign status maps to a text merge field campaign_status__c. Note that Gold-Vision campaign tracking is not equivalent to Mailchimp's send-level campaign tracking; we preserve what exists but do not recreate Gold-Vision's ROI reporting inside Mailchimp.
Gold-Vision
Opportunity
Mailchimp
Not migrated (no equivalent)
lossyGold-Vision Opportunities have no Mailchimp equivalent. We do not migrate Opportunity records. The deal value, stage, and close date are not transferable to Mailchimp's audience model. We flag this during scoping and recommend the customer export Opportunities as a CSV for internal record-keeping. If the team needs to retain Opportunity context, a custom field strategy (deal_value__c as a merge field) can be applied selectively to contacts where appropriate, but this is opt-in based on the customer's data strategy.
Gold-Vision
Project
Mailchimp
Not migrated (no equivalent)
lossyGold-Vision Projects are standalone records with no Mailchimp equivalent. Projects, time entries, and task hierarchies do not migrate. We do not migrate Tickets, Quotes, or Invoices. These are CRM-specific objects outside Mailchimp's scope. The customer should export these as CSVs independently for record-keeping.
Gold-Vision
Ticket
Mailchimp
Not migrated (no equivalent)
lossyGold-Vision Service Desk Tickets have no Mailchimp equivalent. Ticket records, conversation threads, and agent assignments do not migrate. We do not migrate Tickets. The customer should export ticket history as a CSV if required for compliance or audit purposes before the migration window.
Gold-Vision
Quote
Mailchimp
Not migrated (no equivalent)
lossyGold-Vision Quotes carry line items, branding templates, and e-sign metadata. Mailchimp has no quoting object. We do not migrate Quotes. E-sign document URLs from Gold-Vision can be preserved as a text merge field sign_url__c on the related Contact if the customer requests it, but this is an opt-in carryover, not standard scope.
Gold-Vision
Custom Fields (on Contact/Account)
Mailchimp
Merge Fields
1:1Gold-Vision custom fields on Contact and Account objects become Mailchimp merge fields. We extract the full custom field schema per object during discovery, then map values during import. Mailchimp limits merge fields to 30 per audience; if the Gold-Vision schema exceeds this, we use tags for high-cardinality fields (categorical labels, multi-select values) and recommend the customer select the 30 most operationally critical fields for merge field conversion. The remainder are documented in the handoff deliverable.
Gold-Vision
Tags and Categories
Mailchimp
Tags
1:1Gold-Vision tags and categories applied to Contacts and Accounts migrate directly to Mailchimp Tags on the corresponding Audience members. Tags preserve the organisational taxonomy Gold-Vision users built for segmentation. Mailchimp's tag model is flat (no hierarchy), so any nested Gold-Vision category structure flattens to a single tag name per label. We recommend the customer review tag naming post-migration for consistency.
Gold-Vision
Communications (M365/Outlook synced emails, calls, meetings)
Mailchimp
Member Activity
1:1Gold-Vision communication logs (synced emails, logged calls, appointments from Outlook and Gmail) can be carried into Mailchimp Member Activity records as a historical engagement record. Email open and click events from Gold-Vision campaign sends map to Mailchimp open/click activity. We export the full communication log with timestamps, direction, and body snippet. Note that Mailchimp's activity model is optimised for email engagement; call and meeting logs may be better retained as a CSV export rather than forcing them into the Mailchimp timeline, which is email-centric.
Gold-Vision
User/Owner
Mailchimp
Audience (admin reference)
1:1Gold-Vision Users and Owners do not have a Mailchimp equivalent as Admin records. Owner-assigned Contacts carry the Owner name as a merge field (owner_name__c) if the customer requests it. We do not provision Mailchimp user accounts as part of the migration. The customer sets up Mailchimp user access independently of the data migration.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Gold-Vision gotchas
Gold-Vision has no documented public API rate limit or bulk export endpoint
On-premises and custom-integrated deployments require separate migration path
Project and time entry records do not map 1:1 to standard CRM objects
Mailchimp gotchas
Contact count includes unsubscribed and non-subscribed records
Automation workflows cannot be exported
Account suspensions trigger silently during migration
Template HTML is Mailchimp-specific and may not render in other platforms
E-commerce data requires active store connection
Pair-specific challenges
Migration approach
Discovery and API trial pull
We audit the Gold-Vision tenant across all record types (Contacts, Accounts, Leads, Campaigns, Opportunities, Projects, Tickets, Quotes), custom field schemas per object, tag taxonomy, engagement history volume, and active automation workflows. We perform a trial API pull to establish live throughput and identify any throttling behaviour. We also identify whether the instance is cloud-hosted (SaaS REST API) or on-premises/Ultimate-tier bespoke (direct database connector required). The discovery output is a written migration scope that explicitly lists migratable objects, non-migratable objects, and the opt-in carryover options (deal_value__c merge field, owner_name__c merge field, e-sign URL preservation).
Audience design and merge field schema
We design the Mailchimp audience structure. If the customer has one Gold-Vision contact database, we create one Mailchimp audience. If they have segmented Gold-Vision contact lists (for example, B2B contacts versus newsletter subscribers), we create separate Mailchimp audiences with the appropriate field schemas. We work with the customer to select the 30 highest-priority Gold-Vision custom fields for merge field conversion. We configure Mailchimp merge fields (FNAME, LNAME, EMAIL, PHONE, ADDRESS, and the selected custom fields) before any data import. Tags and suppression lists are documented for the next step.
Data extract and suppression list import
We extract all Gold-Vision contacts and separate unsubscribed, bounced, and cleaned contacts into a suppression list file. We import the suppression list into Mailchimp's Suppression Lists section following Mailchimp's documented process. We then extract Accounts and carry the organisation name as a COMPANY merge field on each related Contact. Tags and categories from Gold-Vision are extracted as a tag mapping file. All Gold-Vision custom field values are extracted per contact record for the merge field population step.
Audience import and engagement history
We import the active Gold-Vision contacts into the Mailchimp audience with all standard and custom merge fields populated. The import runs in batches to avoid API throttling, using Mailchimp's documented batch import endpoint. After the contact import, we import the engagement history (campaign sends, opens, clicks) as Member Activity records. We import Gold-Vision campaign metadata (campaign name, send date, status) as Mailchimp Campaign records linked to the relevant audience members. We apply Gold-Vision tags as Mailchimp Tags during or immediately after import.
Reconciliation and validation
We run a row-count reconciliation comparing Gold-Vision contact total (active, non-suppressed) against Mailchimp audience member count. We spot-check 25-50 records across the merge field values to confirm correct population. We verify tag distribution matches the Gold-Vision tag taxonomy. We confirm suppression list count matches the Gold-Vision bounced/unsubscribed export. Any mapping errors are corrected before the next phase. We deliver a pre-cutover reconciliation report to the customer's point of contact for sign-off.
Cutover, automation inventory, and handoff
We freeze Gold-Vision writes during cutover and run a final delta migration of any contacts added or modified during the migration window. We then enable Mailchimp as the active email marketing platform. We deliver the automation inventory document listing every Gold-Vision marketing workflow with its trigger, conditions, and recommended Mailchimp Automation equivalent. We do not rebuild workflows inside the migration scope. We support a one-week hypercare window to resolve any post-cutover data issues. We do not provide post-migration admin support, training, or workflow rebuild as standard scope; these are separate engagements.
