Gold-Vision to Mailchimp is a CRM-to-email-marketing-platform migration, not a like-for-like CRM swap. Gold-Vision stores relationships as Accounts, Contacts, Leads, Opportunities, and Campaigns with unlimited custom fields; Mailchimp stores subscribers in Audiences with a flat subscriber profile and optional merge fields. We extract the contact and account data that maps to Mailchimp subscribers, carry forward campaign membership (who was emailed, when, and with what result), and preserve Gold-Vision tags as Mailchimp tags. We do not migrate Opportunities, Projects, Quotes, or Tickets because Mailchimp has no equivalent object to receive them. Gold-Vision's automation workflows (the bundled marketing automation inside its Professional and Ultimate tiers) do not migrate to Mailchimp Automations because the trigger models differ; we deliver a written automation inventory for the customer's marketing team to rebuild. We perform a trial API pull against the Gold-Vision endpoint during scoping to establish throughput before committing to a migration window, since Gold-Vision does not publish rate limits publicly.

  • Opportunities, Projects, Tickets, and Quotes do not migrate

    Gold-Vision is a full CRM with Opportunities, Projects, Tickets, and Quotes as first-class objects. Mailchimp is an email marketing platform with an audience-centric data model. These four object types have no place in Mailchimp. We do not migrate them. During scoping, we confirm with the customer which objects they need to retain and export them as standalone CSV files for their records. If the customer wants to retain Opportunity value context against contacts, we can optionally carry deal_value__c as a merge field, but this is a deliberate opt-in decision, not automatic scope.

  • Gold-Vision's undocumented API requires a trial pull before scoping

    Gold-Vision's public API documentation (OpenAPI spec) does not disclose rate limits or a bulk export endpoint. During discovery, we perform a trial pull against the Gold-Vision REST endpoint to establish the live throughput ceiling. If the trial pull returns 429 errors or timeouts, we implement chunked pagination with exponential back-off. This step adds a small overhead to the project timeline and must be accounted for before the migration window is scheduled. On-premises or Ultimate-tier bespoke deployments require a direct database connector rather than the REST API, which adds a separate discovery step.

  • Merge field limit of 30 per Mailchimp audience

    Mailchimp caps merge fields at 30 per audience. Gold-Vision supports unlimited custom fields per object. If the Gold-Vision Contact schema has more than 30 custom fields, we work with the customer during scoping to identify the 30 highest-priority fields for merge field conversion. Overflow fields are documented in the handoff deliverable with their Gold-Vision values, and the customer can implement them as Mailchimp Tags for categorical data or re-evaluate the audience segmentation strategy post-migration.

  • Suppression list handling requires separate export

    Mailchimp requires unsubscribed and bounced contacts to be imported as a suppression list, not as regular audience members. If Gold-Vision tracks bounced or unsubscribed contacts (the platform does not have a native suppression list feature separate from contacts), we separate these records during the Gold-Vision extract and import them to Mailchimp's Suppression Lists section before the active audience import. Failing to suppress bounces before import risks deliverability penalties from email providers. We follow Mailchimp's documented suppression import process from their migration checklist.

  • Gold-Vision automation workflows do not migrate to Mailchimp Automations

    Gold-Vision's bundled marketing automation (available on Professional and Ultimate tiers) uses process-triggered rules within Gold-Vision's CRM context. Mailchimp Automations are pre-built journey templates (Welcome Series, Abandoned Cart, Post-Purchase) with different trigger models. We do not migrate automation workflows as code. We deliver a written inventory of every active Gold-Vision marketing workflow with its trigger, conditions, and actions, and the customer's marketing team rebuilds them in Mailchimp Automations post-migration. This is a manual step that should be planned as part of the transition timeline.

Migration approach

Six steps for a successful Gold-Vision to Mailchimp data migration

  1. Discovery and API trial pull

    We audit the Gold-Vision tenant across all record types (Contacts, Accounts, Leads, Campaigns, Opportunities, Projects, Tickets, Quotes), custom field schemas per object, tag taxonomy, engagement history volume, and active automation workflows. We perform a trial API pull to establish live throughput and identify any throttling behaviour. We also identify whether the instance is cloud-hosted (SaaS REST API) or on-premises/Ultimate-tier bespoke (direct database connector required). The discovery output is a written migration scope that explicitly lists migratable objects, non-migratable objects, and the opt-in carryover options (deal_value__c merge field, owner_name__c merge field, e-sign URL preservation).

  2. Audience design and merge field schema

    We design the Mailchimp audience structure. If the customer has one Gold-Vision contact database, we create one Mailchimp audience. If they have segmented Gold-Vision contact lists (for example, B2B contacts versus newsletter subscribers), we create separate Mailchimp audiences with the appropriate field schemas. We work with the customer to select the 30 highest-priority Gold-Vision custom fields for merge field conversion. We configure Mailchimp merge fields (FNAME, LNAME, EMAIL, PHONE, ADDRESS, and the selected custom fields) before any data import. Tags and suppression lists are documented for the next step.

  3. Data extract and suppression list import

    We extract all Gold-Vision contacts and separate unsubscribed, bounced, and cleaned contacts into a suppression list file. We import the suppression list into Mailchimp's Suppression Lists section following Mailchimp's documented process. We then extract Accounts and carry the organisation name as a COMPANY merge field on each related Contact. Tags and categories from Gold-Vision are extracted as a tag mapping file. All Gold-Vision custom field values are extracted per contact record for the merge field population step.

  4. Audience import and engagement history

    We import the active Gold-Vision contacts into the Mailchimp audience with all standard and custom merge fields populated. The import runs in batches to avoid API throttling, using Mailchimp's documented batch import endpoint. After the contact import, we import the engagement history (campaign sends, opens, clicks) as Member Activity records. We import Gold-Vision campaign metadata (campaign name, send date, status) as Mailchimp Campaign records linked to the relevant audience members. We apply Gold-Vision tags as Mailchimp Tags during or immediately after import.

  5. Reconciliation and validation

    We run a row-count reconciliation comparing Gold-Vision contact total (active, non-suppressed) against Mailchimp audience member count. We spot-check 25-50 records across the merge field values to confirm correct population. We verify tag distribution matches the Gold-Vision tag taxonomy. We confirm suppression list count matches the Gold-Vision bounced/unsubscribed export. Any mapping errors are corrected before the next phase. We deliver a pre-cutover reconciliation report to the customer's point of contact for sign-off.

  6. Cutover, automation inventory, and handoff

    We freeze Gold-Vision writes during cutover and run a final delta migration of any contacts added or modified during the migration window. We then enable Mailchimp as the active email marketing platform. We deliver the automation inventory document listing every Gold-Vision marketing workflow with its trigger, conditions, and recommended Mailchimp Automation equivalent. We do not rebuild workflows inside the migration scope. We support a one-week hypercare window to resolve any post-cutover data issues. We do not provide post-migration admin support, training, or workflow rebuild as standard scope; these are separate engagements.
