Overview
Moving from Gold-Vision to Zoho CRM is a platform consolidation and API-driven extraction project. Gold-Vision offers no publicly documented bulk export endpoint and no disclosed rate limit, which means we perform a trial pull during scoping to establish live throughput before committing to an extraction window. Its Project and Time Entry objects have no direct Zoho CRM equivalent, so we export Projects as Deals with a project_type lookup field and Time entries as custom Activity records. Accounts map 1:1 to Zoho Accounts, Contacts map 1:1 with Account linkage preserved, and Opportunities map to Zoho Deals with stage remapping. We do not migrate Gold-Vision Workflows, Automations, or marketing sequences as code; we deliver a written inventory of every automation with a Zoho Blueprint equivalent recommendation for your admin to rebuild post-migration.
Every standard and custom field arrives verified.
AI proposes the map; you confirm before any record moves.
Parent–child, lookups, and ownership stay linked.
Calls, emails, meetings — with original timestamps.
Documents, uploads, and inline notes move with the record.

Object mapping
Each row shows how a Gold-Vision object lands in Zoho CRM, including any object-level transformations, lookup resolution, or schema-design dependencies.
Typical mapping — final map is confirmed during the sample migration step.
Gold-Vision
Account
Zoho CRM
Accounts
1:1Gold-Vision Accounts map directly to Zoho CRM Accounts. The full standard field set (company name, address, industry, website) migrates 1:1, and unlimited custom fields on the Account object map to Zoho custom fields by name and type. We use the Zoho Accounts Bulk API with CSV chunking for volumes over 5,000 records. The source Account ID is preserved in a custom field gv_account_id__c for cross-system reconciliation during the migration window.
Gold-Vision
Contact
Zoho CRM
Contacts
1:1Gold-Vision Contacts link to Accounts and carry email, phone, communication history, and unlimited custom fields. We map Contacts to Zoho Contacts with AccountId resolved at import time by matching the parent Account name or domain. Gold-Vision's no-per-record-cap model means Zoho's per-user pricing (rather than per-contact pricing) is a better structural fit for high-contact-count accounts. Any Gold-Vision Contact without a matching Account is held in a reconciliation queue.
Gold-Vision
Lead
Zoho CRM
Leads
1:1Gold-Vision Leads are a distinct record type with their own pipeline and status fields. We map them to Zoho Leads with Lead Source, Status, and any custom lead fields migrated directly. If the Gold-Vision customer uses the Lead stage as a qualification gate before Account creation, we preserve the original gv_lead_status value in a Zoho custom field for reporting continuity. Owner assignment migrates by email lookup against Zoho Users.
Gold-Vision
Opportunity
Zoho CRM
Deals
1:1Gold-Vision Opportunities sit inside named Pipelines with configurable Stages, probability weights, close dates, and monetary values. We map them to Zoho Deals with Pipeline and Stage names remapped to match the Zoho destination pipeline template. Probability percentages round to Zoho's stage probability field, and custom opportunity fields map to Zoho custom fields on Deals. The Deal-Account lookup is resolved at import time via Account name match.
Gold-Vision
Pipeline
Zoho CRM
Pipeline (Zoho)
lossyGold-Vision allows multiple named pipelines with per-organisation stage sequences. We capture the full pipeline structure during discovery, then configure matching Zoho Pipelines with Zoho Stage names before Deals import. Stage probability weights migrate from Gold-Vision to Zoho stage configuration. Multiple Gold-Vision pipelines map to separate Zoho Pipelines; if the destination Zoho edition limits pipeline count, we document the constraint during scoping.
Gold-Vision
Project
Zoho CRM
Deals (with project_type marker)
1:manyGold-Vision Projects are standalone records with task hierarchies and time entries not found in Zoho CRM. We export the project record as a Zoho Deal with a custom field project_type__c set to 'Gold-Vision Project' and a project_reference__c field carrying the original Gold-Vision project ID. Time entries associated with the project export as Zoho Tasks with a custom field time_entry__c carrying the duration and billable flag. Customers should validate that Zoho Projects (a separate Zoho app at $5/user) meets their post-migration project tracking needs.
Gold-Vision
Quote
Zoho CRM
Quotes
1:1Gold-Vision Quotes carry line items, branding templates, and optional e-sign links. We export the quote header, line items, and status to Zoho Quotes. E-sign metadata migrates as a URL reference in a custom field; the actual signed document exports as a file attachment and re-associates to the Zoho Quote record. If Gold-Vision Quotes reference Products, we migrate the Product catalog to Zoho Products before the Quote import.
Gold-Vision
Campaign
Zoho CRM
Campaigns
1:1Gold-Vision Campaigns include multi-stage status tracking and ROI reporting fields. We export Campaign records and member associations to Zoho Campaigns. Gold-Vision campaign member tracking is not the same as Zoho Campaign Members; we create Zoho Campaign Members for each Gold-Vision contact or lead associated with the campaign, preserving the campaign role and response status. Note that Zoho Campaign ROI reporting is more limited than Gold-Vision's native ROI tools; we flag this during scoping.
Gold-Vision
Ticket
Zoho CRM
Cases
1:1Gold-Vision Service Desk Tickets support custom fields, conversation threads, and agent assignment. We export the full ticket record including open/closed status, priority, and conversation history to Zoho Cases. Conversation threads migrate as Case Comments or EmailMessages depending on whether the thread was email-based or internal notes. Agent assignment maps by email to Zoho Users.
Gold-Vision
Custom Fields
Zoho CRM
Custom Fields
lossyGold-Vision supports unlimited additional fields on all major objects via its API. We extract the full custom field schema per object during discovery, then pre-create matching Zoho custom fields (with correct field types: text, picklist, date, number, checkbox) before any data import. Field-level validation rules are not migrated; Zoho field validation must be configured post-import by the customer. Gold-Vision dynamic screen designer field names that vary per tenant require schema normalisation before mapping.
Gold-Vision
Tags and Categories
Zoho CRM
Multi-Select Picklists
lossyGold-Vision uses tags and categories as organisational labels across objects. We preserve the full tag and category taxonomy, then remap them to Zoho as multi-select picklist fields on the relevant objects. The customer chooses which Gold-Vision tags become Zoho picklist values during scoping. If the tag taxonomy is large (over 100 unique tags), we discuss reducing to the top-50 most-used values to keep Zoho picklists manageable.
Gold-Vision
Attachments
Zoho CRM
Attachments
1:1Documents and file attachments stored against Gold-Vision Accounts, Contacts, Opportunities, Projects, and Tickets export as binary blobs. We re-associate attachments to the migrated Zoho record via the gv_record_id__c cross-reference field. If the Gold-Vision instance uses on-premises document storage rather than the SaaS blob store, attachment extraction may require additional scoping and timeline.

Gotchas + challenges
Platform-specific issues from each side, plus the pair-specific challenges that don't show up on either platform's page on its own.
Gold-Vision gotchas
Gold-Vision has no documented public API rate limit or bulk export endpoint
On-premises and custom-integrated deployments require separate migration path
Project and time entry records do not map 1:1 to standard CRM objects
Zoho CRM gotchas
API access requires Professional tier or above
Subform fields do not export cleanly via CSV
API credit consumption is non-linear
Export download links expire in 7 days
Owner (User) assignments require pre-mapped user IDs
Pair-specific challenges
Migration approach
Discovery and Gold-Vision API trial pull
We audit the Gold-Vision instance across tier (Core/Professional/Ultimate/Enterprise), deployment type (SaaS or on-premises), custom field schema per object, pipeline and stage structures, Project and Time Entry volumes, active Workflows, Tags/Categories taxonomy, and attachment storage type. We perform a live API trial pull to establish throughput ceiling and confirm pagination behaviour. The discovery output is a written migration scope document that includes the Gold-Vision API rate-limit findings, on-premises vs SaaS routing decision, and a Zoho edition recommendation (Standard at $14/user for CRM-core migrations, Professional at $20/user if Blueprints and multiple pipelines are required).
Zoho CRM schema preparation
We pre-create the Zoho CRM custom fields, picklists, and pipeline configuration before any data import. This includes remapping Gold-Vision pipeline stages to Zoho Stage names, configuring Zoho Pipelines to match Gold-Vision pipeline count, creating project_type__c and time_entry__c custom fields if Projects are being remapped to Deals, and setting up multi-select picklists for Tags and Categories. The schema is deployed into a Zoho Sandbox or parallel account for validation before production migration begins. We also configure the Zoho Data Migration Wizard with a field mapping CSV for each object, or use the Zoho CRM Bulk API directly for larger volumes.
Gold-Vision API extraction in dependency order
We extract Gold-Vision records in dependency order: Accounts first, then Contacts (with AccountId resolved), Leads, Opportunities/Deals, Projects (as Deals with project marker), Time Entries (as Tasks), Quotes, Campaigns, Cases/Tickets, Custom Objects, Activities/Communications, and Attachments last. Each phase emits a row-count reconciliation report. If the Gold-Vision API trial pull identified throughput constraints, we implement chunked pagination with exponential backoff during extraction. Attachments and communication logs (M365/Outlook synced emails, calls, meetings) are extracted last because they represent the highest record count and are the most rate-limit-sensitive.
Data cleaning and tag normalisation
Before import into Zoho, we clean the extracted data. This includes de-duplicating Accounts by name and domain, resolving Gold-Vision Contacts without a parent Account, normalising Tags and Categories to the agreed picklist value set, mapping Gold-Vision custom field values to Zoho field types (converting Gold-Vision date formats, truncating text fields that exceed Zoho limits), and flagging any Gold-Vision custom fields that have no clear Zoho equivalent for the customer to decide on during the mapping review call. This step typically takes three to five business days for mid-complexity data sets.
Zoho CRM production migration
We run production migration into the live Zoho CRM account in dependency order using the Bulk API or Zoho's Data Migration Wizard. Accounts import first, then Contacts with AccountId lookups resolved, then Leads, Deals (including Project remaps), Cases, Quotes, Campaigns, Activities, and Attachments. Each phase pauses for a row-count reconciliation check before the next phase begins. Owner assignment migrates by email match against Zoho Users; any unmatched owners are held in a reconciliation queue for the customer's admin to provision before record import resumes. Custom field values insert using the pre-created Zoho custom field IDs.
Cutover, validation, and Workflow handoff
We freeze Gold-Vision write access during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho CRM as the system of record. We deliver the Workflow and Automation inventory document to the customer's admin team. We support a one-week hypercare window where we resolve any record mismatches raised by the customer's team. We do not rebuild Gold-Vision Workflows as Zoho Blueprint or Workflow Rules inside the migration scope; that is a separate engagement. We also do not provide post-migration admin training or Zoho onboarding as standard scope.
