  • Gold-Vision has no documented bulk export endpoint or rate limit

    Gold-Vision's OpenAPI spec does not disclose rate limits or a batch export endpoint. During scoping, we perform a trial pull against the Gold-Vision API to establish the live throughput ceiling. If the trial pull returns 429 errors or timeouts, we fall back to a chunked pagination strategy with exponential back-off. This adds a small overhead to the project timeline and must be accounted for before extraction begins. The absence of a bulk export endpoint means large record volumes require more API call iterations, which extends extraction windows for Accounts, Contacts, and Opportunities with heavy engagement histories.

  • On-premises Gold-Vision deployments use a different API path

    Gold-Vision Ultimate and Enterprise tiers offer on-premises deployment options with bespoke in-house development. Cloud-hosted and on-premises instances use different API endpoints and authentication models. We identify the deployment type during discovery. On-premises migrations route through a direct database connector rather than the Gold-Vision REST API, which is only available for the SaaS version. On-premises customers must flag this at project outset because it changes the extraction approach and may require database schema access agreements.

  • Projects and Time entries do not map 1:1 to Zoho CRM objects

    Gold-Vision Projects are standalone records with task hierarchies and time entries. Zoho CRM has no native project module; the standard approach is to export Projects as Deals with a project_type__c marker field and Time entries as Tasks with a time_entry__c custom field. Customers who need project management functionality should evaluate Zoho Projects (a separate $5/user/month app) during scoping. If Zoho Projects is adopted, Projects migrate as Zoho Projects and Time entries as Project Tasks instead. Skipping this decision leads to a project model mismatch in the migrated CRM.

  • Gold-Vision Tags and Categories require Zoho picklist normalisation

    Gold-Vision tags and categories are applied across objects and can accumulate over years of use. The full taxonomy may include hundreds of values per object, many of which are redundant or inactive. Zoho picklists have limits on the number of values per field (1,000 maximum). Before migration, we extract the full tag taxonomy, identify inactive or misspelled values, and work with the customer to define a target picklist that excludes redundant entries. If the taxonomy exceeds Zoho's limits, we discuss splitting across multiple picklist fields or converting to Zoho Tags (a separate feature with different behaviour).

  • Workflows, Automations, and Sequences do not migrate as code

    Gold-Vision Workflows and Automations are not structurally compatible with Zoho CRM Blueprint, Workflow Rules, or Functions. We do not migrate them as code. We deliver a written inventory of every active Gold-Vision Workflow and Automation with its trigger, conditions, actions, and a recommended Zoho Blueprint or Workflow Rule equivalent. The customer's admin rebuilds them post-migration, or they engage a Zoho-certified partner for automation rebuild. Gold-Vision marketing sequences and email cadences similarly do not migrate; we document them for rebuild in Zoho CRM's follow-up task sequences or Zoho Mailshot.

Migration approach

Six steps for a successful Gold-Vision to Zoho CRM data migration

  1. Discovery and Gold-Vision API trial pull

    We audit the Gold-Vision instance across tier (Core/Professional/Ultimate/Enterprise), deployment type (SaaS or on-premises), custom field schema per object, pipeline and stage structures, Project and Time Entry volumes, active Workflows, Tags/Categories taxonomy, and attachment storage type. We perform a live API trial pull to establish throughput ceiling and confirm pagination behaviour. The discovery output is a written migration scope document that includes the Gold-Vision API rate-limit findings, on-premises vs SaaS routing decision, and a Zoho edition recommendation (Standard at $14/user for CRM-core migrations, Professional at $20/user if Blueprints and multiple pipelines are required).

  2. Zoho CRM schema preparation

    We pre-create the Zoho CRM custom fields, picklists, and pipeline configuration before any data import. This includes remapping Gold-Vision pipeline stages to Zoho Stage names, configuring Zoho Pipelines to match Gold-Vision pipeline count, creating project_type__c and time_entry__c custom fields if Projects are being remapped to Deals, and setting up multi-select picklists for Tags and Categories. The schema is deployed into a Zoho Sandbox or parallel account for validation before production migration begins. We also configure the Zoho Data Migration Wizard with a field mapping CSV for each object, or use the Zoho CRM Bulk API directly for larger volumes.

  3. Gold-Vision API extraction in dependency order

    We extract Gold-Vision records in dependency order: Accounts first, then Contacts (with AccountId resolved), Leads, Opportunities/Deals, Projects (as Deals with project marker), Time Entries (as Tasks), Quotes, Campaigns, Cases/Tickets, Custom Objects, Activities/Communications, and Attachments last. Each phase emits a row-count reconciliation report. If the Gold-Vision API trial pull identified throughput constraints, we implement chunked pagination with exponential backoff during extraction. Attachments and communication logs (M365/Outlook synced emails, calls, meetings) are extracted last because they represent the highest record count and are the most rate-limit-sensitive.

  4. Data cleaning and tag normalisation

    Before import into Zoho, we clean the extracted data. This includes de-duplicating Accounts by name and domain, resolving Gold-Vision Contacts without a parent Account, normalising Tags and Categories to the agreed picklist value set, mapping Gold-Vision custom field values to Zoho field types (converting Gold-Vision date formats, truncating text fields that exceed Zoho limits), and flagging any Gold-Vision custom fields that have no clear Zoho equivalent for the customer to decide on during the mapping review call. This step typically takes three to five business days for mid-complexity data sets.

  5. Zoho CRM production migration

    We run production migration into the live Zoho CRM account in dependency order using the Bulk API or Zoho's Data Migration Wizard. Accounts import first, then Contacts with AccountId lookups resolved, then Leads, Deals (including Project remaps), Cases, Quotes, Campaigns, Activities, and Attachments. Each phase pauses for a row-count reconciliation check before the next phase begins. Owner assignment migrates by email match against Zoho Users; any unmatched owners are held in a reconciliation queue for the customer's admin to provision before record import resumes. Custom field values insert using the pre-created Zoho custom field IDs.

  6. Cutover, validation, and Workflow handoff

    We freeze Gold-Vision write access during cutover, run a final delta migration of any records modified during the migration window, then enable Zoho CRM as the system of record. We deliver the Workflow and Automation inventory document to the customer's admin team. We support a one-week hypercare window where we resolve any record mismatches raised by the customer's team. We do not rebuild Gold-Vision Workflows as Zoho Blueprint or Workflow Rules inside the migration scope; that is a separate engagement. We also do not provide post-migration admin training or Zoho onboarding as standard scope.
