Overview
Moving from Cetec ERP to Pipedrive is a CRM-first migration where the manufacturing ERP's sales data — customers, contacts, quotes, sales orders, and engagement history — is extracted and placed into a purpose-built sales pipeline tool. Cetec ERP bundles CRM inside a full manufacturing suite, so the migration scope is narrower than a CRM-to-CRM move: we focus on the CRM layer (Customers, Leads, Quotes, Sales Orders) and do not migrate production records (Work Orders, BOMs, Inspections, NCRs) that have no Pipedrive equivalent. Pipedrive's data model splits B2B contacts into an Organization record and a Person record; we build that link from Cetec's customer hierarchy during the transform phase. Engagement history (calls, emails, meetings, tasks) migrates as Activities linked to the Person record, preserving the timeline that sales reps need. We do not migrate Cetec workflows, quote approval thresholds, or ERP automations; we deliver a written inventory of these for the customer's admin to rebuild in Pipedrive Automations or the Workflow feature post-migration.

Pre-migration audit and scoping
We audit the Cetec ERP instance across the CRM module: Customer records and contact counts, Quote and Sales Order volumes, active user count by role (full $50/user and shop floor $25/user), engagement log entries by type, and any custom fields on Customer, Contact, Quote, and Order records. We also identify internal customer records, locked records, and any that require pre-migration remediation. The audit output is a written scope document with record counts, a field mapping draft, and a Pipedrive plan recommendation based on user count and feature requirements.
Organization-Person data model design
We design the Pipedrive data model before any records move. This includes provisioning Pipedrive custom fields on Organization, Person, and Deal to capture Cetec-specific attributes (customer type, region, account tier, PPV/LBV threshold flags). We create the Organization records first so that each Person import can satisfy the mandatory Organization-Id relationship. If the Cetec instance has multiple sites or divisions that should map to separate Pipedrive workspaces, we configure that during this phase.
Sandbox migration and reconciliation
We run a full migration into a Pipedrive sandbox environment using production-like data volume. The customer's CRM lead reconciles record counts (Organizations in, Persons in, Deals in, Activities in) against Cetec source totals, spot-checks 25-50 records for field-level accuracy, and reviews the Organization-Person linkage. Any mapping corrections, custom field additions, or Organization disambiguation issues are resolved in the sandbox before production migration begins.
User and owner provisioning
We extract every distinct Cetec ERP user referenced on CRM records (Customers, Contacts, Quotes, Orders, engagements) and map them to Pipedrive users by email. Any Cetec users who do not have a corresponding Pipedrive account go to a reconciliation queue. The customer's admin provisions missing Pipedrive users and assigns appropriate plan tiers. Shop floor users who should not have CRM access are flagged for deactivation post-migration.
Production migration in dependency order
We run production migration in record-dependency order: Organizations (from Cetec Customers), Persons (from Cetec Contacts, with OrganizationId resolved), Deals (from Cetec Quotes and Sales Orders, with OrganizationId and OwnerId resolved), Products (from Cetec Part Numbers), Activities (calls, emails, meetings, tasks via Pipedrive REST API with rate-limit handling and retry logic), Notes (from Cetec note attachments), and Files (from Cetec document attachments linked to CRM records). Each phase emits a row-count reconciliation report before the next phase begins.
Cutover, delta sync, and handoff
We freeze new record creation in Cetec ERP during cutover and run a final delta migration of any records modified during the migration window. We then enable Pipedrive as the active CRM and deprecate the Cetec CRM module for active use. We deliver a written inventory of Cetec workflows, quote approval thresholds, and ERP routing tables that do not migrate, with recommended Pipedrive Automation or Workflow equivalents for the customer's admin to rebuild. We support a one-week hypercare window for reconciliation issues raised by the sales team.
