    When a Cetec ERP Customer is flagged as an internal customer (the company itself) and an order is linked to that record, Cetec disables editing on the customer. If the migration scope includes renaming or consolidating internal customers (for example, merging the internal company record into a Pipedrive Organization representing the customer's own company), this block must be resolved before migration. We identify all internal customer IDs in the pre-migration audit, assess whether they are in-scope for renaming or merging, and escalate any that are locked to the scoping call so they are addressed before record extraction begins.

  • Build-and-ship dual fulfillment lines require manual reconstruction

    Cetec ERP supports simultaneous build-to-stock and build-and-ship fulfillment on the same part number, creating two separate line items on the same Sales Order. Pipedrive Deals treat each product as a single line. When migrating historical orders with this dual-fulfillment pattern, we parse the line items and create corresponding Pipedrive Deal Products or structured notes that preserve the split. If the customer requires a cleaner representation in Pipedrive, we flag this for admin review post-migration.

    Cetec's migration path routes data through spreadsheet intermediate files before transformation, which can introduce rounding, truncation, or date-format changes for numeric fields (pricing, quantities, measurements). We validate migrated totals against source system record sums before confirming import readiness. Any discrepancy above 0.01 in monetary fields or 1 unit in quantity fields triggers a recalculation and re-export from Cetec before the Pipedrive import proceeds.

  • Pipedrive Organization-Person link requires pre-migration customer hierarchy analysis

    Pipedrive's B2B model requires every Person to be linked to an Organization. Cetec ERP's Contact records do not always have a hierarchical parent; some Contacts are standalone or belong to a Customer that is itself a company-with-contacts structure. Before migration, we analyze the full customer-contact relationship graph and build the Organization records first, then link each Person to its Organization. Contacts without a clear parent are placed under a designated catch-all Organization or flagged for the admin to resolve. Skipping this step produces orphaned Persons in Pipedrive, which cannot be linked after import without a manual rebuild.

  • Pipedrive API rate limits constrain bulk Activity imports

    Pipedrive's REST API enforces rate limits on Activity creation (up to 100 requests per minute on the Advanced plan). For migrations with large engagement histories (over 50,000 Activity records), we batch inserts and apply exponential backoff to avoid 429 responses. Activities that fail due to rate limit throttling are retried in a subsequent batch. We emit a post-import Activity count reconciliation report so the customer can verify that the timeline in Pipedrive matches the source system's engagement history.

Migration approach

Six steps for a successful Cetec ERP to Pipedrive data migration

  1. Pre-migration audit and scoping

    We audit the Cetec ERP instance across the CRM module: Customer records and contact counts, Quote and Sales Order volumes, active user count by role (full $50/user and shop floor $25/user), engagement log entries by type, and any custom fields on Customer, Contact, Quote, and Order records. Any mapping corrections, custom field additions, or Organization disambiguation issues are resolved in the sandbox before production migration begins.

  4. User and owner provisioning

    We extract every distinct Cetec ERP user referenced on CRM records (Customers, Contacts, Quotes, Orders, engagements) and map them to Pipedrive users by email. Any Cetec users who do not have a corresponding Pipedrive account go to a reconciliation queue. The customer's admin provisions missing Pipedrive users and assigns appropriate plan tiers. Shop floor users who should not have CRM access are flagged for deactivation post-migration.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Organizations (from Cetec Customers), Persons (from Cetec Contacts, with OrganizationId resolved), Deals (from Cetec Quotes and Sales Orders, with OrganizationId and OwnerId resolved), Products (from Cetec Part Numbers), Activities (calls, emails, meetings, tasks via Pipedrive REST API with rate-limit handling and retry logic), Notes (from Cetec note attachments), and Files (from Cetec document attachments linked to CRM records). Each phase emits a row-count reconciliation report before the next phase begins.

  6. Cutover, delta sync, and handoff

    We freeze new record creation in Cetec ERP during cutover and run a final delta migration of any records modified during the migration window. We then enable Pipedrive as the active CRM and deprecate the Cetec CRM module for active use. We deliver a written inventory of Cetec workflows, quote approval thresholds, and ERP routing tables that do not migrate, with recommended Pipedrive Automation or Workflow equivalents for the customer's admin to rebuild.
