  • Bigin Bulk Read API excludes Notes, Attachments, and Emails

    Bigin's Bulk Read endpoint cannot export Notes, Attachments, or Email records and returns compressed ZIP files containing CSVs rather than structured JSON. For large Note migrations we must fall back to individual record API calls, which consume Bigin credits at a higher rate (1 credit per standard call, 3 credits per Get Records with cvid). We scope Note volume during discovery, estimate the credit budget against the account's plan tier (5,000 credits per 24 hours on Free, 50,000-100,000 on paid plans), and pace calls to stay within limits. Attachments require individual record API requests and cannot be bulk-exported from Bigin at all.

  • Monday.com does not have a native activity timeline comparable to Bigin's

    Bigin maintains a first-class engagement timeline with native objects for calls, emails, meetings, tasks, and notes linked to Deals, Contacts, and Companies. Monday.com CRM stores activity history as Item Updates, which are text-based feed entries rather than structured activity records. Calls, meetings, and tasks do not have dedicated column types and must be stored as Subitems or update text. We migrate the content and timestamp of all engagement records but cannot reproduce Bigin's structured activity-timeline object model in Monday.com. Customers who rely on the activity timeline for reporting should validate Monday.com's reporting capabilities against their specific use cases before migration.

  • Workflows and automations do not migrate between platforms

    Bigin Workflows (1 on Free, 10 on Express, 30 on Premier) are platform-specific automation rules with stage triggers, time-based delays, and CRM actions. Monday.com's Automation Builder uses a different trigger-action model scoped per board. We do not migrate Workflows as executable code. We deliver a written inventory of every active Bigin workflow with its trigger conditions, actions, and recommended Monday.com Automation equivalent. The customer's admin rebuilds them post-migration in Monday.com's Automation Builder. Bigin workflow caps that were a reason for switching should be noted during scoping so the Monday.com automation strategy accounts for the expanded rule budget.

  • Monday.com's GDPR data residency must be explicitly configured

    Monday.com offers EU data residency as a configuration option, but it is not the default. Teams migrating from Bigin specifically because of GDPR non-compliance must verify that their Monday.com account is provisioned in the EU data region before migration begins. We flag this during scoping and coordinate with the customer's Monday.com admin to ensure the correct data residency setting is active. Data loaded into a non-EU Monday.com region before the setting is corrected creates a compliance gap that requires a second migration to correct.

  3. Bigin data extraction and credit budget planning

    We extract all modules from Bigin via API. Standard modules (Contacts, Companies, Deals, Products, Pipelines) use the Bulk Read endpoint where available, falling back to paginated individual record calls for Notes, Attachments, and Emails. We calculate the credit consumption against the account's plan tier and pace extraction calls to stay within the daily credit window. Any Bigin Attachments are downloaded individually and prepared for re-upload to Monday.com as linked files or updates. We run a data quality review and flag duplicates, missing owner references, and orphaned records before transformation.

  4. Data transformation and owner resolution

    We transform extracted records into Monday.com Item format. Pipeline and stage assignments become Board-Group memberships. Owner email addresses from Bigin are matched to Monday.com Team Members for Assignee assignment. Bigin's custom fields are mapped to Monday.com column types (text, number, date, dropdown). Notes are converted to Item Updates with author attribution. Calls and meetings become Item Updates or Subitems. We run the transformation against a sample set of 50-100 records and reconcile field-by-field against the source before full production migration.

  5. Production migration in dependency order

    We run production migration in record-dependency order: Organization Items first (Companies from Bigin), then People Items (Contacts linked to Organizations), then Deal Board Items (with stage-to-Group assignment and amount/owner mapping), then Product Board Items, then Subitems (Tasks) and Updates (Notes, Calls, Events). Each phase emits a row-count reconciliation report before the next phase begins. Any Attachments are uploaded as file updates on the relevant Items after the data phases complete. We pause writes to Bigin during the final delta migration window.

  6. Cutover, validation, and workflow rebuild handoff

    We freeze Bigin writes during cutover, run a final delta migration of records modified during the migration window, then enable Monday.com as the system of record. We deliver a written workflow inventory document listing every active Bigin workflow with its trigger, conditions, and recommended Monday.com Automation Builder equivalent. We do not rebuild Bigin workflows as Monday.com automations inside the migration scope; that is a separate engagement. We support a one-week hypercare window to resolve any data reconciliation issues raised by the customer's team.
